4. ESG Guideline

Cafe Show Seoul is leading the exhibition industry by operating as an eco-friendly event, presenting a new paradigm and proposing ESG operation guidelines to the exhibitors for a sustainable future.

With growing awareness of the importance of ESG practices in the exhibition industry, various operational measures are being introduced. Cafe Show offers an expanded set of eco-friendly exhibition operation guidelines to encourage exhibitors to actively join ESG initiatives. Your kind actions for the planet and your responsible consumption to protect the environment will contribute to a happier future for the coffee industry.

Eco-friendly Booth Operation

Open Booths designs to minimize material usage from the design stage

For space-only Booths with 6 or more units, we encourage you to adopt an eco-friendly Booths operation by constructing more than 1/3 of the horizontal wall (long side) in an open format, reducing material usage and creating a safe and open flow to attract more visitors.

Minimize single-use materials and prioritize recycling /eco-friendly materials

For space-only Booths, we recommend using reusable blocks, art walls & palettes, trusses, and maxima for construction.

Reduce the use of wallpaper/regular paint use non-volatile organic compound (VOC) paints

For installing wooden Booths, it is highly recommended to apply eco-friendly paints instead of wallpaper/regular paint. Please consider using eco-friendly materials like honeycomb boards for promotional panels.

Re-use interior furniture and wall structures

Reuse interior furniture or wall structures for booths decoration in your store or showroom to contribute to environmental protection.

Minimize printed materials (digital display, QR, etc.) Eco-friendly paper and ink

To ensure eco-friendly exhibition operations, please minimize the production of printed materials and use digital displays or QR codes whenever possible. If printing is unavoidable, please make efforts to protect the environment by using eco-friendly paper and plant-based inks.

Minimize unnecessary packaging for promotional items Use recyclable, eco-friendly materials

Excessive packaging has long been a major cause of environmental destruction and a serious social issue. Please minimize unnecessary packaging for promotional items and produce them using recyclable, eco-friendly, or biodegradable materials

Reusable tote bag instead of disposable bags

Utilizing eco-friendly made reusable tote bag instead of disposable bags are recommended. Reusable tote bags are not just pretty and practical, but also has amazing promotional benefits.

Practices for Waste Management

Reduce the use of tasting cups (Use 3-4 oz Cups)

Through its eco-friendly campaign“Thank You, Coffee,”Cafe Show Seoul has been promoting the reduction of tasting cup usage. By using 3-4 oz cups, we can minimize the amount of leftover coffee that goes to waste and also reduce the total waste generated from tasting cups.

Encourage the use of water bottles

To encourage the use of reusable water bottles, Cafe Show Seoul has prepared an eco-washing station. Please actively cooperate so that visitors who bring their own tumblers can enjoy tastings in them.

Minimize sample portions / use reusable or eco-friendly containers

By simply reducing sample portions and serving them in reusable or eco-friendly containers, we can significantly reduce waste. Even if it requires a little extra effort, please join us in taking steps to protect the environment and slow down climate change.

Donate leftover products

Please practice sharing by donating any leftover exhibition products. ex) Food Bank, etc.

Proper Disposal of Recyclable Waste in Recycling Bins

Cafe Show Seoul has been running a campaign to place recycling bins throughout the exhibition halls to ensure proper waste separation. Please find the nearest recycling bin and dispose of all recyclable waste correctly.

Coffee Grounds Collection Campaign and Resource Recycling

Given the nature of the event, a large amount of coffee grounds is generated. To promote their recycling, we have placed coffee grounds collection bins made from recycled paper between Halls A – B and C – D. Please dispose of coffee grounds in the nearest collection bin and join us in contributing to resource circulation.

Book certified eco-friendly accommodations and participate in reducing amenity usage.

3. Cleaning

▶ The organizer is responsible for cleaning the aisles and shared spaces in the exhibition hall.

▶ In order to maintain a clean exhibition environment, exhibitors in charge must keep the booth clean.

4. Dismantling

▶ Please collect the trash and remaining materials when leaving the venue.

▶ When plastic, wood, glass, etc. are left inside or outside the exhibition hall, please note that the cost of disposal will be collected separately.

5. Venue Security

▶ Cafe Show Seoul provides 24 hours security service during the exhibition preparation, event and dismantling period through the professional security company. However, the final responsibility for the protection and the loss of the exhibit is on each exhibitor.

7. Exhibitor Badge

▶ Please register the entrance badge through [Mandatory Application] on the Exhibitor Portal during the application period for the entrance badge.

▶ Only the exhibitor staffs can use the badge and can enter the venue during the exhibition, preparation and dismantling period.

▶ The entrance badge will be provided according to the size of the booth. - 1~2 booths: 6 badges/ 3~4 booths: 10 badges / 5~8 booths: 20 badges / 10~20 booths : 30 badges

▶ Additional complimentary of the badge is not available. Exhibitors can purchase the badges. (1 badge 50 USD)

▶ You can receive the badge at the entrance of each hall after identity check (please present business card) during the booth setup period.

8. Mobile invitations

▶ If you need an invitation, please register the entrance badge through [Mandatory Application] on the Exhibitor Portal within the application deadline.

▶ Inviting B2B guests such as people working on the industry or buyer is recommended.

▶ Invitation is for entering only one day during the exhibition.

▶ Invitation will be provided according to the size of the booth.

▶ Seoul Cafe Show only provides mobile invitation for the eco-friendly and efficient client management.

9. Parking Tickets

▶ If you need parking tickets, please register application through [Optional 4 - General] on the Exhibitor Portal within the application period.

▶ Parking ticket will be provided 4 tickets in maximum regardless of the booth size. (1day ticket × 4)

▶ Additional complimentary of the parking pass is not available. Exhibitors can purchase the parking tickets. (1day ticket 60,000→30,000 KRW)

▶ Mobile parking ticket will be provided as URL link through the Exhibitor Portal and the exhibitor can register directly when leaving the parking space.

▶ It will be expired once you exit the parking lot and re-entering with the same ticket is not available.

▶ Coffee Alley exhibitors will not be provided the free parking ticket.

▶ Please check on SECTION 6 for the details parking fee and discounts.

<Booth Construction and Operation Guidelines>

■ Exhibition structures must be pre-fabricated outside the venue, and only assembly is allowed inside the exhibition hall.

■ The use of power tools such as compressors, welding machines, electric saws, electric planers, and electric grinders is prohibited inside the exhibition hall, and painting is only permitted for final touch-ups (in accordance with fire safety regulations). When installing Pytex (carpet) on the exhibition floor, industrial adhesives or latex may not be used; only removable line tape that leaves no residue may be used.

■ If the exhibition hall floor or walls are damaged due to nailing or the use of adhesives, the exhibitor will be responsible for the full restoration cost.

■ Electrical facilities are installed under the floor trench covers, so water cleaning or any activity that spills water onto the floor is prohibited inside the exhibition hall.

■ During the setup and dismantling periods, exhibitors must ensure that construction materials or exhibition item boxes are removed from the aisles, and any waste generated by each designated contractor must be disposed of directly by the exhibitor.

If direct disposal is not possible, the exhibitor must consult with the organizer, pay the waste disposal fee, and have the waste removed accordingly.

■ After the exhibition ends, please check that no exhibition items remain in drawers or on shelves before the designated contractor collects furniture or equipment. The organizer will not be responsible for any loss or damage in this regard.

▶ The height limitation varies based on the booth location, set at 4m, 4.5m, or 5m.

▶ Please refer to the floor plan to confirm the maximum height based on the booth location.

3. Closed Booth Structure Not Allowed

▶ Space-only stand with 6 booths or more cannot be constructed in a closed-type configuration where more than 2/3 of the horizontal wall (B) is obstructed. It is recommended to construct at least 1/3 of the wall (device) in an open configuration, promoting a safe and open flow to encourage the influx of visitors.

▶ If it is absolutely necessary to construct a closed-type configuration for the horizontal wall (B), the wall height (H) should be lowered to no more than half of the maximum permissible height for booth structures.

4. Electricity Installation

▶ Electricity for space-only booths must be installed by official contractors designated by COEX.

▶ Upon electricity request to the organizer, only MCB is installed and connecting the cables shall be done by each exhibitor in coordination of the official contractors.

5. Damage on COEX Facility is Prohibited

▶ Exhibitors cannot drive nails or staples into COEX facilities (ceiling, walls, and columns) to install decorations, signage boards, etc. Drilling holes or conducting paintwork within the building is also prohibited.

Q. I need an electricity. What is kw?

▶ Applied KW of electricity refers to the 'consumption' (at the moment of operation) of the machine operation, not the total. Please apply after adding up the power of the equipment you will be using.

Q. How much kw of electricity should I apply for?

▶ First, you need to make a plan on how you will operate the booth for 4 days. Please check the type and quantity of the electronic device to be used first and inquire about the required power consumption from the manufacturer/rental company of the device. Additionally, please consult with your booth contractor.

Q. What is the difference between single-phase and three-phase?

▶ The electricity used in general homes is single-phase (220V), and in factories, industrial sites, or places that require a lot of power, three-phase electricity is used. When using machines/electronic products, single-phase electricity is usually used unless there is a special mention of three-phase electricity. Please check with the manufacturer/rental company of the machine.

Q. From when will the electricity be supplied?

▶ It is estimated that electricity will be supplied after 5pm on the second day of booth setup. Due to safety issues, electricity cannot be supplied even if one exhibitor does not complete the installation. Therefore, exhibitors with space-only booths are requested to cooperate with the booth builder to make sure all the electricity installation is done in time.

Q. Is there any electricity provided as complimentary for the Space-Only/Shell Stand booth?

▶ Exhibitors with space-only booths are required to apply for electricity separately. Shell stand exhibitors are provided with 1kW of basic electricity per booth.

Q. How can I apply for the wireless internet?

▶ The internet service we provide upon application is a LAN cable. Wi-Fi routers/hubs are not available. If you need wireless Internet service, please apply directly through an external company (SK Broadband +82 2-6000-1588)

Q. Is the installation of the water supply and drainage at the lobby booth impossible? (L100, L300)

▶ Water supply & drainage and compressed air installation is not possible in the Lobby area due to the structural limitations of the space. Please use water container/bottle for water usage.

Q. When is the due date of the additional utilities application?

▶ The general application period for additional facilities is by September 30th. Only exhibitors that submit the application form and settle the payment for applied additional utilities will be accepted. It is expected that high amount of electricity and water supply will be requested. As available facilities in the exhibition hall are limited, applications will be filled on a first-come, first-served basis. Please make sure you submit the application with necessary amount of utilities within the deadline.

Q. Can I apply for additional utilities even after the regular deadline (~Sep 30th)?

▶ Applications during the special registration period may be accepted on a limited basis and will incur an additional fee. Special utilities order is available only during limited timeline. For on-site registration, please visit the organizer office to check the availability first and the payment shall be done by credit card. Special order might not be accepted if the additional utilities orders reach the venue’ s maximum capacity. However, it is NOT possible to order water supply and compressed air during the special registration period.

3. Electricity Installation

■ Electric supply at the exhibition hall is more than single phase of 220V, so the exhibitor must independently prepare an AVR or a transformer when 110V is needed.

■ Installation

- Shell Stand : main electrical feeder, lighting, switch and electric socket will be installed inside the booth

- Space-only : main electrical feeder installed upon electricity request to the organizer (wiring connection shall be done by each exhibitor in coordination with the official contractor)

During the booth construction period, all electric facilities will be installed by COEX approved service provider. Exhibitors must apply for the amount of required electricity to the organizer during the utilities application period.

■ Especially, safety device must be installed when displaying a sensitive apparatus.

■ Over-connecting a MULTI-PLUG on to the electric socket may cause fire. Any sort of electric work must be conduct by official appointed service company of COEX.

■ Electric supply will be shut down 30 minutes after the show closes every day. Exhibitors who need 24-hour electricity, are required to apply for necessary electricity to the organizer.

■ We suggest exhibitors to apply for appropriate amount of electricity for lighting and power. When it is apparent that the electricity registered by an exhibitor seems to fall short (during the set-up and show period), the referred exhibitor must apply for additional electricity due to safety reasons. This is to prevent any possible danger or accidents, and cost will be charged in case of causing fire or any damage on other exhibitors due to overloaded power.

4. Telephone

■ A telephone with an individual direct number will be provided to exhibitors that register for telephones.

5. Internet (LAN)

■ T1-level Internet cable is provided upon application.

■ Independent IP will be provided for each port (fixed). (connection address is attached on the cable)

■ Since wireless router will be limited, please prepare PC with LAN card installed.

■ Please contact directly to the wireless Internet service provider if you need.

6. Water Supply and Compressed Air

■ All installation work for water supply and drainage within the exhibition hall must be carried out by official contractor designated by COEX.

(Including initial water supply line installation, connection work for external facilities in the 2nd phase / external facility contractors can provide supervision)

■ The organizers and exhibitors are responsible for compensating for any damages caused by water leaks resulting from negligence in operating equipment within the booth or from external company equipment installation, in terms of both civil and criminal liability.

A. Cutting Off Water Supply and Compressed Air

Water supply and compressed air will be provided 30 minutes before the opening of the exhibition and will be cut off 30 minutes after closing.

Exhibitors using ice makers must take note, and please make sure to shut off the water valve upon departure.

B. Thorough Leakage Management for Water Supply

Water leakage within the exhibition hall can lead to electrical accidents and flooding accidents.

■ The exhibition hall floor is not waterproofed. Please pay careful attention to leakage management.

■ Install waterproof sheets on water supply lines.

■ In case of a leak, promptly shut off the valve, take necessary actions, and contact the organizer.

■ The water supply is turned off by closing the valve. Please be sure to shut off the water valve at the end of the exhibition time. Additionally, please be cautious to prevent leaks in the connected parts of the valve.

■ The drainage line remains open until the end, making it prone to leaks. Please be cautious.

C. T-line drainage is strictly prohibited

■ Drainage pipes of all equipment for drainage installations must be directly connected to the corresponding equipment in a 1:1 ratio, and connecting T-joints in the middle of drainage lines is strictly prohibited.

D. Installation of Additional Protective Devices

■ If there is a risk of damage to machinery during operation due to singularities, pressure reduction, or pressure loss, protective devices must be installed at the expense of the participating company.

E. Precaution for Water Supply & Drainage Removal

■ Pouring liquid waste into the exhibition hall floor trenches or drainage pipes is strictly prohibited. The COEX exhibition hall floors and the inside of trenches are not equipped with waterproofing, so extra caution is required, including refraining from disposing of any liquids inside. Such actions may cause backflow and result in leakage accidents.

■ After the exhibition ends, exhibitors are strictly prohibited from performing any dismantling work themselves, such as cutting water supply or drainage pipes. All dismantling of water supply and drainage systems must be carried out by COEX’ s designated service contractors. Exhibitors will be fully responsible for any leakage accidents or other incidents resulting from dismantling work performed by the exhibitor or an external contractor.

F. Precautions for Lobby Booth

■ Exhibitors in the lobby area cannot install water supply and drainage systems due to the nature of COEX.

Any item weighing more than 1.5 tons regardless of the unit area must be reported in detail prior to entry.

5. Dangerous Items

■ Equipment or components containing hazardous materials - such as explosive gases, flammable substances, high-pressure devices, radioactive materials, or vibration-generating machinery - must be equipped with safety measures in advance to prevent accidents for attendees. Exhibitors are responsible for managing such items during the exhibition.

■ Unapproved hazardous materials are restricted in accordance with COEX regulations.

6. Bonded Items

■ Bonded Customs Clearance

1) Bonded Customs Clearance refers to the method of exhibiting goods through simplified customs clearance without import procedures. After the exhibition ends, the goods must either be re-exported overseas or can be moved into a bonded warehouse and formally imported through the standard customs clearance process if there is a buyer.

2) Seoul Cafe Show Organizer’ s Office will set up a bonded area in the exhibition hall on behalf of exhibitors who own bonded exhibits during the exhibition period. Thus, all exhibitors with bonded exhibits must submit detailed information on their bonded exhibits to Organizer’ s Office by the deadline.

1. Exhibitor Regulations

1. Definitions

Exhibitor refers to companies, associations, and organizations that have submitted participation applications and contracts along with the payment of a deposit for participation in this exhibition. Exhibition refers to the '24th Seoul Cafe Show (Cafe Show 2025)'. Organizer refers to 'Exporum' and 'Reed Exhibitions Korea'. Host refers to 'Exporum' and 'Monthly Coffee'

2. Priority of the contract

If the terms agreed upon by both parties prior to this contract, either orally or in other documents, are different from this contract, this contract supersedes any provisions agreed prior to this contract. And this contract may not be modified unless the organizer signs the document.

3. Signing and acting on behalf of the exhibitor

Reed shall be entitled to rely on the authority of the Exhibitor’ s representative as authorized to sign the contract. As long as Reed verifies that (s)he works for Exhibitor or has an appropriate reason to believe that (s)he represents Exhibitor, exhibitor shall implement the contract.

4. Participation Right

After the payment of the full contract price, the Exhibitor will have a right to participate in the Exhibition. The right in this paragraph means displaying Exhibitor’ s products or services, not a venue lease contract.

5. Assigning Venue

Exporum’ s decision regarding assigning location of venues is to be binding on the Exhibitor. The organizer allocates the exhibitor’s space in consideration of the participation performance, booth size, order of application, order of payment in full, characteristics of exhibits, and the overall composition of the exhibition hall. The exhibitor is obligated to agree with decision made by the organizer regarding venue assignment unless it is considered to be extremely unreasonable decision that does not allow Exhibitor to achieve its objective of signing this contract. Also, even if the exhibitor ceases to use either the part or the entire contracted booth, the exhibitor still must pay the entire contract amount.

6. Items to be displayed

Exhibitor may display only items that are already notified to organizer. If displayed item is not what it has been notified or items do not conform to the character of the exhibition, organizer have right to limit the list of items to be displayed or may request to take the item out from exhibition. Also, organizer may limit the list of items to be displayed from a single booth.

7. Guarantee

The Exhibitor represents guarantees that it is entering into this contract as principal and not as a nominee of any third party and that there is no likelihood for the exhibits, products and advertising to infringe any patent, trademark, copyright and other intellectual property right of any party. Therefore, exhibitor agrees that in the event of any breach of the terms stated in this paragraph, the contract is to be terminated and the exhibitor shall indemnify organizer against any occurred costs related with.

8. Installation and demolition

Installation and demolition must be completed within the period stipulated by the organizer, and the exhibitor must indemnify the organizer for any losses or expenses due to delay or damage to the exhibition hall.

9. Payment Terms

The exhibitor agrees to pay the exhibition participation fee according to the payment conditions or payment methods provided by the organizer or provided on the quotation or invoice. If the exhibitor signs a contract after more than one of the payment installments due, all installment up to and including the current payments shall be paid by the exhibitor.

10. Delay in payment

If the exhibitor does not pay the amounts that were supposed to be paid within the payment due as stated in the quotation or invoice, an interest of 6% of the legal interest rate will be imposed on the amount. This is because of the additional operating and collection costs incurred constantly.

11. Cancellation of Participation

If the exhibitor decides not to participate in the exhibition without any justifiable reason, the stated amount in the contract, quotation, or invoice must be paid to the organizer. Examples of justifiable reasons include bankruptcy, cessation of business, insolvency and judicial management. This amount is penalty for securing the exhibitor’ s debt fulfillment obligation considering its high opportunity costs of this contract. That being said, it is separate from any compensation for damages, including but not limited to, organizer’s operating loss, cost incurred, etc. due to exhibitor’s cancellation.

12. Exhibitor’s Responsibilities

Exhibitors must comply with the matters that were orally communicated by the organizer or by Exhibitor’ s representative, those matters stated in the document or in the exhibitor’ s manual. The exhibitor is responsible for losses and expenses incurred to the organizer and its related parties caused by exhibitor’ s non-compliant behaviors regard to regulations, violation or negligence of the provisions of the contract. The exhibitors are responsible for dangerousness of items, assigning items, and stolen or damaged items.

13. Safety, fire, health, and other laws

Exhibitors must strictly comply with all fire, safety, health and other laws, rules, and regulations set by the organizer, local departments and exhibition halls. Exhibitors must always adhere to appropriate, effective and strict safety standards related to exhibits and booths.

14. Prohibited Display

Military equipment, including munitions, aviation weapons, firearms ammunition and explosives, weapons systems, tactical missiles, rockets, knives or tactical equipment, must not be brought into the exhibition facility. Organizer is willing to prohibit any other inappropriate items for exhibitions in terms of safety issue. Exhibitors must obtain necessary approval from the government and other regulatory agencies prior to exhibition date and maintain its approval throughout the exhibition period.

15. Loss

The organizer shall not be held liable for any damages of exhibitor’ s property, loss of cargo or monetary expenses incurred in the process of carrying in or carrying out caused by reasons not attributable to the organizer. Exhibitors are responsible for paying the entire contract amount to be paid in accordance with this contract even if loss of their property and monetary expenses are incurred due to exhibitor’ s fault.

16. Changes

The organizer may make changes, if necessary, regarding the exhibition, including, but not limited to, the followings. The size and location of the allocated exhibition space may be changed at the discretion of the organizer, and if necessary, the exhibition hall, exhibition date, period, and visitor opening hours may be changed, or the exhibition venue may be expanded to a separate area other than the main venue or several different areas may be used. Exhibitor respects organizer’ s decision and is obligated to agree with organizer’ s decision as long there is no critical reason not being able to achieve exhibitor’ s goal of this contract.

17. End/ Postpone

(a) At the discretion of the organizer, if the exhibition hall and related facilities are not suitable for holding the exhibition, or if it is difficult for the organizer to implement the provisions of this contract, or if the exhibition could be impacted by any cause not within the control of organizer, the contract and/or the exhibition may be terminated, canceled, postponed or otherwise adjusted. In the event that the exhibition is terminated or canceled after open the exhibition because of the above conditions, the organizer shall not be liable to the exhibitor except for refunding amount of the contract based on the number of remaining exhibition days. Refunds will not be made if the exhibition is terminated or canceled due to force majeure or other special circumstances not attributable to the organizer, or if the exhibition is postponed or readjusted for justifiable reason.

(b) If the organizer decides that the exhibitor is unable to perform or comply with his or her obligations provided by the organizer, it is possible to terminate the contract. In this case, the termination of the contract shall not affect the claim for damages by organizer.

18. Liability, exclusion, and limitations

(a) The organizer shall not be held liable for any other losses, expenses by any cause not within the control of organizer.

(b) In this contract,“any cause not within the control of organizer”include fire, catastrophe, flood, disease, risk of infection, epidemic (coronavirus and etc.), earthquake, explosion or accident, containment, ban, harsh climate, government restrictions, military authorities, public hostilities, riots or civilian disturbances or disturbances, acts of terrorism or other similar acts, strikes, closures, boycotts or other labor disputes or disturbances, inability to secure sufficient labor, technical personnel or other workers, absence of facilities necessary for exhibition, impairment of appropriate transport facilities, inability to secure essential equipment or goods or judicial judgment or law, statute, rule, order judgment.

19. Rejection or expel

The organizer may reject or expel all or some of the exhibits, or the exhibitor or those related parties for a smooth and safe exhibition. The organizer shall not refund the contract amount at all in spite of the paragraph 17.

(a) if the exhibitor or the exhibiting item (including related persons) is rejected or expelled because it violates the provisions of this contract or makes it impossible to achieve the purpose of the contract.

20. Transfer of rights

As this right to participate in the exhibition is granted to the exhibitor only, the exhibitor shall not grant rights to other organizers or transfer or sublet any part or all of the exhibition space.

21. Visitors

The organizer does not guarantee the number of visitors to the exhibition or the level of other commercial activities but makes reasonable efforts to secure online and site visitors.

22. Exhibitor’s Manual and Exhibition Space Planning

For additional rules and regulations related to the exhibition, refer to the exhibitor manual and other documents provided by the organizer. The organizer may, if necessary, make additional rules and regulations related to the exhibition (immediate enforcement).

These rules and regulations are considered to constitute a part of this contract, and when the organizer notifies the exhibitor, the exhibitor is obligated to comply.

23. Partial Invalidation

If any provision of this contract becomes invalid or rendered unenforceable, the validity and enforceability of other provisions will not be affected.

24. Revised provisions

This contract may be revised only in the form prescribed by the organizer.

25. Governing Law and Dispute Resolution

This contract is governed by and interpreted according to the laws of the country in which the organizer established a legal entity. However, all disputes arising in connection with this contract shall be subject to the commercial arbitration Judgment of the Korea Commercial Arbitration Board located in Seoul, and the arbitral resolution will be final.

26. VAT

This Exhibitor pays 10% VAT to the organizer according to the quote or invoice separately from the original amount. However, in exceptional cases where the exhibitor is a non-resident or a foreign corporation and meets the requirements of the Value Added Tax Act and related laws, such as paying the contract amount in foreign currency, the VAT is not to be paid.

2. Operation Regulations

Booth Installation and Operation

1. Permitted Space

All exhibits shall be displayed within the registered space pre-applied by the exhibitor and shall not block the entrance or the exit. Any sort of structural matter using the aisle is not permitted. All exhibits and installation equipment must be non-flammable.

2. Outward Appearance

Exhibits seen from the aisle or neighboring booth shall be neatly displayed by the exhibitor. Decorations, lightings and acoustics shall not influence the neighboring exhibitors.

3. Booth Design Appearance

All space-only exhibitors must submit the overall booth design & structuring plan to the organizer within the deadline for Hall Manager’ s confirmation.

4. Booth Structure

Height of the booth is varied by its location. The booth structure / displayed exhibits shall not disrupt the emergency exit, aisles or the visitors’path.

5. Display of Exhibits

All exhibits shall be placed and displayed 30cm inside the booth. If not, the organizer will ask the exhibitor to shift the exhibits. This is to encourage fairness and equality for all exhibitors of Cafe Show

6. Noise Limitation

The use of audio equipment for promotional purposes by participating companies within the Seoul Cafe Show venue must consider the impact on other participating companies and attendees. Speakers must be installed according to the following guidelines:

① The maximum noise level within a booth must not exceed 80 decibels (dB). Noise levels are measured at a distance of 3 meters from the front of the speaker, and the appropriate noise standard can be adjusted based on the opinions of the office and nearby participating companies.

② When aligning speakers with the booth line, the direction of the speaker must be directed inward.

③ Speakers installed at a height of more than 3 meters from the booth floor must be aligned with the booth's center or just below it.

④ When installing a video equipment, a certain distance must be maintained from the aisle to ensure it does not obstruct the passage of attendees.

If the organizer does not follow the organizer's instructions as described above and causes disruption to other participating companies and visitors, the organizer may strongly request the suspension of the use of audio/visual equipment. The exhibitor may be subject to compulsory execution and sanctions by the office and no compensation can be claimed against the organizer for any damages.

If an exhibitor fails to follow the organizer's guidelines as mentioned above and causes inconvenience to other participating companies or attendees, the organizer may strongly request the exhibitor to cease using the audio/visual equipment. Exhibitors cannot claim compensation from the organizer for damages resulting from the office's enforcement and sanctions.

Exhibitors must deploy separate staff to ensure order and safety for attendees and should pay special attention to prevent harm to other booths. Events must strictly take place within exhibitor booths only; events in shared areas such as pathways are strictly limited.

Exhibitors must submit a formal application for events and receive approval from the office. If any audio or visual equipment beyond the category specified in the submitted application is brought in during the preparation or exhibition period, even if controlled, exhibitors cannot raise objections (Promotion 4 - Submission of Booth Event Application).

These regulations are designed to maintain order within the exhibition venue and create a serious atmosphere for meaningful consultations, ultimately benefiting all exhibitors. These regulations are applied from the submission of the event application until the completion of the event. The types and contents of event programs for each exhibitor are allowed within the boundaries that do not undermine social norms and values

7. Safety

Safety actions shall be taken for mechanics/equipment that moves, vibrates or contains dangerous substance, before being exhibited. Management responsibility relies on the exhibitor.

Ex) Dangerous material containers, X-ray generating devices, flammable materials and explosives, high-voltage devices, radioactive materials, molecular accelerator, flammable appliances, liquid hydrargyrum

8. Lighting

Usage of flash lights and rotating lights are banned within the exhibition hall. Spotlights from the booth should not disrupt other exhibitors.

9. Aisle Management

All exhibitors have a responsibilities to keep their adjacent aisles clean. All exhibits must be placed within the allocated space and must not be placed on the aisles.

10. Booth Construction and Design Changes

Exhibitors must receive an approval from the organizer in order to change the structure of the booth inside the exhibitor hall.

11. Exhibition Hall Management

Nailing on the wall or the floor inside the exhibition hall is prohibited. Adhesive such as painting, or glue is also not allowed to be used on the stalls and the floor of the exhibition hall. If this regulation is violated, the exhibitor must compensate COEX for the damage caused.

12. Exhibits Management

All exhibitors are fully responsible for any sort of theft, damage of their own exhibits, including their exhibiting stand, and cannot claim for compensation to the organizer.

13. Storage of Dangerous Articles

Exhibitors must pre-report their own dangerous articles to the organizer and receive an approval for its use during the exhibition period. After the carry-in of dangerous articles to the exhibition hall, exhibitors must seek for safety procedures to prevent possible accidents during the show.

14. Sublease

Exhibitors are not permitted to sublease their stand to another company without a written signature by the organizer, apart from their mother company, interrelated enterprises or sister company. Exhibitors’intentional sublease of stand to another company will cause the organizer to restrict their show participation.

15. Cleaning

Cafe Show Seoul will put massive effort to keep the exhibition hall clean. During the show period, the organizer will take care of public area such as the aisles and public trash bins. However, any sort of trash occurring from booth installation during the preparation period shall be cleaned by the exhibitor.

16. Wiring

Any kinds of wiring are bound to fire fight safety and management regulation. This regulation applies to booth & equipment installation.

17. Emergency

In case of any theft, accident, or an abnormal event please report to the organizer immediately.

1. Disturbance

Exhibitors shall not take part in any activities that create any sort of disturbance within the exhibition hall, as well as to other exhibitors.

2. Promotion

All demonstrated items and promotion activities shall only take place within the allocated area. Exhibitors are responsible for settling down any disturbance caused by demonstration or other promotion activities. Without a written approval from the organizer, exhibitors shall not conduct any promotion outside the allocated area, such as introducing exhibition/exhibit items or other marketing/ activities.

3. Promotion Gift

Exhibitors are only able to distribute samples or souvenirs within the allocated area. However, sales promotion gift distribution outside the allocated area is only available for exhibitors that have attained exclusive rights from the organizer (through sponsorship programs).

4. Employment

Exhibitors are not permitted to display any materials such as items, signboards, catalogues that are solely for the purpose of hiring new employees.

5. Special Showcase/Events

Exhibitors are prohibited to host an individual event/exhibition/program without the approval from the organizer.

6. Exhibition Schedule

Show time, installation/dismantling period will be regulated by the organizer. Exhibitors are able to dismantle or carry-out their exhibits after the closing of the exhibition.

7. Failure to Perform Complete Occupation

Although unable to use the whole area, exhibitors must fully pay for their registered area. Stands that have not been installed within the assigned preparation time will be owned by the organizer and used for other purposes. Also, exhibitors that have not reported for its cancellation of participation will lose its privilege and cannot have their participation fee reimbursed.

SECTION 5

Custom Clearance & Freight Forwarding

C. Re-Export Clearance: This method involves importing with the intention of re-exporting within a specified period, requiring the establishment of a certain amount of collateral.

1) Features (Collateral is required):

- Used when not in a bonded area (e.g., hotels, general events)

- When a demonstration or buyer's requirement is necessary in the domestic market for a certain period after the exhibition ends

- Customs inspection is carried out by the relevant customs office and does not involve customs duties.

2) Types of Collateral:

- Cash Collateral: Set based on the amount of customs duty

- Bank Payment Guarantee: Bank guarantees payment

- Tax Bond Insurance: Issued as a tax bond insurance certificate (However, the promise to re-export within a specified period must be honored, and violation will result in fines.)

D. ATA Carnet: An internationally recognized customs document

- Used when not in a bonded area

- When separate setting is required by the importer's subsidiary before the exhibition

- The period is based on the expiration date indicated on the ATA Carnet

3. Security Responsibility

COEX provides 24-hour security, but each participating company's representative is responsible for damage or loss of exhibits during the exhibition period. In particular, when moving in or out of exhibits, they are required to check the quantity and condition of the exhibits, handover, and customs inspection. You must join.

4. Insurance

All participating companies must insure all exhibits against any accidents from the time of departure until they are reshipped to the final destination after the exhibition ends.

5. Cargo return classification and disposition application

In order to ensure quick and accurate return work, each exhibitor must fill out the cargo return classification and disposition application (DISPOSAL INSTRUCTION FORM) distributed by the designated transportation customs clearance company and submit it to each person in charge.

1. Paid Parking

■ Passenger Cars: Every 15 minutes - 1,500 KRW / Daily Parking - 60,000 KRW

■ Trucks (2.5 tons and above): Doubled price form passenger car parking fee

■ Large Buses: Not allowed to park

※ Vehicles exiting within 20 minutes of entry are exempt from parking fees (Grace Time)

2. Free parking

Seoul Cafe Show Office expresses its gratitude to participating companies by offering 4 daily parking tickets per company. A mobile parking pass (URL) will be provided only to exhibitors that apply in advance.

4. Cargo vehicles for booth set up

During the period of transporting (exhibiting) exhibits and conducting installation/removal work, we provide free parking service for work-related cargo vehicles to alleviate parking inconvenience for participating companies and construction firms.

■ Applicable Period: Preparation and removal period: November 17th(Mon) ~ 18th(Tue) / November 23rd(Sun)

■ Applicable Quantity: No limit on the number of applicable cargo vehicles

■ Valid Time: Valid for 3 hours after entering the parking lot

Allowing passenger cars to enter the exhibition hall would result in overcrowding and difficulty in accessing the hall. To ensure the convenience of all exhibitors, we restrict entry to the cargo vehicles listed above.
