Dear Student and Parents/Guardians,
The Urban Adventure Camp will run from Monday 10 August until Friday 14 August 2026. We will be undertaking a wide range of activities throughout the week, leaving from school each day. Students will return to school before the end of a normal school day.
The camp will see your child participate in a host of challenging and fun activities in a variety of settings in and around Melbourne. A detailed program is attached in this booklet.
The weather is predictably cold in August, so it is essential that all students have appropriate clothing for each experience. Please take note of the suggested personal equipment list and ensure that students have waterproof rain jackets and are suitably attired to participate in each day’s activities.
For most activities qualified staff will be attending. We will be travelling to each of our venues in a Charter Bus which will depart from and return to the main driveway each day. As we have busy days planned it is important that students arrive at the designated time each day.
PARENT WAIVERS:
O'Brien Icehouse, has requested that parents sign a paper copy waiver for the ice skating activity. A copy of this waiver is at the end of this booklet and also attached to the Consent2Go. You will need to print, sign and return the waiver to me in order that your child can participate in the activity. Please return to school by no later than Friday 31 July 2026.
Hardrock CBD, has requested parents approve of their child attending the indoor rock climbing activity. Please complete the attached link by no later than Friday 31 July 2026. click here A copy of this link will also be added to the Consent2Go.
Parents/Guardians, please urgently respond to the Consent2Go eForm and ensure that your child’s medical information is up to date. In this booklet you will find further information regarding the camp so please read through this carefully.

IMPORTANT INFORMATION
Our camp is being held on the lands of the Bunurong and Boonwurrung people, the Wurundjeri Woi-wurrung people of the Kulin Nation and we wish to acknowledge them as Traditional Owners. We pay our respects to their Elders past and present. We are grateful to be visiting their land and we recognise their continuing culture and the contribution they make to the life of this land.
POLICY RELATING TO STUDENTS WITHDRAWING FROM ACTIVITIES WEEK CAMP/ABSENTEE CHARGEBACK POST CAMP
Activities Week Camp is a compulsory part of the school curriculum and all students are expected to participate. Bookings and arrangements are made on this expectation.
In the event that a student withdraws from the camp due to medical reasons, the school requires prior written notice accompanied by a valid medical certificate. In such cases, families will be responsible for all non-refundable costs incurred, including but not limited to flights, accommodation, and other pre-paid expenses.
For cancellations due to a change of mind or any non-medical reasons, families will be charged the full camp fee.
SUNSMART POLICY
In keeping with the school’s “SunSmart” approach to outdoor activities, students are required to bring sunscreen, a protective hat (with a wide brim) and to wear tops which adequately cover the skin of the shoulders and back. In the event of swimming activities, students will need “rashies” or t-shirts. Sunscreen is an additional protection - it does not take the place of clothing or shade.
NUT POLICY
On Camp, we request that parents/students avoid bringing food products that contain nuts of any kind in order to minimise the risk to students with severe allergies.
The school cannot guarantee that the camp environment will be 100% allergen free, hence students with allergies need to remain vigilant in their decisions around any food that they ingest.

RESPOND TO CONSENT2GO EFORM
To enable staff to fulfil their duty of care to students, we need accurate and up-to-date information about medical and personal issues for all students. Please respond to the Consent2Go eForm and ensure that your child’s medical information is up to date. Any last-minute changes should be communicated directly to the leader of the camp as well as updated on Consent2Go. We do rely on this information, and parents do have a duty of disclosure, to ensure all relevant information is known.
INFORMATION COLLECTION POLICY
Confidential medical and other sensitive information collected and used for the running of these camps will be handled in line with the School’s Privacy Policy.
POLICY RELATING TO STUDENTS SENT HOME FROM CAMP
Where a student does need to be sent home, for medical, personal, or discipline reasons, they will need to be collected from the camp by their parent/guardian (at their own expense) - they cannot travel unaccompanied. In all cases, arrangements must be made with school and special arrangements may need to be in place for remote camps, i.e. 3 or more hours from school.
EXTREME WEATHER POLICY
We will modify our program based on weather forecasts - we will be in contact with Woodleigh School to review the week’s weather as it unfolds. In the event of a day being forecast to be Extreme (under the CFA Fire Danger Rating system) the program will be modified at the least, to ensure safety in the heat, and evacuation plans in readiness. In the event of a day being forecast to be Code Red (Catastrophic), the program will be cancelled in advance and students evacuated the day before. The School will use SMS and email to communicate with parents in such cases.

MEDICATION ON CAMP
If your child needs to take medication during the school day on camp, please contact the School Nurse before Monday 3 August.
COST
The cost of this Activities Week Camp is in the range of $450 - $500. The final cost will be charged to student accounts after camp week. The cost includes all activities and transport. A small amount of spending money may be brought for the purchase of food on some days.
TRANSPORT
We will be travelling to each of our venues in a Charter Bus which will depart from and return to the main driveway each day.
Departure Students are required to arrive at Woodleigh, daily by no later than 8:40am for an 8:50am bus departure and meet under the bus shelters in the main driveway. With busy days planned it is important that students arrive on time so that we can arrive at our daily activities on time.
Return Daily by 3:40pm (and 3:00pm on Wednesday), for students to catch the normal Driver or PTV bus home.
LOCATION
Students will participate in a host of challenging and fun activities in a variety of settings in and around Melbourne.

WAIVERS
One of our providers, O'Brien Icehouse, has requested a waiver be signed by parents. You will need to sign and return this to me by no later than Friday 31 July in order that your child can participate in the ice skating activity. A copy of the waiver is within the Consent2Go and also attached at the end of this booklet.
We also have a request for parent permission for your child to participate in the Hardrock CBD indoor climbing activity. Can you please fill in this (short survey) link by Friday 31 July to confirm your acceptance.

CLOTHING/EQUIPMENT
The following is a suggested list of additional gear for each day:

DO NOT BRING
Valuables or any articles that you wouldn't want to lose or break, an excessive amount of money, lollies, or any electronic/digital devices.
MOBILE PHONES
A reminder that the Woodleigh School Mobile Phone policy will be in effect throughout the week.
Mobile phones will be allowed on this camp. Students will be expected to use them only for appropriate use for camp, and they will be asked to turn them off and/or hand them to staff for safe keeping at all other times.
RISK
There are elements of risk involved in this camp and whilst safety ratios and requirements will be adhered to, we believe it is important to make you aware of potential risks. These risks include but are not limited to:
• Exposure to cold weather, water and extreme temperatures.
• Soft tissue injuries.
• Injury due to a vehicle accident in the city.
• Getting lost.
In order to mitigate these risks:
• Students will be required to have the appropriate safety clothing and equipment (list provided).
• The professional instructors at the various facilities visited are well regarded for their safety record, professionalism, and knowledge of the locations.
• Daily assessment of weather and conditions will dictate locations used.
• Lost procedure and stranger danger will be discussed with the students, and they will always be in groups.
• Staff will carry first aid kits and have first aid training.
BEHAVIOURAL EXPECTATIONS
• As a participant in the Activities Week Camps program, there is a high level of responsibility and expectation with respect to behaviour. All normal school policies apply, in particular:
• Involvement with sex, drugs, smoking, vaping or alcohol is prohibited.
• A preparedness to participate wherever appropriate.
• Safety of all participants is paramount.
Infringement of these policies may result in the student being sent home, at your own expense.
• It is a courtesy to be respectful and positive at all events, even those you personally find less interesting. A good night’s sleep will be essential - being tired will not only affect you but also others on camp.
• Never leave the campsite without the permission of a staff member.
• Each student is responsible for the immediate environment and must keep it tidy and not damage any of the surroundings.
UNSUPERVISED TIMES
There will be times during this camp when students are not under the direct supervision of staff. When this occurs, students will be in groups of at least 3. Each group will have a mobile phone, emergency contact information and a designated meeting time and place. These criteria will apply at all times when students are not under direct staff supervision.

IMPORTANT. PLEASE READ: THESE CONDITIONS APPLY TO ALL USERS OF ANY FACILITIES IN THE O’BRIEN ICEHOUSE AND AFFECT YOUR LEGAL RIGHTS. THEY CONTAIN AN EXCLUSION OF LIABILITY!
O’Brien Group Australia, its employees, and agents (‘the supplier’) as the operator of the O’Brien Icehouse, 105 Pearl River Road, Docklands, VIC 3008 (‘the Icehouse’) sells all tickets and supplies all recreational services and facilities to you, including ice-skating, ice-skating lessons, speed skating, figure skating, ice hockey, curling, broom ball, equipment rental and use of the gym facilities and equipment (‘recreational activities’) subject to the following conditions:
1. By purchasing a ticket for or by using any of the facilities at the Icehouse, you agree to be bound by these conditions.
2. The supplier is not liable to you, your dependents or legal representatives for personal injury or death suffered by you because the recreational activities were not supplied with due care and skill or were not reasonably fit for their purpose or because of breach of contract, statute or statutory duty by the supplier, except to the extent to that the personal injury or death was caused or contributed to by the negligent acts or omissions of the supplier and/or its directors, employees and agents.
3. You acknowledge that the recreational activities are dangerous with many risks and hazards and as a consequence personal injury and sometimes serious personal injury, permanent disability and death can occur and you accept such risks and hereby waive your rights to sue the supplier for personal injury or death suffered by you caused by or arising from your participation in such activities, except to the extent to that the personal injury or death was caused or contributed to by the negligent acts or omissions of the supplier and/or its directors, employees and agents.
4. WARNING: If you participate in these activities your rights to sue the supplier under the Australian Consumer Law & Fair-Trading Act 2012 if you are killed or injured because the activities were not supplied with due care and skill or were not reasonably fit for their purpose, are excluded, restricted, or modified in the way set out in or on this notice.
NOTE: The change to your rights, as set out in this notice, does not apply if your death or injury is due to negligence on the supplier’s part.
5. You agree to pay the cost of and authorise the supplier to take all steps it considers reasonably necessary to protect your welfare in the event of personal injury, including the administration of any emergency medical treatment and ambulance transportation.
6. Children must be at least 12 years of age to use the ice rink and 16 years of age to use the gym, unless supervised by a responsible adult. Where you are responsible for such children you agree to be bound by these conditions on their behalf and you will directly supervise them at all times.
7. All tickets remain the property of the supplier and cannot be transferred or resold. They are valid only for the dates shown and are void if tampered with.
8. You must comply with all signs or other directions of the supplier, and it may suspend or cancel your right of access to recreational activities at the Icehouse in its absolute discretion for noncompliance with these conditions, or for reckless or careless conduct.
9. You consent to the supplier photographing or filming you, or any minor or dependent accompanied by you, when in the Icehouse, for security purposes only.
10. Participants must be in good health and free from any adverse medical conditions. For safety reasons, pregnant women, customers with serious pre-existing health issues or wearing casts are not permitted on the ice rink. If in doubt, please seek medical advice.
11. If you purchase a ticket for the use of the ice rink or any other equipment or facilities at the Icehouse on behalf of another person, you, and that other person both agree that you make that purchase as the authorised agent of that other person so that he/she will be bound by these conditions.
12. These conditions shall be governed by and construed firstly in accordance with the laws of the State of Victoria (the courts of which shall have exclusive jurisdiction) and then in accordance with the laws of the Commonwealth of Australia. If any of these conditions are determined by a court to be void, invalid or otherwise unenforceable, such conditions shall be deemed deleted and the remaining conditions shall remain and continue to be valid, binding, and enforceable.
