Participants must spend a minimum of $25 at participating West HQ venues to receive a scratch card (red envelope style). Scratchies are issued at point of sale upon qualifying purchase.

4. SCRATCHIE DISTRIBUTION & REDEMPTION
4.1 Scratchie Distribution
• Scratchies are distributed automatically at point of sale upon qualifying spend
• Spend amounts can be accumulated in a single transaction only
• Multiple transactions cannot be combined to reach $25 threshold
• Non-Members will receive ONE scratch card per $25 spend
• Members will receive TWO scratch cards per $25 spend.
4.2 Scratchy Redemption
• Winners must present winning scratchy to redeem prize at which point the scratchy will be collected and give to SAFE at EOD
• Prizes must be claimed during promotion period or within specified expiry date
• Damaged or defaced scratchies may not be accepted at management's discretion
• Photocopied scratchies will not be accepted
4.3 Prize Claim Process
• Instant Prizes (vouchers): Present winning scratchy at any participating West HQ venue to claim
• Gift Cards & Major Prizes: Present winning scratchy to West HQ Customer Service (Western Foyer) for verification and prize collection
• ID verification required for all West HQ dining gift cards, CHU Gift Cards and Novotel stays
5. PROMOTION SPECIFIC TERMS & CONDITIONS
5.1 Spending Calculation
• Only actual cash/card/points spend counts toward $25 threshold
• Excludes tax/GST where separately itemised
• Refunded purchases void associated scratchies
• West HQ reserves the right to verify all transactions
5.2 Limitations
• Scratchies are non-transferable
• No cash alternative for prizes
• Prizes cannot be exchanged or substituted
• Winning scratchies may not be used in conjunction with any other offer or discount including points redemption.
• Multiple Buy one Get one Free or Upgrade Scratchy may be used in the one transaction as long as the full price of the product is paid. Ie, not used in conjunction with member points.
5.3 Operational Procedures
Staff Override Procedures: If a scratchy is damaged but the prize is clearly visible and verifiable, Customer Service management may honour the prize at their discretion.

6. GENERAL TERMS & CONDITIONS
1. All decisions of West HQ management (and its representatives) are final.
2. All Members and guests 18 years and above are eligible to participate in this promotion.
3. The following persons are NOT eligible to enter the promotion:
o West HQ Directors, Board Members, employees or auditors, including contractors
o Officers, executives or any staff of suppliers or contractors to the club who are directly involved in any aspect of the promotion
o Persons whose usual place of work is within premises owned or leased by West HQ who are employed by any of the contractors, licensees, or lessees of West HQ
o Persons employed by any other supplier or contractor of West HQ who at or about the time of this promotion are on the West HQ premises in that capacity as an employee
o Immediate family members of the above persons
o Immediate family means: spouse, ex-spouse, de-facto spouse, former de-facto spouse, child, stepchild (whether natural or by adoption), parent, stepparent, sibling, step-sibling, grandparent or grandchild
4. Any banned members of West HQ may not participate in this promotion.
5. Members are eligible to pay by points for purchases to qualify for scratchies.
6. Scratchies cannot be transferred, substituted, or exchanged for any other object, cash amount or value, unless authorized by the Promoter.

o Verify the validity of entries and prize claims (including but not limited to, the participant's identity and age). If a winner cannot provide suitable proof of identification, the winner will forfeit the prize in whole, and no substitute will be offered
o Reject any scratchy that is illegible, has been tampered with, or is not in accordance with these Terms and Conditions
o Disqualify any participant that has not acted in good faith and in accordance with these Terms and Conditions
10. West HQ reserves the right to modify or terminate this promotion at any time with reasonable notice.
11. Any disputes regarding this promotion will be resolved at the discretion of West HQ management.
12. Entry into the promotion is deemed to be acceptance of these Terms and Conditions.
13. A record of all major prize winners will be kept.
14. By participating, entrants consent to the collection and use of personal information for the purpose of conducting this promotion.
15. To the extent of any inconsistency between these Terms and Conditions and any other material relating to this promotion, these Terms and Conditions will prevail.
16. The Promoter reserves the right and license to use a winner's name, suburb, photograph, image, and likeness for the purpose of promoting and advertising West HQ.
17. Winners' personal information may be disclosed to NSW Fair Trading and winners' names will be published as required under relevant lottery legislation.
18. The promotion is not open to patrons excluded from the venue pursuant to the provisions of the Office of Liquor & Gaming or who are otherwise excluded.
19. Subject to law, the Promoter (including its employees, agents, and contractors) has no liability to any person for injury (including death), loss or damage whatsoever howsoever arising in connection with this promotion (including the awarding, condition, or misuse of the prizes). This clause does not apply to the extent that West HQ liability (if any) arises from an act or omission of West HQ in respect of its supply of services and/or goods to the prize winner in the ordinary course of West HQ's business.

20. If, for any reason, this promotion is unable to run as stated above, the Promoter reserves the right to alter the Terms and Conditions to run this in the fairest way possible with the least disruption.
21. If a prize becomes unavailable, the Promoter reserves the right to substitute a prize of equal or greater value.
22. The Promoter's decisions with any aspect of this promotion will be binding and final on every entrant.
23. The Promoter reserves the right to cancel or alter this promotion at any time (such as in the case of unforeseen circumstances outside of the Promoter's reasonable control), subject to compliance with Fair Trading Guidelines.
24. Any failure to comply with these Terms and Conditions, including any attempt to avoid compliance, may result in the immediate disqualification of any entrant from this and future promotions.
