1.1 Participation
Participants must collect a 12 Days of Gift Giving Pass from designated collection points and obtain stamps by completing specified activities at participating outlets.

2.1 Coliseum Theatre Specific Conditions
• Tickets must be purchased at West HQ Box Office during Promotion Period only.
• Voucher expires 6th May 2026 and must be presented at Chandelier Bar for redemption.
• Complimentary drink must be of same value or lesser value as purchased drink.

4.1 Instant Rewards Conditions
All instant reward vouchers must be collected from West HQ Western Foyer only. Vouchers cannot be collected until required stamp count is achieved. Stamps and Instant Rewards claimed cannot be transferred between participants or between passes.
5. GRAND PRIZE DRAW (12 Stamp Redemption)
5.1 Prize
One (1) $2,000 West HQ Gift Card
• $2,000 gift card can be used at all West HQ outlets, excluding Novotel and Zone bowling
5.2 Eligibility
All members and guests of West HQ will be eligible to go into the draw to win the grand prize of $2,000 west HQ gift card. All 12 stamps MUST be collected during the promotional period.
5.3 Winner Selection & Notification
Winner will be drawn on Friday 19th December. Winner will be contacted via phone and email. Winner has 48 hours to respond and claim prize. If no response is received within 48 hours, prize will be re-drawn and repeated if necessary.
6. PROMOTION SPECIFIC TERMS & CONDITIONS
6.1 Availability
All offers subject to availability and during operating hours of participating outlets.
6.2 Limitations
One stamp per outlet per pass Maximum 12 stamps can be collected per participant and all stamps may be collected in one day if desired. Stamps must be collected during Promotion Period. Offers cannot be used in conjunction with other discounts or promotions unless specified. No cash alternative for rewards.

6.3
Pass Management
Stamps cannot be transferred between participants or between different passes. If a pass is lost, participant may obtain a new pass and start collecting stamps again. Previous stamps on lost passes cannot be transferred to new passes. Finding a previously lost pass does not allow transfer of stamps between old and new passes.
6.4 Operational Procedures
Staff Override Procedures: If a customer's pass is damaged (e.g. Water damage) but stamps are still visible, Customer Service management may transfer stamps to a new pass at their discretion.
Fraud Prevention Measures: Pass must be original document; photocopied versions will not be accepted. Customer Service will complete verification forms when participants collect rewards at 3, 6, 9 and 12 stamp levels. ID verification required for grand prize eligibility.
7. GENERAL TERMS & CONDITIONS
1. All decisions of West HQ management (and its representatives) are final.
2. All Members and guests are eligible to receive the 12 Days of Gift Giving Pass
3. The final prize $2,000 WEST HQ GIFT CARD is only open to Australian residents 18 years and over who are current financial members of West HQ and who are in possession of a valid West HQ Loyal Card.
4. The following persons are eligible to participate in claiming the 12 Days of Gift Giving Pass and the associated instant prizes, expect dining gift card and final $2,000 draw
a. West HQ Directors, Board Members, employees or auditors, including contractors
5. The following persons (and their immediate families) are not eligible to participate in the final draw of this promotion:
a. West HQ Directors, employees or auditors.
b. Officers, executives or any staff of suppliers or contractors to the club, who are directly involved in any aspect of the promotion.
c. Persons whose usual place of work is within premises owned or leased by West HQ who are employed by any of the contractors, licensees, or lessees of West HQ and.

d. Persons employed by any other supplier or contractor of West HQ who at or about the time of a particular draw, or during the entry period for the promotion, are on the West HQ premises in that capacity as an employee.
e. Immediate family means any of the following: spouse, ex-spouse, de-facto spouse, former de-factor spouse child, stepchild (whether natural or by adoption), parent, stepparent, sibling, step sibling, grandparent or grandchild.
6. Any banned members of WEST HQ may not participate in this promotion.
7. Members are eligible to pay by points for this promotion.
8. Stamps cannot be transferred, substituted, or exchanged for any other object, cash amount or value, unless authorized by the Promoter.
9. West HQ accepts no responsibility for any additional costs associated with winning any prizes, other than stated in these Terms and Conditions.
10. West HQ reserves the right to:
a. Verify the validity of entries (including but not limited to, the Eligible Member's identity and age). If a winner cannot provide suitable proof of identification at the time of the draw, the winner will forfeit the prize in whole and no substitute will be offered; and
b. Reject any entry ticket that is illegible, has been tampered with or is not in accordance with these Terms and Conditions; and
c. Disqualify any Member that has not acted in good faith and in accordance with these Terms and Conditions.
11. West HQ reserves the right to modify or terminate this promotion at any time with reasonable notice.
12. Any disputes regarding this promotion will be resolved at the discretion of West HQ management.
13. Entry into the promotion is deemed to be acceptance of these Terms and Conditions.
14. A record of all Winners will be kept.
15. By participating, entrants consent to the collection and use of personal information for the purpose of conducting this promotion.
16. To the extent of any inconsistency between these Terms and Conditions and any other material relating to this competition, these Terms and Conditions will prevail.

17. The Promoter reserves the right and license to use a selected entrant's name. suburb, photograph, image, and likeliness for the purpose of promoting and advertising West HQ.
18. Entrant's personal information may be disclosed to the NSW Fair Trading and winners' names will be published as required under the relevant lottery legislation.
19. The Competition is not open to patrons excluded from the venue pursuant to the provisions of the Office of Liquor & Gaming or who are otherwise excluded.
20. Subject to law, the Promoter (including its employees, agents, and contractors) has no liability to any person for injury (including death), loss or damage whatsoever howsoever arising in connection with this Competition (including the awarding, condition, or misuse of the prizes). This clause does not apply to the extent that West HQ liability (if any) arises from an act or omission of West HQ in respect of its supply of services and/or goods to the prize winner in the ordinary course of West HQ's business.
21. If, for any reason, this competition is unable to run as stated above the Promoter reserves the right to alter the Terms and Conditions to run this in the fairest way possible with the least disruption.
22. If a prize becomes unavailable, no substitute prize will be provided
23. The Promoter's decisions with any aspect of this Competition will be binding and final on every entrant.
24. The Promoter reserves the right to cancel or alter this Competition at any time (such as in the case of unforeseen circumstances outside of the Promoter's reasonable control), subject to compliance with Fair-Trading Guidelines.
25. Any failure to comply with these Terms and Conditions, including any attempt to avoid compliance, may result in the immediate disqualification of any entrant from this and future promotions.
26. Disqualification will be at the Promoter's sole discretion, and no correspondence will be entered into.
