Chairman’s Chat June 2020 Hi fellow coffin-dodgers! We had our first club meeting post-lockdown on the 3rd of June and some of you came and some of you STAYED HOME! Because you didn’t read your Distributor or your emails. Three out of ten….see me after school. Not good enough. Orright, I’ll try not to be grumpy. But you do need to read your branch magazine to stay up with developments, especially now that we’re allowed out to play. You may have noticed that this edition is a bit early. That’s because we have the AGM coming up on Wednesday the 1st of July and you need time to get your nominations for club officers in to the secretary. Get your Tellytubby butt off the couch and register your interest, dob in your mates and generally make a nuisance of yourself. There are some other excellent events coming up too. Garage Raid on the 19th July, Mid-winter Lunch at the Star and Garter on the 26th July and, later in the year, our famous Swap Meet. Info elsewhere in this magazine. But the event I most want to bring to your attention is;
Club Rooms Upgrade Presentation On Saturday the 20th of June in the clubrooms beginning at 10:30 am. Rebecca George and I will be outlining a number of exciting proposals to upgrade the interior of the clubrooms. We would like you to come along to listen and ask questions. There will be a display of the proposals which will still be up for the AGM. Voting will take place at the August 5 th club meeting. The subcommittee have put in a lot of work on ideas, selection of materials and quotations. It has been a team effort and we want your input as well, so please come along to the presentation. NOMINATION FORMS (as printed in last month’s newsletter) THE CLOSING DATE FOR NOMINATION FORMS FOR THE 2020 ANNUAL GENERAL MEETING IS THE MONDAY 29TH JUNE.
NORTH OTAGO VINTAGE CAR CLUB ANNUAL GENERAL MEETING 1 JULY 2020 Remit to be put to the Annual General Meeting 2020, with respect to the advances in technology and its impact on the management of club finances. The main impact has resulted in the coming demise of using paper bank cheques as a way to make payments. This process has been superseded with the new method being through the use of technology through the Internet. The December Club Night 2019 meeting passed the following motion to be able to initiate this new process, as some banks (e.g. Kiwi Bank) were already beginning to stop the use of cheques. In view of advances in technology and their impact on financial recording and new reporting systems: 1) the Treasurer be given authority to set up and use Business Online Banking to manage all financial transactions of the North Otago Branch 2) the Chairman, Secretary and Treasurer be the nominated positions to access the online management with no less than two electronic signatures required to approve all payments This motion was passed and the Treasurer now uses this method for financial processing of accounts. As this decision by motion was taken at a monthly general meeting and not an Annual General Meeting as a remit to change the Constitution, the following is now submitted for approval.
REMIT TO CHANGE WORDING IN CONSTITUTION Section 5 – Powers 5.1 (e) Current wording – The Branch shall open an account with a Savings or Trading Bank as shall be agreed upon and all monies received on account of the Branch shall be paid into such account and all payments made by the Branch will be made by cheque on the Branch Account. All cheques will be made out to payee only. New wording The Branch shall open an account with a Savings or Trading Bank as shall be agreed upon and all monies received on account of the Branch shall be paid into such account and all payments made by the Branch will be made using electronic banking on the Branch Account. HANDBOOK This new method of payment needs to be recognised in the following paragraph in the Branch Handbook. Current wording – Make a firm rule the NO payments are to be made except by cheque, and that ALL receipts are to be banked intact. This will give a clear record and avoids much account confusion especially when branch officers are inexperienced. Suggested New Wording – The Treasurer is expected to use Online Business Bank processes to manage financial transactions, including the payments of accounts, on the Branch’s behalf and should ensure electronic login and authorisation requirements are put in place as soon as elected. The Treasurer should be expected to load the necessary information into the Branch’s online site and advise the other two authorisation signatories that there are accounts waiting to be authorised. Any other or new business practices as a result of technology advancements in the future which would support the Treasurer’s role to be clear, easy and transparent should be considered and adopted if the Branch Committee considers them to be appropriate and of benefit. This wording should be approved by the Branch Committee if the change to the Constitution is approved
Secretary’s Report At last we can hold our AGM and it is only three weeks from our original date. Please note that any nomination forms you wish to present to the Annual General Meeting need to be sent to me by Monday 29th June. This year we plan to return to holding a Mid- Winter Lunch. This will be held at the Star & Garter Restaurant on Sunday 26th July.

Club Captain’s Report Well the lockdown is now complete, with the committee having had our first couple of meeting in an attempt to get the ball rolling again, so to speak. With all events on hold it will take a little while to get back up to speed again. The first thing on the agenda for the club is a combined ‘garage raid’ involving the Ashburton, Timaru, Waimate and North Otago branches. This year it is our turn to host the event here in North Otago. Thanks to all those that have already agreed to participate in this event and to those that may lend a hand in any manner in the next few weeks while planning is finalised. I would appreciate anyone willing to help in the kitchen with the lunch (The kitchen is not a gender specific area) Checkout the poster for further information or give me a call. We have had a great response for a group to organise the next Swap Meet but I am still looking for some willing hands to plan the Windsor rally. If you have some free time give me a call or drop in for a chat. Many hands-light work. I understand the mid-month runs are likely to be starting again as early August and a whisper at our club meeting last week could result in a run for pre-war vehicles. Lots of gravel could be on the cards. Keep an eye out for this one, it should be well worth the wait. Derek
