The Academy offers diversified programs with participation in student-oriented activities wherein each student may acquire a rich cultural background in the liberal arts. The administration and faculty comprise a highly qualified staff of religious and lay teachers. Every student is offered a well-balanced program of academic, cultural, social, physical, and Christian moral training which will enable her to achieve her fullest potential. Fully equipped science laboratories, computerized classrooms, and resource media centers are connected via a state-of-the-art local area network which contributes to Villa Walsh Academy's technological advances. Through religion courses and liturgical worship, students acquire the knowledge and insights necessary to give witness to their Catholic faith. Within Catholic theology courses, students of other faiths develop wholesome moral values in keeping with their own religious beliefs. The Academy offers a quality education that prepares citizens who create a better community for the good of society.

PHILOSOPHY Villa Walsh Academy is committed to the belief that all persons, being richly endowed by God with gifts of intellect and spirit, have an unique opportunity and obligation to develop these qualities to the fullest in accordance with His plan of creation. The Academy is further committed to the philosophy and practice of the threefold purpose of Catholic education, namely, to teach the Good News of Jesus Christ, to build Christian community, and to serve the needs of others. Villa Walsh Academy is committed to actualizing this vision by: Preparing its young women to proclaim the Good News and to translate this proclamation into action. Inspiring faith which will enliven the knowledge students gain of the world, of life, and of humankind. Providing learning experiences that nurture self-esteem and encourage selfdiscipline. Communicating ideas and values in a manner that encourages creativity, reflection, and intellectual curiosity. Providing programs of study which help form young women committed to Christian principles and values. Providing programs of study which develop knowledge of American democracy and promote those civic virtues necessary to its preservation.

SPIRITUAL ENRICHMENT Every effort is made to provide students with faith experiences directed toward a realization of Christianity as a way of life that will enhance their values, judgments, decisions, and actions. The students are encouraged to actualize their Christian belief and spirituality through classroom interactions, school-related activities, and volunteer service. Prayers are said at the beginning of each class. St. Lucy Chapel is available to the students during the school day. Eucharistic liturgies are celebrated for the school community approximately once a month. Parents and friends are always welcome to attend. The students help plan these liturgies with the guidance of their theology teacher in order that they may learn the elements of appropriate Liturgical worship. The sacrament of Reconciliation is offered to students. Class retreats are scheduled annually so that each grade level has the opportunity to spend the day together in prayer and reflection.

CURRICULUM The curriculum is designed to provide a variety of courses with emphasis on theology, the fine arts, languages, sciences, mathematics, technology and humanities. Small classes provide the framework for serious study and individualized learning. Through large group assembly, small group discussion, and independent study, the student is encouraged to assume a greater responsibility for her own learning. To facilitate students' needs, major courses are offered on three levels: college prep, honors, and advanced placement. Grades are weighted accordingly. Student performance, teacher recommendations, and standardized test scores determine the course level offered to each student. Administration and faculty assume the responsibility to continuously assess, evaluate, and develop the curriculum. The faculty collaborate on a departmental and interdepartmental level. Villa Walsh Academy boasts a 6:1 student-teacher ratio. All courses adhere to the standards established by the New Jersey State Department of Education and the Paterson Diocese.

Students may elect to study independently for an AP Exam, but will not receive course credit. The resulting score from the AP exam can be forwarded to colleges by the student. The number of AP and Honors courses a student takes each year may vary due to scheduling conflicts. The requirements for the AP courses are listed in the Program of Studies and vary from subject to subject. However, admission is based on a combination of PSAT scores, diagnostic test scores, ability in subject area as evidenced in grades received the previous academic year, and teacher recommendations. Students enrolled in AP courses are required to take the AP exam in that subject.

COURSE SELECTIONS

. Course selection forms are distributed to all freshmen, sophomores, and juniors in early spring. Students, with the assistance of the Guidance Counselor, subject area teachers, and Director of Curriculum, will choose courses for the next scholastic year using the course requirements listed in the Program of Studies. Once the course selection form has been completed by the student, it must be signed by a parent or guardian.

COURSE CHANGES If a student decides to make a change in her courses once the school year has started, the request must be approved by the Guidance Counselor and teacher. All changes must be made by the end of the Add/Drop period.

EVALUATION OF ACADEMIC PROGRESS The school year is divided into two semesters. Reports of student progress are issued mid-semester; grade reports are issued at the end of each semester. All students are required to take final examinations in each academic area of study. The school considers this experience vital preparation for college. The final exam grade will be calculated as 1/7 of the final average. Each semester grade will be calculated as 3/7 of the final grade average.

10

STUDENT EVALUATION Report cards are emailed to the parents at the end of each semester.

CLASS RANK Villa Walsh Academy does not rank its students since the concept of rank does not accurately reflect the selective nature of our student body, our rigorous college preparatory curriculum, and individual achievements. Rank may be a misleading indication of a student's true academic quality and ability to perform successfully in college.

PARENT-TEACHER CONFERENCES Parents are encouraged to visit the school, and/or meet with the teachers, the Guidance Counselor, and the Principal. They are requested to call the school to arrange for an appointment convenient to all parties. An opportunity to meet with the faculty is scheduled in the fall of each academic year.

GUIDANCE Guidance services are available for every student in the school. These services include assistance with educational and college planning, interpretation of test scores, occupational information, career information, study aid. A Student Assistant Counselor is also available to meet with all students for personal counseling. Students and parents are encouraged to check the Guidance Department website for current information. The guidance program includes personal interviews with the Director of Guidance and Academic Service and parent-teacher-student conferences. In junior and senior years, greater emphasis is placed on college and career planning. Standardized testing is an important part of the guidance program, and such tests are administered at each level. If a student wishes to see the Director of Guidance and Academic Service or Student Assistant Counselor, she should go to the respective Counselor and make an appointment. The guidance personnel will issue a copy of the student’s transcript at the request of the student. The law requires that an official transcript may only be sent directly to the institution of learning and not be handed to the student or her parents. Three approved college visits are also excused for seniors. If an additional college visit is required, the reason must be presented and approved by the Guidance Department. Juniors are permitted two college visits. All students are required to bring a note indicating they were attending a college visit from the admissions office upon their return. 12

GUIDANCE (cont.) Each year college representatives visit Villa Walsh Academy. Seniors are required to notify their teacher prior to the visit and sign up in the Guidance Office. Juniors who wish to attend need to either have a study hall or lunch. If it is during a class, they must notify the teacher. They are limited to three (3) visits that require missing a class.

LEARNING NEEDS At Villa Walsh Academy, we are committed to nurturing the academic and personal growth of our students. While we do not offer specific learning needs services, we do develop an individualized approach to help our students. Our faculty and staff are dedicated to supporting students with learning needs by creating a learning environment that is appropriate. Our small class size, combined with teachers offering additional support and a peer tutoring program, allows students to thrive. Should a student have learning needs diagnosed from their previous school district, physician, medical professional, or therapist, we ask for documentation in order to develop an individualized, confidential educational plan for that student. Please call the Guidance Office for additional information.

POLICY ON ACADEMIC INTEGRITY At the beginning of each scholastic year, students and their parents are required to sign an Honor Code Contract attesting to their knowledge of the rules governing plagiarism and cheating, as well as the consequences. The contract is located on our Magnus portal. Cheating during any testing situation and plagiarizing any class assignment are considered serious offenses. A student found cheating in any manner (either giving or receiving information) automatically receives a failing grade and will not be permitted to finish a test or quiz. Plagiarism is defined as copying the language or thought of another and passing it off as one’s own. If a student copies the language or thoughts of someone else, she must credit the language and ideas, in either the body of the paper or in a footnote, and place quotation marks around verbatim language. Any student found guilty of plagiarizing any assignment will receive a grade of zero for the assignment. If any student is found guilty of cheating or plagiarizing, the teacher will notify the principal and the parents. The student's status at the Academy will be in jeopardy.

INTERNET AND TECHNOLOGY POLICY Villa Walsh Academy makes a system of personal computers, laptops, and internet access (the "System") available. It is imperative to understand that the use of technology is restricted to academic purposes. Villa Walsh Academy has the right to regulate the materials that students access or post while on school grounds, to ensure that all use of the System is in accordance with the Catholic philosophy of the school, and to enforce all rules set forth in the school’s disciplinary code and the laws of the United States and the State of New Jersey. Further, students may not use this System for commercial purposes to offer, provide, or purchase products or services through the System. Access to the Internet is available through this school only with permission of the Principal or her designee and parents as indicated by the signing of an Internet Use Agreement.

The use of the System is a privilege, not a right, and inappropriate use may result in cancellation of those privileges. Each user who is provided access to the System will participate in a discussion with assigned staff person(s) concerning its proper use. The faculty, staff, or parent/guardian may request the administrator or designee to deny, revoke, or suspend a specific user's access to the System due to unacceptable use. Villa Walsh Academy also reserves the right to log System use and to monitor the use of file server space utilization. Generative AI (GenAI) is a powerful technological advancement with incredible potential to enrich teaching and learning. However, it should not be a substitute for independent thinking. In all instances, GenAI should be used as a tool to enhance, not replace, student work. For example, if a student wishes to use GenAI for preliminary research for a project, she should check with her teacher to see if it is permitted. If she is permitted, she should use it in a way that helps her to take ownership of her learning and final output. Then, she should cite the website or app she used as she would another source that significantly contributed to her final work. Villa Walsh Academy is committed to upholding the highest standards of academic integrity. This includes, but is not limited to, taking steps to prevent and address academic dishonesty and recognizing and mitigating potential biases and shortcomings in AI tools. For example, teachers may require students to handwrite essay drafts or submit a document with tracked changes to oversee their students’ writing process.

14

INTERNET AND TECHNOLOGY POLICY (cont.) Students are ultimately responsible for the authenticity and integrity of their work, including any work produced with the aid of GenAI. If a student is found guilty of cheating or plagiarizing, the teacher will notify the Principal and the parents. The student’s status at Villa Walsh will be in jeopardy. Villa Walsh Academy recognizes that technology is changing rapidly and will periodically review and amend this policy. If students have any concerns about if and how they may use GenAI or other computational tools for their studies and assignments, they should speak with their teachers for further directions.

Personal Computers and All Other Devices The use of cell phones, smart devices, smart watches and the like are not crucial to the educational environment and are, therefore, prohibited during the school day. These devices must be turned off and secured in the student's locker. Students are reminded that any wireless connection through alternative carriers is prohibited while on school grounds. Students are permitted to use approved electronic devices at the discretion of teachers and/ or administration. Students participating in any form of cyber bullying will be subject to disciplinary and/or legal consequences. Cyber bullying that takes place on or immediately adjacent to school grounds, at any school-sponsored activity, on school-provided transportation, or at any official school bus stop is prohibited. Any off-campus acts that substantially cause disruption to the school or student or interferes with the rights of students to be secure will be subject to disciplinary and/or legal consequences. Students may access internet newsgroups, discussion groups, and bulletin boards for academic purposes only with the express permission of their teacher or the technology administrator.

Plagiarism and Copyright Infringement Material obtained through research on the Internet, and then used in research papers for any classes at Villa Walsh Academy, must be properly documented. Students must not plagiarize words or ideas that they find on the Internet. Students must respect the rights of copyright owners and direct any questions regarding copyright law to a teacher.

Inappropriate Access to Material Students must not use the school’s computers to access material that is profane or obscene or that advocates illegal acts of violence or discrimination toward other people (“hate literature”). Parents should instruct their daughters if there is additional material that they think is inappropriate for access. Students are expected to adhere to their parents' instruction in this matter.

18

Privacy Students should expect no privacy or permanency of the contents of personal files on the school’s computer system. Routine maintenance and monitoring of the system will occurs and may result in the viewing and/or removal of student files. An individual search will be conducted if there is reasonable suspicion that students have violated any of the terms of this policy, the school disciplinary code, or the law. Villa Walsh will cooperate fully with local, state, or federal officials in any investigation related to illegal activities conducted through the school’s computer system. Any violation of the terms of this policy will be subject to disciplinary actions. Villa Walsh Academy may, at any time, place restrictions on a student’s use of the school’s computer system. Villa Walsh Academy makes no guarantee that the functions or the services provided by or through the school’s system will be error-free or without defect. Villa Walsh Academy will not be responsible for any damage students may suffer including, but not limited to, loss of data or interruptions of service. Villa Walsh Academy is not responsible for the accuracy or quality of the information attained through or stored on the system. Villa Walsh Academy will not be responsible for financial obligations students may incur while using the system. Villa Walsh Academy fully expects that students follow the directions of their teachers and other school authorities in all matters regarding access to information using the school’s computer system. All uses of the system must show a respect for the rights of others and the dignity of the human person.

Privacy of the School Community The Internet is a public forum with unrestricted access. For this reason, Villa Walsh Academy restricts permission for the posting of information related to the school, our staff, and our students on the Internet. No person is permitted to use images of the school, the school logo or seal, school staff, or students in any form on the Internet or in any form of electronic communication without permission from the administration. STUDY HALLS Students assigned to a study hall must arrive on time with sufficient work to do within the class period. The atmosphere in a study hall is one of quiet, affording all students the opportunity to focus on school related work. Attendance will be taken by the study hall teacher. Any student requesting to leave a study hall must obtain a pass from either the study hall or subject teacher. Students must report to the study hall first before leaving for other areas. Students are allowed to take the study outside in the garden area if the weather is conducive. Juniors may use the gazebo area.

HOMEROOM Homeroom begins at 7:45 AM. Homerooms are organized so that school business may be conducted, attendance taken, and morning exercises held. Morning exercises consist of an opening prayer and a salute the flag. During homeroom, announcements are made over the public address system concerning the immediate and/or upcoming events that affect each student. Teachers and students are to be attentive during announcements. The Homeroom teacher must take attendance daily. It is crucial that the attendance be accurate in order to avoid calling parents when, in fact, the student is in school. The attendance is to be submitted electronically by 7:55 AM. A complete list of absentees and tardies will be posted on the shared spreadsheet. At the beginning of every period, each teacher checks the class list against the absentee list and reports any missing or unaccounted for student to the principal’s office.

Homeroom Responsibilities The following are responsibilities of a Homeroom Teacher: Homeroom begins at 7:45 am and lasts for 12 minutes Morning Offering Pledge of Allegiance Listening to Daily Announcements Take attendance -Record attendance on the shared spreadsheet If a student accumulates six non-excused absences, please notify the School Nurse and Director of Curriculum via email as a phone call will be made to the student’s home. If a student accumulates 10 or more absences, this will be important as it will affect a student’s ability to attend future field trips and special events/opportunities during the school year. ie., club activities, school visits, Career Day, 7th Grade Girl for a Day, etc. Student Tardies - please record if a student is late on a pink slip Once a student has three tardies, the Director of Curriculum will be sending an email to the student informing them of a detention. Students will have a certain amount of time to complete her detention. (no more than 2 weeks) Student Counsel - Students will now have the ability to disseminate and collect information during homeroom via representatives. This will be extremely helpful regarding events such as School Elections, Mother/Daughter Dinner, Father/Daughter Dance, Field Day, etc. Information - Giving students further information as needed. This can be anything from the Fashion Show to attendance at Athletic Events.

ADMINISTRATIVE POLICY FOR ATTENDANCE AND ABSENCE When a student is going to be absent or tardy, her parent or guardian must phone the Business Office at (973)538-3680 ext. 170, or send email to attendance@villawalsh.org, before 7:45 AM. If the parent or guardian is leaving or sending a message, the following information must be included: student’s name, grade, and reason for her absence/late arrival. A written note, signed by a parent or guardian stating the reason for and the date of absence is to be presented to the Business Office upon the student’s return. A note must accompany a student who misses class or is absent for any doctor appointment. Following an absence of more than three (3) days due to illness, a doctor’s note is required, and the student must report to the school nurse prior to first period. Regular attendance and class participation are crucial for achievement in high school. In addition, college admissions offices and future employers use attendance records as a means of determining an applicant’s dependability and good citizenship. Excessive absence hinders the learning process. Therefore, students are expected to be present daily for all classes. This includes all special assemblies, religious services, retreats, and other events so designed. Parents are required to notify the school of their daughter's anticipated absence for medical leave, family travel, etc. This information should be sent to the Business Office in writing at least one week in advance of the absence. Additionally, students should provide each of their subject teachers, in writing, the dates of their absence. The only excused absences from class attendance are as follows: Personal illness Family emergency/bereavement Religious holidays School-authorized activities State driver’s test Three approved college visits are also excused visits for seniors. If an additional college visit is required, the reason must be presented and approved by the Guidance Department.

27

CONSEQUENCES OF EXCESSIVE ABSENCES If a student is absent she must make up the work missed. The student is responsible for speaking with the subject teacher(s) on the day of her return. Work needs to be completed in a timely manner. 1. If a student is absent for a reason that is unexcused, she must make-up the work missed either during a study hall or after school on the day she returns. The student is responsible for speaking with the subject teacher(s) on the day of her return. 2. Parents will be notified if students show a pattern of absenteeism on the days of tests/quizzes. 3. If excessive absences are noted, a meeting will be required between Administration, parent (s), and the student to determine an appropriate course of action.

TARDINESS There is a serious obligation to arrive at school and to class on time. Homeroom begins at 7:45 AM. If a student arrives after 7:45 AM, she is late and must obtain a late pass from the Homeroom Teacher before reporting to her assigned class. If a student reports to class after 7:45 AM, she will receive one demerit from the teacher and will be marked late. Students who are late to any class will receive a demerit from that subject teacher. Students who arrive after 10:15 AM or leave before noon will not be allowed to participate in any after school activity that day, i.e., club activities, musical rehearsal, athletic events, school-sponsored social events, etc. If a student is coming in late or leaving early for a doctor’s appointment, a doctor’s note is required by the student upon their return to school. Excessive tardiness jeopardizes a student’s academic standing and/or course credit. Parents will be notified.

EARLY DISMISSAL Students should make appointments outside of school hours. However, if a school hour appointment is unavoidable, a letter, signed by a parent/guardian must be submitted to the Business Office, or a parent/ guardian may call the Business Office in advance. The student will be dismissed from the school office only to a parent/guardian or an individual identified by the parent/guardian as assuming this responsibility.

28

EARLY DISMISSAL (cont.) If a student needs to be dismissed early, she must present her teacher with an Early Dismissal Pass before she is allowed to leave class. The pass should be obtained from the Business Office prior to dismissal. Any student who has a last period Study Hall on a Friday is permitted to leave school at that time. As with any other early dismissal, the student must present a note in advance to the Business Office so that an Early Dismissal Pass can be issued. Seniors have the privilege of leaving school I period if they have a study unless they need to stay for sports or an after-school activity. However, before leaving the campus, they are to sign out in the Business Office. This privilege does not apply when there is a scheduled school activity (e.g., liturgy, assembly, or special programs which involve the entire school community). Students who leave campus without signing out will be in jeopardy of losing this privilege.

MAKE-UP WORK Students who are absent for any reason are required to make up work missed in each class. It is the student's responsibility to obtain all make-up work. Make-up work should be submitted within a time period commensurate with the length of absence (1 day for each day absent). Only in extreme cases of prolonged absence will exceptions be made. These students should be given every consideration to be tutored or to make up for work missed.

SCHOOL CLOSINGS If school is cancelled or dismissed early, teachers and students will be notified through the School Messenger system. Information will also be posted on the school website, www.villawalsh.org, and on the school answering machine.

TESTING Faculty members are required to list all major assessments and quizzes on the online calendar dedicated to this purpose. No more than two major tests may be given in a day. Unannounced short quizzes based on previous night's assignments do not have to be recorded on the calendar. Teachers should not schedule a major test or long-term project before or after a significant school activity, i.e. tournament games, concerts, musical production or vacations.

29

STUDENT HEALTH SERVICES In compliance with New Jersey State laws, all students must present proof of immunization and a current physical to the Health Office prior to the opening of school. The nurse is available throughout the school day and must be notified if a student becomes ill or injured and cannot attend class. If the nurse deems it necessary for the student to be sent home, she will telephone a parent and make arrangements. The Business Office will notify teachers if a student has been sent home due to illness. Students themselves are not to call, email or message a parent requesting permission to leave school or to be picked up. Doing so will result in a detention. If a student is ill, she should not come to school. Parents should monitor their daughter's symptoms and follow our health policy guidelines. The nurse is the only authorized person to distribute any type of medication to students. In some cases, an elevator pass and/or excuse from physical education or sports will be granted. Sneaker passes can be issued through the Nurse’s Office only with a doctor’s note. Students returning to school after recovering from a communicable disease must have a written note from their physician in order to be readmitted. Communicable diseases include mononucleosis, chicken pox, strep throat, conjunctivitis, and COVID. Villa Walsh Academy requires a yearly physical examination by the family physician. The official VWA Annual Physical form is available on our website, www.villawalsh.org. All completed forms must be uploaded to the Magnus portal. Villa Walsh Academy is a nut-free school. No items should be brought to school that contain or are made from tree nuts or peanuts.

STUDENT DRIVING AND PARKING Driving to school is a privilege. All student drivers are to obtain a vehicle registration form from our website. Drivers entering senior year must complete a vehicle registration form by the first day of school, or when they begin to drive to school and will then be issued a numbered parking space. Any student driver who is late three times per mid-term will have her driving privileges suspended. If the student driver is repeatedly tardy her driving privileges will be revoked. Those who ride as passengers may not use the tardiness of the driver as an excuse. A letter of permission is required from parents of student drivers allowing them to transport other students to and from school. In addition, a letter of permission is needed from parents of students being driven to and from school by the student driver. These letters of authorization must be submitted to the school office.

30

It is expected that all students comply with driving regulations according to the State of New Jersey. According to New Jersey law regarding school security, as part of bill A3348, it is MANDATORY that all student drivers and faculty must maintain a parking decal or tag if they plan to park on campus. Upon completion of a vehicle registration form, students will receive a Villa Walsh Academy decal from the Business Office. Students may not return to their cars during the school day or leave the property without the explicit permission of the principal. For safety and liability reasons students are not permitted to leave the school property at the end of the school day if they plan to return to the school for extra-curricular activities. This also applies to school days with an accelerated schedule. All drivers must adhere to the speed limit on Villa Walsh Academy property (which at no time exceeds 10 miles per hour) and to standard rules of proper use of an automobile.

MEDIA SERVICES/LIBRARY The VWA Library/Media Arts serves as a multi-media center for reading and research and provides a quiet place to study in a welcoming, supportive atmosphere. Fully equipped with networked computers, printers, and an automated catalog, the library provides access to the Internet for academic research. Students must adhere to the Internet and Technology policy stated in the handbook. Students can log into the following specialized online databases and eBooks from any computer on the school’s wireless network: Encyclopedia Britannica - Academic Edition Online Facts On File: American History, Ancient Medieval History, Modern World History, Bloom’s Literature Science Online Gale Cengage: Artemis Literary Sources, Contemporary Authors Literature Criticism Online Gale Research in Context Gale Virtual Reference Library - Opposing Viewpoints in Context EBSCO Host Jersey Clicks - New Jersey State Library Students and faculty may also access these electronic databases and ebooks from home using a special password, which will be provided by the librarian upon request. No passwords are required for in-school use.

31

The library is open on all school days from 7:45 AM to 3:00 PM. Books may be checked out for three weeks and renewed upon student request. Periodicals may be checked out for three days and renewed upon request. Fines will be charged for materials that are not returned on time. The overdue fine is $.15 per day and will double to $.30 per book per day if a book is fifteen school days overdue. Only school days are considered in calculating fines. Students are responsible for returning library materials by their due dates and will not be allowed to sign out additional materials until all items are returned and fines are paid. Any lost or damaged materials will be replaced at the expense of the borrower. Students are encouraged to speak softly at all times and to be aware of others who may be studying, reading, or taking a test. Food and beverages are not allowed in the library.

ADDITIONAL INSURANCE PROTECTION Villa Walsh Academy has purchased insurance for the 2024 - 2025 school year that protects a child while participating in school sponsored and supervised activities, including interscholastic sports. The policy is written on an excess basis, which means that claims are first submitted to any other valid and collectible insurance that parents may have through work or that was purchased directly. Any remaining balances, copayments, deductibles, etc. may be submitted to our carrier, Bollinger Specialty Group, for review and processing. If a child suffers an accidental injury while not at school, i.e. at home, on the weekend or on vacation, parents may find themselves faced with significant medical expenses. As an added benefit to the school's policy, parents may elect to purchase coverage that affords protection to their child 24 hours a day, 7 days a week, if they suffer injuries that are not covered by the school's policy. A complete description of this coverage can be found on their website www.BollingerSchools.com. Click on the "Parents" tab, enter the requested information and view/print a complete description of the coverage. Parents may purchase the coverage conveniently online or may download the application, complete it, and mail it in with their payment. If you have questions about this coverage, do not contact the school. Call Bollinger Specialty Group directly at (800)-526-1379 and ask to be connected to the School Department.

PROPERTY INSURANCE The school does not assume responsibility for loss of students’ personal property, nor does it carry fire or theft insurance on students’ property. Parents who wish to carry this type of insurance should consult their own personal insurance agency.

32

SECURITY Students are issued a lanyard with a security pass card that allows them to access the school buildings. The pass card must be worn at all times while on campus, except on the athletic fields during games or gym classes. A student with a misplaced or forgotten pass card must be issued a demerit. Students may not decorate or adorn the lanyards or the cards, and the school’s name is not to be displayed on them. If a student misplaces, loses, or forgets her pass card, she must immediately report it to the principal's office so that the card can be temporarily deactivated. If the card is found within 24 hours, it will be reactivated. If the card is lost, it will be deleted from the system and a new card will be issued to the student. There is a $20 charge for each additional card that is issued. The pass cards are programmed to allow access to the school from 6:45 AM to 7:00 PM weekdays. If it is necessary for a student to return to school at any other time, she must make arrangements to enter the building. Students may not open doors to allow visitors into the building. All visitors must be admitted through the Business Office. For student safety purposes, students are not permitted to order food from delivery services during the school day.

FIRE AND SAFETY DRILLS Fire drills are necessary to prepare students to meet any emergency which might require a rapid mass exit. Everyone should know the specific posted directions for reaching a point of safety from those areas of the building in which he or she is located. There are certain general principles which must be observed: Walk rapidly. Proceed quietly. Use the nearest exit and proceed in a single file when leaving a given room. However, if two classes meet, then students must exit side-by-side, thus forming double lines through the corridor and stairways. Move to a reasonably safe distance away from the school. A student not with her class at the sound of the alarm should leave the building at the nearest exit. In addition to the state-mandated monthly fire drills, lockdowns, evacuation, and/or shelter-in-place drills will be held monthly throughout the school year.

33

LOCKERS Each student is assigned a locker for the storage of books and equipment. It is the student’s responsibility to see that her locker is always kept in order. School combination locks are issued and only they can be used if the student chooses to lock her locker. Since lockers are a permanent part of the building, students are expected to keep them in good condition. The school does not accept responsibility for any personal property, including books, which are left in an unlocked locker.

GRACE ANN CAFÉ Students may bring their own lunch, purchase a hot lunch through the food service, or purchase food or beverages from the vending machines. Microwave ovens are also available for student use. In the Café, each student is expected to practice the general rules of good manners. Leaving the tables and surrounding areas clean is the responsibility of each student.

TRANSPORTATION Shuttle buses leave Villa Walsh at approximately 3:45 PM each day and transport students to Delbarton School where they meet their respective buses. The buses depart from Delbarton at 4:00 PM. Students are to conduct themselves in a proper and respectful manner while riding the buses to and from school and while at Delbarton. Any problem involving transportation should be reported immediately to the principal.

TRANSPORTATION SAFETY CONCERNS Villa Walsh Academy does not endorse any car services, whether by smartphone app or otherwise, to transport your daughter. The school will not be responsible for anything which may occur while your daughter is using such services. However, if parents choose to use a car service, they are encouraged to take every precaution to see that the driver's identification is verified.

34

PHOTO IDENTIFICATION CARDS Photo ID's are issued at the beginning of each school year to new students and are valid until they graduate. Photo IDs are needed for the following: Bus pass Testing, e.g., SATs Access to library materials Admission to dances at other schools

ELEVATORS Elevators are not to be used by students unless there is a serious medical reason. An elevator pass must be obtained from the school nurse and carried by the student at all times. A doctor's note must be submitted to the nurse if the pass is needed for an extended period of time.

STUDENT COUNCIL The Student Council of Villa Walsh Academy was initiated to maintain an open working relationship among the administration, faculty, and student body, and to enrich student life at the Academy. The Student Council functions as the voice of the student body. It is modeled on the commission form of government, composed of President, Vice-President, Secretary, Treasurer, Commissioners, and Representatives; a member of the faculty serves as moderator. Council meetings are held regularly, and Student Council activities are scheduled at least four times a year. The activities and projects undertaken by the Student Council focus on school and community concerns. The Student Council maintains membership in the New Jersey and the National Association of Student Councils.

35

36

ASSEMBLIES Assemblies are held several times a year. The purpose of these gatherings is to enrich the educational, cultural, and social experiences of the students.

AFTER SCHOOL ACTIVITIES Frequently students remain after school for sports, club meetings, music rehearsals, and extra academic help. The Academy welcomes students after school and expects that they be with the teacher who is supervising the activity. Since there are no activity buses, students must provide their own transportation. Students are to wait for their parents in the Grace Ann Café.

VOLUNTEER WORK To instill a sense of community purpose and service to society, the students are encouraged to participate in service projects on an individual basis and in groups. A record of individual service and time spent in that service will be kept by the moderator of a school-sponsored project.

PUBLICATIONS All interested students are invited to become staff members of the school publications where literary, graphic, and artistic talents find expression. The TOWERETTE is the official school newspaper and is published at least four times a year. A faculty member advises the student editorial staff which takes complete responsibility for the composition, layout, editing, and proofreading of the paper. HORIZONS is the yearbook which is published annually by the senior class and its advisors. INNERVISIONS is the literary magazine of the school. It consists of student poems, essays, short stories, and artwork. The staff and Faculty Moderator of INNERVISIONS selects the material and is responsible for its layout. All students are encouraged to submit their work for publication.

The NJSIAA sets guidelines and policies for schools, coaches, athletes, parents, and spectators. VWA staff, athletes, and families are expected to abide by these. The regulations and policies are on the NJSIAA website. https://www.njsiaa.org/insidenjsiaa/njsiaa-handbook Recruiting is a violation of the NJSIAA. Direct recruiting contact or communication with a 9-12 grade student-athlete or their family from another high school by a district-approved person, including, but not limited to, paid coaches, volunteer coaches, students at the behest of their coach, or any district employee, is a violation of the NJSIAA regulations.

Medical Policies and Forms All forms and additional information are available on the school website, www.villawalsh.org, or through Magnus. For fall sports, the forms must be completed and uploaded to Magnus by July 12, October 1 for winter sports, and February 1 for spring sports. Once all forms are submitted and approved by the school nurse and school physician, athletes will be allowed to participate in a sport. As per NJSIAA regulations, before any student-athlete is allowed to practice, she must have a physical completed by a family physician or the school’s physician “within 365 days prior to the first practice session.” In addition, “each student, whose medical examination was completed more than 90 daysnprior to the first practice session, shall provide a health history update of medical problems experienced since the last medical examination. The health history form shall be completed and signed by the parent.” After the forms have been completed, uploaded to Magnus, and approved by the school nurse, the school’s physician must certify the paperwork to complete the NJ Department of Education and NJSIAA requirements. Before the start of each school year, athletic forms must be completed in addition to the school entrance health forms and submitted via Magnus. These annual forms include the following:

Practices and Games Every athlete must have participated in a minimum of six practice days (not sessions) before the first scrimmage or game unless she has participated in a state championship contest in the preceding season, or within 3 days of the previous season, as per the NJSIAA. The length and time of practice may vary from sport to sport. Due to the high demand for indoor gymnasium time, practicing at an offsite location or during the early morning, late evening, or Sunday may be necessary. All scrimmages, games, and officials are scheduled through the Athletic Department per regulations set by the NJSIAA, the NJAC, the NJIGLL, and the MCSSADA. The VWA athletic staff teaches sports concepts and the physical aspects of sports for development and safety. Therefore, attendance is required at practices and competitions. In an emergency, an absence must be communicated first with the coach and, if necessary, to the athletic director. Athletes are reminded that they have chosen to be members of a VWA athletic team and to prioritize that team over other outside club teams or activities during the season. Any absences from VWA teams for outside teams are considered unexcused. An athlete must be in school by 10:15 AM to participate in a practice or contest that afternoon, except for extenuating circumstances, which the athletic director must approve. Athletes who leave school during the day for an excused reason and return within 3 hours are permitted to participate that day. Athletes who miss three or more school hours cannot participate in sports that day except for extenuating circumstances. They must have approval from the athletic director to participate. If an athlete cannot participate in Physical Education class due to an injury, illness, or nurse's office visit, she will not be permitted to participate in or attend a practice or contest that day. Athletes are reminded to prioritize academics and maintain their academic responsibilities while participating in athletics. Student-athletes who neglect their academic responsibilities may be subject to a leave of absence from a team. During this time, the athlete is not to attend any athletic events but is encouraged to focus on improving her academics.

41

No-Contact Period There is a no-contact period for athletes, two weeks immediately before the official start of the fall preseason. The dates are announced annually by the Athletic Department and are posted on the athletic schedule on the school website. No practices, conditioning sessions, or team runs will be held during this time, mandatory or otherwise. We suggest using this time for trips, such as visiting colleges, family vacations, etc. We appreciate it when families schedule trips outside a student-athlete's participation season.

Schedules and Directions Schedules and directions are available through the school website at www.villawalsh.org or directly on www.nwjerseyac.com by clicking Villa Walsh Academy. Parents, athletes, and fans are encouraged to sign up for notifications via the notify me option for schedules and changes via email and text. The schedules and directions are updated often.

Transportation VWA provides transportation to all athletic contests or offsite practices except morning swim practices. Athletes are prohibited from driving to offsite events except for early morning swim practices. Athletes can leave an away event with a parent after the parent signs her out with the coach. A note signed by the parent is required if an athlete will be leaving with an adult other than a parent ahead of time and given to the coach.

Participation The number of team members in a sport is limited to individual sport specifications. Therefore, it may be necessary to cut players from a team. The coaching staff and the Athletic Director will decide on the final number of players. This number may vary from year to year. The coach will set expectations and criteria for team members at the preseason sign-up meeting. Athletes are encouraged to speak directly with a coach about conflicts, strengths, and weaknesses. A meeting with the athlete, coach, and Athletic Director may be scheduled if an athlete wants to discuss the issue further.

42

Equipment and Uniforms Equipment, uniforms, and warm-ups are sport-specific and are issued to the VWA athlete, who is responsible for caring for all items during the season. The athlete is responsible for returning all issued equipment and uniforms in acceptable condition by the last meeting of the season. The student-athlete will be charged for replacing any equipment not returned within one week of the end of the season. She will serve detention if a uniform replacement has not been received. An athlete will not receive grades or be permitted to start the next sports season until all issued items have been returned. Because some equipment is individualized, such as a swimsuit or tennis racket, the athletic department does not supply them. Student-athletes will order the Villa Walsh Athletic sweatshirt and sweatpants through the online store each season. This sweat outfit is the only acceptable sports outfit to wear to school on competition days. A demerit will be given if a student-athlete is out of uniform. If additional team members refuse to follow this policy, the privilege may be taken away from the entire team.

Team Orders The Athletic Director must preapprove all clothing with the Villa Walsh logo or name before it is ordered. All clothing must be in school colors—forest green and white or light gray. If a highlight color is to be used, athletic gold will be used. Black is not a color used for items at VWA. All orders using the VW logo or school name, including parent donations and Senior Day gifts, must be pre-approved by the Athletic Director.

Game Day Dress to School Athletes are permitted to wear their Villa Walsh Athletics sweat outfits on competition days only. Team wear is worn only on tag days and is not to be worn as a part of the school uniform or on competition days. Jackets, including VWA Varsity jackets, are not permitted to be worn in the classroom and are not part of the school or athletic uniform. Student-athletes wearing jackets of any kind, including varsity jackets, in the classroom will be given a demerit. Athletes or teams not adhering to this policy may lose this privilege.

Personal Belongings The corridor outside the PE Office and the SDLAC foyer must be clear of personal items, as they are a safety hazard to the visitors and residents of Villa Walsh. During practices and physical education classes, backpacks, sports bags, and other personal belongings will be placed in the PE locker room, SDLAC Study Room, second-floor Yoga Room, or team locker rooms.

Guidelines for NCAA Signing Days 2025 - 2026 To celebrate our student-athletes who will be continuing their academic careers in college, VWA has established guidelines for signing days. We will align our dates with the official NCAA signing periods and coordinate with the National Letter of Intent (NLI) program. The NLI is a binding agreement between the studentathlete and a Division I or Division II academic institution offering the studentathlete financial aid. VWA will celebrate with Division III athletes planning on continuing their careers in college with a celebratory signing day. VWA will celebrate with student-athletes who choose to participate in a sport offered at VWA or with those students who participate in a sport VWA does not offer, such as equestrian. The athletic director will share photographs of the signing day and information with local media and school social media. Student-athletes planning to continue their athletic careers in college should let the athletic director know as soon as the NLI has been made available or the student has been admitted to the institution.

Team Celebrations and Awards Ceremonies Sports teams will be honored with a celebration after their seasons are over. The celebration may be held on or off-campus and will be approved by the Athletic Director before plans are announced. Individual and team awards will be announced at the celebration. Booster Team Parents may be asked to help organize donations and plans for the celebration. Senior and major athletic awards will be presented at the annual Senior Awards Ceremony held on the first Friday of June. Awards may include: Individual team/sports-specific awards. Varsity team members are eligible to receive a varsity letter if the athlete participates in a minimum of fifty percent of contests or at the coaching staff’s discretion. A bar pin will be given for the second, third, and fourth years of varsity play. Junior Varsity team members will receive a JV certificate for the second and third years of JV play. JV team members not fulfilling all requirements will receive a certificate of general participation. Freshmen and Middle School team members will receive a certificate of participation. Athletic Awards will be presented at the annual Senior Awards Ceremony. Those awards include the MCSSADA Scholar-Athlete, NJSIAA Scholar-Athlete, Northwest Jersey Athletic Conference Scholar- Athlete, Villa Walsh ScholarAthlete, and VWA special awards.

Captains Student-athletes chosen as team captains will recognize the title as an honor and a responsibility. Captains may be elected by teammates or selected by coaches. Teams may choose captains at the end of a season or the start of the next season. Captains will assume responsibilities including, but not limited to: Being a member of the Athletic Leadership Council and attending meetings, service events, and workshops Follow sports policies and captain contracts Clear communication Leadership on and off the field Organizing team orders for sportswear along with the coach and the Athletic Director Service as a group

Athletic Booster Club All Villa Walsh Academy parents belong to the Athletic Booster Club. The Club meets monthly in the SDLAC Study Room at 7:00 PM or 8:00 AM. Dates are posted on the VWA website. All parents are welcome to attend. The Club supports the athletic department through activities such as Septemberfest, Aprilfest, and the annual Dinner and Golf Fundraiser and encourages and welcomes parent participation on any level.

Athletic Department Communication Policy To ensure effective communication regarding athletics, refer to the following guidelines: 1. Communication Responsibilities of the Coach Philosophy Expectations and goals Location and times of all practices and contests via the school scheduling site Provide a safe environment for training and competition. Team requirements Procedures to be followed in case of injury Team rules, guidelines, and consequences for infractions Award criteria Athlete behavior

45

2. Communication Responsibilities of the Athletes/Parents Advance notice of schedule conflicts Notice of illness/injury and a return to play note from physician if one has been seen Concerns a. Appropriate Concerns - Treatment of athletes - Athlete behavior - Suggestions for athletic improvement b. Inappropriate Concerns - Playing time - Team strategy - Play calling - Other student-athletes 3. Protocol to Address Concerns Contact the coach via VWA email to arrange an appointment. If the coach cannot be reached, contact the Athletic Director, and a meeting will be arranged for you. Please do not attempt to confront a coach before or after a contest or practice. These can be emotional times for both the parent and the coach. Meetings of this nature usually do not promote favorable resolutions. Please wait 24 hours and then reassess the situation; if concerns remain, please contact the coach to discuss. If a satisfactory resolution is not reached, make an appointment with the Athletic Director to discuss the situation.

Parent Code of Conduct Sportsmanship is a paramount at Villa Walsh Academy and is expected by all coaches, athletes, parents, and spectators at home and away competitions. Be realistic about physical and athletic ability. Help athletes set realistic goals. Emphasize performance and effort, not winning. Control emotions at games and events. Positively cheer for the team. Respect all coaches. Be a positive role model.

VILLA WALSH ACADEMY COMMUNITY AND TRADITIONS Welcome to Villa Walsh Academy! I am thrilled to welcome you to the upcoming school year. I am especially excited to reconnect with the returning members of our community and to meet the new students and their parents. After a long period of adjustment due to the pandemic, it is truly wonderful to get “back to normal” and enjoy the rich traditions and events that make Villa Walsh Academy truly special, as each event is designed to support our daughters and build a strong community. This year, my focus is to build our Villa Walsh Academy Parent Community. As Volunteer Coordinator, I wish to build a strong, supportive, vibrant, faith-filled community of volunteers to spearhead the wonderful events and activities that Villa Walsh Academy offers our daughters. With this in mind, this portion of the handbook details the yearly VWA traditions and events, complete with dates and volunteer requests. Please keep this booklet handy throughout the year, as it will become a trusty guide to which you will refer often. Community building occurs when we, as parents, volunteer to help out at the various activities offered throughout the school year. Many events are run by the HSA, with some organized by a particular grade. All events need a number of volunteers. School wide events bring together parents of all grades, while the events organized by a particular grade allow parental friendships to form within a particular class. Either way, we create memories when we work together for a common goal - our daughters! As the saying goes, “Many hands make light work!”. After you read through the offerings of the coming year, please let me know where your gifts and talents may be best utilized by placing a check beside the events on the Volunteer Form you receive. Return the form to the office in an envelope marked “Attention Colleen Coffey, HSA Volunteer Coordinator.”

See you soon! Colleen Coffey HSA Volunteer Coordinator mcdc1988bc@gmail.com
