Preface

The purpose of this brochure is to present information that may be useful to prospective and registered students when furthering their studies at the Faculty of Veterinary Science. Students are expected to familiarise themselves with the information contained in, but not limited to, this brochure. ClickUP

ClickUP is the online learning management system of the University of Pretoria and acts as a virtual classroom. Since ClickUP is the official means through which lecturers communicate with all students, students must visit ClickUP regularly.

Applications, registration and fees

Applications

For master’s and doctoral studies: The closing date for International students is 31 August and for local students 30 September.

Application for admission can be done online. Progress of the admission process can be tracked online.

Registration

Students must apply at the Faculty of Veterinary Science in the year prior to the year of registration, taking into account the deadlines set for applications. Once the application is successful and a student has been admitted, registration will only take place in January of the following year. The online registration process will only be available if a student has paid registration fees, the online contract has been completed and international requirements met.

Please note that the registration should be renewed at the beginning of each consecutive year, until the degree is awarded.

After successful registration, students will have access to Student On-line Services via the UP Portal. Student On-line Services allow students to view their registered subjects, account status, payment history, academic records, and on-line results.

Late registrations will only be considered in exceptional circumstances.

Fees (tuition and other costs)

NOTE

Tuition and residence fees are determined annually, but are subject to escalation. UP scholarships and loans are also determined annually and are subject to change. The University of Pretoria reserves the right to amend, without prior notice, tuition, meals and accommodation fees payable.

Tuition fees are published on the University’s website and the onus is on students to avail themselves of the correct information as published from time to time.

Take note of the applicable year for which any fee and related regulation is indicated.

All postgraduate students

The initial payment for registration and re-registration for current and new students will be R7 500 for 2017.

There is no difference in tuition fees for part-time and full-time studies.

Interuption/leave of absence during studies

No interruption may occur in a postgraduate student’s registration for a postgraduate study programme. The student has to register every year even if he/she requires a leave of absence for that year. Students who are in exceptional cases granted a period of leave of absence, will be levied the annual registration fee for the year during which they are absent.

Termination of studies

Should a student completely terminate his/her studies before completion, a partial refund of the tuition fees for that year will be granted within the date parameters specified in the table Discontinuation of Studies in this brochure. Written notice must be given to SSC as soon as possible to prevent unnecessary fees.

On discontinuation of studies, all outstanding fees become due immediately.

Additional modules

Should a postgraduate student choose to take additional modules that are not part of the prescribed curriculum, he/she will pay the applicable module fee for those modules in addition to the prescribed curriculum costs.

General fee information

Once a student has registered, his/her personal and own specific student account details can be found on the UP Student Portal (Student Centre).

If you are a first-time user of the UP Student Portal, go to https://www.up.ac.za/portal and click on New User. Enter your student number as username. Type in your ID/passport number and click on Proceed.

If a degree is completed mid-year, AND the student registers for a new degree in the same year, the relevant fees for the new degree are payable immediately on registration. This is because ALL FEES that are not fully paid by the end of July are deemed as outstanding and will result in the student’s progress results being blocked for the previous degree passed and the new degree. The graduation certificate of the degree just completed will also be withheld even if that degree’s fees are paid in full, but the complete student account is not paid in full.

Discount for early payment

Fees paid by bursaries

Ensure that you are aware of the conditions and value of your bursary as bursaries may or may not cover the full amount of your study costs

Payable at least five days before registration

Student account is payable as follows:

• half (50%) before 30 April

• in full (100%) before 31 July

A discount of 2,5% is granted if the student account is paid in full (100%) by 30 April

External companies or other institutions that sponsor students with bursaries need to make the required payments to students’ accounts by the same due dates as if the students were paying the accounts themselves

First year in 2014 (or previous years)

• This levy is fully refundable if paid and the student does not register. In that case, please request a refund at the cashiers

• Foreign students must have a valid study permit

• This levy is fully refundable if the student does not register.

• Fees are payable in advance. It is however permissible to pay fees in three instalments

• Accounts are available on the UP Portal (Student Centre) after registration

• Discount on own payments only

• UP bursaries and waivers are excluded

• Students must submit written proof from the sponsor of the bursary awarded to them prior to registration, otherwise the registration fee will be payable by the student

• The final decision regarding the acceptability of a bursary letter rests with the University

• A student remains responsible for his/her student account if his/her bursary sponsor does not pay

If the study was commenced in 2014 or earlier, the applicable tuition fee is for the first year.

In subsequent years (except where otherwise indicated), only a re-registration fee will be levied for the prescribed period. In 2017 this re-registration fee is R7 500.

First year in 2015/2016/2017

If the studies commence in 2015/2016/2017, the annual tuition fee will be levied. The annual tuition fee for MSc is R14 000 and R15 000 for PhD for each year of registration (which will be subject to annual increases)

A registration fee, which is an initial payment towards the tuition fee, is payable before registration each year. In 2017 this registration fee is R7 500.

Always quote your student number (u00000000) when making a payment.

Allow at least five working days for processing by your bank and retain the proof of payment (deposit slip).

Do NOT fax your deposit slip to UP, unless specifically requested to do so.

Absa online banking page: see www.up.ac.za for help on setting up online banking. Search with UNI as beneficiary and select Students option. This will reflect the University of Pretoria’s bank account number and will allow you to use your student number as reference.

Refunds on accounts

If the source of the credit on your account is due to your own payments, then a refund may be requested at any time.

However, if the source of the credit balance is due to a bursary, then refunds on a student account will only be paid out if such payment is in accordance with the rules of your bursary.

Complete the refund/bursary pay-out form available at SSC.

International students

International levy

The international levy for 2017 is R2 700.

This international levy is payable annually by all nonSouth African citizens, as well as students who are citizens of SADC countries. This amount is payable in addition to the registration fee.

Asylum seekers, refugees and diplomats stationed in South Africa, as well as permanent residents of South Africa only, are exempt from paying the international levy.

Medical aid for international students

All non-South African citizens, including students who are citizens from SADC countries, need to comply with the visa regulation as determined by the Immigration Act (Act 3 of 2007).

Regulation 12(1) (f) stipulates the following: The University requires that the medical aid cover be valid for the full academic year for which you seek registration (January to December). Regardless of whether students are in the country or not (postgraduates), medical cover is required for the full duration that the Study Visa is issued. This does not apply to those on Visitor Visas, Asylum Seekers, Refugees or Diplomats.

Take note: Although you may, with another international insurance or medical product, secure a study visa from a South African visa issuing authority, the University of Pretoria, in accordance with the Immigration Act, does not recognise such medical cover for registration purposes.

Momentum Health offers weekly consultation sessions at the International Students Division Office of the SSC on the Hatfield Campus. Students can join Momentum Health or Bestmed Medical Scheme (see table below) online.

Registration

Student Administration will assist with any postgraduate queries related to registration.

Getting

started

(upon completion of registration)

1. Faculty access

■ Student card: Student cards can be collected at the SSC in the Lesedi complex, north or to the right of the Arnold Theiler building. Proof of registration is required.

■ Parking disc: Apply at SSC in the Lesedi complex and also collect discs there. Applications can also be completed online and receipt of discs can be acknowledged online too.

2. Library access

A registered student has automatic access to the library which is situated on level four of the Arnold Theiler building.

3. Faculty computer lab

This lab is situated on level five of the Arnold Theiler Building. You will only be able to access this lab once your student card has been activated. The computer administration office is situated on the far left hand side of the lab. Present your student card there in order to be set up on the student server. Once your log-in and password are set, you will be able to access both the intranet and internet. Students can also use the printers in this lab at their own cost.

Photocopies can be made at the copier services on level three of the Arnold Theiler building.

Adding and discontinuing modules or study programme

Adding additional modules

Discontinuations, adding or changing modules, should be done at Student Administration.

Regardless of when a module is added, should you decide to later discontinue it, the discontinuation costs will be calculated in accordance with the table below.

Discontinuation of a module

All changes to modules must be done in writing and handed in at Student administration.

Discontinuation of entire study programme

The discontinuation of a study programme must be done in writing and sent to ssc@up.ac.za stating that you wish to discontinue your study programme and provide the reason for your cancellation.

The date on which the University receives your written notification of discontinuation of a study programme will determine the amount you owe the University.

Accommodation

Onderstepoort Campus

We have two types of commune accommodation and bachelor flats:

■ Type A of commune accommodation: The room has a single bed with an en-suite bathroom cubicle facilities but the guest shares the fully furnished kitchen space (fridge, stove, microwave, cutlery, pots, crockery etc.) and we provide linen (blankets, sheets and pillows) plus towels. There is also internet LAN cable connection in the rooms.

■ Type B of commune accommodation: The room has a single bed and the guest share bathroom facilities and the fully furnished kitchen space (fridge, stove, microwave, cutlery, pots, crockery etc.) and we provide line but don’t provide towels. There is no LAN connection available but there is a computer lab and wi-fi access nearby.

■ The bachelor flats accommodation has double beds, fully furnished kitchen area (fridge, stove, microwave, cutlery, pots, crockery etc.), TV set/DStv (in an open plan set-up) and an en-suite bathroom cubicles. We provide linen (blankets, duvet covers, sheets and pillows) plus towels. There is also internet LAN cable connection in the flats.

Additional

A swimming pool, lapa and a gym are available to students as well as the use of sports fields/facilities for soccer, rugby, volleyball, netball, hockey, tennis and squash.

Residence fees

Meals

Students staying in residence must pre-book meals in their residence or they can buy individual food items in the dining hall. Should the initial R14 400 which is billed to your account not be sufficient for the year, further payments will have to be made to provide for additional meals.

Arrival and transport

On arrival, after customs clearance, collecting your luggage and on entering the International Arrivals Hall, just look out for the PS Tours driver with your name board. The driver will be waiting a little to the back of the hall, near the Information Desk.

Please do not leave the airport building and do not accept a lift from any of the freelance shuttle services hanging around. They are very expensive and not reliable. Should you experience problems in locating the driver, you can call Solly Maritz on his mobile phone 082 452 5818 to assist you. Or you can phone the office number +27 (0)12 565 4246

The Postgraduate Student Association or PGSA of the Faculty is available at the following e-mail address, i.e. OP.PGSA@up.ac.za. Please contact them before your arrival so that they can welcome you at the residence or the Faculty.

PS Tours shuttle service will drop you at the residence where you will be welcomed by the organiser or representative from the Department. They will escort you to your room and hand over your keys and give you a quick overview of the facilities.

■ If you need a local SIM card and/or power plug adapter for South Africa, please buy it at OR Tambo.

■ It is advised to withdraw funds or to do a currency exchange at OR Tambo, as cash might be needed in case of an emergency and should you wish to purchase goods.

Summary of Changes to the Immigration Regulations, 2014 under Government Gazette no 37679 in terms of section 7 of the Immigration Act no 13 of 2002, published on 26 May 2014.

Note: In the new regulations the word “Permit” is replaced by the word “Visa”. Permanent Residence permit will remain the same. This distinction is made to make a clear distinction between short-stay visas and long-stay permanent residence permits.

The Postgraduate Student Association (PGSA)

The PGSA is a community of postgraduate students drawn from various nationalities and backgrounds studying at the Onderstepoort Campus. Over the years, the PGSA has grown as the mouthpiece through which postgraduate problems are communicated to the faculty and to assist in case any difficulties arise. The PGSA organizes workshops and training for postgraduate student development, research funding lectures and lots of social activities. Their community engagement program has reached out to different organizations and schools in various ways. The postgraduate student body is always available to help any new postgraduate student who needs assistance in getting started with studies and life at Onderstepoort and to introduce the postgraduate student to the OP community as a whole.
