CULTURE IDEAS ON THE HORIZON
We are rolling out a new volunteer opportunity for our team this year! This is a structured, team-driven initiative designed to give team members the opportunity to step away from their day-to-day responsibilities and engage in meaningful community impact together. While participation can remain optional, it should be strongly encouraged as a way to build connection, strengthen culture, and give back as a team
How to Implement:
Coordinate Volunteer Opportunities: Plan a variety of opportunities across multiple days and time slots. Offer flexible shifts (half-day or a few hours) to make participation accessible while minimizing disruption to daily operations.
Align with Team Leads: Require team members to connect with their team leads before signing up to ensure proper coverage and maintain workflow balance across teams
Create a Centralized Sign-Up System: Use a shared document or online form where participants can easily view options and select their preferred time slots.
Send Clear Calendar Communications: Once sign-ups are finalized, distribute calendar invites with all necessary details date, time, location, expectations, and any preparation required
Provide Flexible Options for Remote Teams: Encourage remote or off-site team members to participate in ways that are meaningful to them, such as volunteering within their local communities or engaging in alternative activities.
Emphasize Engagement and Representation: Set expectations for participants to show up with energy, positivity, and a team-first mindset. Reinforce that they are representing the organization while volunteering
Encourage Connection and Relationship Building: Position the experience as more than just volunteering highlight it as an opportunity to build internal team relationships and connect with the broader community.
Capture and Share the Experience: Incorporate moments like team photos, branded apparel, and light photo/video content to document the week and reinforce company culture
Focus on Simplicity and Purpose: Keep the structure organized yet flexible, ensuring the experience remains meaningful, easy to execute, and impactful for all involved.
Cinco de Mayo Celebration
Celebrate Cinco de Mayo with a fun, team-centered potluck that brings everyone together through food, music, and a festive atmosphere!
How to Implement:
Create a sign-up sheet: Set up a Google Sheet or online form for team members to list what they’re bringing. Organize it by categories like mains, sides, drinks, and desserts to ensure a balanced and diverse potluck.
Send calendar invites and reminders: Share a calendar invite with all event details and the sign-up link Send a few friendly reminders leading up to the celebration to encourage participation and keep it top of mind.
Set up a decorated food station: Create a festive setup with colorful tablecloths, themed tableware, banners, sombreros, maracas, beads, etc. This helps showcase the food and enhances the overall experience.
Curate a fun playlist: Put together an upbeat, festive playlist to play throughout the experiences to keep the energy lively and engaging
End with a margarita cart experience: Have your fun committee bring a margarita cart around to each person’s desk to wrap up the day. Include both traditional options and nonalcoholic choices like Shirley Temples, energy drinks, and dirty sodas so everyone can participate.
Triad Summer Olympics
The Annual Triad Summer Office Olympics & Cornhole Tournament is designed to be a highenergy, team-building experience that encourages connection, friendly competition, and company culture. This year, the format has been updated to bring the entire team together in one shared space and incorporate minute-to-win-it style challenges, which are quick, simple games that rotate teams through activities efficiently and keep engagement high
How to Implement:
Select Games and Format: Choose a variety of minute-to-win-it challenges that are easy to set up, require minimal materials, and can be completed in under a few minutes. Organize teams into rotating groups so all participants move through each station This keeps the flow consistent and ensures everyone participates equally
Prepare Materials and Documentation: To ensure the experience runs smoothly, create and distribute the following in advance:
Team Captain Email: Provide clear instructions on responsibilities, team coordination, and expectations
Office Olympics Schedule: Build a detailed timeline including game rotations, breaks, and transitions
Game Instructions: Outline setup, rules, and scoring for each challenge so they are easy to facilitate
Scorecard Template: Give team captains a simple way to track points and submit results throughout the experience
Incorporate Remote Participation (if applicable): If you have remote team members, provide virtual-friendly versions of select challenges or separate online games so they can participate in real time.
Plan Food and Midday Break: Organize a Patriotic Pizza Party for lunch, supplemented by team-contributed appetizers and desserts. This serves as a natural break in the day and keeps energy levels up.
Organize a Cornhole Tournament: Set up a separate sign-up form in advance for the cornhole tournament Use a bracket system to manage matchups and progression throughout the experience. This can run alongside or following the Olympic challenges. Coordinate Day-Of Execution: Assign volunteers or team leads to manage each game station, keep time, and ensure smooth transitions between rounds. The simplified, fastpaced format helps reduce downtime and keeps things on schedule.
Capture the Experience: If possible, involve a videography or social media team to document the day This content can be used for internal engagement and external recruiting efforts
Prizes & Recognition: Establish clear incentives to encourage participation and celebrate team success:
Award gold, silver, and bronze medals to the top three teams based on total points
Provide gift cards for the overall winning team
Recognize Cornhole Champions with a separate prize
Include a Most Patriotic Dressed Award to encourage team spirit

By keeping the setup simple and intentional, the experience fosters community, appreciation, and memorable shared experiences—laying the foundation for a recurring Triad tradition.

Coordinate Vendors and Equipment: Book food trucks in advance and confirm setup requirements. Secure rental equipment such as seating, lighting, and sound. Ensure all logistics are confirmed ahead of time for a smooth setup.
Prepare for Comfort and Safety: Plan for guest comfort by providing essentials such as outdoor lighting, bug spray, trash receptacles, and clear signage It’s also important to have a weather contingency plan in place in case of rain or other conditions.
