WELCOME Welcome to the Procurement Guide

Natasha Egan Editor Australian Ageing Agenda T: 02 8586 6132 E: negan@intermedia.com.au australianageingagenda.com.au

THE PROCUREMENT GUIDE is a new annual publication showcasing the products and services that can help aged care providers strive and thrive in 2023. The guide is brought to you by leading industry publication Australian Ageing Agenda – which includes a news website, twice-weekly digital newsletter and bi-monthly print magazine. Just like Australian Agenda Agenda aims to keep the sector informed about the news, initiatives and innovations it needs to know, the Procurement Guide aims to connect providers with the suppliers that can assist them with the products and services they need to deliver the quality aged care services they are striving for amid a myriad of challenges. As you all know, the aged care sector is undergoing unprecedented levels of reform in response to the royal commission’s findings, as well as dealing with multiple operational hurdles across the whole business due to

workforce shortages, financial pressures and the ongoing impacts of the pandemic, to name just a few. In recognition of the broad scope of providers’ needs and pressures, this guide covers a range of areas and solutions to meet them. Thank you to all the leading aged care suppliers who have supported this guide as part of their aim to assist aged care providers to meet their requirements and goals. As you can see on the page opposite, this guide is arranged by categories to make navigation easy. If you need to upgrade your systems, improve your service delivery, better manage your workforce or have questions you can’t answer, look inside these pages to see what products and services can help you.

Does your residential home offer a person-centred food model that meets, and excels beyond, compliance?

Investment in a best-practice food model is a sound business decision as it delivers tangible returns in improved resident satisfaction, compliance, health outcomes, and value proposition, thus increasing occupancy and financial returns.

E

mbrayse’s innovative and intuitive residential aged care catering software has been designed to make a person-centred food model a reality rather than an impracticality, thus generating tangible returns on investment in resident wellbeing and financial outcomes.

The case for investment in person-centred catering software Food is a vital contributor to residents’ physical, social, emotional, and spiritual wellbeing. However, food and nutrition are consistently a top complaint issue in residential aged care and has been identified by the aged care royal commission as a top priority concern for immediate attention. The government has provided additional funding and committed to reforms to incentivise providers to improve their food models. This includes an introduction of new mandatory quality indicators to report against critical care areas which food and nutrition can directly impact; review of the Aged Care Quality Standards on measures relating to food delivery and the dining experience; and the publishing of survey outcomes of residential aged care consumers on how they like their food on My Aged Care through the Star Ratings. These new measures will increase scrutiny into the cost and quality of food services and will require providers to invest significantly more resources into gathering, analysing, and reporting on their food and dining models, and demonstrating evidence of resident engagement and continuous improvement. With so many residential homes currently running at a loss, it can be difficult to commit additional resources into improving food models. However, investment in a bestpractice food model is a sound business decision as it delivers tangible returns in improved resident satisfaction, compliance, health outcomes, and value proposition, thus increasing occupancy and financial returns. With the anticipated increase 4

AGED CARE PROCUREMENT GUIDE 2023

in scrutiny and the compliance burden related to food, the greater risk will fall on those who do not invest appropriately on improved person-centred food models.

Excelling beyond compliance with Embrayse Embrayse has engaged with residents and providers across aged care homes to explore best-practice elements that make the real difference in resident satisfaction with food and dining models. In a nutshell, residents are looking for person-centred food and dining models that reflect a genuine and sincere respect and interest for each individual’s needs and preferences for food and drinks that they like, that are familiar to them, and that bring them joy and comfort. Embrayse is a residential aged care catering software that has been designed to enhance the value proposition and compliance of a home by making it quick and easy to capture and customise residents’ every day meal orders, with smart checking against preferences, allergies, intolerances, and other nutritional needs. Embrayse also creates joy and excitement around food, via automated visual menu boards in dining rooms and images of meals on tablet devices when ordering meals. It enables the capture and analysis of feedback and order history for continuous improvement. Our transparent pricing, simple set up process, in-person training and support at your residential facility, and our commitment to making sure Embrayse fits into existing systems and processes have also made it incredibly easy for providers to adopt Embrayse quickly and painlessly. Software that walks the walk The only Australian digital care management platform built by care, for care.

B

eing originally developed for, and continuously developed for, one of Australia’s fastest-growing home care providers, Five Good Friends, the team behind Lookout’s home care management software understands the day-to-day challenges care providers face.

Company background and products/services In 2016, Simon Lockyer and Nathan Betteridge were on a mission to revolutionise home care through home health technologies, as they could see a sector in need of change. They believed that with the right technology, they could make home care more transparent, which would improve the care people were receiving. So they started working on software for the home care industry. But they realised that in order to create the right product, they needed to understand the challenges of home care and ageing well.

...So, they launched their own home care business – Five Good Friends. The concept behind Five Good Friends was to put technology at the centre of home care service delivery. Simon and Nathan wanted the technology to improve the home care experience for not only the care recipient and care worker, but also to improve the day-to-day operational experience for the providers. “When we started Five Good Friends, we found that providing care can sometimes be chaotic. However, we harnessed that chaos and gave people the opportunity to collaborate, draw insights and take action. The result is a streamlined digital care management platform that allows for calm, collaboration and, ultimately, better care,” Simon says. The platform helped spearhead Five Good Friends’ success, enabling them to grow whilst providing optimal care. When the word got out about the success of the platform, other providers started inquiring and in 2020 Simon and Nathan made the executive decision to turn the platform into a standalone cloud-based software solution for other home care providers to use.

...Lookout was born! Today, home care providers nationwide rely on Lookout to manage the demands of home care, grow their business, and enhance client care. 10

AGED CARE PROCUREMENT GUIDE 2023

Being an all-in-one care management software solution, it has everything a home care organisation needs to operate at the top of its game. Lookout is used to connect all departments within a care organisation, and also connect care teams, to workers, and to clients – providing the much-needed transparency and collaboration required for the dispersed operation of home care. Some of the great features and benefits you’ll find within Lookout include: • Rostering, scheduling and remote care workforce management functionality, • A central platform where all aspects of a person’s care can be monitored, • A communication tool between family members, support workers and home care staff, • A number of tools to support better compliance and decision-making, and • A finance platform to track Home Care Package and CHSP claims, client statements and unspent funds. Today, Lookout continues to empower Five Good Friends’ business, and the first-hand learnings gained from Five Good Friends are used to improve the Lookout platform continuously. “The great news is, when other home care providers choose to run their operations with Lookout, they too benefit from the applied-hand learnings we gain from Five Good Friends… as we turn these learnings into solutions within Lookout,” Nathan says. It’s the first-hand applied knowledge from running Five Good Friends that makes the Lookout platform such an intuitive and beneficial solution for care providers, ” Nathan says. “Because we run a care organisation, we don’t see ourselves as a software vendor. We see ourselves as an industry partner who is highly invested in the success of Five Good Friends and other care providers who use Lookout. The applied knowledge we have allows us to respond quickly to the industry’s everchanging demands and regulatory requirements, and create simplified solutions within Lookout which brings calmness and confidence to providers, workers and clients who rely upon the platform. I guess you can say, we have skin in the game and this helps us develop better solutions,” Simon says. To explore how Lookout can help empower your home care business, head to thelookoutway.com n

MIRUS AUSTRALIA

How AN-ACC will change the future of rostering Mirus Australia provides consulting services and software solutions to help aged care providers attract more residents, gain control over workforce costs and rosters, and get the highest funding you’re entitled to for the care that you provide.

O

ne of the recommendations from the Royal Commission into Aged Care Quality and Safety was to introduce star ratings which includes a component for minimum care minutes directly correlated with AN-ACC classifications, as well as a rating across three other sub-categories: • quality indicators, • compliance ratings, and • consumer experience. The new minimum staffing standard has three requirements which will need to be reported from October 2022 (mandatory October 2023): 1. Residents will need to receive an average of 200 minutes direct care per day. This will be case mix adjusted based on the AN-ACC ratings of all residents. 2. At least 40 minutes of this care must be provided by a registered nurse. 3. Each day, a registered nurse must be on site for morning and afternoon shifts. Case mix adjusted means a facility with a higher-thanaverage acuity – determined by their AN-ACC case mix – will have a higher minimum staff time requirement than a facility with lower average acuity. Reporting on care minutes will be quarterly and this means a proactive approach to roster planning as well as tracking performance in real-time will be critical to avoid surprises in the reporting.

standard every day? What changes might need to be made to make up any difference? Daily: Predictive time and cost tracking 1. Determine staff time standard for each site Export resident AN-ACC classification data from Medicare and calculate the case mix adjusted minimum staff time. 2. Export actual direct care hours Direct care time includes carers, enrolled and registered nurses. Allied health is currently excluded. Will you meet your daily requirements for the roster period? 3. Determine current and forecast cost of roster Apply the relevant penalty rates, loadings and allowances to calculate the cost of the roster. Will you stay on budget this period? If not, what changes could be made?

Rostering software built with all this in mind Aged care providers need a rostering platform that includes flexible, scenario-based planning tools that integrates with Medicare. Mirus Works! has been built with this in mind and includes a native integration with Medicare. Track care minutes in real-time

Preparing for the future of rostering Aged Care providers can take a compliance, responsive or – with real-time insights – proactive approach as they prepare for the changes. Quarterly: Compliance review and planning 1. Compare performance to annual budget. Has demand been higher or lower than anticipated? Have you included enough head room to allow for leave, sickness, and administrative time? 2. Review acuity and strategically plan for changes Analyse the profile of new admissions and discharges. Your rostering templates may need to be updated so they can be quickly deployed. 3. Submit quarterly Aged Care Financial Reporting A report exported from your rostering software needs to show total care minutes for staff in direct care roles and confirm that a registered nurse was rostered for all morning and afternoon shifts. Fortnightly: Responsive roster planning 1. In-depth cost review Did the roster go to plan financially? How can any negative variance be avoided next pay period? 2. Respond to changes in acuity Review prospective resident waitlist to understand the potential impact on your minimum staff time. You may require a different rostering template. 3. Review compliance to minimum staff time Were you able to meet or exceed the required minimum 14

HUR AUSTRALIA

A trusted partner with a proven pedigree HUR Australia is the technology leader of equipment for senior exercise, rehabilitation and wellness.

C

hoosing the right equipment for a seniors’ gym is a responsibility to be taken seriously. Making the wrong choice will likely lead to an underused gym which serves neither the interests of your clients or your business. Thousands of retirement and residential facilities have found that providing true, age-appropriate equipment creates a gym which is an asset to the facility. One such example is The Henley on Broadwater retirement resort in Queensland. Here, traditional equipment was replaced with smart HUR strength training pieces in an effort to boost usage. What was once an intimidating, uninviting space used by less than 10 per cent of residents was rapidly transformed into a thriving social space with 90 per cent of residents regularly attending, most of whom had never previously set foot in a gym. The result for the business was dramatic, with residents’ word-of-mouth replacing the need for marketing activities and the ability to be more selective in choosing future residents. The HUR equipment range includes 21 strength training pieces, including 10 pieces suitable for wheelchair users, multifunction equipment for small spaces, a range of balance platforms and testing equipment, functional training pieces, age-appropriate cardio equipment and software for incorporating non-HUR exercises into a training program. HUR started life as Helsinki University Research and has worked closely with the academic community for over 30 years to develop fit-for-purpose exercise equipment for seniors. Continuous collaboration has led to the establishment of an extensive database of exercise protocols for a range of medical conditions (hypertension, falls prevention, hip and knee, cardiac rehab and diabetes) using international bestpractice benchmarking. This database is available for all to use, free of charge. Research in Australia has included the MUAD (Muscling Up Against Disability) study led by Dr Tim Henwood of Southern Cross Care and the SUNBEAM falls prevention study led by Dr Jenny Hewitt of Sydney University. So, what are the features that make HUR equipment the ideal fitness equipment for aged care and retirement living? 22

AGED CARE PROCUREMENT GUIDE 2023

Air resistance HUR utilizes air cylinders safely hidden away in the frames of the equipment connected to a near-silent air compressor for generating the resistance needed for strength training. This enables the benefit of smooth and consistent resistance across the range of motion, which reduces stresses on joints and tissues which is especially important for seniors. With air resistance starting loads can be near-zero and increments can be as low as 100 grams. This means even the frailest can start exercising and can make improvements safely.

Computer control HUR SmartTouch allows for fully automated and independent exercising, meaning that once set up, there is no need for the user to adjust the seat and lever arm positions, nor the resistance or repetitions. Once a user ‘taps-on’ to a piece of equipment everything is automatically prepared for them, including their individualised exercise program. With the SmartTouch technology, users don’t need to worry about setting up the equipment before each use, allowing them to use the equipment with confidence and ease.

Safety features Range limiters prevent hyperextension and allow for people of all abilities to comfortably and safely use our equipment. Extra hand grips allow for easy entry and exiting the equipment. Integrated neck cushions encourage clients to sit correctly on the seat and thereby exercise the correct muscle groups. Isometric sensor points allow for accurate assessments of clients prior to setting up exercise plans. Independent left and right levers for legs and arms allow for limb-specific strengthening. And don’t forget, the use of air cylinders rather than weights is the biggest safety feature of all. For the wellbeing of your residents and a gym which is an asset to your village the HUR Equipment is the obvious choice, whether for retirement living, aged care or for a 50+ community gym. n

F

ood Solutions specialises in aged and community care and has been in operation since 2003. We are unique in our service offering with a balanced focus on clinical and food services. With food as one of the largest complaints and most talked about topics in aged care, we work with facilities from the ground up, providing support with foodservice systems and processes as well as our comprehensive clinical service. Our programs and level of experience are second to none with our focus on the quality standards to optimise the lives for our residents. Dysphagia (difficulty swallowing), affects up to 70 per cent of residents in residential care. Poor management of dysphagia can result in residents facing potentially life-threatening consequences, as well as contributing to a reduced quality of life. After falls, choking is reported to be the second highest cause of preventable death within residential aged care facilities. It is essential for all aged care facilities to have access to an experienced aged care speech pathologist to support dysphagia management and staff training. Residents experiencing swallowing difficulties are at higher risk of malnutrition and therefore access to dietetic services is essential. Malnutrition affects up to 60 per cent of residents in aged care facilities. The cost of caring for a resident with malnutrition is not only significantly higher and more 26

demanding on our health system, but it also results in a reduced quality of life for residents. Our “Food by Design” program is the ultimate go to program for residential aged care offering a personalised, holistic program designed to optimise your aged care facility’s food, nutrition and dining experience. Our program offers, but is not limited to: • Menu audit and report with food first approach • International Dysphagia Diet Standardisation Initiative (IDDSI) audit and training • Dining and mealtime experience assessments • Supplement audit and streamlining • Safe swallowing training • Dementia support • Nutrition management training for chefs and food services staff • Onboarding training and recruitment support. Optimal nutrition and hydration management in aged care is multifactorial and multilayered. Food Solutions is well placed to provide assistance with processes and systems to support the individual needs of the aged care facility or entire group. Washing machines and dryers from the new Benchmark Generation: striking the perfect balance Thanks to an intuitive interface, customisable special-purpose programs and optimised application technology, Benchmark Machines strike a perfect balance, ideally combining cleaning performance, user safety and cost-efficiency.

T

The new Benchmark washing machines hanks to Miele’s proverbial quality, Benchmark washing machines are designed to perform to perfection for over 30,000 hours of operation. Intuitive controls and individual settings streamline processes and offer maximum security for users. Program packages with short cycles specifically designed to deal with standard and specialpurpose applications produce excellent results whilst using resources sparingly. Combining digital interfaces and new technologies, Benchmark is the perfectly balanced solution for large loads and multiple cycles per day.

The new Benchmark dryers Even after 20,000 hours of constant strain, Benchmark dryers still achieve drying times which are close to the physical limit – without compromising the first-class care of fabrics. Alongside the new controls and the smart interfaces, it’s patented systems such as AirRecycling Flex and PerfectDry and robust, maintenance-free technology ensures spot-on drying and sets new standards in terms of cycle times, the gentle care of laundry and low energy consumption.

Highlights Safe disinfection • Disinfection programs ensure reliable levels of hygiene. For reliable cleaning results and maximum hygiene, the temperature of the washing water is monitored constantly. Economical and efficient • Miele Professional commercial laundry machines excel in terms of extremely low consumption and are acclaimed for maximum efficiency. Short washing and drying cycles • The shortest cycle on Performance Plus washing machines use a mere 5.9 litres of water per kilogram of laundry and is finished after only 42 minutes. Residual moisture is only 44 per cent, saving valuable resources in the subsequent drying process. Heat-pump technology • The new Benchmark heat-pump dryers operate at low process air temperatures in a closed circuit without any vent ducting. Instead, waste heat is recuperated with the aid of heat exchangers. This sophisticated technology ensures the 32

AGED CARE PROCUREMENT GUIDE 2023

gentle drying of all textiles – cutting energy consumption by approximately 60 per cent compared with comparable conventional electrically heated models. AirRecycling Flex • When it exits the drum, process air still contains plenty of surplus heat. AirRecycling Flex, a world first, utilises this to make drying both more energy-efficient and faster, irrespective of site operating conditions. Intuitive controls • M Touch Pro, M Touch Pro Plus and M Select. The new controls guarantee simplicity and avoid human error. New programming tool • From strict hygiene regulations to delicate fabrics or heavy soiling, the new Benchmark range rises to every challenge. Machine and program details can be browsed and freely adjusted to individual requirements and applications. Design Awards • We are pleased to announce that Miele Professional washing machines (12 – 20 kg) and dryers (14 – 44 kg) from the Benchmark series have received the coveted Red Dot Product Design Award. Alongside the design quality of the products, the jury’s assessment also included such aspects as functionality, sustainability and longevity as well as innovation and ergonomics. The new Benchmark series has also been granted the iF Design Award. The jury’s selection was based on the evaluation criteria of concept, form, function, differentiation and impact. Both awards include the Performance and Performance Plus series in all capacity categories. For more than 120 years, Miele’s guiding principle, ‘Immer Besser’ has set a standard of ‘forever better’ products that combine leading technology, sustainable innovations, genuine craftsmanship and outstanding performance. Our latest range of commercial laundry appliances offer peace of mind with unrivalled innovation. Founded in 1899, Miele is celebrating over 120 years of innovation and is now in the fourth generation of family ownership. n

CULTURAL CHANGE AND LEADERSHIP DEVELOPMENT SPONSORED ARTICLE

Why workplace culture matters

T

Building a sustainable workplace culture has never been more important. Your organisation’s culture has a significant impact on attracting and retaining the RIGHT people.

he culture of a workplace is based on actioning organisational values, not just stating them – values like accountability, integrity, transparency and trust. These values are guiding principles that pinpoint what your organisation believes. They make “the way we do things around here and holding one another accountable” clear to everyone. At its essence, workplace culture comes down to shared and enacted values. • Aligned enacted values When an employee’s enacted values align with their organisation’s workplace values, there is a common purpose. This alignment of enacted values builds relational transparency and trust and supports your mission and purpose. • Unaligned enacted values When enacted values are out of alignment, trust and engagement can be eroded. This can damage working relationships, productivity, creativity and job satisfaction.

Inspyr are the workplace culture experts Inspyr has 20 years of experience in helping organisations build a sustainable, intentional workplace culture. We have both the expertise and the ongoing processes to deliver customised, professional development solutions that inspire and transform. We will partner with you to build a culture of relational transparency and trust to meet the expectations of both seasoned and new employees.

Our proven people-first approach Inspyr’s proven people-first approach recognises that while systems run an organisation, it is people who run the systems. And it is core values that inspire and engage people. Our organisation-wide approach to values-based accountability will set your organisation apart by attracting and retaining motivated people who want to contribute with meaning and purpose.

Team Covenant Culture™ Inspyr’s award-winning Team Covenant Culture™ (TCC) is successful because it is a continuous process which becomes an integrated performance component of your culture, rather than just one or several training events. You will be given the tools, skills and systems needed to build a well-defined values-based culture of relational transparency and trust tied directly to defined behaviour and accountability. 40

The key to our success We’re passionate about developing positive, nurturing workplace cultures because we know they are essential to improving overall performance. A positive, nurturing workplace is successful because: • high-quality potential employees are more likely to apply for a position • your best current staff members are engaged and are more likely to stay.

Our process • Clearly defining organisational values • Practicing respect and individual dignity • Expecting personal individual ownership • Establishing mutual accountability • Coaching for success • Leading through example

Your results • Attracting and retaining great candidates • Fostering workplace engagement • Driving high performance • Encouraging innovation and creativity • Optimising ROI • Maximising your results Employees that are inspired and thriving, or that are disengaged. WORKFORCE MANAGEMENT SPONSORED ARTICLE

HUMANFORCE

From changing employee expectations to new technologies and labour laws, it’s time to rethink workforce management in aged care

A

Humanforce’s vision is to make work easier and life better by focusing on the needs and fulfilment of shift-based (‘deskless’) workers and the efficiency and optimisation of businesses.

n Australian business trusted by more than 1,700 businesses globally, Humanforce’s fully integrated Workforce Management and Payroll solution streamlines onboarding, scheduling, time and attendance, payroll, employee engagement and financial wellbeing. Combining all your timesheets, award interpretation and payroll into one intelligent, cloud-based platform can provide your aged care organisation with significant benefits. Here are just a few.

Transform the employee experience A poor employee experience can lead to disengagement and high employee turnover. From head office to the frontline, our platform delivers a seamless employee experience that will enhance job satisfaction, bolster employee engagement, and ultimately improve care outcomes. Engage teams on any device anywhere, anytime with a simple, intuitive interface, and empower them to easily swap shifts, manage schedules, collaborate, and provide regular feedback.

Attract and retain talent In a candidate-driven market, it’s critical to stand out from the pack. Become an employer of choice and engage deskless team members with mobile-friendly communication channels and provide opportunities for them to give regular feedback. Empower your employees to select and work the shifts that suit their personal circumstances and offer benefits that have a positive impact on their lives, such as earned wage access.

Automate processes to boost productivity Life is complex enough; technology should streamline processes, not add to the admin burden. Humanforce can help you deliver cost-effective, compliant rosters in minutes. Our mobile app and biometric kiosks enable managers to get real-time visibility into time and attendance data. You can also use your own extensive workforce data to predict demand and optimise rosters, check attendance in real-time, and replace noshows instantly. 42

AGED CARE PROCUREMENT GUIDE 2023

Mitigate risk and gain compliance confidence

Our AI-powered platform takes the hassle out of ensuring compliance with labour regulations, all while giving you access to all your critical payroll and workforce management data in one place. Automate award calculations with our Award Interpretation Engine and use our in-depth reports to improve compliance with minimum care minute requirements. Deliver compliant, accurate payroll as an integrated part of the Humanforce suite or connect via API to related platforms.

Make data-driven decisions Your employees are your greatest asset but relying on gut instinct to make important decisions is not ideal. Take the guesswork out of people management with a range of reports, fuelled by real-time analytics. Understand where planned and unplanned costs are occurring and resolve issues before they escalate. Utilise pre-made dashboards to interpret your most critical data or use the custom dashboard builder to highlight what’s most important to your business.

Optimise costs for operational efficiency Effective workforce management is about balancing the operational needs of your business with the needs and wants of your employees – and achieving all that within budget. Humanforce can help ensure you have the right person on the right shift at the right location, being paid the right amount. Manage budget guidelines and P&Ls more effectively, monitor real-time labour costs against planned budgets, and manage demand and make last-minute changes on-the-go. We’re committed to accelerating your time to value.

For more than 20 years, Humanforce has been partnering with Australian organisations to drive engagement for deskless workers and improve business outcomes. We’ll work with you from discovery to deployment so we can understand your business, the results you want to achieve, and the best way of helping you get there.
