BTA INDUSTRY PARTNERS

NEWSLETTER

Dear TMC Member, Welcome to the latest edition of our Partner Newsletter. After a busy couple of months, it’s great to be back from the summer break and looking ahead to an exciting autumn. The BTA team has certainly been keeping busy, working closely with our members and partners, progressing key industry priorities and continuing to represent the needs of the business travel community. We’ve also been preparing a packed programme of upcoming events, sharing the latest developments from our working groups and creating new opportunities for our partners to engage directly with our TMC members. You’ll find a selection of success stories, useful updates and downloadable content throughout this edition, all created with our TMC audience in mind. Our attention is now firmly turning to the BTA Autumn Conference in Costa Blanca. Plans are coming together brilliantly, and I’m really looking forward to seeing many of you there. It’s always a highlight in the calendar and a valuable opportunity to catch up in person, hear what’s happening across the industry and spend time with the people who help make the BTA community what it is. Behind the scenes, plans are also beginning to take shape for the BTA’s 60th anniversary next year. It’s a major milestone for the Association, and we’re looking forward to celebrating it with our members and partners. There’s plenty more to share over the coming months, so watch this space! For now, I hope you enjoy this edition and find lots to share with your teams. Best wishes, Sam BTA Partnership Engagement Manager

Amadeus: travel managers move from operators to orchestrators as AI matures Corporate travel has spent decades running on disconnected systems — one tool to book, another to expense, a third for policy and approvals. A new Amadeus Cytric report, Orchestrating Success, argues that AI is finally dissolving that split, pulling booking, expense, policy and approval into a single orchestration layer. The consequence is less about software and more about people. Once reconciliation, receiptchasing and repetitive policy questions are handled automatically, the travel manager's day changes shape. Instead of administering systems, they weigh whether a trip earns its cost, balance budget against sustainability and traveler wellbeing, and evidence the value travel returns to the business. Amadeus describes the shift as moving from operator to orchestrator, with human judgment doing the deciding and AI doing the legwork. The report maps what is already working and what is close behind. Live today: conversational search and booking, receipt capture, and elements of automated expense support. Next in line: trip intent detection that spots a journey forming in a calendar or inbox, near zero-touch trips where payment and expense flow between connected systems, dynamic policy that adapts to disruption in real time, and carbon impact surfaced at the moment of booking. None of it scales without trust. Amadeus is blunt that governance, data security and duty of care are the foundation rather than the final compliance hurdle, and that programs treating them as an afterthought will stall. The findings draw on primary Amadeus research alongside interviews with travel leaders at the Institute of Travel Management, UBS, Flight Centre Travel Group and Microsoft. The advice to teams still deciding where to begin is deliberately unglamorous: start small, start with a real problem, and let the wins compound. Download here.

Why business travellers are swapping the runway for the railway Business travellers looking to make the best use of their journey time are increasingly choosing rail. With Avanti West Coast offering one of the UK’s most business-friendly ways to travel, it’s easy to understand why. 93% of rail travel time can be productive, compared with just 33% of air travel time. Source: Rail Delivery Group Rail journeys involve fewer interruptions, avoiding time-consuming airport transfers and lengthy security queues. Once onboard, travellers have everything they need to stay productive, including comfortable seating, free WiFi, power sockets and wireless charging. Customers travelling in Standard Premium or First Class also benefit from a guaranteed table and dedicated coaches, providing additional space away from the rest of the train. Rail also offers greater choice and flexibility. On the routes studied by the Rail Delivery Group, up to 61 trains depart each day, compared with up to 29 domestic flights. Trains were also more reliable, with 88% arriving within 15 minutes of schedule, compared with 77% of flights. For business journeys between London and Manchester, rail was found to be significantly faster than air. The total journey took 154 minutes by train, compared with 253 minutes by plane. Travellers also had a choice of up to 61 daily train services, compared with only seven flights. Choosing rail can help businesses meet their environmental commitments too. On average, business travel by train produces 85% fewer emissions per passenger than flying on the routes analysed by the Rail Delivery Group. With electric and bi-mode trains connecting London to major business hubs including Birmingham, Manchester, Liverpool, Glasgow and Edinburgh, Avanti West Coast provides a productive and more sustainable way to travel. Whether working independently, meeting colleagues or preparing for an important event, the journey becomes valuable business time rather than simply time spent getting from A to B.

Rethinking Travel Programme Design for a New Mobility Landscape

Corporate travel is evolving. As traveller expectations shift and mobility ecosystems become more complex, organisations are rethinking how their programmes are designed, not just to guide behaviour, but to enable better journeys. The most effective programmes today are not defined by policy alone, but by how seamlessly they connect people to the right mobility solutions at the right time. When done well, they create an experience travellers actively choose, not one they feel compelled to follow. Designing with Intent in a Changing Mobility Market The mobility landscape is becoming more integrated, more digital, and increasingly shaped by expectations of flexibility and consistency. In this environment, travel programmes must move beyond static rules and embrace a more dynamic approach. This starts with designing around the traveller. Clear standards, reliable availability, and intuitive experiences are no longer “nice to have”, they are fundamental to building trust and driving engagement. When travellers feel supported throughout their journey, adoption follows naturally. The Power of Consistency at Scale As organisations operate across multiple regions, consistency becomes a defining factor in programme success. Travellers expect the same level of clarity and ease, regardless of location. This places greater emphasis on choosing partners who can deliver a dependable, high-quality experience globally. From booking through to journey completion, consistency reduces uncertainty and allows travellers to move with confidence. At a programme level, it creates a stronger foundation for scalability and long-term performance.

Guiding Behaviour Through Experience In a digital-first travel environment, the booking experience is one of the most powerful levers organisations have. The way options are presented, prioritised, and integrated into booking tools plays a critical role in shaping traveller decisions. When the right choices are embedded into the experience: intuitive to find, quick to book, and aligned with programme objectives, compliance becomes almost effortless. From Policy to Purpose The future of travel management lies in alignment where policy, technology and supplier strategy are designed as a connected ecosystem. Organisations that embrace this approach are seeing a shift: from monitoring behaviour to enabling better outcomes; from enforcing compliance to inspiring it. In a rapidly evolving mobility market, success will belong to those who create programmes that are not only well-structured, but genuinely travellercentric, designed to deliver clarity, consistency and confidence at every stage of the journey.

THE COST OF A CITY-TO-CITY JOURNEY IS CHEAPER BY RAIL More sustainable…Faster…more flexible Clearing the Air report challenges the assumption that flying is always the best option for long-distance domestic travel. New independent research commissioned by RDG found that rail passengers save, on average, 71% compared with flying and gain around three additional hours of productive time per journey. The study, which compared rail and air travel across seven key routes in Great Britain, also found rail to be the greener choice, producing 85% fewer emissions on average. Beyond cost and sustainability, rail offers greater flexibility and reliability, with more frequent services and higher punctuality rates. With 60% of travellers saying they would consider taking the train instead of flying, the findings provide a compelling case for choosing rail, showing it can be cheaper, more productive and better for the environment, while remaining highly competitive on journey times for many major routes. RDG & BTA RAIL ADVISORY PANEL

July saw the kick off of the inaugural BTA Rail Advisory Panel at Rail Delivery Group’s London offices. Bringing together leaders from across the rail and business travel sectors, the panel creates a collaborative forum to share insight, align priorities, and shape solutions that better meet the needs of business travellers. Representatives from RDG, BTA, Clarity, CTM, Amex GBT, Navan/Reed & Mackay, and INNTEL took part in more than three hours of open and constructive discussion. Topics included key industry updates, shared priorities across rail and travel management companies, and opportunities to better align rail with evolving business travel needs. As the industry navigates rail reform and the transition to Great British Railways, the Panel will provide an important platform for ongoing collaboration. A fantastic first session, full of energy, insight, and a shared commitment to driving positive change.

ACCESSIBILITY FRONT AND CENTRE WITH BSL TRAINING - TransPennine Express is investing in more inclusive travel, with over 70 frontline colleagues already trained in basic British Sign Language (BSL) to better support deaf and hearing-impaired customers. Conductors and customer-facing teams are learning essential railway terminology, everyday conversations, and deaf awareness skills to help break down communication barriers and improve the customer experience. With one in three UK adults affected by deafness, hearing loss or tinnitus, this initiative demonstrates TPE’s commitment to accessible, customer-focused rail travel. Delivered in partnership with Deafero5, the voluntary programme has been so popular that a further 90 training places are being made available. For business travellers, the initiative highlights how the rail industry is enhancing accessibility, inclusivity, and confidence in rail as a seamless and welcoming mode of transport for all passengers. NEW STATIONS - faster journeys and better connections backed by £63 million of Government investment, work is now underway to restore passenger rail services between Portishead and Bristol for the first time in more than 60 years. The project will reinstate the Portishead line, deliver two new stations, and reconnect over 50,000 people to the rail network. Set to open in Winter 2028/29, the new service will provide direct journeys to Bristol Temple Meads in around 25 minutes, less than half the time a rush-hour car journey can take. For business travellers, the scheme promises faster, more reliable access to Bristol, reduced road congestion, and improved regional connectivity. The investment supports economic growth, sustainable travel, and greater choice for commuters and corporate travellers across North Somerset and the wider South West. Read more here…

New Sabre industry study finds travel companies making next AI moves amid maneuvering macroeconomic 'fog' Even as global economic and geopolitical uncertainty persists, travel companies are not standing still. New research from travel technology leader Sabre finds that most executives are sharpening, not abandoning, their AI and modernization priorities, with 27% accelerating investment and a further 41% protecting existing roadmaps. Only 17% are curbing modernization spend, suggesting the dominant response is disciplined movement through uncertainty rather than retreat. The findings come from Compass: Navigating the Fog, a Sabre report combining independent macroeconomic analysis from Cantor Fitzgerald with proprietary survey data from more than 140 airline, agency and hotel executives. Investment is also flowing into stabilizing the business — 70% into workforce tools and workflows, 63% into cost reduction and automation. Geopolitical instability is the top concern, cited by three-quarters of respondents, but it plays out differently by sector — route uncertainty for airlines, shifting booking patterns for agencies, and pressure on group business for hotels. Despite this, two-thirds of executives (66%) remain confident about the next 12 months, rising to 73% among travel agencies. "This is not a sign that the industry has given up on AI as a growth lever," said Shawn Williams, Executive Vice President and Chief Operating Officer, Sabre. "It reflects something more practical. Companies aren't abandoning their roadmaps; they're making sharper decisions about which investments can deliver value right now, sequencing the larger, enterprise-wide initiatives to follow." The report outlines five near-term moves to protect revenue without long implementation timelines: • Guarding margin before someone else takes it • Keeping already-won bookings from falling apart at checkout • Making up to $3.40 per booking with one payment change • Handling more volume without adding headcount • Seeing market shifts before they turn into guesswork The full report, including Cantor Fitzgerald's analysis and complete survey findings, is available at sabre.com/resources/research/the-fog.

A busy September with the BTA We're kicking off the quarter with two collaborations with the BTA. First, Carolyn Booth and Luke Hills joined BTA CEO Clive Wratten on the "In Conversation With..." podcast. The conversation focused on Spain's rail market since liberalisation in 2021: how the entry of new operators has changed pricing and choice for travellers, and how the booking experience has evolved alongside that competition. It's a candid look at what happens when a single-operator rail market opens up, and what it means for the way corporate travel programmes plan and book rail journeys in Spain. Read our key takeaways.

Second, later this month we'll be at the BTA Autumn Conference in Benidorm (27–29 September), where Liz Hegan will be joining the panel discussion "Let's Make Distribution Work." The session brings together suppliers, TMCs and buyers to talk about how rail distribution is evolving, and the opportunities ahead for making it work better for everyone in the chain. We're looking forward to catching up with BTA members at the conference. Come and speak to us about rail distribution!

Atriis Global Shared Services recognised in the 2026 Tech Hotlist Atriis Global Shared Services (GSS) was recently selected for The Business Travel Magazine’s Tech Hotlist 2026, recognising its innovative approach to managing global travel programmes. For many multinational organisations, consolidating travel globally can mean choosing between one large provider or managing a fragmented network of regional TMCs, technologies and data sources. GSS offers another way. Through a single Atriis environment, multiple TMCs can work together to support one global corporate travel programme. The corporate client benefits from one login, consistent travel policies, consolidated reporting and greater visibility across markets, while continuing to receive the local expertise and personalised service of trusted regional TMC partners. For TMCs, this creates an opportunity to remain at the heart of the client relationship while collaborating with partners in other

regions. It enables independent and mid-sized TMCs to extend their geographical reach, strengthen their global capabilities and compete for multinational opportunities without sacrificing their individual identity or service proposition. Each participating TMC can service its own market using local content, currencies and expertise, while the corporate customer receives a connected and consistent experience across its entire programme. Atriis GSS demonstrates that global consolidation does not have to mean replacing valuable local relationships. Instead, technology can bring those relationships together, giving corporates the consistency they need and TMCs the opportunity to grow collaboratively. As Cathay Pacific celebrates its 80th anniversary this month, our focus remains firmly on connecting people and businesses to the places where opportunity is growing. Nowhere is this more relevant than the Greater Bay Area (GBA), one of the world’s most dynamic economic regions. Through our extensive network via Hong Kong, business travellers from the UK can connect seamlessly to key cities across the GBA, including Guangzhou, Shenzhen, Zhuhai and the wider Pearl River Delta. Hong Kong’s position at the heart of the region makes it an ideal gateway for companies looking to access major commercial centres across southern China. For business travellers, the GBA offers an extraordinary concentration of industries, from technology and advanced manufacturing to finance, innovation and professional services. With Cathay’s network and our intermodal connections, travellers can combine air and ground transport to reach their final destination efficiently, making it easier to build multi-city itineraries across the region. Our connectivity extends beyond the GBA too, with Hong Kong providing a gateway to destinations across the Chinese Mainland, Asia and the wider world. For 80 years, Cathay has been connecting Hong Kong with the world. As business travel continues to evolve, we are proud to build on that heritage by providing the connectivity, flexibility and regional access that businesses need to make the most of the opportunities ahead.

Beyond Booking, APAC’s Next Operating Model In May 2026, DerbySoft brought together senior leaders from across the business travel ecosystem in Singapore for a candid roundtable on the forces reshaping corporate travel across Asia-Pacific. The conversation brought perspectives from across the value chain together around a central question: as business travel becomes more connected, multisourced and automated, is the infrastructure behind it keeping pace? The discussion revealed an industry at an important inflection point. Shopping and booking have advanced rapidly, giving travelers and buyers greater access to hotel content, more choice and increasingly sophisticated digital experiences. Yet behind the booking, significant friction remains. Participants highlighted challenges spanning content normalization, payments and tax, PMS-level data, reconciliation and reporting, as well as issues made more complex by APAC’s diverse markets, platforms, languages and operating requirements. The roundtable also explored the growing role of AI. Rather than viewing AI as a solution in itself, the discussion underscored the importance of trusted, structured data and connected workflows as the foundation for meaningful automation. In this context, the opportunity is not simply to make booking smarter, but to make the entire travel lifecycle work better, from source, shop and book through to pay, stay, reconcile, report, and optimize. This white paper, Beyond Booking: The Infrastructure Challenges Facing Business Travel in APAC, distills those discussions into the key shifts, challenges and opportunities shaping the region and considers what it will take to build a more connected, trusted and scalable operating model for business travel. Beyond Rail: Expanding Airport Connectivity with Distribusion Distribusion continues to expand its global ground transportation network, giving TMCs and travel sellers access to an increasingly diverse range of rail, bus and airport transfer options through a single connection. In Q3, two new additions highlight how our network goes beyond traditional intercity rail and helps connect business travellers seamlessly between airports and city centres. Havaist is now available through the Distribusion network, connecting Istanbul Airport with key destinations across the city, including Taksim, Sultanahmet, Beşiktaş and Kadıköy. The service also provides an important direct connection between Istanbul Airport and Sabiha Gökçen Airport. In Italy, Ferrotramviaria has also joined the network, providing regional rail services across Puglia. Its network includes a direct connection between Bari Centrale and Bari Airport in just 17–20 minutes, as well as connections to destinations including Andria, Corato and Barletta. These are just two recent examples of how Distribusion continues to grow its global carrier network and broaden the ground transportation content available to our partners. Through our Agent Portal and B2B API, TMCs can access this growing multimodal network and offer travellers more options across the entire journey – from intercity rail to first- and last-mile airport connections. distribusion.com

Accessibility, built in from the first route plan.

Moving every athlete forward: how FTS is leading on accessible travel As Official Supporter of the Glasgow 2026 Commonwealth Games, we were entrusted with moving more than 3,000 athletes from 74 nations and territories across the city, including competitors in the Games' Para sport programme. For us, accessibility is not an add on to major event transport. It is the standard every journey is built to.

“Accessibility isn't a feature we switch on for the biggest events. It's a consideration that should sit inside every managed travel partnership we build, at any scale.” Nicola Ryder, Head of Business Development, First Travel Solutions

Vehicles built around the passenger Every athlete travelling with us had different needs, so our fleet and crews were briefed to meet them individually. Working with specialist partners, we designated wheelchair accessible minibuses and ramp access, plus secure storage for sports wheelchairs and prosthetics.

The people behind the plan Behind every journey sits a wider operation: 1,500+ vetted operators nationally, 24/7 live operational control and real time visibility of every vehicle. For accessible journeys, crews knew who they were collecting and what they needed before arrival.

Planning transport for your next event or delegation? Talk to our team today

sales@firsttravelsolutions.com

Mobility as inclusion, not logistics As travel calendars grow more demanding and audiences more diverse, accessible mobility has to move from a compliance requirement to a design principle, built in from route planning through to the vehicle door. That is the standard we keep bringing.

Onyx CenterSource: visibility on every commission, instantly In EMEA, average days to pay commission is 43 days and every one of them is a day your commissions sit in someone else's account. For TMCs and agencies, most commission disputes start with two spreadsheets that don't agree - the hotel's paid statement on one side, your invoiced bookings on the other, and someone on your team trying to work out why a figure is short. As peak-season statements start arriving, that gap is at its widest. Bookings from your busiest weeks are turning into commission statements, and every mismatch sends the same question back and forth by email until one of the two records gives way. Onyx CenterSource sits in the middle of that transaction. Our network matches a commission to its original booking once, so you're working from the same record the hotel is. Through the newly launched Commission Payment Status tool you can see that match showing up as a status the moment it happens - paid, short, or disputed. Commission from across your hotel program arrives as a single reconciled payment in your currency, matched booking by booking. So, if a payment is short, it is visible the day it lands. The dispute conversation changes because you're not comparing two versions of the truth over email anymore. You're looking at the one your hotel partner is looking at too. Go ahead and read more about the Onyx CenterSource’s Commission Payment Status Tool.

Third-Party Harassment Law Coming This October Is your travel business ready for new employer liability rules? The avalanche of employment law changes continues and from October this year, new legal obligations will come into force that significantly increase employer responsibility to prevent harassment of their staff by third parties. This change will be particularly relevant for the business travel industry, where staff regularly interact with third parties, including suppliers, customers, clients and contractors. Under the Equality Act 2010, harassment is defined as, unwanted behaviour related to a protected characteristic that has the purpose or effect of, violating someone’s dignity, or creating an intimidating, hostile, degrading, humiliating or offensive environment for them. In a business travel setting, harassment could include behaviour from a third party such as: • • • • •

Sexual comments, jokes or unwanted flirting with staff Racist or discriminatory remarks Mocking someone’s accent, nationality or religion Aggressive or abusive language Repeated unwanted attention or personal questions

The list is wide and varied in terms of how harassment can occur and covers both verbal and even non-verbal behaviour From 1st October 2026, a new section will be added to the Equality Act 2010, and employers will be liable where an employee is harassed by a third party during their work and the employer did not take all reasonable steps to prevent it. Importantly, there is no longer any requirement for repeated incidents before liability arises. A single serious incident could be enough. For travel businesses, preventing all inappropriate such behaviour, particularly customer behaviour is not realistic. However, the law will require employers to actively minimise risk and respond effectively. If an employer fails to do so, this could lead to an employment tribunal claim followed by an award of compensation and of course, the reputational risk that follows. So what does “reasonable steps” look like? To protect your business, an employer should ensure they are taking reasonable steps, and what this looks lie will vary from employer to employer. However, having a clear anti-harassment policy covering third-party behaviour is a great starting point. This should then be followed by regular training for managers and frontline staff, and what is and is not acceptable. It is also important to be able to demonstrate that as an employer you have in place effective reporting and escalation procedures for dealing with allegations of harassment Employers also need to take prompt action against offending individuals such as warnings or removals from the business in some circumstances. In short as an employer, you need to demonstrate a zero tolerance approach and you take matters seriously. There are also steps with third parties themselves that can be taken, such as visible customer conduct standards. Businesses should also consider updates to their supplier and partner contracts to ensure appropriate warranties and indemnities are in place, in relation to their staff harassing your staff. I would recommend that you: ✅ Review and update policies ✅ Conduct risk assessments for customer-facing roles ✅ Deliver or refresh staff training ✅ Check complaint handling processes ✅ Consider updates to supplier and partner contracts Please do get in touch if you would like support preparing for these changes. This update is for general information only and does not constitute legal advice.
