JULY 2026

STAFF NEWS

Message from the CEO PEOPLE MATTER SURVEY OUTCOMES AND ACTIONS Thank you to all staff who joined the Winter Staff Forums either in person or via teams during July. Held four times each year, they provide an opportunity for staff to hear about what's happening across NCN Health—from organisational priorities and service developments to local initiatives and broader health sector updates from across Victoria. A focus of the Winter Forum was reviewing and discussing the results from The People Matter Survey. Many thanks to Director People, Safety and Engagement Heather Flynn for her thorough presentation on the People Matter Survey results and proposed actions and outcomes. A People Matter Survey Working Group will join with the SWELL (Staff Wellbeing) Committee to work through a number of actions from the results. If you would like to get involved please reach out to heather.flynn@ncnhealth.org .au Your voice matters and we want to see our people working towards impactful outcomes from our People Matter Survey

THE ANNUAL AWARDS The Annual Awards are an opportunity to support and celebrate the hard work and achievements of our team at NCN Health. The Annual Awards and Service Awards are presented at the Annual General Meeting, which will be held in November this year (date and time to be confirmed). Annual Award nominations are open and will close September 30th. Links to the nomination forms can be found on page 2 of the newsletter and on the intranet. Please take the time to celebrate the achievements of your teams and colleagues. REWARD AND RECOGNITION FRAMEWORK REVIEW The Annual Awards form part of our NCN Health Reward and Recognition Framework. This Framework is currently under review. The purpose of the review is to align the framework more closely with the Vision and Values of NCN Health and the Organisational Strategic Plan 2026 – 2030. It is also to simplify and strengthen the Framework within the culture of NCN Health and ensure that it is meaningful and relevant to staff.

The review will include collaboration with the People Matter Survey Working Group to ensure relevant feedback has been considered, the changes are meaningful and reflect what recognition should look like at NCN Health. While there will be no chnages to the Annual Awards or the Framework in 2026, we will keep staff informed as the review progresses and provide further information about the Reward and Recognition Framework for 2027 later in the year. AGED CARE EMPLOYEE DAY Last week on August 7 we acknowledged Aged Care Employee Day. I would like to thank all of our aged care professionals, across NCN Health who contribute to the health and wellbeing of older Australians. This includes our nurses, leisure and lifestyle staff, personal care workers, allied health staff, cleaners, chefs, cooks, maintenance, administrators, Support at Home. Social Support Groups/PAG and community aged care staff. Every role matters and makes a significant difference to the quality of care we provide. Thank you.

PUBLIC SECTOR RESIDENTIAL AGED CARE DEVELOPMENT NUMURKAH The $55 million Public Sector Residential Aged Care (PSRAC) development at NCN Health Numurkah is progressing steadily, with substantial behind-thescenes planning and preparation laying the groundwork for the future of aged care in our region. The PSRACs Control Group, which is made up of clinical and non clinical staff and consumer representatives are meeting monthly to oversee the many operational and cultural elements required to bring the new facility to life — including consultation on work practices, model of care and workflows, planning for services such as cleaning and kitchen operations, community engagement, volunteer programs, and providing input into key design elements that will shape the look, feel and culture of the new ‘Lodge’. Importantly they are overseeing a working group to name the new facility and the three households within it. This has included consultation and feedback from residents, staff and our broader community. The group now have a refined list of names and are in discussions with The Department of Health on next steps in the naming process. In the meantime, there is plenty of action onsite, to match the activity behind the scenes, check out our quick video below. If you have any questions on the build or wish to hear more, contact PSRACS Operations Manager Bronti O’Connor at Bronti.oconnor@ncnhealth.org.au

The hands-on session provided valuable practical knowledge and reinforced essential airway management skills, helping to ensure our staff are well prepared to respond confidently in emergency situations and continue providing safe, high-quality patient care. We sincerely thank Ambulance Victoria for supporting this education opportunity and extend our appreciation to Laura for sharing her expertise, experience, and time with our team.

IMPROVING OUTCOMES THROUGH EARLY SEPSIS RECOGNITION Congratulations to Numurkah ANUM, Diya Jose who recently presented at the Safer Care Victoria Adult Sepsis Collaborative Summative Event. R U OK? Day Free Wellbeing Sessions Acacia is pleased to once again offer staff access to a range of free R U OK? Day sessions this September. Held on Thursday 10 September, R U OK? Day is a national initiative that encourages us to check in with the people around us and ask a simple but meaningful question: "Are you OK?" This year's theme, "Ask R U OK? Any Day," reminds us that meaningful conversations shouldn't be limited to one day a year. Taking the time to check in with friends, family or colleagues can make a real difference.

An email with registration details for the free sessions will be sent to staff shortly. We encourage everyone to take advantage of this opportunity to learn more about supporting the mental health and wellbeing of those around us.

a story that belongs to us all.

We have a growing list of sponsors for which we are grateful . THANK YOU

The Directions apply to healthcare workers whose roles involve direct contact with: Patients or clients Deceased persons or body parts Blood, body substances or infectious materials Contaminated equipment or surfaces Clinical environments where exposure to dropletspread infections, such as influenza, may occur Healthcare workers who are not covered by the Directions are still strongly encouraged to receive their annual influenza vaccination.

IMPORTANT

REMINDER

MANDATORY TRAINING DUE ...

All staff must complete their mandatory training by th September 30 . Log onto Kineo today to see what is outstanding. Don’t wait till the last minute!

MANDATORY TRAINING AND KINEO UPDATE This is a friendly reminder to complete your mandatory training. All mandatory modules are required to be finalised by 30 September 2026, or if you are a new staff member, within 3 months of your commencement, so we encourage you not to leave this until the last minute— getting started now and completing modules progressively can make it much more manageable.

In Kineo, you will see a section titled “Mandatory Training”— all modules within this section must be completed. There is also an “Other Courses” section, which includes optional modules that are not mandatory but are strongly recommended to complete.

Please note that additional modules may be added from time to time, so it’s a good idea to revisit Kineo periodically to ensure everything is up to date.

To help us manage enquiries efficiently and ensure that your learning records are up to date, please direct all Kineorelated queries including attendance sheets, certificates, or RPL records to NCNLearningDevelopment@ncnhealth.org.au. If you have any questions, please don’t hesitate to reach out.

OPTIMA IS HERE! We are pleased to confirm that NCN Health has now officially gone live with Optima. This is a significant milestone for our organisation and reflects months of preparation, testing, training and teamwork across many departments. A special acknowledgement goes to the Payroll Team, roster managers and the Optima Project Team for the extraordinary effort that has gone into delivering this project while continuing day-to-day operations and supporting our people.

What this means Optima is now NCN Health’s primary rostering and leave management system. All roster managers can now stop managing rosters in both Optima and Roster On, please only update and use Optima for roster changes. The next pay will now be based only on Optima. Soon we will communicate dates for Roster On decommissioning, this will be done in a phased approach and until then, you can still use Roster On to check historical information and future rosters not yet created to Optima. NCN now enters the next phase with the vendor RL Datix called hypercare, which ensures any issues will continue to be triaged quickly with them.

Important reminders Please continue to check your roster regularly and notify your manager quickly if anything appears incorrect Roster managers are asked to continue maintaining good roster governance and timely approvals Some minor issues or adjustments may still arise as part of normal post-go-live activity and hypercare support. If this occurs, please be assured the project and payroll teams are actively monitoring and responding quickly.

Support available

If you require assistance, please contact: projectoptima@ncn health.org.au

PYSCHOCIAL HAZARD REPORTING PORTAL The new Psychosocial Hazard Reporting Portal (PHRP) is now available via the intranet (under Popular Hangouts, or the OHS page). This platform allows staff to report workplace issues that may impact mental health, safety or wellbeing—with the option to remain anonymous. Reporting early helps us identify risks, provide support and improve workplace culture. All reports are reviewed by the OHS team, managed confidentially, and used to inform improvements across the organisation. For more information, training opportunities or support, contact NCNOHS@ncnhealth.org.au.

Psychosocial Hazards New Victorian regulations clarify that psychosocial hazards must be managed in the same way as physical risks. Hazards such as bullying, harassment, violence, and exposure to traumatic material can cause serious psychological injury. The Occupational Health and Safety (Psychological Health) Regulations 2025 introduce specific duties for Victorian employers to identify psychosocial hazards, control associated risks, and regularly review those controls.

PYSCHOSOCIAL PORTAL TRAINING FAQ

N O U Nthis system Does replace the existing VHIMS?

What if it’s an ongoing event and you can’t put an exact date and time?

What campus location do you select if the worker is based in community services IE: M2M?

Does the author get any notification and confirmation once a report has been submitted?

No, the psychosocial portal tool is in addition to the current VHIMS and is only to report hazards that impact on the psychological harm of workers

As this is a mandatory field select any date and time which roughly indicates the time you’ve perceived the issue to have commenced, then select YES to the question ‘Has this been an ongoing event’ and the estimated length of time you’ve been exposed to the hazard. In the ‘details of the event’ section provide an explanation of the ongoing exposure timeframe

In the ‘Where Did It Happen’ section select the NCN option and provide further detail in the ’Details of the event section’ No, because you don’t sign in the portal the system does not have any way to identify the author or send an automated response. If you provide your details in the ‘Who Was Affected’ section we will reach out to you on receipt of your hazard notification

PYSCHOSOCIAL PORTAL TRAINING FAQ

Where the author is unknown or the report has been submitted anonymously, we are unable to provide updates on the investigation status, as there is no means of contacting the individual
