Attracting Group Business

From mountain resorts and lakefront locales to historic sites and gorgeous gardens, properties and destinations throughout the Mid-Atlantic and Northeastern U.S. are going all out to attract group business. Each is unique and appeals to planners and their groups by providing memorable and meaningful experiences to be enjoyed and explored.

With meeting and event venues, activities, and offerings that invigorate, excite, and inspire, such destinations and venues will work closely with planners and organizers to help them create one-of-a-kind opportunities in standout settings.

Chester County Conference & Visitors Bureau’s Culinary Challenge at the Desmond Hotel, Malvern, PA is instrumental in attracting group business to the area.

OOne such example is Valley Forge and Montgomery County, PA. “Over the past several years, our hospitality landscape has transformed. Most of our meeting hotels have completed significant renovations, and we have welcomed high-profile new attractions like Topgolf, Netflix House, and Eataly - with even more exciting additions on the horizon,” explains Scott Higgins, director of sales, Valley Forge Tourism and Convention Board.

It is this powerful blend of accessibility, refreshed hotels, and standout amenities that makes Valley Forge and Montgomery County an exceptional choice for groups seeking value, convenience, and an elevated experience.

“We often hear from meeting planners that convenience is key - and Valley Forge and Montgomery County delivers exactly that,” says Higgins. “With seamless access to Philadelphia International Airport, Amtrak, and major highways, our destination offers the connectivity of a major city without the major-city price tag.”

Partnerships play a vital role in the Valley Forge Tourism and Convention Board’s efforts to attract group business to the area. “We have established strategic relationships with several leading third-party organizations, allowing us to share timely destination updates, collaborate more effectively, and ultimately elevate the experience of clients considering Valley Forge for their programs,” Higgins notes.

“We also are proud to be active members of the Northeast CVB Reps, a collective that represents destinations across the United States,” Higgins adds. “This group provides planners with educational opportunities on a broader scale than one-on-one appointments alone. And when a planner is exploring destinations beyond Valley Forge, we often are able to connect them directly with the right CVB contact in the city they are considering - ensuring they receive the support they need wherever their meeting may go.”

“We make sure groups are connecting with the right people, at the right time, with the right information.”

The Valley Forge Tourism and Convention Board collaborates closely with clients to understand their budgets and then communicates those needs directly to partner venues and suppliers. As the official tourism board for Montgomery County, they are uniquely positioned to distribute RFPs to the suppliers that best match each group’s requirements, helping planners receive competitive, well-aligned bids.

“Additionally,” notes Higgins, “through our Valley Forge Incentive, eligible groups can access financial support that helps their budgets stretch even further. It is one more way we work to deliver value, ease, and meaningful partnership throughout the planning process.”

As destination experts, the Valley Forge Tourism and Convention Board’s priority is to make planning a meeting in Valley Forge and Montgomery County as seamless an experience as possible. Through their extensive network of trusted partners, they can quickly connect planners with the right resources - often through just a single phone call.

“And if a group needs something outside our existing network, we will research and identify possible solu-

tions to ensure planners always have the support they need,” Higgins explains. “It is all part of our commitment to providing responsive, knowledgeable, and comprehensive assistance throughout the planning process.”

In Northwestern Pennsylvania, Erie offers conventions an ideal blend of business and fun, assures Hannah Stancliff, director of convention sales and services for VisitErie. “Planners find everything they need in our state-of-the-art meeting spaces and wide range of unique reception venues, while attendees enjoy the convenience of a walkable downtown and waterfront hotels. Here, groups can host a board meeting overlooking UPMC Park on game day, unwind on a sunset paddleboat cruise, explore Lake Erie Wine Country for tastings and local history, watch chocolate being made by one of Erie’s oldest candy makers, sip local brews at Union Station, and experience so much more.”

VisitErie’s partnership with local businesses, attractions, shops, and restaurants plays a major role in attracting groups to the area. These valued and valuable partnerships help VisitErie to provide a top-notch group experience by knowing about exciting changes, unique events, and special offerings that prospective groups can utilize or participate in.

“Partnerships also connect us with residents who are part of organizations that could host their future conferences in Erie,” adds Stancliff. “In 2025, more than 40 percent of the conventions that booked through VisitErie were thanks to Erie residents who knew about us from a partnership.”

Erie has much to offer groups during the spring and fall shoulder seasons - including budget-friendly hotel rates - and VisitErie places an emphasis on attracting conventions that meet during those times. “Because we partner with every hotel in the region, we are able to introduce planners to properties they may not have previously considered, often uncovering lower-rate options that still meet their needs,” notes Stancliff. “We also help connect planners with local organizations for sponsorship opportunities, grants, and swag, making it easier to enhance their events while staying within budget.”

While their website, VisitErie.com, is a great resource for finding meeting spaces and after-hours activities, Stancliff encourages planners to contact VisitErie for personalized assistance. “We work very closely with local partners and pride ourselves in knowing groupfriendly businesses, as well as keeping up-to-date contacts. So, whether you have something specific in mind or are open to suggestions, just ask - it is our job to be in the know.”

Montgomery County, MD is an attractive destination for group business bolstered by its strategic location near Washington, DC, access to major airports, and the presence of 18 federal agencies that draw government and association meetings.

Known as Maryland’s Cultural Capital, the county offers diverse, inclusive neighborhoods and attractions that provide engaging off-site experiences for groups. Its vibrant urban centers like Bethesda, Silver Spring, and Rockville offer plenty of hotels, dining, and walkable

meeting districts, making it an easy and appealing choice for planners.

“Through our network of members, we can find eager and willing businesses that want to host and work with groups,” notes Leticia Engel, senior marketing manager for Visit Montgomery. “We work collaboratively through our coordinated marketing efforts with annual campaigns, bringing in content creators to showcase the county on social media, and developing itineraries and FAM tours to give a snapshot of Montgomery County.”

While they do not directly negotiate rates on behalf of groups, Visit Montgomery does serve as a strategic facilitator that empowers planners to secure the best possible value for their events. “We maintain strong relationships with our hotels, venues, and attractions, giving us valuable knowledge of their amenities, capacity and need dates,” explains Engel. “We can quickly identify properties that align with the decision maker’s specific needs, budget parameters, and event goals. We make sure groups are connecting with the right people, at the right time, with the right information.”

Members of the Visit Montgomery team also personally vet experiences and maintains relationships with local partners, ensuring quality and reliability. “We live and breathe Montgomery County, giving us the inside scoop on hidden gems and local favorites,” Engel assures. “We do not just provide a list of attractions - Visit Montgomery helps to craft curated local experiences that will have attendees posting envy-in-

ducing photos as well as planning their next visit.”

Longwood Gardens in Kennett Square, PA offers an immersive, inspiring environment that feels both elevated and welcoming. Beyond the gardens themselves, Kevin Kessler, director of event sales for the venue, says that groups value their seamless service, thoughtful guest flow, and ability to host meetings and celebrations in a setting that feels meaningful, rather than conventional.

“Smaller groups often prioritize privacy and focus, while larger groups require strong logistics and clear flow. Demographics and industry influence everything from menu design to technology needs. The key is listening early and tailoring the experience for the client in a seamless fashion,” says Kessler. “We act as partners from day one, aligning space, timing, cuisine, and service to support the planner’s goals. Our role is to simplify the process and ensure the vision translates smoothly into execution.”

With more than 20 years in hospitality, event operations, food and beverage, and event sales, Kessler focuses on anticipating challenges and offering practical solutions that help to protect the guest experience as well as to accomplish the goals of the planner and their budget. “My goal is always to make planners feel confident, supported, and set up for success.”

The Swiftwater is a boutique luxury hotel in the Pocono Mountains designed to feel refined, welcoming, and intentionally intimate, which al-

lows them to give groups the time, attention, and care they deserve. The environment allows groups to focus, connect, and be present without outside distractions.

The Swiftwater Conference and Event Center complements the hotel with a thoughtfully planned layout that prioritizes flow, flexibility, and functionality. Its meeting and event spaces are designed to adapt to the needs of each group, whether that means executive boardroom-style meetings, classroom or theater-style sessions, or more collaborative configurations.

The proximity of meeting space to guest rooms allows for a more seamless experience, as well, eliminating unnecessary transitions and keeping attendees engaged and energized throughout the day.

Another valued aspect of The Swiftwater is the sense of privacy and exclusivity it provides. By limiting the number of groups they host at one time, the property is able to create a calm, controlled environment that allows planners to feel confident that their group is the priority.

Demographics and industry also shape expectations. Some groups want a highly polished corporate experience, while others prioritize connection, creativity, or wellness. Medical, pharmaceutical, and executive clients, for example, often require confidentiality and precision, whereas other industries may lean more into collaboration and experience-driven programming.

The staff at The Swiftwater takes the time to understand what matters most to each group and then adapts accordingly, rather than a one-size-fits-all solution. Planners are partners, and building trust starts with honest conversations and clear expectations. The Swiftwater team works side-by-side with the planner to bring their vision to life in a highly collaborative and proactive way, offering guidance while remaining flexible.

The staff and teams representing these destinations and venues throughout the region play a pivotal role in creating value that transcends amenities, activities, and meeting space. Planners seek out venues that can meet the needs of their groups, but destinations and properties like these go even further by offering exceptional service and expert assistance in addition to their ample spaces and abundant amenities - all adding up to remarkable experiences in memorable settings.

Attracting Group

What would be two or three suggestions you would like to give planners, admin, or executive assistants when they are searching for destinations for their group events? Also, what would be two or three problems that might arise and how to avoid them?

When selecting a destination for a corporate or association meeting, planners, administrative professionals, and executive assistants must balance organizational goals with attendee experience and logistics. Taking a strategic approach early in the process ensures the destination supports both program objectives and operational efficiency.

First, the destination should align with the purpose of the meeting. Whether focused on pivotal planning, professional development, or member engagement, the location should enhance the intended outcomes. The setting, meeting space, and off-site opportunities can significantly influence productivity, networking, and overall attendee satisfaction.

Accessibility and convenience also are critical. Destinations within strong drive markets, with convenient airport access, or walkable meeting districts reduce travel fatigue and simplify logistics. When hotels, venues, dining, and attractions are located close together, planners gain greater flexibility and minimize transportation needs.

Engaging the local Convention and Visitors Bureau (CVB) or Destination Marketing Organization (DMO) early also can add value. These organizations often provide complimentary support, such as venue sourcing, hotel coordination, vendor recommendations, and off-site planning assistance, helping to streamline the process.

Common challenges should be addressed proactively, as well. Misalignment between leadership expectations, attendee needs, and venue capabilities can create complications later. Clear stakeholder communication early on helps prevent scope changes and logistical issues.

Accurately forecasting hotel room blocks is another key factor. Overestimating can result in attrition penalties, while underestimating can limit availability. Reviewing past attendance data and maintaining close communication with hotel partners supports more accurate projections.

Finally, contingency planning is essential. Backup plans for speakers, technology, and scheduling adjustments help protect the attendee experience and maintain continuity when unexpected challenges arise.

p Events

What would be one or two suggestions that you would like to give a destination or property when trying to attract group events?

I believe highlighting group-type activities at or nearby the venue would go a long way toward attracting groups. This would save the planner from having to research that information on their own. Highlighting group discounts, if any, also would assist and attract planners to consider their venue. In short, value-added information would be very useful.

What would be one or two suggestions that you would like to give a destination or property when trying to attract group events?

Pairing memorable signature experiences with exclusive events or entertainment that attendees cannot get elsewhere, except at their destination property. Naturally, this property should already be high-quality with amenities like luxury rooms, fine dining, and flexible event spaces.

Also, provide bundled pricing for accommodations, event services, activities, etc., emphasizing value and unique experiences that set your property apart for group gatherings.

What would be one or two suggestions that you would like to give a destination or property when trying to attract group events?

Transparency and collaboration matter more than ever. Destinations and properties that standout are those that are upfront about costs, constraints, and possibilities early in the process. Planners value partners who help navigate budgets, risk, and stakeholder expectations, not just sell space. Open, honest conversations build trust and lead to stronger, longer-term partnerships.

Beyond availability and square footage, planners also are looking for destinations and properties that understand how to build and execute meaningful experiences. Sharing past examples, creative approaches, and operational insights helps planners envision how attendees will move through the event, connect, and engage. Partners who can translate a group’s goals into thoughtful, well-executed experiences become invaluable collaborators throughout the entire event lifecycle.

What would be one or two suggestions that you would like to give a destination or property when trying to attract group events?

The most compelling properties do not just show square footage, they show possibility. Clients want to visualize themselves in your space. Embrace your identity fully, whether that is architectural charm, waterfront views, historic character, or a modern blank canvas ready to be transformed. Create imagery and storytelling that illustrates how the space functions for events. When you help clients imagine the flow, atmosphere, and guest experience, you make the decision effortless.

Its 208-room Live! Hotel boasts sweeping views of the city skyline and offers everything from well-appointed standard rooms to spacious multi-room suites.

The Live! Event Center delivers more than 15,500-square feet of fully customizable space, including its flagship Market Ballroom featuring more than 10,000-square feet, an 18-foot ceiling, performance stage, and capacity for up to 1,000 guests. The property also offers two flexible junior ballrooms (complete with an airwall), three executive boardrooms, and a stylish pre-function space featuring art by worldrenowned artists. Every room is equipped with state-of-the-art AV that can be synced across spaces.

Beyond The Event Center, the property offers a variety of fun and flexible event spaces, such as Sports & Social boasting a 52-foot LED screen for watch parties, private karaoke rooms at Luk Fu for team building, or a VIP area at Center Bar where guests can be in the center of the action on the gaming floor and enjoy nightly free music.

Planners also will want to note two exciting updates coming to the property’s dining landscape this year. The Prime Rib will transform the intimate Library Bar into the central gathering space of the Live! Hotel Lobby, when the wall that currently separates the restaurant lounge from the hotel front desk and elevators is removed. In addition, the 10th Street Market also will upgrade its lineup of beloved Philly favorites.

“We have everything a planner needs under one roof - luxury accommodations, flexible event space that scales from 12 to 1,000 guests, and a dining scene filled with local culinary favorites. 2026 is an exciting year for us as we celebrate our fifth anniversary and welcome the world with a variety of sporting events and celebrations taking place in Philadelphia. Through it all, our Live! Events team is ready to make your event befitting of the energy and style guests expect at Live! Philadelphia,” declares Kelley Maddox, vice president of sales, Live! Casino & Hotel Philadelphia.

“Location is another major advantage,” Maddox adds. “The property sits just six miles from Philadelphia International Airport, offering faster access than Center City hotels, while still placing guests squarely in the energy of the city. Attendees traveling from out of town can land, check-in, and be on the gaming floor or in a breakout session within minutes. Ample on-site parking, including valet, means no rideshares, no parking fees, and no wasted time.”

“Planners always tell us that their attendees do not want to be stuck in a conference roomthey want an experience. Here, the experience starts the moment they walk through our door and does not stop until they leave. Guests can experience Philly’s best food, world-class gaming, live entertainment, and a luxury hotel bed, all without stepping outside. An event at Live! Philadelphia truly can be customized to meet you and your guests’ needs without sacrificing the excitement that Live! provides,” says Maddox.

Live! Casino & Hotel Philadelphia’s Events Team specializes in building bespoke group itineraries that can include “card school,” where attendees learn blackjack and poker from casino dealers, curated art walks through the property's modern art collection, and "dine-around" experiences that bring tasting portions from The Prime Rib, Luk Fu, and Sports & Social directly to the meeting space.

The property’s location in the Stadium District is a strategic asset, too, particularly in 2026, as the city is hosting six FIFA World Cup matches at Lincoln Financial Field, MLB All-Star Week at Citizens Bank Park, and America's 250th anniversary celebrations will be city-wide, among other marquee events. Live! Philadelphia maintains direct relationships with group ticketing offices for all four major professional sports teams, making it seamless for planners to incorporate game-day experiences into their agenda.

Catered Events & Group Dining

Whether organizing a private, catered affair, hosting a dinner meeting in an upscale steakhouse, or arranging a food and wine pairing or a tasting event at a winery, planners have a wide array of unique food and beverage experiences to consider when it comes to group dining.

From customized menus and signature drinks to something more casual or trendy, the food and drink component plays a significant role in many events. Restaurants and caterers bring to the table both expertise and creativity, working closely with planners to serve up impactful and distinctive food and service, helping to satisfy their event goals and win over the palates and minds of even their most discerning attendees.

John Serock Catering specializes in custom events and will help planners in curating the right menu and set up for their needs

CATERED EVENTS

Planners today are prioritizing menus that are inclusive and allergen friendly, says Rachael Werley, director of sales and marketing, John Serock Catering, so offering options that accommodate a wide range of dietary needs is essential. They also are seeking fresh, innovative ideas - something unique that will genuinely “wow” their clients.

“That is why we focus on creating customized proposals and tailored menus for each event rather than relying on a standard list of offerings,” explains Werley. “Our event specialists collaborate closely with our culinary team to design engaging, memorable menus with something every guest can enjoy.”

“While our food is exceptional, I truly believe it is our team that sets us apart,” Werley continues. “Our servers, bartenders, and event chefs bring an energy and professionalism that shape the entire

guest experience. We have become known for our attentive, thoughtful service - always present, never intrusive. Our staff has a remarkable ability to make every guest feel seen and valued - not just another face in the crowd - and that personal connection leaves a lasting impression long after the event is over.”

Food and beverage, of course, plays an essential role in bringing an event’s story to life. Werley says that the menu should reflect the setting, the season, and the overall tone of the gathering. “For example, you wouldn’t pair delicate, high-end hors d’oeuvres with a casual summer team building event. Something more rustic, seasonal, and communal - like a family style service - can better support the purpose of the event and even enhance the experience. We help guide clients toward choices that align with their vision so the food feels like a natural extension of the atmosphere they want to create.”

Another thing to consider - the way a room is arranged has a direct impact on both the atmosphere of an event and the caterer’s ability to serve guests seamlessly. It is essential to think through how people will move through the space, considering things like guest count, timeline, and overall logistics to anticipate and circumvent any potential bottlenecks before they happen.

“Our team is intentional about designing layouts that feel welcoming, functional, and aligned with the event’s goals,” says Werley. “When the flow works, the entire experience feels effortless for guests.”

“While

Another vital component of an event at every stage is effective communication with the planner. “No matter the size, it truly takes a village to bring all the moving pieces together, and having one planner who oversees those details is invaluable,” explains Werley. “Leading up to the event, we work closely with the planner to ensure every element has been thoughtfully addressed. On the day of, clear and timely communication allows every vendor to perform their role seamlessly and stay aligned as the event unfolds. Afterward, it is just as important to review what worked well and where improvements can be made - espe-

cially for recurring events – so that each experience becomes even stronger than the last.”

Planners today are looking for a partner, not just a venue or caterer. They want a team that can deliver exceptional food, seamless logistics, and a hospitality experience that makes their job easier, asserts Domenick Savino, CPCE, managing partner, The Drexelbrook. “Flexibility also is a major priority - menus that accommodate dietary needs, service styles that fit the event’s personality, and the ability to scale up or down without sacrificing quality. They are looking for reliability, as well.”

With so many moving parts in an event, Savino notes, planners want to know that their catering partner is proactive, communicative, and capable of handling challenges before they ever reach the client.

Drexelbrook has built a reputation on blending culinary excellence with genuine hospitality. Their chefs create menus that are both familiar and elevated, and The Drexelbrook service team brings a warmth and professionalism that guests feel from the moment they arrive, Savino assures.

“We have been hosting and catering events for decades, and that depth of knowledge allows us to anticipate needs, customize experiences, and execute at a very high levelwhether it is an intimate dinner or a multi-day corporate event,” says Savino. “We also understand that memorable events are about more than food - they are about how people feel. Our goal is always to create

an atmosphere where guests feel taken care of and planners feel supported.”

However, he adds that food and beverage often serves as the emotional center of an event, setting the tone, reinforcing the theme, and creating shared moments that guests remember long after the event has ended. “We work closely with planners to ensure the menu complements the event’s purpose - whether that means designing a menu inspired by a cultural theme, creating interactive stations that encourage networking, or crafting a plated dinner that feels elegant and cohesive.”

Savino adds that the Drexelbrook Team pays close attention to pacing, flow, and presentation. When food and beverage are thoughtfully integrated into the event design, he says, everything feels intentional and connected.

“Atmosphere and layout are just as important as the menu. The way a room is arranged influences how guests interact, how comfortable they feel, and how smoothly service can operate,” he notes. “We collaborate with planners to design seating and flow that match the event’s goals - whether that is encouraging conversation, supporting a formal program, or keeping guests moving through stations efficiently.”

“Atmosphere and layout are just as important as the menu.”

Lighting, décor, table settings, and even the spacing between tables all contribute to the guest experience. When these elements are aligned, the event feels effortless and inviting.

When it comes to planning a successful event, clear communication serves as the foundation. Before the event, it

ensures that expectations are aligned, details are accurate, and potential challenges are addressed early, Savino observes. During the event, communication keeps the team coordinated and responsive, allowing for quick adaptation to any changes. Afterward, communication helps in evaluating what worked well and where improvements can be made.

“We value long-term relationships with planners, and that means being transparent, accessible, and collaborative at every stage,” Savino notes. “When communication is strong, the planner can relax and focus on their guests - and that is when the best events happen.”

with clients to customize menus, coordinate logistics, and manage every detail, ensuring a seamless experience for meetings, conferences, employee celebrations, and large-scale corporate events.

Through longstanding relationships with trusted partners, the team can coordinate rentals, furniture, floral design, photography, videography, entertainment, tenting, and additional planning services that help bring each client’s vision to life.

The company also maintains exclusive and preferred partnerships with many of the Philadelphia region’s premier venues and can assist clients in identifying the ideal setting for their event.

Sustainability is a core part of 12th Street Catering’s philosophy and daily operations. From responsibly sourcing ingredients to minimizing waste and implementing recycling practices, the team is committed to reducing environmental impact. The company has also introduced carbon neutral menu options that allow clients to support environmentally conscious events.

Community engagement is equally central to the company’s mission. Through philanthropic partnerships, volunteer initiatives, and ongoing support of local organizations focused on issues such as animal welfare, education access, and sustainability, 12th Street Catering strives to make a positive impact beyond the events they produce.

CORPORATE DINING

“In my experience, planners are looking for ease, flexibility, and confidence that their event will run smoothly,” observes Stephanie Perez, head of private dining and events for Monterey Grill in Mount Laurel, NJ. “Clear communication and transparent pricing are huge. Feeling valued, being able to customize a menu, if needed, and a space that can adapt to the purpose of the event.”

Monterey Grill combines warm hospitality, perfectly curated menus, and thoughtful attention to detail, Perez asserts. “Everything we do is designed to feel intentional and elevated, yet comfortable. Guests do not just remember the food, they remember how the experience made them feel.”

Atmosphere sets the tone from the moment guests walk in. The space, lighting, music, and seating flow all influence how people connect and engage with one another. “Whether it is a two-person intimate dinner or a group of 40, a well-designed space encourages conversation, comfort, and energy. When the environment supports the purpose of the event, the entire experience feels seamless and unforgettable,” adds Perez.

When it comes to private group dining experiences, planners are looking for flexibility, customization, and a seamless guest experience. Whether they are hosting an executive board dinner, a welcome reception, or a large-scale conference banquet, they want a culinary program that can be tailored to their group’s preferences, dietary needs, and event goals.

“At the Lancaster Marriott at Penn Square and the Lancaster County Convention Center, we find that planners value versatility in space, thoughtful menu design, and a collaborative planning process,” explains Josh Nowak, general manager, Lancaster Marriott at Penn Square. “They are seeking elevated, yet approachable cuisine, locally inspired ingredients, and creative presentation that feels intentional rather than standardized. Equally important is efficient service, well-paced courses, and a team that anticipates needs before they arise.”

The Lancaster Marriott at Penn Square and the Lancaster Convention Center combine historic character with modern sophistication - all under one roof in the heart of downtown Lancaster. On-site venues range from intimate, private dining rooms to grand ballrooms, allowing for experiences that feel curated and distinctive, no matter the group size or event format.

“Our culinary team, led by Executive Chef Ryan McQuillan, takes pride in showcasing the rich agricultural heritage and variety of Lancaster County,” says Nowak. “By incorporating locally sourced ingredients and

seasonal flavors, we create menus that reflect a true sense of place, while maintaining the polish expected of a full-service convention hotel and conference center.”

The convention center’s newly redeveloped Commons on Vine space has been designed to meet the evolving needs of today’s corporate and social event markets, offering a technology-forward venue that adapts to each client’s needs. It features large-format AV technology, including a 44-foot-wide, floor-to-ceiling main video display, a flexible, design-forward lighting system, and more.

In addition, guests can dine, meet, and stay - all in a single location, which simplifies logistics for planners and enhances the attendee experience. “With over 90,000-square feet of flexible event space between the hotel and convention center, we can accommodate everything from intimate corporate dinners to multithousand-guest galas - all with a consistent level of service and attention to detail,” Nowak assures.

The layout of the space, the style of seating, lighting, acoustics, décor, and more all influence how guests interact and engage with one another, and ultimately the overall experience that guests have.

“At the Lancaster Marriott at Penn Square and the Lancaster County Convention Center, we work closely with planners to design environments that support their

event objectives, whether that is energizing a crowd, encouraging collaboration, or creating an intimate and celebratory mood,” says Nowak. “Our flexible spaces, built-in production capabilities, and experienced banquet team ensure that every detail, from seating arrangement to room lighting, contributes to a cohesive and memorable experience.”

Planners consistently prioritize experiences that feel effortless and meaningful for attendees, Nowak observes. They are looking for a venue that truly can handle everything, including set-up, food, beverage, staffing, and seamless execution, so they are able to focus on their guests instead of logistics.

Planners also want an atmosphere that supports connection and conversation, especially for corporate groups where networking is a key objective. High-quality, thoughtfully-prepared food is essential, and planners increasingly prefer menus that feel intentional or locally-inspired.

“At Mount Hope Estate & Winery, our unique farm-totable experience or our fully-customized menu option gives planners confidence that their group’s dining experience will feel special and well-curated,” asserts Nicole Boyer, group sales manager for Mount Hope Estate & Winery in Manheim, PA.

Because this Lancaster County venue is not a restaurant that is open to the public, every group meal at

Mount Hope is a fully private experience, created exclusively for the planner’s guests - not something the general public can book individually.

“That means our staff’s attention is fully dedicated to the group from start to finish, and the entire experience can be customized to meet the goals of the event,” says Boyer. “Menus can be tailored to dietary needs, themes, or culinary preferences, or planners can choose our farm-to-table experience, allowing us to spotlight local ingredients and seasonal flavors in a truly elevated way.”

“In addition,” Boyer continues, “we offer enhancements that make the outing unforgettable, such as private wine-tasting tours, improv comedy shows, and more. This level of flexibility and exclusivity is something planners do not often find.”

After all, atmosphere can set the tone for the entire event, and planners know how much the environment influences the guest experience. “A space that feels comfortable, welcoming, and visually appealing en-

courages people to relax, engage, and enjoy the occasion,” Boyer states. Mount Hope’s truly private setting means no outside noise, no competing tables, and no distractions. This historic estate offers an upscale, yet approachable ambiance that naturally elevates the occasion while still feeling warm and inviting.

“The flexibility of our dining spaces and seating layouts allows us to adapt the room to the style of the event, whether the goal is networking, celebration, collaboration, or a more formal culinary experience,” says Boyer. “That combination of privacy, aesthetic appeal, and intentional setup ensures the atmosphere enhances the meal rather than simply hosting it.”

Serving up delicious dishes, the culinary creations of restaurants and caterers alike are generating excitement and helping to elevate a wide variety of occasions. Together, those in the food and beverage service industries continue to play a crucial role in the creation and success of a wide range of tasteful and memorable events.

Getting Groups Out

Getting groups outdoors serves as a significant change of pace from more traditional meeting and event settings. With the arrival of warmer weather, many planners are looking to get their groups outside to enjoy events and activities, to connect with nature, and to be invigorated by their surroundings.

Whether dining with views of scenic mountains or being fully immersed in nature during a team building session, groups will appreciate the opportunity to create lasting memories at a variety of unique venues and destinations.

Creating enjoyable experiences in a variety of settings means bringing groups together in different ways. Forging bonds through collaboration outdoors is a great way to spark creativity with Mother Nature serving as their backdrop.

POCONO MOUNTAINS, PA

The Pocono Mountains offers groups everything from mountain-view dinners and lakeside receptions to terrace networking and lawn events, all supported by a strong meeting infrastructure. Properties like Skytop Lodge, Woodloch, and Camelback Resort make it easy for groups to move seamlessly from productive meetings into memorable outdoor experiences - all without adding extra work to the planning process.

“One of the Pocono Mountain region’s biggest strengths is that it is a true four-season destination,” asserts Sarah Farrell, regional sales manager for the Pocono Mountains Convention and Visitors Bureau. “In the winter, groups can incorporate skiing and snow activities at great local ski resorts like Blue Mountain and Camelback Resort. In warmer months, group activities shift to guided hikes, nature-based team building, and fireside networking.”

Properties like Woodloch Resort offer unique and all-inclusive team building options that foster human connection. Unlike a la carte add-ons, these programs integrate directly into the meeting experience package, making it an easy “one stop shop” for planners with team building on their agenda.

From executive retreats to incentive programs, the Pocono Mountains allows planners to design agendas that work for every type of attendee. This variety results in inclusive, high-energy programs that support engagement and boost team morale.

“Unique venues like the Himalayan Institute, a world leader in meditation and holistic health, and the French Manor Inn and Spa, specializing in classic spa experiences, offer the ultimate in recharge and relaxation with activities like lakeside yoga and guided nature walks,” notes Farrell.

Golf at Mount Airy Casino Resort and river activities at the Shawnee Inn and Golf Resort add a scenic element to traditional team building programs.

Indoor and outdoor waterparks at Kalahari Resorts & Conventions and at Great Wolf Lodge always are crowd pleasers, and Camelback Resort’s mountain coasters, rope courses, and zip lines set groups up for the ultimate adventure experiences.

“When sourcing outdoor-focused meetings and events, planners should look for event venues offering multiple types of environments for meetings, networking, and activities, accessible for all abilities,” advises Farrell. Also, strong indoor convention spaces paired with outdoor venues take the worry out of unpredictable weather. “As planners, your ‘back up plan’ always needs another back up plan.”

Another perk of choosing the Pocono Mountains, the CVB team acts as an extension of the meeting planner’s staff to help make their meeting dreams a reality. They know the local properties, amenities, and sales teams and can help curate a program that is customtailored to meet the group’s needs.

THE WILDWOODS, NJ

The Wildwoods offer an impressive selection of both indoor and outdoor venues to suit events of every style and size. The Wildwoods Convention Center features more than 260,000-square feet of flexible indoor space, along with exceptional outdoor areas that are perfect for gatherings of all kinds. Blending the natural beauty of the Wildwoods with the convenience and comfort of a state-of-the-art facility, the convention center’s outdoor spaces provide a seamless extension of its modern indoor amenities.

Additionally, the Wildwoods’ beaches and boardwalk host numerous events every year, from custom hot rod shows, 5k runs, craft shows, and farmers’ markets to signature events like Barefoot Country Music Fest, the Wildwoods Airshow, National Marble Tournament, Wildwoods International Kite Festival, and The Race of Gentlemen antique car races held on the beach, among many more eclectic and exciting events.

Events also are held at Morey’s Piers and Waterparks, and the Seaport Pier, adding a fun and unconventional element to any gathering. Planners and attendees enjoy proximity to everything the Wildwoods have to offer, including serene beach views, historic mid-century architecture, and access to outdoor activities like biking, walking, watersports, and more.

Hosting an event in the Wildwoods also means that - in addition to unique and world class venues - attendees have access to everything available on the five-mile island. The Wildwoods expansive and award-winning free beaches offer a chance to soak up the sun and enjoy jet skiing, crabbing, fishing, parasailing, surfing, and more.

The boardwalk is home to multiple amusement piers and waterparks, retail shops, arcades, carnival games of chance, the historic Sightseer Tram Car, and abundant opportunities for dining and shopping. In addition, there is a free bike route that runs nearly the entire length of the island, providing the option for a leisurely scenic (or more athletic) bike ride.

Incorporating outdoor experiences into a group itinerary adds enrichment and excitement that can elevate any trip. As a premier vacation destination, The Wildwoods are uniquely designed to deliver unforgettable group experiences that create lasting memories. The island offers an impressive array of restaurants, shopping, hidden gems, and dynamic attractions that ensure every visit feels fresh and distinctive in an exceptional location that is a top choice for event planners.

CRYSTAL SPRINGS RESORT Hamburg, NJ

Grand Cascades Lodge at Crystal Springs Resort offers a variety of unique outdoor options, including Chef’s Garden (a unique farm-to-table experience), Fire + Water Terrace, and the Springs Bistro Patio - each highlighted by impressive and scenic sunset views. Another popular venue among groups is the Amphitheater for fireside conversations or after dinner drinks.

Minerals Hotel offers Sweet Grass Pavilion, an open-air venue boasting scenic mountain views. It is situated next to the Great Lawn, where groups from 10 to 400 can collaborate. Moonshine Bar is an outdoor pub and farmstand eatery at the resort, while Bear Den Grille offers casual indoor and outdoor dining with scenic views of Black Bear Golf Course. The atmosphere is comfortable and casual with pool tables, dart boards, and its newest offering - the Trackman Range.

“Guests can take part in an interactive one-hour yoga class for all levels followed by a social mix and mingle with the friendly local animals,” notes Linda Alloco, regional director of sales, Crystal Springs Resort. “There

is a calming and therapeutic effect when being in a natural setting with the goats. This brings participants greater joy and less stress.”

Groups can play Pickleball at the resort, too - the fastest growing sport in America. This activity, a cross between tennis and ping pong, is ideal for all athletic abilities.

“Join us for incredible viewings of solar flares extending outward from the sun, made safely visible with specialized equipment. The instructor will share the history and intrigue of sundials, the earliest type of timekeeping device. Guests also will learn about solar power generation, plus some of its environmental and economic benefits, as well as Crystal Springs Resort’s 25-acre solar farm comprised of 19,000 individual solar panels,” Alloco suggests.

For those seeking a wellness retreat, Crystal Springs Resort offers several outdoor activities as part of their curated Inspiration Series. Teams can participate in

tactile experiences, such as guided nature walks, restorative yoga, and meditation in a bucolic mountain setting.

As a leading golf destination in the Northeast, the lush fairways and pristine greens of Crystal Springs Resort are a golfers’ paradise. Designed by notable links luminaries such as Robert von Hagge, Robert Trent Jones, George Fazio, and Roger Rulewich, the resort’s six impressive championship-caliber and award-winning courses wind through the picturesque Appalachian scenery and provide a near-endless array of variety.

“In the office, people often act according to their titles. When gathered outdoors or on a playing field, the CEO and the intern are both just people trying to follow the rules or get the ball to the right place,” observes Alloco. “Natural environments lower social defenses, leading to more genuine conversations and authentic connections. Trying a new outdoor skill allows your colleagues to show a human side, which builds greater trust.”

Meet Happy Place

Event at Seacrets in Ocean City, MD, a sprawling Jamaican-themed entertainment complex with a capacity of up to 5,000 guests for an unforgettable experiences

“Further, there is a cognitive restoration effect when being outside of your office environment,” Alloco adds. “Looking at a forest or a horizon allows the brain to rest and recover. The result is that teams return to their meeting space with sharper focus and higher creative output.”

Outdoor activities often present “low-stakes, high-consequence” challenges that mimic business hurdles without the stress of real-world business scenarios, Alloco notes. “Sunlight and fresh air boost serotonin, which regulates mood, sleep, digestion, and other vital functions. Breaking the sedentary cycle of a conference increases blood flow to the brain, which is the ultimate enemy of the post-lunch slump.”

OCEAN CITY, MD

“Ocean City offers a wide range of outdoor options that give groups the chance to gather in ways that feel relaxed, memorable, and uniquely coastal,” says Kim Mueller, director of sales for Discover Ocean City. “Many of our oceanfront hotels feature private decks, swimming pools, and lawn spaces that work beautifully for receptions, networking events, and casual team building. The beach itself is a natural backdrop for everything from sunrise wellness sessions to evening bonfires and themed gatherings.”

Just minutes from the shoreline, groups also can incorporate off-site venues like Sinepuxent Brewing Company, a Maryland farm brewery set on a scenic 17-acre property between Ocean City and Assateague Island. Such settings allow planners to create events that feel authentic, social, and connected to the destination.

Ocean City’s natural setting makes it an ideal destination for outdoor recreation and team building. With the Atlantic Ocean on one side and the bay on the other, groups have easy access to activities that encourage connection, movement, and fun outside of the meeting room.

From guided kayak tours and paddleboarding to fishing excursions and group beach challenges, the destination naturally supports interactive experiences that bring teams together. The walkable boardwalk also adds a unique element for group activities, whether for a casual team outing, a morning run, or a competitive scavenger hunt.

“One of Ocean City’s greatest strengths is the range of outdoor experiences available, making it easy to create something that appeals to every interest and energy level. Groups looking for a more relaxed pace can take in the scenery on a boat ride along the bay, explore nearby natural areas, or enjoy a private boat tour paired with a handson art-making session that encourages creativity and connection,” Mueller proclaims.

“For attendees seeking more active options, Ocean City delivers with jet

skiing, parasailing, paddle sports, biking through Assateague Island National Seashore alongside the famous wild ponies, and organized beach games,” Mueller continues. “The variety allows planners to design flexible itineraries that give participants the freedom to choose experiences that best match their interests and comfort level.”

When selecting a destination for outdoor-focused gatherings, accessibility, variety, and flexibility are key, Mueller asserts. Planners benefit from locations where outdoor venues, recreation, and accommodations all are within close proximity, making it easy to move between meetings and experiences. It also is important to choose a destination that offers a mix of structured and casual activities, so groups can tailor experiences to different interests and physical abilities.

“Ocean City checks all of those boxes,” says Mueller, “with miles of open shoreline, bayfront spaces, and nearby natural areas that allow planners to create meaningful outdoor moments that complement their meetings and leave a lasting impression on attendees.”

ALEXANDRIA, VA

As the planning world moves away from “checkbox” site visits and standard cocktail hours, Alexandria is leaning into a more intentional evolution with new outdoor networking opportunities and quests.

Just launched by ALX Food Tours, the New Old Town Pizza Tour experience takes groups off the beaten path to explore the city’s historic “pizza districts.” It is the ultimate gamified networking - sharing a slice while uncovering the stories of local shop owners and the evolution of Alexandria’s culinary scene.

Alexandria also is gamifying the past and the present to engage the modern professional. Groups can take on roles of 18th-century sailors for an immersive dockside experience on the Tall Ship Providence, which offers full buyouts and Pier Bar rentals, or they can head to Waterfront Park for the newest Site See public art installation. Debuting in March 2026, Alicia Eggert’s Now or Never uses shifting typography to explore urgency and time, serving as a perfect “reflection point” for teams to discuss shared responsibility against a historic backdrop.

Alexandria is physically opening up more outdoor space for professional “walk-and-talks,” too. The newly unveiled Pendleton Street Promenade connects visitors to the water via engineering innovation and community swings, while the city’s first ADA-accessible kayak launch at Four Mile Run Park offers inclusive, waterbased team building for all ability levels.

As the weather turns warmer, the appeal of getting outside is resonating with many. Planners are seeking opportunities and adventures to ensure that their groups will have a great time, while also enjoying the benefits of time spent connecting meaningfully with nature, as well as with one another.

Keep an eye out for new entertainment options along the riverfront this summer, including golf simulators, additional dining options, and a brand-new location for the popular Constitution Yards - an open-air beer garden that can accommodate large events.

Return Day, November 5, 2026 in Georgetown is a very special event that happens only in Delaware and only every two years, with its origins dating back to 1791 when State Law removed the County Seat from Lewes to the a more geographically centered site, later named Georgetown, that required all votes to be cast in the new County Seat on election day. The same voters would then “return” two days later to hear the resultshence the name Return Day.

By 1888, the event had become a custom that included a carnival on the day when election results were announced that included booths, stalls, and stands. In the tradition of these 19th century booths, ox roast sandwiches are, to this day, distributed at no charge to those who attend. Additionally, the day features food

vendors, craft and information vendors, a parade, the reading of the election results by the Town Crier, as well as the traditional “burying of the hatchet” ceremony.
