Providence recently was named the #2 Most Walkable City to Visit by USA Today 10best - and is accessible by car, Amtrak, and plane. “Providence combines the accessibility of a major meetings hub with the authenticity, flexibility, and personalized support that planners appreciate in a smaller destination,” says Kristen Adamo, president and CEO of GoProvidence. “Our sales and convention services team has received multiple recognitions for our client services.”

Designed for flexibility, the convention center can be configured to accommodate multiple courts or competition areas simultaneously, making it a premier destination for indoor sports. Every area is equipped with state-of-the-art sound and lighting systems, upgraded high-speed Wi-Fi, and offers ocean views. In addition, the Wildwoods’ free beaches also can host numerous sporting and non-traditional events. Combining the versatile Wildwoods Convention Center with the expansive outdoor space of the beaches and supplemental courts and tracks, the Wildwoods are uniquely equipped to host sports, meetings, conventions, and more.

In addition, The convention center’s prime boardwalk location is close to over 8,000 hotel and motel rooms and 4,000 vacation rentals as well as the thrills of over 100 rides and amusements, shopping, and more than 200 eateries. The Wildwoods Convention Center also offers convention housing support and service that is enhanced and powered by MeetingMax, the leader in the Internetbased convention housing industry. The convention center maximizes sub-block requirements, as well, protecting key space allocations for special block requirements. Their experienced housing staff also work with hotel staff to accurately identify and verify inventory, rates and more. Finally, the wildwoodsnj.com website allows visitors to plan out group activities for their time on the island.

“What truly sets us apart is the hands-on planning assistance provided by our Ocean City Meetings & Conventions Sales Team,” says Kim Mueller, director of sales, Discover Ocean City and the Roland E. Combined with our walkable location near oceanfront hotels, dining, and entertainment, Ocean City delivers a meeting experience that is both professional and refreshingly easy.” Ocean City stands out for its unique combination of scale, accessibility, and experience. As a Mid-Atlantic drive-to destination, it is easily accessible for regional and national attendees and delivers a destination-worthy experience. The Roland E. Powell Convention Center is surrounded by a diverse collection of renovated oceanfront and bayside hotels, many with meeting space, allowing for seamless citywide programs. Planners can host a fullscale convention while giving attendees the opportunity to stay steps from the beach, walk to restaurants, and enjoy downtime that feels like a true reward rather than an afterthought.

Powell Convention Center, we have recently completed interior upgrades and technology enhancements, including continued improvements to our in-house audiovisual capabilities,” says Mueller. “Across the destination, significant hotel reinvestment is underway, as well.” Ocean City’s dining and nightlife

Upscale venues offer a sophisticated atmosphere and unique backdrop, flexible spaces, premium services, and exceptional amenities for highend meetings and retreats. Boutique properties boast exceptional and chic settings for small- to midsized gatherings, featuring intimate spaces and creative offerings for memorable functions. Hallmarks include attentive, individualized service and settings well-suited for working together and building strong bonds. Another advantage is their ability to provide exclusivity and privacy even offering opportunities for full buyouts of the meeting space or property in some cases. Independent sites often feature spaces that truly break the mold. Ideal for those seeking something beyond “cookie-cutter” hotels, these properties often include historic buildings, museums, wineries, and other attractions with unique characteristics and offerings.

Choosing the right venue sets the tone for the meeting or event experience. It also plays a significant role in terms of attendee engagement and productivity. Conference Center, which has a more modern, yet still high-end vibe.”

“When you are planning a high-end meeting, you need a high-end destination. Since Historic Hotel Bethlehem is a luxury historic destination, you get this wonderful combination of modern meeting technology and time-tested luxury,” explains Allison Handwerk, corporate sales manager, Historic Hotel Bethlehem.

While Historic Hotel Bethlehem’s setting reflects more than 100 years of history, its event and meeting spaces are equipped with the latest essential technology - all thoughtfully integrated to support productive meetings without compromising the property’s historic elegance.

Many group functions at the property request customized tie-ins to Bethlehem’s heritage. “It makes sense that you would want to maximize your meeting venue’s location, especially when the venue is adjacent to a UNESCO World Heritage Site (Moravian Settlements-Bethlehem),” Handwerk notes. Flexible space is highly important to many groups meeting at the hotel, as are high-tech options such as audio-visual services and video or call in options. “We are all about options,” Handwerk assures. “We find some planners really like the warm, high-end feeling that the hotel’s 1920s architecture gives to meetings. It makes you feel like you were one of the famous guests from throughout history, like Henry Ford, Winston Churchill, or other historic icons who have met in the hotel. Others prefer our Executive 34 Januaryz February2026

“We recently added a spa, and have seen increased interest in wellness services like massages and redlight therapy sauna since doing so,” observes Handwerk. “They are great ways to unwind after a long day of meetings.” The hotel also partners with Historic Bethlehem Museums and Sites to offer fun and unique team building options. One example is a historic scavenger hunt where meeting participants bond and build team skills while exploring the historic town. In addition, conference lunches can become a curated learning experience hosted by local history experts as they share area ties to World Heritage history. “We expect this will be a popular offering as America celebrates its 250th birthday in 2026,” notes Handwerk. For example, “meeting attendees can ‘forge’ connections through a hands-on blacksmithing experience.”

Scholar Hotels State College, PA “Meeting planners prioritize venues that combine elevated design, seamless service, and a setting that supports both business and connection,” asserts Dawn Nixon, director of sales for The Nittany Lion Inn and The Penn Stater Hotel & Conference Center. “Today’s planners expect experiences to feel tailored rather than standardized. This includes customized menus that reflect dietary preferences or local flavors, themed menus, and activities aligned with the purpose of the meeting.” Offering flexible space and high-tech capabilities is vital, as well. Planners seek out venues that can easily adapt to different meeting formats, from traditional conferences to breakouts, workshops, and hybrid events. Scholar Hotels feature essential offerings, including high-speed Internet, advanced audiovisual capabilities and support, integrated technology for presentations and virtual participation, configurable meeting spaces, and dedicated on-site teams to ensure that technology enhances - and does not distract from - the meeting experience. “On-site, we can support team building experiences, culinary events, wellness activities, and social gatherings designed to foster connection. tions to offer off-site experiences such as outdoor recreation, cultural excursions, university-based programming, and destination-specific activities,” Nixon explains. “Our local Happy Valley Adventure Bureau offers a wide variety of experiences in the area for groups. These experiences allow for connecting more deeply with the destination while enhancing the overall impact of the meeting or retreat.” Planners seeking venues that support attendee well-being will appreciate the offerings at The Penn Stater and Nittany Lion Inn properties. Natural light, outdoor spaces, healthy food options, and opportunities for balance during the meeting combine with sustainability and eco-friendly practices on-site like waste reduction efforts and locally sourced offerings. These considerations play a role in site selection, aligning with Scholar Hotels’ values as well as attendee expectations. “We have several groups that hold conferences at our venues because of the value we place in these areas,” Nixon asserts.

The Swiftwater Swiftwater, PA Planners seek to deliver elevated, memorable meetings and retreats, and today’s high-end groups expect more than just a meeting room - they want an environment that inspires connection, creativity, and comfort. “From luxury accommodations to personalized service and thoughtfully curated spaces, planners choose The Swiftwater because they want a seamless, upscale setting where their attendees feel valued from arrival to departure,” says Tracy Lynn Pagan, director of sales, The Swiftwater. Personalization is among the top priorities for meeting planners - an area where Pagan says that The Swiftwater excels. “Our planners consistently request 38 Januaryz February2026

tailored menus, custom break experiences, and setups that reflect the unique goals of their program. We collaborate closely with each group to customize service touchpoints, culinary selections, room layouts, and even curated local experiences. Whether it is a themed reception, a wellness-focused break, or a private dining concept, planners appreciate that our team takes the time to understand their vision and bring it to life.” Flexibility and technology are critical, especially for multi-day retreats, training, and leadership programs. “At The Swiftwater, our current meeting space, The Branch, is designed to adapt quickly for general sessions, board meetings, or interactive workshops. Planners value our built-in 90-inch smart TV, full AV integration, and reliable high-speed Wi-Fi, which support everything from hybrid meetings to livestream presentations,” asserts Pagan.

Looking ahead, the addition of The Swiftwater Conference and Event Center will significantly expand the property’s capabilities with advanced AV systems, modular room configurations, and dedicated tech support, ensuring that groups will have the infrastructure needed for high-impact, high-tech events.

“We also partner with Hotels for Trees where we donate $1 for every room that skips a cleaning to plant a tree in Pennsylvania. The upcoming conference and event center also is being designed with sustainability in mind, integrating modern efficiencies and thoughtful material selections,” says Pagan.

“Many organizations prioritize wellness as part of their corporate culture, and they are actively seeking venues that support rejuvenation and balance,” Pagan notes. “At The Swiftwater, our serene Pocono Mountains setting naturally lends itself to fresh-air breaks, outdoor mindfulness activities, and movement-focused sessions.”

The Swiftwater is uniquely positioned to offer a blend of on-property and regional experiences to elevate any program, Pagan adds. Popular options include: culinary experiences such as chef-led demonstrations, tastings, or themed dinners; team building activities both inside and outdoors; wellness sessions including yoga, guided nature walks, and mindfulness breaks; access to local attractions like breweries, wineries, hiking trails, and seasonal experiences; as well as partnerships with premier local venues, including private group dining at Desaki, which features hibachi experiences, entertainment, and flexible seating for up to 350 guests.

Equally significant, planners also appreciate the property’s commitment to sustainability and environmentally responsible practices - from energy-efficient systems throughout to mindful sourcing of products and F&B ingredients.

experiences, and a setting that feels both refined and restorative.

Planners are looking for a venue that reflects their standards, supports their objectives, and makes attendees feel genuinely cared for and appreciated. “When planners tour our property, they will see the attention to detail and the love and care that we continue to put into our property by the consistent reviving and additions to make sure the value is always seen and experienced,” promises Meredith Dickinson, director of business development, Vivamee Hospitality for Renault Winery and Resort.

“Our menus have been crafted with planners in mind, making it easy to arrange multi-day retreats through our all-day meeting package,” says Dickinson. “This package allows planners to vary delicious meals each day, ensuring guests do not repeat the same meals. That said, we also offer the flexibility to fully customize menus for groups of any size to meet specific preferences and needs.”

At Renault, hospitality and service are at the core of the experience, guided by Vivamee Hospitality values - approaching each event with intentionality, warmth, and attention to detail, ensuring that planners feel supported and guests feel welcomed from the moment they arrive. “Our team focuses on creating seamless, elevated experiences so planners can focus on their program, not logistics,” Dickinson explains. Renault offers a true retreat environment that is private, immersive, and thoughtfully designed. It combines service driven hospitality, personalized 40 Januaryz February2026

“We are seeing more planners choose larger spaces that accommodate traditional meeting setups while also allowing for comfortable breakout areas,” observes Dickinson. “I love our addition of in-house furniture rentals, which enhances flexibility by creating relaxed, functional environments for collaboration or downtime.” Wellness has become increasingly central to how planners design multi-day meetings and retreats, Dickinson notes. “I truly believe that 2026 will be the year wellness becomes a primary focus. When teams gather for off-sites, they often are traveling alone and spending extended time away from family, which can be physi-

cally and mentally demanding. Incorporating moments of restoration is essential.” With the addition of their spa in 2025, Renault introduced a dedicated relaxation room where attendees can enjoy restorative experiences during breaks, such as shoulder, neck or hand massages, aromatherapy, calming music, and quiet activities like coloring. For those with full agendas, the spa also offers 30-minute massages or facials, as well as 20-minute salt room therapy sessions. “We are seeing a shift in how planners define team building, moving toward shared wellness experiences,” Dickinson says. “Currently, we offer group sound baths and yoga sessions with additional wellness programming being introduced in the near future.” Guests also are drawn to culinary and wine focused experiences that provide engaging and memorable ways to connect as a group. Among Renault’s most popular offerings are their Charcuterie Design Class and Mozzarella Making. “People thrive outdoors after meetings inside, so all year round our guests will add on fire pit or a cabana with s’mores after dinner. Our 18-hole National Golf course always is a hit, but we also work with local partners including a horse farm for scenic horseback riding tours, clay shooting just minutes from Renault, and local charters for boat rides and charter experiences,” notes Dickinson.

Woodloch Resort Hawley, PA “Planners always want to make sure they have a clear understanding of the expectations of their group members as well as the agenda for the stay,” observes Matt Butler, senior corporate sales manager, Woodloch. If free-time is built into that agenda, Butler adds, planners will want to make sure there are plenty of activities and things to do at the venue or nearby. If time does not allow for recreation, it becomes even more imperative that meeting spaces are up-to-date as the group will be spending so much time in the space. “Woodloch offers a complimentary Event Planner that will help to create an agenda,” Butler says. “The Event Planner will assist in scheduling meetings, meals, and activities. We find this personalized service helps create a unique experience and allows groups to customize many aspects of their event. We 42 Januaryz February2026

have seen an uptick in groups looking to curate specific menus… and to customize some of our team building events toward their specific business type.” Flexible spaces are important, as many groups want to utilize these rooms for more than just a meeting. As an example, attendees may want to breakout into smaller groups within the room, or to take a break from the meeting by stepping out into nature. “Technology has gotten to be very mobile and portable,” explains Butler. “Groups now have most, if not all, of the tech they need on their phones or computers. With that said, standard items like Smart TVs, wireless Internet, and streaming capabilities in the accommodations are a must.” The trend toward wellness is big in the Pocono Mountains, and Butler says planners are asking more detailed questions both about wellness support and also sustainability practices as part of their venue selection process.

Wine Cellar at Crystal Springs Resort

“For wellness-driven retreats, Woodloch is naturally positioned with nature immersion and outdoor space, and The Lodge at Woodloch layers in a spa-and-wellness mindset that many groups actively seek out,” notes Butler. “On the sustainability side, planners appreciate concrete initiatives. Across the Woodloch properties, we participate in single-stream recycling and operate a robust composting program along with efforts like compostable cups and biodegradable to-go containers, towel and linen reuse to conserve resources, and environmentally-friendly cleaning supplies.” Woodloch also proudly is in partnership with the Delaware Highlands Conservancy, and guests contribute $3 per stay through the conservancy’s Green Lodging Partnership. When it comes to team building and group programs, the resort offers a wide range of immersive activities that help groups connect beyond the meeting room. “We can help planners curate a schedule that balances structured meeting time with memorable on-site experiences,” assures Butler. 44 Januaryz February2026

This can include everything from guided outdoor experiences to wellness-oriented programming. Depending on the group and goals, options could include: guided hikes, forest bathing, walking meditation (including the resort’s labyrinth), and mind-and-body classes, as well as team building opportunities that encourage participation and shared accomplishment.

Crystal Springs Resort Hamburg, NJ According to Linda Alloco, regional director of sales, Crystal Springs Resort, “For a luxury corporate event, the venue is more than a space - it represents a strategic component that directly impacts the success and outcome of the gathering. Crystal Springs Resort offers a one-stop shopping experience for this level of meeting with world-class service, high-end amenities, and superior technology.” From a practical standpoint, the convenience of Crystal Springs’ location in northern New Jersey - just an hour from NYC - and its ease of accessibility makes it an ideal choice for many planners and groups.

“The era of the one-size-fits all meetings is over,” declares Alloco. “Increased personalization is no longer a ‘good to have’ - it is an expectation. We customize each event according to the clients’ specifications.” Alloco adds that planners want a dedicated, single point of contact who understands their group’s history and preferences prior to arrival. They ask for customized menus based on dietary needs and appreciate the resort’s local sourcing for menu ingredients, too. When it comes to activities, Alloco says, “We offer a robust team building program that groups embrace during their stay. From meditation sessions to custom mixology classes and group hiking, we have just the right activity to keep your group engaged.” Alloco asserts that Crystal Springs Resort also features superior options for creative spaces, “as we can cross sell and offer both resorts (Grand Cascades Lodge and Minerals Hotel), as well as Black Bear Den and Ballyowen Pavilion. Looking

Back... Highlighting Events from 2025

With 2025 drawing to a close, a few friends of Mid-Atlantic Events Magazine join us in looking back at some of their events that helped make this past year a success. Highlights include celebrating dining excellence, introducing new initiatives, bringing planners and venues together, celebrating the transformation of the Philadelphia Navy Yard, spreading the word about wellness, and fundraising for those who provide service dogs for veterans in need. Each event tells a unique story, and all celebrate the robust and vibrant event industry and hospitality community. Representing just a few examples of the many events that took place in 2025, the following retrospective features exceptional venues, creative planning, coming together, and worthy causes.

MICHELIN Guide 2025 Northeast Cities Ceremony “One of the most meaningful events we were involved with in 2025 was catering the MICHELIN Guide 2025 Northeast Cities Ceremony at the Kimmel Center in Philadelphia,” notes Nathan Davis, director of marketing and creative, Rhubarb Hospitality Collection. “This event was truly historic - not only for our team, but for the city itself - as Philadelphia was officially recognized as a MICHELIN-rated destination for the very first time.” This evening celebrated culinary excellence at the highest level. The role they played in welcoming chefs, restaurateurs, and industry leaders from across the region felt incredibly rewarding, Davis explains. It was a moment where hospitality, culture, and civic pride intersected, and the team at Rhubarb Hospitality Collection felt a true sense of pride and a deep connection to its significance. The event honored and recognized the restaurants and chefs selected for the MICHELIN Guide, formally introducing Philadelphia as part of this prestigious culinary landscape. For attendees, the evening was both a celebration and a milestone - one that acknowledged years of dedication, creativity, and craft within the hospitality community. Chester County's Brandywine Valley held its Annual Partner Event at Longwood Gardens' new Fountain Room, Kennett Square, PA

with live program elements, tight timelines, and multiple service moments unfolding simultaneously.

“What made the event memorable was the level of intentionality behind every detail,” notes Davis. “Guests were welcomed with thoughtfully curated canapés, elevated cocktail experiences, and seamless service that reflected the caliber of the occasion. The setting, paired with dynamic food moments and a strong sense of ceremony, helped create an atmosphere that felt celebratory, yet refined - allowing attendees to feel both honored and immersed.” Rhubarb Hospitality Collection Philadelphia served as the exclusive catering partner for the event, with responsibilities that spanned culinary development, beverage programming, service execution, and overall guest flow - ensuring that the experience felt cohesive from arrival through the final toast. “This was a deeply collaborative effort,” Davis explains. “Our culinary leadership, operations teams, event captains, and service staff all played critical roles in executing at the highest level. We also worked closely with Ensemble Arts Philly and the venue’s production partners to align timing, logistics, and guest movement. Events of this scale and importance truly succeed because of teamwork, and this was a perfect example of that collaboration in action.” For an event of this profile and visibility, balancing precision with adaptability was critically important. The guest list included some of the most respected chefs and hospitality leaders in the region, and expectations both culinary and experiential - were exceptionally high. The event also required seamless coordination 50 Januaryz February2026

“We overcame these challenges through extensive advanced planning and close collaboration across teams. Chris Cryer, executive chef of Leo Restaurant, played a pivotal role in leading the culinary vision and execution, ensuring that every menu element reflected both technical excellence and thoughtful restraint appropriate for a MICHELIN-caliber audience,” Davis reflects. “His leadership, paired with the experience of our operations, event, and service teams, allowed us to remain nimble on-site while upholding the highest standards.” “Clear communication, trust in our team, and a shared commitment to excellence enabled us to adapt in real time,” Davis observes, “delivering an experience that felt effortless to guests, even behind the scenes.”

Chester County, PA Annual Partner Event “This year, we hosted our Annual Partner Event in Longwood Gardens’ stunning new Fountain Room event space,” says Michelle Cope, visitor and partner services manager, Chester County’s Brandywine Valley. “For many of our hospitality partners, this was their first opportunity to experience the venue, making the unveiling especially exciting.” Nestled in the heart of Longwood Gardens, the Fountain Room overlooks the iconic Main Fountain Garden and offers a truly memorable setting. The 5,000-square foot space accommodates up to 150 guests for seated events and 400 for receptions - an exceptional option for gatherings of all kinds. “Our Annual Partner Event provides an opportunity to share key initiatives we are developing to support our partners, along with meaningful insights into the future of tourism in Chester County. As part of the program, we also feature a keynote component, and this year we proudly highlighted our Agritourism Community with a

As our largest event of the year, it is truly an all-hands-on-deck effort involving our entire team.” “Our executive director, Susan Hamley, provides the overarching vision for the event, while Nina Kelly, director of marketing and communications, leads the design efforts with support from the marketing team,” Cope continues. “Content development is supported by Courtney Babcock, director of sales, and Greg Edevane, director of global development, ensuring a comprehensive and impactful experience for our partners.”

dynamic panel discussion titled The Art of Agriculture in Chester County,” Cope explains. The panel explored the vital role agritourism plays within the hospitality industry and was moderated by Christy Campli of Growing Roots Partnership. Panelists included: Bill Covaleski, founder of Victory Brewing Company; Sue Miller of Birchrun Hills Farm; Tina Ellor of Woodlands at Phillips; and James Wilson of Wayvine Winery and Vineyard. Guests were inspired by the panelists’ passion for agriculture and collaboration and left feeling energized to continue working together across the community. “Anne Ryan, PA Deputy Secretary of Tourism, engaged attendees through a video presentation offering a regional perspective on tourism and its connection to Brand USA’s national outlook. Chester County Commissioners also shared remarks underscoring the importance of agriculture to our treasured community,” Cope recalls.

With the Fountain Room having been newly opened and an unfamiliar space to the Chester County’s Brandywine Valley team, the planning process was both exciting and challenging, Cope notes. “We had a great time developing the floorplan and guest flow, as well as learning to utilize the venue’s new, state-ofthe-art in-house AV system. As one of the first events hosted in the space, operating the equipment was a bit nerve-racking, but everything ran seamlessly and without a hitch.” In addition, guests were encouraged to arrive early so they could experience Longwood’s new spaces beyond the Fountain Room, which included its relocated fine dining venue 1906, the Cascade Garden, as well as the impressive West Conservatory.

Annual Harrisburg Meet and Mingle

The program concluded with Longwood Gardens Culinary Director Will Brown, who provided an overview of the culinary experience guests were about to enjoy, highlighting Longwood’s commitment to sourcing from local growers and producers throughout Chester County.

“The Annual Harrisburg Meet and Mingle at the Greystone Public House was special because everyone there understood the industry, and it was easy to connect with other planners,” observes Katie Paschall, director of sales and partnerships, Visit Delco, PA. “It was exciting meeting new people, swapping ideas, and introducing planners to great venues and hotel partners from Delaware County. And overall, it was just enjoyable - relaxed vibes, easy conversations, and really good energy.”

tionships, share ideas, and explore new opportunities for future events. According to Paschall, conversations were genuine, the atmosphere was relaxed, and the mix of planners, venues, and hotel partners made networking feel easy and natural. “Getting to meet new people, learning about fresh event options, and making real connections all helped make the event both memorable and worthwhile.” Coordinating schedules, making sure that the right mix of planners, venues, and hotel partners could attend, and keeping all the details organized presented some challenges during the pre-planning phase, but Paschall stayed flexible, communicated often, and adjusted the plan as needed. “Once everything came together, the event ran smoothly.”

Philadelphia’s public-private economic development partner.” In addition, Beth Lawrence Meetings and Events also were partners in producing a short documentary film about the Navy Yard’s transformation. Located at the southern border of the City of Philadelphia, the Navy Yard is a 1,200-acre urban campus that is home to more than 150 companies and 16,000 jobs, making it one of the nation’s most dynamic hubs of business, innovation, and opportunity. The documentary can be viewed at: http://navyyard.org/25thdocumentary - created in partnership with Fatou Barry and Ritchie King. “While each event had a specific audience, the goals of the overall campaign were to enhance awareness and recognition of The Navy Yard’s historical significance as a former naval base and future potential as a global place for business; to foster deeper connections with stakeholders, the surrounding community, business tenants, and partners through interactive events and strategic engagement; and to highlight the latest advancements and future plans in urban development, sustainability, and economic impact,” Lawrence explains.

“One of the things I loved that we did was to showcase the past 25 years of development in the form of an installation at the entrance of September’s 25th Anniversary Stakeholder Celebration,” Lawrence continues. “The installation included boards of hundreds of photos from throughout the decades, including key milestones in PIDC’s transformation of the Yard.” Managing multiple stakeholders, tight timelines, and evolving needs along the way were some of the challenges the Beth Lawrence team faced. “By staying flexible, communicating clearly, and keeping the project’s core goals front and center, we were able to navigate those hurdles and deliver a cohesive, successful series of events,” Lawrence proclaims.

Bringing Wellness to Events Wellness has long been important to Caesars Entertainment, actively supporting the health of their employees with wellness being a significant part of that. “It is a growing vertical worldwide,” observes Kelly Gleeson Smith, senior vice president of sales, Caesars Entertainment, “we saw this an opportunity for our clients to add wellness activations or speakers and be on trend with their attendees. And it is taking off with our

clients, and I am happy to report that momentum as people are getting educated and seeing others get a great ROI.”

Team Foster’s Ruff Ride 24-Hour Spin Relay

Caesars Entertainment held its inaugural wellness event in June of 2024, initially created as a way to showcase their new wellness menus. It was so well received that Caesars wanted to share the experience with others who were interested in incorporating wellness elements into their events. This is where the idea for the Caesars Entertainment Wellness Roadshow originated.

“One of our favorite events in 2025 was Team Foster’s Ruff Ride 24-Hour Spin Relay,” recalls Bill McEwen, vice president of strategic development, Advanced Staging Productions. “We have had the opportunity to support this event for several years, and it continues to stand out because of its mission. Partnering with local nonprofits is important to us, and Team Foster’s work raising funds to provide accredited, life-saving service dogs to injured and disabled veterans - is something our entire team is passionate about.”

Through the roadshow, Caesars brought their message about their wellness initiatives to clients across the nation, which included stops in the following cities: Atlanta, GA; Chicago, IL; Phoenix/Scottsdale, AZ; Seattle, WA; Philadelphia, PA; Washington DC; and Columbus, OH. These invitation-only, intimate gatherings took place from February into April at high-end venues that lent themselves to experiencing wellness.

From a production standpoint, McEwen explains that the event is incredibly dynamic. A 24-hour cycling relay creates nonstop energy, constant audience engagement, and a strong sense of community among participants and spectators. It is fast-paced, high-energy, and genuinely fun - but it is the purpose behind the event that makes it so rewarding to be part of year-afteryear.

For example, the roadshow stopped at the Fairmount Park Horticulture Center in Philadelphia, and at The Renwick Gallery of the Smithsonian American Art Museum in Washington, DC. “We pride ourselves on being innovative and bringing ideas to the table for our clients,” notes Gleeson Smith. “We survey trends and opportunities to create new, unique ideas for our clients. Wellness is a great example.”

“The Ruff Ride serves as Team Foster’s largest fundraising event of the year, while also creating a meaningful opportunity to connect with local partners and the surrounding community,” McEwen explains. “In 2025, the impact was especially significant, as the event set a new fundraising record - raising more than $240,000 to support Team Foster’s mission.”

Having an experience together like this is a great way for a group to “break the ice.” By collectively attending an event that incorporates wellness, is serves as something each participant can connect with and understand. When it comes to hosting wellness events for clients, healthy dining at Caesars Atlantic City properties includes access to farm-to-table choices, and - for much of the year – it also is easy for the properties to incorporate wellness either on or by the ocean. Caesars also can work with outside partners from within the health and wellness community when putting together events. “Our wellness menus often are scalable and can be easily adapted into a conference agenda,” assures Gleeson Smith.

Bill McEwen, vice president of strategic development, Advanced Staging Productions

A particularly memorable event, it sustained energy and engagement among attendees for over a full 24hours, which is no small feat. This required thoughtful planning beyond the cycling itself, notes McEwen. “One of the ways we help support that momentum is through immersive lighting design. Our lighting team transforms the venue with dynamic looks throughout the day and night, incorporating custom fixtures and UV lighting to create a vibrant, day-glow atmosphere. In many ways, it becomes a nightclub built around pedal bikes - fun, visually engaging, and motivating participants to keep going while reinforcing the communal spirit of the event.” Advanced Staging provided full audiovisual production for the event, including all equipment, labor, and technical planning required to bring the experience to life. From the initial build through execution, the Advanced Staging team handled the design and installation of the production elements that supported the energy and flow of the event. “An important part of our approach was collaboration,” McEwen asserts. “To help the event remain cost-effective while still delivering a high-quality experience, we partnered closely with Team Foster’s full-time staff. Our team built the production framework and then trained their staff to operate select components of the show, including video

and streaming elements. This collaborative model allowed the event to run smoothly while empowering their internal team and maximizing the overall impact of the production.”

“Our wellness menus often are scalable and can be easily adapted into a conference agenda.” Kelly Gleeson Smith, senior vice president of sales, Caesars Entertainment

Balancing the scale of a 24hour event with the need to remain budget-conscious posed some challenges. For example, maintaining full production staffing on-site for the entire duration simply was not practical, so success depended heavily on the aforementioned planning and collaboration. Focusing on extensive pre-production, such as building detailed presets, establishing clear workflows, and training Team Foster’s staff to confidently operate key systems during periods when the Advanced Staging team was not on-site, ensured consistency and reliability throughout the event. “We also strategically identified moments where our direct involvement would have the greatest impact,” notes McEwen. “For example, during the event’s signature midnight rally, we brought our lighting director and audio engineer back on-site to deliver a high-energy, immersive experience at a critical point in the event. By being intentional about where and when our expertise was applied, we were able to maximize both the attendee experience and the event’s overall success.” Mid-AtlanticEvEntsMagazine 57

As the events and meetings industry continues to evolve, Think Tanks, Roundtable discussions, Focus Groups, and Collaborative and Engaging Events will remain essential

58 Januaryz February2026

Helping to Strengthen the Meetings Industry In an industry built on bringing people together, the meetings and events sectors thrive on collaboration, connection, shared insight, and relationships. As the landscape continues to evolve - shaped by shifting attendee expectations or participation, shifting host sponsor expectations or accountability, newer technology, and a growing focus on sustainability - industry professionals are increasingly adding Think Tanks, Roundtable discussions, and Engaging Client events into their mix for 2026.

Relationships These types of events create spaces for planners, along with suppliers and destination partners, to be present with their attendees and clients and focus on conversations and creativity with those they have in front of them. They can encourage candid conversation, brainstorm ideas, and maybe go off-script and potentially increase attendee engagement for future events. At their core, meetings are about relationships, and these small group or discussion-focused formats can help eliminate barriers helping to foster greater trust between planners and suppliers. These gatherings allow destinations and venues to better understand the varied needs of planners and increase awareness for planners about opportunities and offerings of the properties. Insights shared also could lead to a wider range of more relevant services and offerings, and the creation of truly customized experiences for improving attendee engagement.

Connecting and Re-Connecting By assembling the diverse voices for a specific meeting, conference, or event – including the planner, hotelier, venue representative, and marketeers – holding a Think Tank session provides a forum for conversations that can help identify trends, surface unmet needs, and inspire new approaches. They also can serve as a testing ground for ideas to be explored and refined prior to a pre-con meeting.

Looking Ahead As the events and meetings industry continues to evolve, Think Tanks, Roundtable discussions (or Focus Groups), and Collaborative and Engaging Events will remain essential. By investing in these shared or creative learning opportunities, the industry continues to reinforce and generate positive outcomes for the attendee experience. LookingForward... Trends for 2026 and Beyond It is time to say goodbye to 2025 and welcome the new year by examining some of the latest trends in meetings, events, and hospitality, along with a few expectations and predictions for 2026 and beyond. Professionals and experts in the fields of team building, catering and events, and destination marketing discuss what they are seeing to kick of the new year and share where they think things are heading.

Matt Butler, Senior Corporate Sales Manager Woodloch Resort We have been seeing an increase in companies finding our property as an option for their retreat by using ChatGPT as well as other AI search services. We also have had an increase in Tech and AI companies reaching out to put together retreats at our property, as many in the space have remote workers from all over the country and want to bring them together at one location for team bonding and meetings. On the meeting side, expectations continue to rise around seamless basics, such as strong Wi-Fi, reliable AV, and quick access to information needed to plan efficiently. At Woodloch, we have seen group sizes decrease slightly and the sweet spot for leads tends to be in the 30-40-person range. Most groups prefer to stay for two nights during the week, but we still are seeing some large group leads in the 100-200s that are staying for three nights or more, as well. Midweek does tend to be 60 Januaryz February2026

the consistent pattern that groups of all sizes enjoy versus over the weekend. I expect to see this remain constant and the further we get away from the pandemic we would expect some larger and more frequent events. Many of our groups are looking for unique menu ideas as well as healthier options for meals. Also popular are food and beverage experiences, such as culinary team building events, cooking demonstrations, mixology classes, and competitive culinary programs. We can offer all these opportunities at Woodloch, and most groups typically will partake in one such activity or event. Such food-and-beverage moments feel like a “break” from meetings, but still build connection and energy within the group. Another request we are getting a lot is for benevolent events that give back to the community in some way. We have a few here at Woodloch that are very popular such as our Bike Building and Assembly Required events, as they combine the element of competition and team building while the group builds toys or bikes for less fortunate children, which are then donated to a charity of their choosing.

Sarah Farrell, Regional Sales Manager Pocono Mountains Convention and Visitors Bureau I see meetings not just returning, but evolving. As we enter 2026, planners are booking larger meetings and being more thoughtful about how they use that time together. Two- and three-day programs remain popular as group sizes are gradually growing again and organizations are recommitting to “team building” culture. In our region, that means a mix of purposeful programs and experiences that balance productivity with connection - exactly what planners and attendees are craving. What stands out most to me is the shift in planning mindset. Planners no longer are waiting to see what

happens – they are booking earlier, asking better questions, and looking ahead to 2026 and beyond with confidence. Planners are seeking fresh destinations that make their jobs easier and events more meaningful. Accessibility and logistics do matter, but elevated experiences and a sense of partnership are what really resonate with our clients. They want to work with destinations that are collaborative, flexible, and invested in their success. That is where CVBs play a critical role. At the PMVB, Leigh Velez and I work side-by-side with our hotel and attraction partners to help our planners create experiences that go beyond the room block. Our team aims to pair up the right property with the right audience. Whether we are suggesting mountain adventures or unique local experiences, leaning into our partnerships, and utilizing the resources at PTN (Pocono Television Network) shows planners that our primary focus is helping them create meetings that feel intentional, not transactional. One of the most positive trends that I see benefitting destinations like the Pocono Mountains is an emphasis on meaningful, face-to-face connections and immersive experiences. Planners are investing more in experiential and personalized programs with the intention for attendees to unplug, engage, and experience to62 Januaryz February2026

gether - often with wellness, outdoor activities, team building, and authentic local touches. Another industry trend for 2026 and beyond is utilizing AI technology to streamline services and support attendee engagement. These new tech tools are allowing meeting planners to be more organized and effective in their “behind the scenes” pre-planning work and can help streamline tasks like site research, registration models, event agendas, and on-site activations. I do not see AI replacing planners, but used wisely, it is giving them back the gift of time to focus on what they do best.

Chris Ackerman, Director of Sales Discover Lancaster As we head into the New Year, Lancaster County is seeing fantastic momentum with a steady and rising stream of meetings and events, especially in the smallto-midsize sweet spot. Meeting patterns are getting more focused - often one- to two-days - but with a bigger emphasis on making the trip feel special. Planners are adding a standout off-site or an “only-in-Lancaster” experience instead of simply stretching the schedule. Group sizes continue to favor destinations that are easy to navigate and deliver big on attendee experience

without big-city complications. Looking ahead, we expect strong demand to continue for value, convenience, and flexibility, particularly for drive-market groups, paired with an even sharper focus on venues and partners who can deliver smooth, consistent execution from start to finish. Planners are looking for destinations that do not feel like “same agenda, different hotel.” They also are gravitating toward destinations where authentic local experiences are close, accessible, and easy to build into the program. Just as important, they are leaning on DMOs and local partners who can take work off their plate, provide fast responses, assist with making trusted connections, and offer itineraryready ideas that help them confidently sell the destination internally. For 2026, Lancaster County’s strongest drivers will be keeping the story fresh with new and newsworthy experiences, reinforcing our easy access to key Mid-Atlantic markets, and matching groups with right-sized facilities and flexible spaces, while also spotlighting what Lancaster does best: heritage, culinary experiences, entertainment, and hands-on activities that boost attendance and leave groups genuinely excited to come back. Lancaster County is well positioned for 2026 and beyond, with trends moving in our favor, especially the continued strength of drive-to meetings as organizations respond to a softening economy and the growing demand for experienceforward programming. Groups want

more than meetings; they want shared moments that build connection, great food, culture and entertainment, and immersive activities that make the trip truly feel worthwhile - and Lancaster County delivers on all these aspects with a deep bench of distinctive attractions and local character. We also see broader regional and statewide travel momentum creating tailwinds through greater interest in add-on leisure travel, while the ongoing search for high-value alternatives to larger, more expensive markets will continue to benefit destinations like Lancaster that offer memorable experiences with simple, seamless logistics from arrival to departure.

Domenick Savino, CPCE, Managing Partner The Drexelbrook For 2026, corporate events are becoming technologyintegrated, experience-first, and socially and environmentally mindful. Immersive hybrid experiences are becoming essential. Real-time networking apps, interactive Q&A, and phygital environments ensure in-person and remote participants feel equally engaged. AI-powered personalization also is evolving. Apps now generate individualized agendas, matching attendees and recommend sessions based on behavior - similar to your Spotify playlists or your shopping habits. Datadriven decision-making is central. In speaking with some of our planners, they indicate an increased use AI to select meeting locations, seminars, keynote speakers, forecast attendance, optimize schedules, assess ROI, and streamline operations. Ambient AI is entering daily interactions, too, such as integrated into booking platforms, smart badges, and wristbands. I see tech usage increasing significantly in 2026, especially in AI and hybrid event platforms that make physical and virtual participation seamless and personalized. When it comes to planning, organizations are consolidating events into intentional, outcome-driven sessions. Meetings are shorter, sharper (“micro-sessions” 64 Januaryz February2026

of 15-20 minutes, modular agendas), and attendance is more purposeful. Hybrid components are expected in about 80 percent of events, even in fully in-person formats, as a way to expand reach and inclusivity. Budgets may increase, but planners understand the investment cost of new technology. This will be a necessity in meeting ROI expectations, which remains top priority. Depending on the company or conference size, events will become more frequent, but concise - all with hybrid structures, focused agendas, smaller segments, and strict ROI justification. Regarding trends in food and beverage, experiential and immersive dining is popular. Live chef stations, interactive tastings, roaming presentations, and storydriven menus are now expected - not optional. Organic, locally sourced, plant-forward menus with zero-waste initiatives and clear provenance are no longer extras - they are required. There is a movement toward menu simplicity with bold flavors – fewer, but thoughtfully crafted dishes like comfort food with twists, healthy bites, and enhanced protein snack pairings are in demand. So are betterfor-you beverages, such as low- or no-ABV cocktails, adaptogen-infused drinks, prebiotic sodas, and gardengrown mocktails. When it comes to group and team programs, gamification and competitive activities are hot. Scavenger hunts, team challenges, innovation hackathons, and escape rooms help to boost engagement and collaboration. Adventure and experiential themes also have been gaining momentum, such as rally-style challenges, outdoor excursions, innovation labs, and VR/AR activations with themes like “Futuristic Innovation.” Purpose-driven volunteer activities like environmental clean-ups or community service as part of the agenda are increasingly popular, too, as is wellness-centric experiential programming. Corporate retreats featuring yoga, meditation, breathing workshops, and mental health sessions are trending as employee well-being rises in importance. Mobile service providers will come to the event site to lead pop-up sessions.

Maria Grasso, Chief Sales Officer PHLCVB (Philadelphia Convention and Visitors Bureau) The meetings and conventions industry continues to be strong in Philadelphia. In 2025, we experienced an increase in lead volume and attendance, however, the requested room blocks have slightly declined. From our perspective, planners right now are prioritizing destinations that offer relevance, energy, and built-in storytelling. While ease of access, walkability, value, and a strong sense of place still matter, what really is driving decision making are destinations that feel timely, meaningful, and that give attendees a reason to show up beyond the agenda. For 2026, we are seeing strong interest among groups that want to align their meetings with the Semiquincentennial as Philadelphia becomes the national focal point for the 250th anniversary of the Declaration of In-

dependence, signed right here in our city. That milestone gives planners something they cannot manufacture elsewhere - a once-in-a-generation moment with built-in excitement, national visibility, and cultural significance. Groups booking here in 2026 are intentionally leveraging the citywide programming, celebrations, and energy of the year to elevate their attendee experience. For them, Philadelphia is not just a host city, it is part of the content, the narrative, and the value proposition. And that is exactly what planners are chasing right now - destinations that help their meetings feel bigger, more memorable, and more relevant. In Philadelphia, we are seeing planners intentionally using the city as an extension of their program. That flexibility paired with walkability, history, and major global events creates meetings that feel more like experiences - and that is exactly where meetings, travel, and tourism are headed.

That momentum is reinforced by the fact that Philadelphia is hosting PCMA Convening Leaders in January 2026, which is both a signal and a catalyst for our industry. When the world’s leading conveners choose your city, it validates the destination and puts it on display for thousands of decision makers at exactly the right moment. PCMA allows planners to experience Philadelphia firsthand - our walkability, our venues, our hospitality workforce, and our ability to deliver experiences that extend well beyond the convention center. Combined with the city’s authentic venues, major global events, and the energy of the Semiquincentennial year, it positions Philadelphia not just as a host city for 2026, but as a case study for where meetings are headed next.

David Goldstein, Founder TeamBonding When it comes to fun, adventure, and themed events, we are seeing a strong demand for experiences that tap into timely and seasonal global events. With the upcoming World Cup and Olympics, we anticipate a rise in team building activities - specifically soccer and Olympic-sport themed - aimed at capturing the excitement and global connection of these events. This pro66 Januaryz February2026

vides a natural, high-energy theme for both competitive and collaborative team activities. Beyond global sports, culinary-themed events continue to trend as a popular and engaging experience for teams. Cooking together fosters teamwork, creativity, and camaraderie in a hands-on, rewarding way where you, in many cases, get to enjoy the final product together. We find organizations are consistently looking for activities like team cooking experiences, mixology classes, or niche culinary activities that include building bridges out of chocolate and competitive fruit carving. TeamBonding also has seen an increased importance being placed on team wellness and social responsibility. Corporate Social Responsibility (CSR) and charitable events are extremely important and popular with our clients, as they are seen as a powerful way to create a sense of shared purpose among employees. These activities, which range from building bikes for charity to food bank volunteering, boost morale, increase employee satisfaction, and strengthen the team’s sense of camaraderie. In 2026, CSR is becoming increasingly important, especially in a soft labor market where people may be unhappy, but clinging to their current jobs. Coming to-

gether with your team to give back is a valuable way for businesses to re-engage their employees and showcase their core values. One key area of growth will be social responsibility evolving beyond charitable team building events. While important, we are actively exploring and seeing growth in demand for long-term corporate volunteering programs and skill-based volunteering (SBV). SBV allows employees to use their professional expertise such as marketing, data analysis, or a specific industry focus to work with non-profits in their communities that need that specific support. This provides a triple benefit, as it helps the community, develops the employee’s leadership and technical skills, and aligns with larger business objectives to implement these programs.

“Regarding trends in food and beverage, experiential and immersive dining is popular. Live chef stations, interactive tastings, roaming presentations, and story driven menus are now expected - not optional.” Domenick Savino, CPCE, managing partner, The Drexelbrook

Another trend we see having a positive impact on how groups come together is the move toward increased event personalization. We frequently observe clients approaching us with a major concept or a creative approach to tailor an existing event into a unique experience. It is important for company leaders to remain flexible with their team building, seeking out providers with the expertise to customize an event to your specific organization’s needs from start to finish. This approach not only ensures that your team building or charitable event will successfully meet your strategic goals, but that it also will make your team feel as though the experience is genuinely suited to their specific needs and interests. ASK US

Mid-Atlantic Events Magazine asked service providers, venue and DMO representatives, as well as planners to reflect on a lesson they have taken away or learned from 2025 that they are carrying over into 2026 for working with clients or prospective accounts. The following are some of the thoughts that they shared with us.

Venues, Destinations, Suppliers & Providers

Sarah Farrell Regional Sales Manager Pocono Mountains Visitors Bureau 2025 taught me that people do not really buy “destinations” or “products” - they buy relationships and stories. When I showed up as myself and focused on a personal connection instead of just closing a sale, the results were much stronger. I learned the best way to “sell” a destination is to invite people into the story - and help them explore the possibilities to fit their individual goals. The days of a generic sales pitch with information overload are over. When I show up as authentic and share my passion for the region, the Pocono Mountains sell themselves. That client relationship-first mindset is my primary focus, and exactly how I am walking into 2026.

Chris Ackerman Director of Sales Discover Lancaster One of the biggest takeaways I am bringing from 2025 into 2026 is how much long-term value is created when we lead with education. This past year, I found clients were not just looking for a destination and a proposal, they wanted a partner 68 Januaryz February2026

who could help them navigate an evolving meetings landscape. With shifting market conditions, tighter timelines, changing attendee expectations, and ongoing budget pressure, the conversations that landed best were the ones where I provided practical guidance and context - not just options. Educating clients on seasonality and demand patterns was especially impactful, helping planners understand peak periods versus more flexible windows, and how that affects availability, rates, and negotiating leverage. In 2026, I am excited to build on that by helping clients stretch their budgets through smart timing and positioning. That could mean identifying shoulder season opportunities, suggesting minor date shifts to unlock better value, or reinvesting savings into attendee facing enhancements like upgraded F&B, transportation, or unique off-site experiences. Instead of viewing seasonality as a constraint, we can use it as a planning advantage and - in doing so - continue strengthening trust and positioning Lancaster County as a knowledgeable, forward-thinking partner.

through collaboration, creativity, and shared experiences with a delicious glass of wine (or mocktail).

Meredith Dickinson Director of Business Development Vivamee Hospitality Renault Winery & Resort One lesson that I am carrying from 2025 into 2026 is the value of leading with intention rather than urgency. The strongest client relationships came from slowing down, listening closely, and aligning solutions thoughtfully.

Stephani Bann Director of Sales Kalahari Resort & Convention The value of listening first. Clients and prospective accounts value partners who truly listen, adapt quickly, and design solutions that align with their evolving goals. Strong relationships continue to be the foundation of successful programs.

Stephanie Perez Head of Private Dining and Events Monterey Grill Mt. Laurel One lesson I am carrying into 2026 when working with social and corporate clients - whether through restaurant dining experiences or networking events - is that relationships move faster and last longer when they are built in-person and rooted in genuine connection. In 2025, the strongest partnerships came from creating face-to-face moments over breaking bread and facilitating meaningful, organic conversations. Beyond deliverables, what clients valued most was being connected to the right people - thoughtful introductions, collaborations, and access that extended far beyond the scope of a dinner or meeting. In 2026, I am committed to continuing to be present with my colleagues and clients - bringing the right people together and fostering more meaningful connections that grow

John Serock President John Serock Catering Late / Slow/ Panic! I am finding that potential clients have been later than usual planning their events, they are very slow in actually committing to a date or venue, and then they go into panic mode trying to finalize details at the last minute. We are digging in more at the first point of contact and asking their timeline for making a decision and, most importantly, we are dealing directly with the decision maker. We also are sharing copies of our contract with new clients right from the start because we are finding with corporate clients, the biggest hold ups sometimes have to deal with waiting on their in-house legal team to approve the contract. Scott Higgins Director of Sales Valley Forge TCB We have all been caught in the email back and forth. This year, I have learned that it is often best just to pick up the phone and have a brief conversation. The 5minute call is often more productive and you are able to connect with your client on a different level. So, in 2026, let’s chat!

Kim Mueller Director of Sales Discover Ocean City, MD One lesson I am carrying into 2026 is that planners are not just being asked to deliver space and room blocks anymore; they are being asked to deliver an experience. I have seen how much pressure that puts on them, and it has changed how I work with clients. When we focus on the moments in between how attendees feel, connect, and remember the destination and truly partner with planners through that process, the outcome is stronger events and even stronger relationships.

Jim Ziereis Executive Director of Hotel Sales Borgata Hotel Casino & Spa | MGM Tower Flexibility, creativity, and approaching each and every event as an equal partnership were the keys to our success in 2025 that we will carry into 2026.

Gina Harrigan Director of Sales Caesars Entertainment In 2026, I am committed to carrying the practice of being present into the new year. This business thrives on relationships - not just during contract negotiations, but in all the moments in between.

Tracy Lynn Pagán Director of Sales The Swiftwater We have learned that the most successful partnerships come from truly understanding our clients’ goals, challenges, and vision before talking about space, pricing, or packages. When we take the time to listen, collaborate, and act as an extension of their team, trust is built and that trust leads to long-term relationships, repeat business, and shared success. In 2026, our focus will continue to be on intentional communication, flexibility, and personalized service, showing our clients that at The Swiftwater, they are not just booking a venue, they are gaining a committed partner invested in their experience and outcomes.

David M. Jackson Senior VP, Business Development Green Book Experience, LLC Care for your clients’ needs by listening with an open heart.

Kirsten Ste.Marie Director of Sales Experience Prince George’s One lesson I am carrying from 2025 into 2026 is that alignment delivers greater impact than speed. With clients facing tighter budgets and increased ROI scrutiny, the strongest results came from deeper discovery early on. By clearly aligning goals, constraints, and community outcomes upfront, we created programs that were not only successful for our clients, but also delivered measurable economic impact for Prince George’s, as well.

Greg Kavanagh Vice President Business Development Visit Williamsburg A real trend has developed that seems to devalue the importance of email as a key communications channel. Colleagues and clients seem increasingly comfortable with the non-response option. I often hear, “I’m digging out after being away” in response to a second or third message. Another scenario has the email opened, but no attention paid to the details contained therein, or in an attachment.

Some of this may be valid. We all need time away to recharge, but in sales, what has happened to the sense of urgency? I do not propose that every unsolicited and often irrelevant message from some unknown person who found you on LinkedIn requires a response. However, when a known and trusted colleague, or an important client receives the same “you are just not important enough,” reply, we must reevaluate our approach. Every conference I attended in 2025 had at least one session about AI. My takeaway is that it can, in the right circumstances, be used to test or edit your emails. Perhaps that same recipient who did not respond is now equally offended by your repeated attempts to get an answer or follow-up to your message. Run it through AI, asking it to find a more “empathic tone.” Ask AI to help create a subject line that grabs attention. It often works, so I will occasionally plan to use this tactic for certain.

Jane Dempsey Director of Sales Elmwood Park Zoo Be Flexible! While we offer many standard event packages, the uniqueness of our venue, Elmwood Park Zoo, means that every event we host is also a “one of a kind.” We often find ourselves using the packages as a base, but customizing every event to the needs of the client.

Planners

Chris Rafferty Marketing & Events Specialist Stark & Stark PC I think that my lesson would be you cannot do it alone. I think sometimes as event planners we like to do things our way and will work tirelessly to get it done. But you need a team to make your event a success from industry partners to internal members, it takes an army to make any event a success.

Beth Lawrence Owner & Chief Experience Officer Beth Lawrence Meetings & Events The biggest thing I am taking from 2025 into the New Year is that ticket sales, sponsorships, and registrations are continuing to come in later and later on in the planning process. More outside decisions are affecting the buyer than ever, from scheduling to travel options and budgets. AI search is just as important as SEO when it comes to standing out online, and having a clear-cut message to a defined audience will continue to be incredibly important. Finally, consider adding a waitlist strategy to reward your most engaged community members with incentives and extras for booking early.

Nicole Kedziora Meeting Director Impact Association Management Company I think my biggest lesson from this year is that you must connect with your industry peers as much as possible. Sometimes optional events may seem like they are not crucial or are just a fun event to attend, 72 Januaryz February2026

but I have met so many great connections that will not only help me in my current role, but also in future opportunities. The event planning industry always is progressing in so many different ways and it would be inopportune not to connect with the many professionals in the events industry.

Caryn Taylor Owner The Caryn Taylor Network 2025 has been an interesting year. Aside from having a tremendous amount of gratitude for having spent most of my career in this awesome industry, this year taught me that adaptability is not just a skill – it is a mindset. As a hospitality professional, I always have thrived on precision and control, but 2025 reminded me that the most memorable experiences often get created from welcoming the unexpected. I learned that attendees are craving more than just content - they want meaning, community, and emotional resonance. Designing events that create real engagement, from networking moments to storytelling, became a priority. I also learned that clarity and kindness in communication are key. Whether working with clients, vendors, or internal teams, being transparent, empathetic, and solution-oriented helped build trust and momentum even if you find yourself in a high-pressure situation. It also reminded me that we are not alone. Working your network is key to success.

Shanna Mackey Events Consultant Lincoln Financial In 2025, attending multiple conferences across the events industry revealed a consistent and powerful message: meaningful experiences are built on how people feel. It was no coincidence that keynote speakers at different events echoed Maya Angelou’s words, “People may forget what you say or do, but they will always remember how you make them feel.” This reinforced the importance of planning with intention and prioritizing genuine human connection. I learned that, when events are designed with empathy and purpose, they create lasting experiences - ones that people remember, talk about, and carry with them long after the event ends.

Helene Bledsoe Manager, Global Accounts Helmsbriscoe One lesson from 2025 that I am grateful for is learning to be more intentional with my time and energy. By focusing on the opportunities that truly align - and letting go of the rest – I am heading into 2026 with clarity that creates space for stronger relationships and clear goals.

Amy Hoffman Senior Sourcing Manager Maritz Sustainability and vegetarian/healthy food choices are very important.

Nicole R. Benner Senior Events Manager Ballard Spahr LLP I am taking the importance of risk management into the new year - as political uncertainty has a profound effect on travel, tourism, and hospitality, ensuring contract terms around cancellations, refunds, transferability of deposits, and that force majeure clauses are clear and transparent is vital. No planner wants to pull out of an event, but if you need to do so, knowing the options and the costs can help stakeholders make good decisions. In concert with that, I also believe that once again relationships between planners and supplier partners will be as important as ever. Being transparent about your event, your needs, why you want to see certain clauses and terms, and then working together toward conflict resolution and contract negotiation will help if you do need to make hard choices, since all parties will know everyone is negotiating in good faith.

Now operating under the Discover Ocean City brand, the destination’s Convention & Visitors Bureau reflects a more modern, businessforward approach designed to better support planners, partners, and large-scale events across the Mid-Atlantic and Northeast. At the heart of this evolution is the Roland E.
