Hiring Manager (HM) notifies HR of recruitment needs

HR posts employment ads

Request & Initial Engagement HM to followup via email to confirm interview (include clubhouse address, parking diagram, contact info, etc.)

Candidate Interview

Candidate arrives at Welcome House. WHA welcomes them, gives them their staff candidate card, directs them to parking

Talent Acquisition Coordinator (TAC) to screen applications for qualified candidates and assign a "cultural fit ranking" (1-5; 5 being the best cultural fit)

TAC notifies qualified candidate(s) that the HM will contact them

HM to reserve a room at FF to conduct interview

HM to enter candidate name and interview date & time into the shared Welcome House Guest Log by 5pm the day prior to interview

WHA notifies the Front Desk of the candidate's arrival. Front Desk informs Valet

HM should be in the lobby at least 5 min prior to interview

Valet Attendant greets candidate and directs them to the Front Desk/Lobby. Member Relations Associate and HM greet candidate

HIRING MANAGER APPROVES

HR will extend offer/next steps via phone call within 12-24 hrs, followed by an email with offer letter & benefits (if applicable)

If candidate accepts, HR will follow up to confirm availability and start date, then notify HM of acceptance

HIRING MANAGER REJECTS

HR to send "thanks, but no thanks" letter to candidate

If candidate does not reply within 48-72 hrs, HR will follow up

HM to complete New Hire IT Onboarding form at least 5 business days prior to their first day

Once paperwork is complete, HR approves new hire in ADP. HM to receive automated email notification

IT to set up new staff member's email, laptop, phone, etc. prior to their first day

New staff member meets with HR to review handbook, policies, employer value proposition, new hire packet, and 90-Day Passport Program

HR walks new staff member to the HM and hands them off

Departmental onboarding begins (30-60-90 day plan)

If candidate doesn't respond within 48-72 hrs, they are disqualified

Daily, the Welcome House Attendant (WHA) will review the Guest Log and prepare Staff Candidate Card(s) in preparation for candidate arrivals. These cards include a blank line where the WHA will write the candidate's name and a parking diagram on the back

HM conducts interview, lets candidate know that HR will reach out to them within 48 hours, and escorts them out. Valet Attendant opens door, directs candidate to the parking lot, thanks them for coming

HR sends welcome email with paperwork requirements and completion deadline. Forms must be complete before start date.

HR conducts background check

Future Staff Member

First Day

HM must reach out to candidate within 24 hrs to schedule an interview (All interviews are required to take place at FF)

HM to notify HR of their decision within 24 hours

HM to send email welcoming new staff member. Email to include confirmation of start date, grooming standards, parking information, etc.

If potential staff member fails background check, HR to address
