1. Introduction Welcome to the Penny Pinnacle’s Training Manual. This manual is designed to guide users through the effective utilisation of the Penny AI platform and its integrated workflows, developed to enhance operational efficiency across various functions within Pinnacle. This initiative focuses on the implementation of a robust, on-premises AI solution tailored for inventory management and broader organisational support. The solution enables interactive engagement via a custom Assistant/Chatbot interface, providing users with efficient access to critical information through seamless natural language queries.

2. AI-Driven Workflows The Penny platform integrates several specialised AI workflows, each developed to address distinct business needs: •

Nova: A sophisticated database management workflow designed to streamline inventory control. Nova is integrated with Pinnacle’s inventory data, enabling users to query stock levels, manage stock and receive realtime alerts and monitoring notifications for efficient inventory oversight.

Fundi: Developed for the Pinnacle Services Academy, Fundi is a prompt engineering workflow that supports training and development by facilitating AI-assisted learning and content creation.

•

Penny Open: This workflow serves as a general-purpose query model enhanced with web search capabilities, allowing users to retrieve up-to-date internet-based information across a broad range of topics.

•

Penny Vision: Focused on visualization and contextualization, Penny Vision empowers users with advanced data interpretation tools, providing rich visual insights to support decision-making.

•

Sara: A specialized SAGE model designed to assist users in querying Sage processes, primarily for training purposes, simplifying complex procedural learning.

•

HR Recruit: Tailored for human capital recruitment within Pinnacle, this workflow streamlines candidate management and recruitment processes.

•

HR Policies: This workflow allows users to query all HR policies established by Pinnacle and the Alviva Group, ensuring easy access to important regulatory and compliance information.

•

Sara: A specialised Sage training workflow that assists Pinnacle staff in learning and navigating Sage functionalities. Sara simplifies complex procedural learning through guided interactions and real-time examples, helping users improve their proficiency and confidence in Sage processes.

•

Kira: Hikvision: An AI-driven workflow that provides product-specific insights for Hikvision offerings. This includes access to up-to-date stock information, technical specifications, and availability across Pinnacle’s inventory, ensuring that sales and support teams can efficiently respond to customer and operational needs.

•

Titan: An intelligent assistant focused on tender analysis and review. Titan streamlines the tender evaluation process by summarizing key requirements, highlighting compliance gaps, and generating comparative insights to support informed decision-making and improve submission quality.

•

Zuri: A dedicated workflow that assists users with the creation and downloading of QR codes. Zuri enables quick generation of custom QR codes for products, documents, and internal resources, promoting improved accessibility, traceability, and operational efficiency across departments.

This training manual will provide guidance on how to interact with these workflows, maximize the AI platform’s capabilities, and seamlessly integrate these tools into your daily operations for improved productivity and accuracy.

3. Accessing Penny Penny is accessible through the following URL: https://penny.pinnacle.co.za and is compatible with all major web browsers. The platform can be used seamlessly on both desktop and mobile devices. For optimal performance, please ensure you have a stable internet connection.

4. Logging In Logging In with Microsoft Authenticator 1.

Open Penny Navigate to https://penny.pinnacle.co.za on your preferred browser.

5. Dashboard Overview The Penny dashboard serves as your central hub for quick access to workflows. Upon logging in, you will find an intuitive layout designed to streamline your workflow and enhance productivity.

6. Starting a New Workflow Session To begin interacting with a new workflow, users must first click on the “New Chat” button. This action initialises a fresh session, allowing you to select the workflow you want to interact with and then to enter prompts specific to the selected workflow.

Steps: 1.

Click on “Penny Open” drop down to see the options for the workflow.

2. Select the desired workflow from the available options. 3. Enter your prompt or query related to the chosen workflow. 4. The system will process your input and provide a response accordingly. Starting with “New Chat” ensures that your interaction is contextually relevant and isolated from previous sessions.

7. Querying the Workflow The Penny platform offers multiple specialised AI workflows designed to assist with various operational tasks. 1.

Initiate a New Session: Before submitting a prompt, click on the “New Chat” button. This creates a fresh session ensuring that the workflow processes your query independently from any previous interactions.

2. Enter Your Query or Prompt: Type your question or command related to the selected workflow into the input field. Ensure your prompt is clear and specific to get the most accurate response. 3. Submit the Query: Press Enter or click the Send button to submit your prompt. The system will process your request using the AI model fine-tuned for the workflow’s purpose. 4. Review the Response: The workflow will generate a contextual and relevant response based on your input. If necessary, follow up with additional prompts or refine your query for more detailed information. 5. Repeat as Needed: Continue the session by entering further prompts related to the workflow until you have completed your task.

Tips for Effective Querying: 1. Be as specific as possible with your questions. 2. Use keywords related to the workflow’s domain (e.g., “stock levels” for Nova, “training modules” for Fundi). 3. Start a new chat session when switching topics or workflows to avoid context confusion.

8. Using the Search Function The Search button provides a tool to quickly locate specific keywords or tags within your chat history. This functionality enables efficient navigation through previous conversations, allowing you to easily find relevant information without scrolling through the entire chat. How to Use: 1. 2. 3. 4.

Click the Search button located in the chat interface. Enter the keyword or tag you wish to find. The system will highlight and navigate to matching instances within the chat history. Click enter to search for the chat relating to the tag.

This feature helps streamline your workflow by providing quick access to important details discussed in prior interactions.

9. Notes Functionality The Notes feature allows users to capture and organize important information during their workflow sessions. This helps in maintaining a record of key points, action items, or insights without disrupting the conversation flow. How to Use: 1. Click the Notes icon or tab within the application interface. 2. Select Create Note by clicking on the plus sign button at the bottom right-hand corner of the screen. 3. Notes will be automatically saved once you click on “New Chat”.

10. Chat History The Chat History feature allows users to review and manage previous conversations within the Penny application. This provides valuable context, enabling users to track past interactions, revisit important information, and maintain continuity across sessions. How to Use: 1. 2. 3. 4. 5. 6.

Navigate to the Chat section from the main menu or sidebar. Click on the drop-down button to view chat history. Browse through the list of past chats organized by date and workflow. Select a chat session to open and review the conversation. Use the Search function within the chat to find specific messages or topics. Optionally, resume or start a new chat session as appropriate.

Deletion of Chat History: The Chat History feature allows users to manage and clear previous interactions with Penny. This can help maintain privacy, reduce clutter, and ensure that only relevant conversations are stored. How to Delete Chat History: 1. 2. 3. 4. 5.

Log in to the Penny AI Dashboard using your authorized credentials. Navigate to the bottom-right corner of the interface and click on your Profile Icon. The Settings menu will open, displaying various configuration options. Click on Settings then proceed to click on Chats In the Chats section, locate the Delete All Chats option.

Profile Button and Menu Options

The Profile Button, located in the bottom-left corner of the dashboard, provides quick access to several important user functions: How to Use: 1.

Click on the Profile Button (usually represented by your profile picture or initials).

2. From the dropdown menu, select the desired option: a. Settings to update your preferences. b. Archived Chats to manage your saved conversations. 3. Sign Out to safely exit the application. Using the Profile Button menu ensures efficient navigation and secure management of your account and chat data.

12. Settings: Customize your account preferences, update themes, Language and Notifications The Settings section within the Penny AI platform allows users to personalise their experience by adjusting display themes, language preferences, and notification settings. These customisations help ensure that the platform interface aligns with individual user needs and work preferences. Step 1: Access the Settings Menu 1. Log in to the Penny AI Dashboard using your credentials. 2. Locate your Profile Icon in the bottom-left corner of the interface. 3. Click on the icon to open the Settings menu.

Step 2: Customise Account Preferences 1. Under the Settings section, review the available customization options. 2. You can update the following: a. General – Modify theme, language preferences

b. Interface – Ability to switch on and off user interface options that enhance the user experience

3. Click Save once updates are complete.

13. Archived Chats: Access your archived chat sessions to review past conversations or restore How to archive chats: You can archive chats to keep your Chat History organized and declutter your active conversations. To archive a chat: • • • •

Click on the Chat History button to view your list of past chats. Locate the chat you wish to archive. Right-click on the selected chat to open a dropdown menu of options. Click Archive from the menu.

The chat will be moved to your Archived Chats, accessible anytime via the Profile Button menu.

14. Web Search Functionality The Penny Open workflow integrates advanced web search capabilities, enabling users to retrieve accurate, up-todate information from the internet directly through the Penny AI interface. This feature is ideal for research, product comparisons, market analysis, and general information queries that extend beyond Pinnacle’s internal databases. Access Penny Open 1. Navigate to the Penny AI Dashboard. 2. From the list of available workflows, select Penny Open. 3. The chat interface for Penny Open will open 4. Enable Web Search by clicking on “Web Search” which is ready for your query.

15. Uploading a Files and Images To enable users to securely upload and utilize files within Penny’s workflows for training, analysis, and operational support. Access the Desired Workflow 1. From the workflow list, select the specific module you intend to work in (e.g., Titan, Nova, or Fundi). 2. Locate the plus (+) sign on the left-hand side of the screen, positioned next to the Web Search icon. 3. Click on the plus (+) icon to open the upload menu. 4. From the available options, select Upload File or capture. 5. A file explorer window will appear, allowing you to navigate to your local computer or shared network drives. 6. Choose the file you wish to upload. 7. Supported file types: PDF, Word Document, Excel spreadsheets, PowerPoint Presentations, Markdown, Text Files and CSV. 8. Click Open to confirm your selection. 9. The file will begin uploading, and a progress indicator or confirmation message will appear once the upload is complete.

16. Sign Out: Securely log out of your Penny account to end your session. Support Requests: If you encounter any issues or require assistance while using Penny, you can easily submit a support request to our dedicated team.
