Regular routine inspections
We undertake an initial inspection [3 months] into the tenancy to ensure that the renter is comfortable, and your property is being well looked after. We then carry out subsequent inspections every [6 months] as allowable by legislation. Owners are invited to attend routine inspections and that our digital inspection reports are readily available shortly after these inspections are conducted.

Minimum standards and safety requirements
At Jellis Craig we’re well-versed in real estate and property management compliance so you don’t have to worry about keeping up-to-date with it yourself. Here are some of the standards and regulations we assist with in ensuring your property meets the required standards to be compliant with the Residential Tenancies Act 1997.
There are a number of minimum standards that the propertymust meet before it is able to be leased, including but not limited to:
• Locks on external doors and windows
• Window coverings in bedrooms and living areas
• Vermin proof bins
• Adequate ventilation
• Interior rooms/corridors and hallways to have access to natural light
• A fixed heater in good working order in the main living area
• Structural soundness and weatherproof
• Absence of mould and dampness
• Bathroom facilities must be connected to a reasonable water supply and have a certain water star rating (pending plumbing)

Minimum standards and safety requirements
There are also a number of safety checks that rental providers must comply with, including but not limited to:
Electrical safety:
A safety check of all electric installations, appliances and fittings conducted every 2 years by a registered electrician.
Swimming pool and spas:
Must be registered with the local council and the safety barrier must be inspected every 4 years with the confirmation of compliance certificate lodge with the local council.
Smoke alarms:
Need to be installed correctly, in working condition and tested every 12 months by a registered electrician.
Gas safety:
Any gas appliances/fixtures/fittings must be checked every 2 years by a registered gas plumber.
Urgent repairs:
Repairs are either classified as ‘urgent’ or ‘non-urgent’. The law defines a list of urgent repairs. If a renter has to pay for an urgent repair (in the event the rental provider has not promptly responded to the request), there is a limit of $2,500 for these repairs.
Any amount spent on urgent repairs by the renter must be paid back by the rental provider within 7 days of written notice and evidence of the cost.

At the end of the tenancy, we conduct a final inspection to ensure the property is in an acceptable condition. Should a dispute arise, or a claim on the bond be required, we will make an application to VCAT, prepare all documentation and provide advice and representation on your behalf.

Management process
Understanding how to manage management of your property is of the up most importance, and we have a thorough process to ensure that your investment property is in safe hands.
1. Facilitate the incoming tenancy, ensuring that a condition report is provided before the renter takes possession of your property.
2. Regular inspections are held to ensure your renter is maintaining the property to the standard which we require and provide you with recommendations where maintenance work is needed. Written reports accompanied by photos are provided for your records. You are also invited to attend all inspections.
3. Manage all rental income on your behalf. Our strict arrears policy and the payments of rates from rental income ensure that you have a stress-free experience.
4. Provide you with a detailed monthly financial statement, accessible via our online portal.
5. We ensure that we are in regular communication about your investment property and will keep you informed of any rental legislation changes.
6. 90 days prior to the expiration of the fixed term lease agreement, we will provide advice and guidance and seek instructions to renegotiate the lease term.
7. If a new lease is not entered into, we will conduct an annual rental review to ensure your property is realising the highest possible rental income and you are aware of the current market.
8. We will offer professional advice and representation for any VCAT matters should they arise.
9. We will facilitate any outgoing tenancy requirements, including a pre-vacate inspection prior to the release of any bond funds.

Leasing, management, re-leasing, condition report and transaction fees
Leasing fee
Fee for the leasing of the property and sourcing of the renter, covers open for inspections, managing rental applications and renter enquiries, and preparing all lease documentation.
Management fee
Fee for the day-to-day management of the property including collection of rent, liaising with renters, arranging and overseeing maintenance, and undertaking routine inspections.
Re-leasing fee
Fee for negotiating a new fixed term tenancy agreement with current occupants at the end of their existing agreement.
Condition report fee
Fee to undertake a comprehensive and detailed condition report for the property.
Transaction fee
A monthly account administration fee to offset agency incidentals associated with managing the property, including postage costs, bank transaction costs, invoice processing costs and more.
Incidental fees
National Tenancy Database credit check
NTD checks are undertaken to ascertain whether a prospective renter has any recorded breaches and credit defaults listed by estate agents, creditors and courts.
