AUTOMATION OF COLLEGE ADMISSION PROCESS

Abstract In the olden days all the educational institute were carrying out the admission process manually. Performing the operations such as searching for a particular student was difficult and also modifying the students record was also difficult because each modification needs to be either overwritten or written in different place. Searching the appropriate record creates a sort of ambiguity.

In this paper we have proposed an automated tool which is webpage design and provide various details to the user. The user interacts with the webpage by giving the appropriate login name and password, further webpages display various options such as eligibility, promotion, fee details, report and so on. The user can interact with ant options and generate the required output.

Key Words: Admission process, Automation activity, Reportgeneration,Eligibility,Promotion.

1. INTRODUCTION

Todayalltheworkatthetimeofadmissionofthestudents isdonemanuallydonebypenpaper,whichisveryslowand consuming much effort and time. In today’s world of technologycomputerareaffectingourlivesinmoreways thanweprobablyareawareofcomputerizedmanagement maintaining information of and educational institute, collegesotherthelistisendless.Intheoldendays all the educational institutes were carrying out the admission process manually. Performing the operations such as searchingfortheparticularstudentwasdifficultandalso modifyingthestudentrecordwasalsodifficultbecauseeach modificationneedstobe eitheroverwrittenorwrittenin differentplace.Searchingtheappropriaterecordcreatesa sortofambiguity.

Developing an automated admission system that is of importanceofcollegeaswellasstudents.Inthisadvance eratechnology,wearereducingexcesstakeninadmission processbymakingitautomated

2. LITERATURE SURVEY

Thepaper [1] discussaboutahybridrecommendersystem whichisbasedondataminingtechniquesandknowledge discovery rules for tackling college admission prediction

problem. The authors also discuss about the analyze of system merits, student background, student records, and collegeadmissioncriteria.Thepaperhelpsustoknowabout various activities related to the admission system in the college.Themethodsuggestedinpaper [1] isappropriately modifiedandusedinourwork.

Thepaper [2] discussabouttheobjectiveofthisprojectisto developamethodtousethepersonalcomputertoautomate the admission procedure of an educational institute and effectivelymanagesstudentdatabase.Thestaffwillbeable to manage the student marks, fee information, personal information and all other academic information which is manually.Thispaperhelpedustounderstandtheprocess andmaintenanceoftheadmissionprocess.

Thepaper [3] discussaboutofstudentadmissionprocess basedonautomation,theadmissionprocessiscarriedoutin thattogetthestudentdetailsviaexcelfile,folder,imagesor pdfthisisinputtothesystemandthesystemreadthefile andfillthatdataintheadmissionfromautomatically.The authors also discuss about the students getting the mail automatically generated once the admission process is completed.Thispaperhelpedustocarriedoutthestudent detailsinadmissionprocess.

The paper [4] discuss about automated online admission managementsystembasedonwebplatformtomanagethe completeadmissionprocedures.Throughthissoftwarewe aretryingtoovercomepaperworkandfocusingondigital work.TheauthoralsodiscussesabouttheuniquePRLwood provide unique identification of thestudent whouses the system. This system is built with various modules which deals with managing admin and student information, managingtheadmissionprocess.

Thepaper [5] discussaboutweb basedcollegeadmission systemisbasedonwebunbaledsoftwaremanagetheentire operations of an institution it connects all the various departmentsofaninstitutionsandauthorsalsodiscussed about web based technology using which we can the notificationgivenbytheinstitutetheuniqueidentification numberthepersonwhoisusingsystem.Thispaperhelped ustounderstandweb basedtechnologyandalsomanages theoperationsofinstitutioninadmissionprocess.

The paper [6] discuss about developing an online college admissionsystemthatisofimportancetothecollegeaswell as students. In this era of technology, we are reducing manuallyworkandexcesstimetakeninadmissionprocess by making it as online process. The authors also discuss about the analyze of student revaluation as well as photocopy. This paper helped us to understands the importance of college management as well as student admission.

The paper [7] discuss about development of automatic onlineadmissionmanagementsystemonwebplatformto manage the overall admission process. The unique PRN numberwhichispermanentregistrationnumberissentfor theappliedcandidates.Theauthoralsodiscussedaboutthe automaticonlineadmissionwhich benefits thestudentas wellasinstituteinadmissionprocess.

Thepaper [8] discussabouttheweb basedapplicationin whichstudentcanregisteranditmanagesall thestudent records this system stores the list of students along with relevantinformation.Admissionmanagementsystemhelps to make the admission process much easier and helps in maintainingthedatabaseinefficientway.Theauthoralso discusses about with this system the total time of the entranceallotmentbecomelesserandtheadmissionprocess becomefaster.

Thepaper [9] discussabouttheeducationalinstitutionsto maintain the records of the student and information regardingstudentacademicsintheinstitutebasedonthe studentinformationsystem.Theauthorsalsodiscussedand analyzed about the development of the system easily understandableandusablebythestudents.

The paper [10] discussabout collegeadmission basedon webportalforpropercollegeinformationthenthenumber of students taking admission can be accesses easily. This systemwillalsoprovidepredicationforthenextorfuture year.

The paper [11] discuss about college automation system whichwillmanageworkingofcollegemanagementactivity. The main objective of this project is reducing the manual work. The authors also discussed about the system given role based access every user is having username and passwordwhichisusedforaccessingthesystem.

The book [12] referred is HTML and CSS the complete reference,whichgivescompleteknowledgeaboutmarkup languages and in our work, HTML is to create webpages, usingCSSwedesignedwebpages.

Thebook [13] referredisSavaseventhEditionusingallthe javafeaturesindevelopingourprojectjavawasdesignedto beeasytouseandeasytowrite,compile,debug.

The book [14] referred is Fundamentals Of Database Systems is system for system software easy, efficient and reliableanddataprocessingmanagement.

3. PROPOSED METHODOLOGY

Proposedtoolinteractswiththestudentandadministrator andgeneratesthevariousoutputswhicharefurtherusedin theothermodulesorbytheexternalagencies.Therequired reports for the students, department and various departmentsintheoffice.Theblockdiagramofthisentire activitiesrelatedtothewebpagedesignisshowninthefig 3.1

The web page design having a different module such as: Admin login, Admission, Eligibility, Fee details, Student status,Report. Thedetailsofeachmoduleisdescribed in thefollowingsections. 

Admin login

Theloginprocessforadminiscarriedoutbyprovidingthe administratorprivilegesuchasloginnameandpassword theadministratorwillhavealltypesofadmissionsuchas readwriteandmodify.Duringtheloginprocessaftergiving the expected login name and password the webpage displays thedashboardwereinthedifferentoptionsuchas admission , promotion, eligibility, fee details etc. are available 

Admission

The admission process for the student is carried out by providingthelistofrequirementsandtherequirementswill bevalidatedbytheadministratorandadminwillhaveall kind of admission such ad read write modify. During admission process the admin checks eligibility of the studentifthestudentiseligiblethewebpagedisplaysthe

dashboardwereinthedifferentoptionsavailablesuchas promotionfeedetails. 

Eligibility

Theeligibilityprocessforthestudentiscarriedoutbythe listofrequirementsinthiseligibilityprocesstheadminwill checkalltheeligibilitycriteriaofthestudentbasedontheir previousyearmarksthatismaximumoffourbacklogsfor the promotion of next year. And only for the eligible student’sapplicationwillbedisplayed. 

Fee details

Thefeedetailsprocessforthestudentiscarriedoutbythe adminanditisonlyaccessiblebytheadmin.Ifthestudent meetsalltherequirements,hewilleligibleandallthefee detailswillbedisplayedinthedashboardforthestudent. Once the student gets promoted it displays the mode of payment. It can be either online banking or any kind of payments. 

Student status

Theworkiscarriedoutbyadmin.Hereinthestudentstatus admincanviewthedetailsoftheeligibleandnoteligible studenttheeligiblestudentwillbeenrolledforthefurther process and admin can view the student who are not eligiblefortheadmission. 

Report

The admin can view various details of the student, departments,andbygivingthestudentregisternumberhe can view the marks details of the student. And any modification done by the admin will be immediately updatedinthereport.

4. RESULT & DISCUSSIONS

5. CONCLUSION

Inthispaperanovelapproachproposedanddevelopeda toolintheformofwebpagewhichtakestherequiredinput fromthestudentanditsprocess.Theinputgeneratesthe requiredoutputaspertherequirementofthecollegeoffice, departmentandstatutorybodies.Thedevelopedwebpages isverifiedforiscorrectnessandcompleteness.
