NOVEL APPROACH TO MANAGE EVENTS IN THE ORGANIZATIONS

Abstract In the last few decades the events carried out in any organization was documented using pen and paper method or to some extent using a file storage in the computer system. Modifying, changing and retrieving the required information was more complex and time consuming because every time we need to rewrite in a different place. Accessing the event data and preparing the required reports was difficult because of the manual process

To overcome the above limitations of existing system, in this paper a novel approach is proposed to handle all the events and to prepare necessary reports. The proposed tool which interacts with the user and Administrator and gathers the required data. Further based on the input data, analysis is made and user customized reports are generated. The tool presents a Web page wherein the user and administrator interacts to perform all the day to day activities with respect to event management In this paper, the proposed tool works for theeventsconductedinthe Educational institutions.

1. INTRODUCTION

Event management is the way of organizing, conduction and preparing the various customized reports to the individuals and to the organization. In the last few decades the events carried out in any organization was documented using pen and paper method or to some extent using a file storage in the computer system. Modifying, changing and retrieving the required information was more complex and time consuming because every time we need to rewrite in a different place. Accessing the event data and preparing the required reports was difficult because of the manual process.

Now a days events have become an inseparable concept.Therearehundredsofeventsthatareorganized by educational institutions every year. Events like conferences, seminars, programming and robotics fests, cultural festivals are common occurrences in every educational institutions. The event management system has been developed to override the problems prevailing inthepracticingmanualsystem.Thissystemisdesigned

for the particular need of the organization to carry out operationsinasmoothandeffectivemanner.

2. LITERATURE SURVEY

In Paper [1], the authors discussed about the various event management activities which are usually carried outbydifferentpeople.Theauthorsalsodiscussedabout the significant economic benefits. This paper helped us to understand the activities and maintenance of each activityintheorganization.

In Paper [2], the authors has built the student information management system with the features like online registration of students, searching and maintaining of student’s records. The system was built using the programming languages like HTML, JavaScript implementingPHPandMySQL. TheyusedApache HTTP serverandDreamweaver.

In Paper [3], the authors has discussed that the authenticationisprovidedbythebarcode,whichisused for the smooth and quick enrollment. It is secure, efficient and faster. The outcome of using this system is securedandquickenrollment.

In Paper [4], the authors discussed that the project named event management system has been developed forthecollegeusersonandroidmarket.Thisapproachis mainly focused on event based services to the companies, college network in mobile application. The main purpose of using this application is to reduce the direct communication between student and event organizerandavoidtheproblemsofthestudenttoenter into the event and participating by using this android application.

In Paper [5], the authors has developed an Android and WebBasedApplicationforCollegeManagementSystem”, thispaperprovidesageneralizedsolutiontomonitorthe various works that are carried out by a College for managingit.“SmartConnect”providesasimpleinterface formaintainingastudentinformation.Thispaperhelped ustomaintaintherecordsofstudentsofanorganization.

In Paper [6], the authors have developed a web based event management system using an android app. This system provides communication link between the studentsandtheauthorities,whenthestudentshaveany doubts with respect to any of the events then these

doubts can be answered by the authorities, and it also helps in providing the educational resources or any detailsrelatedtothecampusdriveforthestudents.

In Paper [7], the authors discusses about the services thatwillprovidequalityineventmanagementprocesses and also bridge the gap between users and vendors and providethemaplatformtointeractandmanageevents.

In Paper [8], the author has developed an android application which will provide an interesting events so that users will be able to smoothly manage their event and also the application will help user in planning a successfulevent.

In Paper [9], the authors has developed a system that enablestheadmintokeep track ofall thestudent’s. The admin has access to database of the system and the system is a digital based and it provides functionality to the students about the application that where in the admin can manage Student can also have the access to theuploadednotes,andcourseinformation.Studentwill get the information of the events through the SMS. Therefore, this system reduces the manpower and time required.

In Paper [10], the authors has discussed about the managementsystemthathasdifferenteventneeds.This systemis designedand developedto assistin deliberate planning and it will also ensure that the right level of information of future goals is provided to the organization. This paper helped us to manage the resources and provide particular service of various events.

In Paper [11], the author states that through the software proposed particular events will be managed andautomatedtotheentiredatabaseinthenetwork.

In Paper [12], the system will help a particular event to automate and manage the entire database in the network. This system is built with various modules which deals with managing employee and customer information, managing the services and event information,creationof e cardand websiteforchecking thestatus.

In Paper [13], the author states that the technology is utilized by the organizations in order to stay in touch with their customers, by making use of websites and social media to share the information and for collaboration.

InPaper [14],theauthordiscussesaboutthesystemthat servestheeventmanagerfunctionalityandheattempted to examine the modeling storage, querying and applications of such an event management system in a holisticmanner.

The author [15] focuses on how you can capitalize on youruniqueabilities, training,and Knowledgeofspecial eventstofindgainfulemploymentinthisinspiringglobal industry.

3. PROPOSED METHODOLOGY

The block diagram shown in Figure 3.1 illustrates the variousactivitiesinvolvedintheEventManagement.The proposed tool interacts with the user or Administrator whichtakestherequiredinputandgeneratesthevarious reportsandoutputs.

Theproposedtoolisdesignedanddevelopedintheform of a Web page which comprises the following modules whicharedepictedinFigure3.1.

The web page designed having a different modules such as: Registration, Login, Event creation, Event registration, Report and Feedback. The details of each moduleisdescribedinthefollowingsections. 

Registration page

In this module, the user who wants to interact with the system need to register by giving the details as per the requirements specified in the web page. The user defined login name and the password will be used further to interact with other web pages such as login page,eventregistrationandreporting.

Login page

Theloginprocessiscarriedoutseparatelyforadminand students. The system gives facility for admin and students to login into the system by entering their respective username and the password. The system will check the input and if the login name and password are correct,itdisplaysamessage“LoginSuccessful”andthen displays the respective dashboard for the admin and user.

Event creation

In this module, the admin will create the event by providing details such as event id, event name, date, time,andlocationoftheevent. 

Event registration

Inthismodule,theusercanselecttheeventandregister for the desired event by providing details such as event id, event name, username and usn, then the system will addinformationintodatabase. 

Report

The admin and user can view the details of the various eventsalongwiththenameoftheregisteredusers. 

Event Feedback

The users can send a feedback about the particular events.

4. RESULTS & DISCUSSIONS

This page contains home, login, about, contact and feedbackmodules.

In this page the admin can login into the system by givingemailandpasswordcredentials.

In this page the admin dashboard contains insert event, display event, logout buttons through which admin can performvariousactivities.

In this page the admin can insert the event details by giving event id, event name, date, time and location of theevent.

In this page admin can display the event details and admincanupdateordeletetheeventdetails.

In this page the student can create a new account by giving name, user name, password and re password details.

5. CONCLUSION

Inthispaper,anovelapproachtomanagealltheongoing events is developed. The proposed tool is a web page through which the user interacts by registering to each event. The web page developed generates the necessary output and also the customized reports as per the requirementoftheadminandtheusers.Thisapplication can be used in all the educational institutions as well as

in other offices to manage the events. The tool is tested for its correctness and completeness by giving the appropriateinput.
