Throughout 2025, IAPCO Council played a vital role in leading the Association and setting the strategic direction that enabled IAPCO to support its members’ continued success. Through their leadership, expertise and global perspective, Council ensured that IAPCO remained focused on the issues that matter most to members: quality, education, advocacy, community engagement and sustainable business growth. We acknowledge and thank them for their contribution.

This strategic drive is reflected in the global business delivered by IAPCO members, who collectively managed more than 23,000

events, generating over €17.36 billion in economic impact. Council’s guidance strengthened IAPCO’s ability to provide practical value, elevate professional standards and create opportunities that helped members thrive in an increasingly complex global meetings environment.

The case studies within this document reveal a dedicated profession actively engaged all over the world, who deliver real economic and social outcomes for communities, cities and strong legacies that will be felt for years to come.

On Global Meetings Industry Day 2026, we are proud to shine a light on the scale, strength, and strategic value of the IAPCO community through our 2025 Annual Member Survey and the case studies in this document.

Together, they tell a powerful story: a global community delivering measurable impact today while helping shape the future of the meetings industry.

In 2025, IAPCO Accredited PCOs organised 23,512 meetings and events worldwide, up 20.77% from 2024. Across 187 office locations, they managed 7,718,808 participants, generating €17.36 billion in economic impact. These are not simply statistics on a page. They represent global knowledge exchange, economic contribution, professional advancement and the power of expertly delivered conferences to move industries and communities forward.

What the data also shows is a market that is evolving. More meetings are being delivered, but on a smaller average scale. Participant numbers per event have fallen from 408 to 328, while average economic impact per event has also reduced. At the same time, members are delivering more activity with leaner permanent teams, pushing meetings per staff member from 2.02 to 2.89. That points to a profession that is becoming more agile, more efficient and more responsive.

The forward view is equally important. The pipeline for 2027 to 2029 remains strong, with 6,841 confirmed and pending events already identified. Even more significantly, a large proportion of confirmed future business still has no venue or destination attached. That creates real opportunity for destinations, convention bureaux, venues and strategic partners to engage early and influence outcomes. It is a reminder that our sector is planning ahead, adapting, and continuing to unlock opportunity in a complex global environment.

But the statistics are only half the story.

The case studies in this report show what these numbers look like in the real world. They demonstrate the depth and diversity of the IAPCO community across sectors, geographies and objectives. From healthcare and science to education, accessibility, advocacy and global policy, these stories reveal how IAPCO members deliver far more than wellrun meetings. They create platforms for progress, engines for economic impact and legacies that extend well beyond the closing session.

From Liverpool to Ljubljana, Cape Town to Sydney, Florence to Dublin, the examples featured here are impressive. But they are only the tip of the story.

Every year, across every region, IAPCO members deliver work of extraordinary range and value – connecting experts, advancing research, strengthening destinations, supporting communities and raising the standard of professional conference organising worldwide.

On Global Meetings Industry Day 2026, this report is both a celebration and a statement of intent. It celebrates what the IAPCO community already delivers at scale, and it reinforces why IAPCO Accredited PCOs remain the global benchmark for quality, trust and excellence in conference delivery.

The IAPCO 2025 Annual Member Survey

The IAPCO Company Report and Annual Survey is a mandatory report that IAPCO members are required to complete as part of their annual membership renewal process. It is designed to provide IAPCO with an overview of changes to members’ organisations, including company size, staffing and administrative updates over the year.

Our Survey compiles data from the IAPCO membership to gain valuable insight into our community over the previous year and provide an outlook for the years ahead. This data enables IAPCO to understand its members’ impact on our industry through their performance and focus on future activities.

OVERVIEW

The 2025 data from the IAPCO community suggests a changing market that is becoming broader, more active, and more forward-booked, but also smaller on a per-event basis.

2025 shows increased event activity, with lower average event scale and leaner staff numbers. At the same time, the future pipeline points to strong demand – however, without confirmed venues and destinations.

Topline findings

More meetings were organised in 2025 than in 2024: 23,512 versus 19,469, up 20.77%

Total participants fell: 7,718,808 from 7,942,092, down 2.81%

Economic impact fell: €17.36B from €17.87B, down 2.85%

Core client share increased: 51.78% to 56.36% indicating stronger concentration in strategic client relationships

Pipeline business for 2027–2029 is strong with 6,841 confirmed and pending events reported

1.0 TOTAL MEETINGS ORGANISED

The membership handled substantially more meetings and events in 2025, with over 20% more meetings delivered.

2.0 PARTICIPANTS MANAGED

Despite a higher number of events, total participants decreased. This indicates that the average event size is shrinking. This shift has ramifications for a number of eventrelated issues such as venue design and supplier viability.

3.0 ECONOMIC IMPACT

The overall economic impact of the IAPCO membership has decreased slightly. This closely mirrors the decline in participants per meeting, suggesting that the reduction in economic impact is being driven more by smaller events than by reduced value per participant.

4.0 PERMANENTLY EMPLOYED STAFF

IAPCO members operate across 187 office locations globally. The number of permanently employed staff has slightly decreased, which may indicate improved productivity, increased use of technology, outsourcing, flexible delivery models, or pressure on margins causing tighter staffing structures.

5.0 CORE CLIENTS OF IAPCO MEMBERS

Core clients of IAPCO members now represent a greater percentage of their overall business. This is a positive signal, suggesting stronger retention of key accounts and deeper relationships built on success.

It may also indicate a greater reliance on repeat business and that members may be leaning on more established clients to maintain volume, and that clients are seeking a more stable model of event delivery through collaboration alongside a consistent PCO team.

This is a change of +4.58%

6.0 FUTURE BUSINESS PIPELINE REMAINS STEADY

There is strong forward pipeline activity recorded from the IAPCO membership.

In the 2024 report future pipeline, which pertained to 2026–2028, the membership reported:

In the 2025 report future pipeline, which pertained to 2027–2029, the membership reported:

Confirmed events: 3,852

Pending events: 2,989

Total confirmed + pending: 6,841

However, this is not a like-for-like year-on-year comparison, as the 2024 report focused on 2026–2028, and the 2025 report focused on 2027–2029. In addition, the 2024 data included 90 responses, however in 2025, the data included 85 responses (at the time of publication).

7.0 VENUE AND DESTINATION READINESS

While the overall pipeline is down, there is an increase in the number of events that are confirmed yet are still open in terms of a venue or destination.

Even allowing for a possible change in reporting practice or data capture, the message is clear: there is a very large share of future business that is still open. This is great news for destinations, convention bureaux, venues, and strategic partners who still have a large volume of business to influence.

This could point to earlier-stage reporting of business, more client indecision, longer bid and selection cycles, more competition between destinations, greater geopolitical or budget caution, or a shift toward programme-first planning before final venue/destination commitment.

When looking at the percentage of events without a confirmed venue, we can see the opportunity for venue operators:

Even allowing for a possible change in reporting practice or data capture, the message is clear: there is a very large share of future business that is still open.

GLOBAL MEETING TRENDS

More activity, fewer staff

The data reveals that while event activity has increased, it is being delivered with fewer staff. This suggests improved productivity, more hybrid models using more contractors, and greater use of technology. However, it may also indicate more pressure on teams and more standardised event formats.

In 2024, the meetings per staff member ratio was 2.02

In 2025, the meetings per staff member ratio was 2.89

This is a change of 43.07%

Smaller events

The number of meetings is up while participant numbers per event, and hence economic impact, are down, which shows an overall trend of the global meeting market shifting toward more events, yet smaller-scale events.

More research would be needed to understand if this trend fits the broader market dynamics such as organisers diversifying event portfolios, associations and clients preferring lower-risk formats, more distributed or hybrid ecosystems, or cautious budgeting from clients and destinations.

Volume growth, but with event downsizing

The sector is producing more meetings, but each meeting is, on average, smaller in scale with lower participant volume, and therefore, lower in total economic contribution. However, the value per participant remains consistent. Participants are just as valuable to destinations as they were before, however, there are fewer of them.

Client loyalty or concentration is strengthening

The rise in core clients to 56.36% suggests stronger repeatbusiness dependence on IAPCO Accredited PCOs. This is great news for IAPCO members, and their clients, as repeat events usually lead to a reduction in acquisition cost, lower operating costs due to strong relationships, improved forecasting, and increasing resilience.

The future pipeline is strong but less committed

The pipeline appears strong but is less geographically committed, with more events yet to confirm a venue or destination.

As a result, 2026 onward may offer excellent growth, but conversion will matter more than raw pipeline size. This may also point to the socio-economic uncertainty facing the globe, where event owners are careful to name destinations too far out due to ongoing geopolitical tensions and political volatility.

Demand visibility is improving

Even with the shifted year range, the 2025 data strongly suggests the market is planning further ahead, which is typically a sign of regained confidence, healthier bid activity, stronger destination engagement, and more structured pipeline management.

The rise in core clients to 56.36% suggests stronger repeat-business dependence on IAPCO Accredited PCOs.

EVENT: International Academy of Oral Oncology (IAOO) World Congress 2025

Global impact delivered by Worldspan at IAOO 2025

The International Academy of Oral Oncology (IAOO) 2025 World Congress brought over 1,000 participants from 54 countries to Liverpool, marking the UK’s largest-ever gathering of oral oncology specialists.

As the only global forum uniting surgeons, oncologists, researchers, and allied specialists, IAOO’s biennial congress plays a vital role in advancing the prevention, diagnosis, and treatment of oral cancer.

When planning began in 2022, Worldspan was invited by Liverpool Convention Bureau to present to the Local Organising Committee. Their fresh approach, use of technology, and ability to anticipate challenges stood out, securing their appointment as Professional Congress Organiser, a decision that would prove pivotal to the success of IAOO 2025.

DEKON Group delivered award winning impact for Velo-city 2022 in Ljubljana

DEKON Group, an IAPCO member, played a central role in the successful delivery of Velo-city 2022, the world’s largest international cycling conference. Reappointed after winning the original 2020 bid, DEKON was entrusted with bringing the event back to life in 2022 after two years of COVID-19 pandemic disruptions. Their proven expertise in large-scale association events, sustainability, and legacy-driven delivery helped shape one of the most vibrant editions of Velo-city to date.

Held under the theme “Cycling the Change”, the four-day conference from 14-17 June 2022 welcomed more than 1,200 participants – “Velo-citizens” – from 58 countries. Recognised with the 2022 Conventa Award for Best B2C Event, the conference was praised for its sustainable orientation, societal reach, and long-term impact.

Highlights included a sold-out exhibition hall with 53 booths over 1,000m2, a festive networking dinner at Ljubljana Castle, the traditional Bike Parade through the city centre, and a Cycling Festival co-created by more than 20 community organisations. These activities gave visibility to best practice cycling policies while reinforcing cycling as a healthy, efficient, and green mode of transport.

9th International ICAN Congress – ICAN25

Advancing infection prevention control across Africa and beyond, K.I.T. Group –African Agenda delivers 9th International ICAN Congress – ICAN25

K.I.T. Group – African Agenda, an IAPCO member, successfully delivered the 9th Infection Control Africa Network (ICAN) Congress, held at the Cape Town International Convention Centre (CTICC) from 29 June to 2 July 2025. This marked the first in-person ICAN Congress since 2018 and the first time ICAN partnered with K.I.T. Group – African Agenda.

The four-day event brought together 260 participants from 32 countries, including doctors, nurses, microbiologists, environmental healthcare practitioners, and engineers, representing both the clinical and practical sides of infection control. With three concurrent programme streams, handson workshops, and expert-led sessions, ICAN25 provided a platform for advancing infection prevention and control across Africa and beyond. The event also demonstrated resilience in navigating the impacts of USAID cuts, and post-pandemic challenges.

Building a legacy in medical education: ICOM Group delivers AlexORL’s 40th anniversary congress

For more than 15 years, ICOM Group, an IAPCO member, has partnered with the Otorhinolaryngology Department at the Faculty of Medicine, Alexandria University in a collaboration defined by trust, innovation and shared purpose.

This enduring partnership culminated in the delivery of the 40th Alexandria International Combined ORL Congress (AlexORL 2025), held from 15-16 May 2025 at the prestigious Bibliotheca Alexandrina. The milestone event welcomed 2,000 specialists, academics, and young professionals for two days of scientific exchange, collaboration, and celebration.

Through ICOM Group’s strategic expertise and consistent support, AlexORL has evolved over 40 uninterrupted years from a local scientific meeting into one of the Middle East and North Africa’s leading medical congresses. Today, it stands as a platform for scientific advancement, clinical and healthcare innovation, and international collaboration – strengthening Egypt’s position as a destination for medical excellence and conference tourism.

A ten-year partnership in action: OIC Group powered a record-breaking Global Spine Congress 2025

For ten years, OIC Group and AO Spine have worked side-by-side to deliver one of the world’s most influential medical congresses – the Global Spine Congress (GSC). First secured through a competitive bidding process in 2015 and continuously renewed, the partnership has grown into a strategic alliance built on trust, shared purpose, and a seamless joint-working model.

The 2025 edition in Rio de Janeiro marked an important milestone: the ten-year anniversary of the Congress, which meant a bigger, more ambitious, and more impactful event. Bringing together more than 2,200 participants from over 80 countries, GSC 2025 united spine surgeons, orthopaedic and neurosurgeons, allied health professionals, researchers,

and industry innovators for four intense days of learning, collaboration, and discovery.

The event attracted a record 2,100 abstract submissions, hosted 94 scientific sessions across seven parallel stages, featured over 600 expert speakers and presenters, welcomed 12 international guest societies, and engaged more than 60 industry sponsors – making the GSC 2025 one of the most international, dynamic, and scientifically advanced editions to date.

Sports, Medicine and Health Summit (SMHS 2025)

Building a healthier future: CPO HANSER SERVICE and DGSP deliver Sports, Medicine and Health Summit 2025

CPO HANSER SERVICE, an IAPCO member, partnered with the German Federation of Sports Medicine and Prevention (DGSP) to deliver the third Sports, Medicine and Health Summit (SMHS) – a biennial event dedicated to advancing health, performance, and well-being through sport.

Held from 26-28 June 2025 at the CCH – Congress Center Hamburg, the Summit brought together 4,500 participants from more than 30 countries, including scientists, physicians, physiotherapists, trainers, policymakers, educators, students, sports clubs, and enthusiasts. Under the patronage of Hamburg’s First Mayor, Dr Peter Tschentscher, SMHS 2025 showcased Hamburg’s position as a ‘Global Active City’, strengthening the local economy while elevating global dialogue on movement, healthcare prevention and community health.

Since 2021, CPO HANSER SERVICE has co-created the Summit with DGSP, shaping it into a flagship, interdisciplinary platform that bridges scientific research with real-world practice –from clinics and training environments to schools, clubs and communities.

SEdO Murcia 2025: Redefining orthodontics for a new generation

When the Spanish Society of Orthodontics and Dentofacial Orthopaedics (SEdO) appointed Reed & Mackay to deliver its 71st Annual Congress, the objective went far beyond producing a high-calibre scientific meeting. SEdO sought to reposition itself for a new generation of orthodontists –modern, relevant, and deeply connected to the realities of today’s clinical professionals.

Reed & Mackay approached this mandate as a transformational initiative. The goal was to create a scientific, educational, and social experience that would elevate SEdO’s profile, expand its influence, and strengthen a sense of community among clinicians, industry, and emerging practitioners. Over three days, the Víctor Villegas Auditorium and Congress Center became a dynamic ecosystem of learning, interaction, and inspiration, hosting more than 1,000 attendees from across Spain.

The Congress also benefitted from strong institutional support, including the official opening by the Minister of Health of the Region of Murcia, Juan José Pedreño, and logistical collaboration from the Murcia City Council and the Murcia Convention Bureau.

Setting a new benchmark for inclusive event design: Autism Europe International Congress 2025

The 14th Autism Europe International Congress, held in Dublin from 11-13 September 2025, set a new benchmark for inclusive event design at scale. Hosted by AsIAm, Ireland’s national Autism charity and the first Autistic-led organisation to host the Congress, the event welcomed over 1,800 participants from across Europe and beyond, including Autistic people, families, researchers, policymakers, professionals, and advocates.

Delivered in partnership with IAPCO member Keynote PCO, Fáilte Ireland, and the Royal Dublin Society (RDS), the Congress demonstrated how accessibility, dignity, and co-creation can be embedded into every stage of event planning and delivery – not as an add-on, but as a guiding principle.

Under the theme “Quality of Life – Research, Policy and Practice”, the Congress adopted a neuro-affirmative, humanrights-based approach, aligning scientific content with the lived priorities of the Autistic community.

76th International Astronautical Congress (IAC 2025)

An interstellar collaboration – Advancing the global space conversation at IAC 2025

The 76th International Astronautical Congress (IAC 2025) marked a defining moment for Australia’s space sector and for the Asia-Pacific region. Hosted at the International Convention Centre Sydney (ICC Sydney), IAC 2025 brought the world’s space community together to explore the latest advancements in space science, technology, policy, and industry collaboration.

Delivered by IAPCO member MCI Australia, in partnership with the Space Industry Association of Australia (SIAA), the International Astronautical Federation (IAF), the Australian Space Agency, and the NSW Government, IAC 2025 represented one of the most complex and ambitious global congresses ever staged in the region.

Held in the Asia-Pacific for only the fifth time in the International Astronautical Congress history, the event

presented a generational opportunity to elevate Australia’s position in the global space ecosystem, showcase the rapid growth of its space industry, and broaden understanding of how space-enabled services underpin everyday life.

In recognition of this achievement, MCI Australia, in partnership with SIAA, the International Astronautical Federation (IAF), and the Australian Space Agency, was named the winner of the IAPCO Driving Excellence Award for Collaboration at IBTM World 2025. Presented at the Meetings Leadership Network Reception in Barcelona, the award acknowledged the project as a benchmark for multi-stakeholder governance, data-driven decision-making, and collaborative delivery at scale.

29th International Conference on Statistical Physics (StatPhys29)

StatPhys29: The world’s leading statistical physicists return to Florence

More than 75 years after the first STATPHYS conference was held in Florence in 1949, the world’s leading statistical physicists returned to the city where the series began.

StatPhys29 – the 29th International Conference on Statistical Physics, brought together 1,583 scientists from 59 countries, reaffirming the event’s status as the premier global gathering for the field. Hosted at Palazzo degli Affari and Palazzo dei Congressi, the congress explored cutting-edge developments in statistical physics and its rapidly expanding influence across disciplines including complex systems, biological physics, machine learning, climate science, soft matter and quantum fluids.

Organised under the auspices of the International Union of Pure and Applied Physics (IUPAP) and co-organised by the Italian Society of Statistical Physics (SIFS), in partnership with Triumph Italy, the event featured 9 plenary lectures, 59 invited speakers and 388 oral presentations, alongside satellite symposia, poster sessions and public engagement initiatives.
