What Do I Need to Do?

1. Log in to Grace Hill through your MyApps dashboard and check for:

o Courses that have due dates anytime through December 31, 2025.

2. Meet with your manager (if necessary) and schedule time on your calendar to complete these courses.

3. Complete the trainings - many of them are short, flexible, and easy to finish in one sitting!

As we slide into the final stretch of the year (fueled by caffeine, candy canes, and sheer determination), the Resident Services Department is here with your End-of-Year Wrap-Up. Consider this your festive reminder that preparedness, teamwork, and good lighting are the gifts that keep on giving.

You may remember our early season push to get ahead of the cold weather, because nothing says “Happy Holidays” like preventing frozen pipes.

Quick Recap: 5 Reminders for the Holiday Season

1. Winter Prep Essentials

• Review of the Winter Prep Checklist on Air Mason

• Stock up on essential supplies: pipe fittings, insulation, salt, sand, filters, portable heaters

• Prep holiday service workflows and ensure we have backup appliances on hand

• Finalize on-call schedules through year-end

• Update make-ready schedules

• Maintain vacant units at 65°F minimum (because frozen pipes are not the kind of surprise anyone wants)

• Ensure riser room heaters are set appropriately

• Encourage residents to open cabinets and report drips during freezing temps

• Flag and document high-risk areas before problems start

It’s the season for twinkling lights and potential fire hazards, so:

• Use only portable rolling-type heat pumps (no space heaters, please!)

• Inspect extension cords for UL listing & proper gauge

• Keep décor clear of sprinkler heads, smoke detectors, and exits

• Use UL-rated lights and battery-powered candles in the common area

3. Trash, Deliveries & Holiday Cleanliness

With packages and parties on the rise:

• Stay ahead of bulk pick-ups

• Keep dumpsters tidy and break down boxes

• Report missed pick-ups early

• Set and communicate a Christmas tree disposal area throughout the holiday season

4. Scheduled Maintenance

Driven by Your Voice: 2025 Software Support Updates

As we wrap up a busy year, we’re excited to share the enhancements and system improvements that you inspired across Hawthorne. Every update was shaped by what you told us would make your work easier and improve the resident experience. Thank you for your continued partnership— your insight made 2025 a year of meaningful enhancements.

Throughout the year, you shared what slowed you down and what would make your workflows clearer and faster. The Software Support team listened, and your feedback directly guided each improvement.

Leasing Made Simple

You shared the need for a smoother leasing experience. In response, we completed the rollout of the RentCafe Leasing Workflow, allowing for faster, cleaner lease signing, fewer errors, and consistent steps across communities. This update supports a more predictable process for both teams and residents.

Payments, Simplified

You also highlighted the need for clearer, more efficient payment workflows. Because of your feedback, the NSF block was removed, NSF posting is now automated, check rescanning speeds up processing, and deposit refunds are visible in Payscan. These changes reduce delays and make payment tasks easier to manage. Watch for future enhancements, including Text to Pay!

Tools That Put You in Control

Many of you asked for more autonomy in daily tasks. This year, we introduced features that give you the keys to move through essential work with fewer steps. Community Managers can now promote roommates directly, bulk charges can be added more easily, deposit refund forwarding is streamlined, and Payscan visibility is improved for quicker updates. These enhancements were built to support the way you work.

Outside of Hawthorne, you can find me riding my gravel bike, running, or reading!

If you had 3 wishes, what would they be?

If I had three wishes, the first would be for everyone to do a selfless act daily. The second would be for bike rides not to be so cold in the winter! The third would be that everyone had access to healthy food and clean water.

Time with HRP?

I joined HRP on June 2, 2025, and from day one, I felt truly welcomed by my RVP, Stephanie Smardo, and the entire corporate support team. The genuine and helpful nature of everyone at HRP has been remarkable. When it comes to the onsite teams, I’ve been impressed by the capability and care shown by those running our properties daily.

What do you love most about HRP?

While property management can be fast-paced and sometimes chaotic, the collaboration between onsite teams and the support team has made my time here both productive and enjoyable. HRP’s strong culture really stands out. You can feel that the support team genuinely cares about associates, not just professionally, but personally as well. It’s always easier to give your best when you know the company has your best interest at heart.

What do you do outside of Hawthorne?

Outside of work, I love spending time with my family. Living in sunny Florida means plenty of beach days and endless opportunities for fun. One of my favorite experiences is watching my son’s excitement at Disney; it’s hard to beat that kind of joy!

If you had 3 wishes, what would they be?

1. Health and happiness for my family and friends.

My first interaction driving to Haven was wow! This community is so nice, clean and beautiful trees were changing for fall. I made an appointment to see a 1-bedroom and I was able to share the top things I was looking for. At first, I was nervous that I couldn’t afford this place. But Toni, who works in the leasing office was determined to keep looking at available units. She found one that would be within my price range, and we went to view it. The apartment had everything I need. The added bonus of the amenities offered in the leasing office included a gym, pool table, library, office center, pool, kitchen and ability to rent for a party or event is so special. Stevie from the leasing office came to greet me and just encouraged me that North Carolina has things that my hometown had like green chile. I’m now living at this residence, and I love it so so much!!!!

I moved in a 1-bedroom/1-bathroom about a year ago and I have been in love with these apartments since I moved in. The space is modern and clean and cozy and overlooks a cute courtyard. The amenities are awesome and includes a golf simulator and a pretty well-equipped gym. The big kickers are the two themed rooms per floor open to residents (a gift-wrapping room with themed gift wrap for the holidays, and a podcasting room, just to name a few). The staff at the front office are always super polite and accommodating and take care of any work orders I have right away. Can’t recommend this place enough.

The resident events are always creative and fun, giving us an opportunity to meet and interact with our neighbors. The staff is always helpful and available when we need them.
