The following are the general policies and terms and conditions which apply to all our programmes, unless otherwise specified, to ensure the quality of our programmes, their administration and the safety of the participants and staff who take part in them. Please take a moment to review our policies and terms and conditions below.
Applications and payment
● Places are allocated on a first-come-first-served basis.
● Camp fees need to be fully paid upon enrolment. We have the right to exclude participants from camps for the non-payment of fees.
● You are asked to inform the office in writing should you wish to make any changes after the application is submitted. Please see below for our policies on withdrawals and change of booking.
● Please check the time, date, venue and the prerequisites carefully as outlined on the schedule.
● The booking is non-transferable.
● Booking confirmation will be sent to you by email. Camp reminders will be sent to you 2 weeks before the first day of camp. Please regularly check your email, including your spam folder, to ensure you receive our messages. If you’re not receiving our emails, check your junk mail and confirm that we have updated your contact details. We cannot be held responsible for missed camps due to unread emails or messages landing in your spam folder.
● To ensure swift communication during emergencies, participants must provide at least one emergency contact with a local phone number. In the event of an accident, we will immediately call this number. If we cannot reach you, we will send an email to notify you of the incident.
● If you’re unsure about the contact details you provided, please email us at info@ aisloutdoor.com to update your information. Having accurate contact details is crucial for our Child Protection Policy. Remember, opting out of email communication may result in missing essential information about your child’s programs.
Applications and payment
● Participants who successfully enrol in a camp are entitled to a cooling-off period of 7 days from the date of purchase. For example, if a purchase is made on 1 July at 4 PM, the cooling-off period will conclude on 8 July at 4 PM. This period allows participants the opportunity to reconsider their enrolment and request a refund if necessary.
● Please note that the cooling-off period applies only to purchases made up to 60 days prior to the start date of the registered camp. All requests for withdrawal or changes to bookings must be submitted in writing to info@aisloutdoor.com.

• Each booking can be changed only once and must remain within the same camp period, with 14 days or more notice (not counting the first day of camp), subject to camp availability.
• Full payment will be required for any price difference between the new selected camp and the original camp.
• No refund will be made if the new camp’s price is lower than the original booking.
• AISL Outdoor reserves the sole discretion to make decisions regarding the change of booking.

Withdrawal
80% refund will be offered if we receive your notice before a camp commences. No refund and change of class will be provided after a camp commences.
Overseas Programme (Outside China)
Bank charges to be borne by participants.
No refund or change of class will be provided, irrespective of the reasons after the camp commences. This policy applies to all cases of withdrawal.
Under inclement weather conditions (e.g. Red/black rainstorm signals, T8 or above) or other force majeure events, no refund will be provided.

● If the camp does not reach the minimum number of participants, as indicated on the registration website, two weeks prior to the camp start date, AISL OUTDOOR reserves the right not to organize the camp. In such cases, a full refund will be provided to all registered participants, or such participants may apply to join another camp within the same camp period.
● AISL OUTDOOR reserve the right to change camp times, venues and dates at our discretion. Parents will be notified of any changes in advance as soon as possible. If the participant is not able to join a reorganised camp which may be held in a different timeslot or in a different location that he/she originally applied for, a full refund will be offered to all registered participants, or such participants may apply to join another camp within the same camp period.
● If you wish to make a refund and withdrawal request, you are required to submit a refund form through email within 14 days after we have provided you the form. If we do not receive the form within 14 days, your request for a refund will be considered forfeited.
● Refund will be made within 60 working days after we receive a properly completed and signed refund application form from the participants requesting the refund, along with valid supporting documents.
● Refunds requested by participants for personal reasons, particularly those involving remittances to overseas accounts, may have any associated bank charges deducted from the refund amount.
● All refund requests are subject to the sole decision of AISL OUTDOOR.
● Parents and/or guardians are responsible for the transportation, pickup and drop-off arrangement of the participants to and from the programme venue and the travelling arrangements including visa applications (if applicable) of the participants.
● Camps will finish on time. Please ensure you pick up your child promptly at the end of the camp. If your child is self-dismissed, you are required to submit the self-dismissal authorization form to us before the first day of camp. Without receiving the form, we couldn’t allow your child to leave due to our safeguarding policy, and costs incurred due to such an arrangement will be charged. AISL OUTDOOR reserves the right to determine whether a child may self-dismiss, regardless of the receipt of an authorization form, to ensure the child’s safety.
● You are also required to provide the contact details of the person who is picking up your child to us.
● Participants are expected to abide by the regulations of the facility. This will be strictly enforced, and we reserve the right to ask anyone who does not abide by the rules or behaves unreasonably to leave immediately. No refund or credit will be available under such circumstances.
● AISL OUTDOOR, our coaches and our teachers are not responsible for any injury to participants, or damage or loss of property because of participation in our camps.
● In case of a medical emergency, your child will be transferred to the nearest hospital using the local Government Emergency Medical Unit.
● Information provided by you on your application form will be used for the purposes of processing your application for enrolment; and administration after enrolment.
● The data we collect will be kept confidential. You have the right to obtain access to and request correction of any information concerning you and your child held by us. Requests for such access should be made in writing.

AISL OUTDOOR have a duty of care towards children in their charge and ensure always that the safety and protection of the child comes first – whether presented with an actual hazard, or in relation to any form of abuse. ● do not take any photographs or video/audio recordings without AISL OUTDOOR’s permission.
Participants should
● follow the rules in the camp
● behave and dress appropriately
● AISL OUTDOOR coaches, teachers and staff may occasionally use cameras and take photos and videos during camps for use in promotional publications and on our website.
● These images/videos will not be passed onto third parties.
● If parents do not wish us to use photos that include their child, please advise us on the application form or inform us at info@aisloutdoor.com .
● AISL Outdoor and its Operations Providers are responsible for the public liability insurance coverage. This specific third-party risk insurance is structured to offer compensation in the event of financial losses stemming from unfortunate incidents involving the death or bodily injury of a third party. These incidents are directly related to shared areas and facilities within the premises, including but not limited to elevators, staircases, fire service installations, and other communal amenities.
● We strongly recommend that our participants purchase their own personal travel or personal accident insurance coverage at their own expense. This proactive step is instrumental in ensuring comprehensive protection for their individual interests and overall well-being during their engagement with our services. This supplementary insurance coverage serves as an additional layer of security and offers a safeguard against unforeseen circumstances and provides a vital safety net for our participants.
■ HONG KONG PROGRAMME
In the event of adverse weather conditions in Hong Kong, the camp will be cancelled if it cannot proceed as scheduled. Upon improvement of weather conditions, the camp will resume promptly without the need for postponement or supplementary sessions. Parents are advised to stay informed through announcements on radio, television, or the “GovHK Notifications” mobile application during rainstorms and other extreme weather conditions. If there is heavy rain and thunderstorms, outdoor activities will be moved indoors for the safety of the participants. If there is heavy rain or other extreme weather that prevents the activities from proceeding as planned, we will shorten the day’s schedule or dismiss early based on the actual situation.
For camps in Mainland China and overseas, AISL Outdoor will adhere to local government orders and policies concerning public health and inclement weather situations. We reserve the sole discretion to determine whether the event will proceed, prioritizing the safety, health, and well-being of all participants.
