Girl & caregiver experience wrap-up | Thank every family genuinely Ask, “Do you have any last questions?” Remind them how to sign up, when they’ll hear from you, and the person to contact Make sure no one leaves confused about next steps

Capture and save all information: double-check all sign-in sheets or lead forms are complete and eligible, and that you have parent/caregiver names, email, and phone number, girl’s name, grade, and school.
Leave the space better than you found it: pick up all trash (even if it’s not yours), reset tables and chairs, carefully remove signs or decorations, check floors, corners, and under tables for any belongings, thank the on-site contact if they’re present, and follow any site-specific rules. Goal: Be a group they want to welcome back!
Thank everyone: facility staff, volunteers, troops who provided support, co-hosts, or partners
Log the event while it’s fresh: record the number of attendees (girls and adults), number of strong leads vs general interest, recurring questions, what worked well, what could improve, and any high-potential volunteers or troop leaders
Document any commitments made (“I’ll send info on ”) and create a task in Salesforce to follow up
Follow-up plan: send thank-you emails or texts that include the next steps to join. This could include troop placement and meeting dates if they are joining an existing troop, or a timeline for troop formation at their school.
Recruitment Mindset:
Every interaction is a potential long-term member or volunteer.
Parents are paying close attention to how their child feels. Make sure they feel welcome, engaged, and excited! Clarity is better than perfection. Families want a clear understanding of what to do next and what to expect. Warmth and appreciation matter as much as information. Follow-up is where most conversions happen!

Super Troop Year Plans & Free Monthly Patches
The Super Troop Year Plan is a monthly guide designed to simplify the volunteer experience, with troop meeting suggestions for September through May and summer. If Head Start families complete a paper form, council staff or the local Head Start provider is responsible for entering that information into the Head Start lead form (girlscouts.org/headstart).
GSUSA will process memberships for girls entering Kindergarten in Fall 2026 and note other grade levels for GSNWGL to contact if someone from another grade tries to register through that link.

When you talk to Head Start staff, ask whether they are hosting any year-end events (graduation, family night, etc.) where you could offer an activity or a booth.
Consider a booth at parent pick-up time.
If the Head Start site allows it and it’s a decent-sized group, you could hold a recruitment event there.

How to Play: Like freeze tag, but without the freezing. If you get tagged, you must lie on your back, with your arms and legs in the air, and wiggle them You can get “un-turtled” if someone who is not “it” tags you while you’re on the ground.
Evolution
Girls start as eggs (arms in a big circle in front) Find another egg and play rock, paper, scissors. The winner evolves into a chicken (tuck arms and flap “wings”), and the other player stays an egg. Make sure to collect lead forms at all of your Grow with Girl Scouts events, so you can use the Summer Series (troop starter series) as an incentive to join - three free sessions with their membership.
Once you have your series date, time, and location confirmed, submit a project request with your details. Brand & Communications will reply with your link, QR code, and a link to view submissions for your series. A custom Formstack will be created for each series a staff member schedules. This will help you keep your events and attendance organized and allow families to see clearly when the upcoming events are being hosted.
