We sat down with Laura Jones, an Executive Assistant who thrives in her current role within a data-driven, commercial environment. She’s also a member of the PA Life Club, valuing the sense of community and shared learning within the profession…
Congratulations on winning the Team Leader Star at the PA Life Star Awards 2025! What does a professional recognition mean to you?
Professional recognition like this means a great deal to me because it reflects the impact of how I work, not just what I do. As EAs, much of the value we add happens behind the scenes, so to be recognised by peers and the wider industry is incredibly validating. It reinforces that leadership, collaboration, and creating positive working environments genuinely matter.
Has your role as an executive support professional been what you expected?
In many ways yes, but it has also exceeded my expectations. I expected to provide high level administrative support, but the role has evolved into something far more strategic and people focused.
I’ve been trusted to influence ways of working, support complex decision making, and lead engagement initiatives, all of which have broadened my skill set and kept the role constantly interesting.
How much does the industry you are in influence your role?
The industry plays a significant role. Working within a data driven, commercial environment means pace, accuracy, and discretion are critical. It has strengthened my ability to adapt
quickly, prioritise e ectively, and communicate clearly across di erent regions and functions. At the same time, the role remains very people centric, which is something I value highly.
What are the biggest challenges of your role?
Balancing competing priorities, often with shifting timelines, while remaining calm, proactive, and solutions focused is definitely one. Supporting senior leadership requires anticipating needs before they arise, staying agile and resilient.
What’s the best advice you’ve ever been given, and do you have a favourite quote?
I’d say ‘back myself’. Confidence doesn’t mean having all the answers. It means trusting your judgement and being willing to ask the right questions.
A quote I often come back to is: “You don’t have to know everything, you just have to be willing to learn.” It perfectly reflects the mindset needed in this profession.
Do you have any recommendations for professional development: tips, books or courses?
Continuous learning is essential in this role, as is building strong networks with
“Confidence doesn’t mean having all the answers.”
other EAs and business support professionals. Also seeking feedback and staying curious about technology and new tools that improve productivity.
Who inspires you?
People who lead with empathy, integrity, and consistency, especially those who quietly lift others up without seeking recognition. I also draw inspiration from fellow EAs who continuously challenge perceptions of the role and demonstrate its strategic value.
As a PA Life Club member, are there any additional benefits you’d like us to o er?
I’d love to see more opportunities for peer connection and mentorship, particularly for those earlier in their careers. Practical workshops, round table discussions, and sessions focused on confidence, leadership, and career progression would add real value. Creating safe spaces for honest conversations about the challenges of the role is also incredibly powerful. Connect with laura on LinkedIn

In the fast-paced, and often unpredictable role of an Executive Assistant or Personal Assistant multiple priorities are competing for your attention. It’s easy for certain tasks to slip quietly to the bottom of your to-do list says Lindsay Taylor, Co-Founder & Director at Your Excellency…
That, in a nutshell, is procrastination: putting o something that needs attention now. And before you give yourself a hard time, let me reassure you - it’s incredibly common. Procrastination isn’t usually about laziness; it’s often about how our brains prioritise immediate comfort over long-term benefits. Psychologists call this “time inconsistency”. Our present self favours instant rewards, while our future self imagines the satisfaction of a completed task.
The trick is learning how to close that gap.
Why do we procrastinate?
Understanding the “why” is the first step to overcoming it. Here are a few common causes that many of you will recognise:
1. The task feels overwhelming
Large projects - such as organising an event, planning a major meeting, or creating a detailed report - can feel so big that we don’t know where to begin.
2. Perfectionism
Many assistants take pride in delivering high-quality work. But when we feel
something has to be perfect, we can delay starting because we’re worried it won’t meet our own standards.
3. Lack of immediate reward
“ Understanding the “why” is the first step to overcoming it.”
Some tasks simply aren’t exciting. When the reward feels distant (like finishing month-end reports), it’s easy to prioritise quicker, more satisfying tasks instead.
4. Uncertainty or lack of clarity
If expectations aren’t clear, procrastination can creep in because we’re unsure about the right approach.
Practical tips to overcome procrastination
1. Use the “10-Minute Rule”
Getting started is often the hardest part. Commit to working on the task for just ten minutes. Once momentum builds, human nature dictates that you’ll often continue beyond that initial window.
2. Break big tasks into smaller steps Instead of “plan board meeting,” try:
• Confirm date and venue
• Draft agenda
• Send calendar invitations Small steps feel far more manageable
and help you build momentum
3. Bring the consequences forward Visualise about the impact of delaying a task. Will it create last-minute pressure for you or your executive?
4. Try “temptation bundling” Pair a less enjoyable task with something you like. Perhaps listen to your favourite podcast while organising files or enjoy a co ee while tackling admin.
Thought
As EAs and PAs, you’re often the engine room of the organisation, the person who keeps everything moving. Tackling procrastination isn’t about becoming superhumanly productive; it’s about creating small habits that make starting, (and completing) a task easier. So next time you notice yourself putting something o , pause and ask: What’s the smallest step I can take right now. Start there. Your future self will thank you.

Our Wellness columnist Julia Green, Sales & Commercial Manager at Center Parcs Conferences & Events shares great ideas for happier family summers…
There’s something about summer that brings both joy and pressure in equal measure. Longer days, school holidays, the promise of memory-making… and, for working parents, the creeping sense that we should somehow be doing more.
More days out. More crafts. More presence. More everything. But what if this summer, we gave ourselves permission to do less—and enjoy it more?
Parenting guilt isn’t new, but it often feels amplified during the holidays. Many roles, even those with the option to purchase additional leave, don’t allow parents to be o for the full stretch of the school break. As a mum of 10-year-old boys, the juggle between work commitments and keeping them entertained can feel relentless. This is often amplified for parents managing younger children, less flexible roles, or working hours that don’t neatly fit around family life.
Flexible working has been a game changer for many. Whether it’s shifting hours, working remotely, or simply having understanding leadership, it
allows parents to be present in a way that feels more balanced. That might mean logging o early to enjoy the sunshine, working later to allow for a slower morning, or navigating holiday clubs more easily. It’s not perfect—but it’s progress.
The key is to reframe expectations
“ Children don’t need a packed itinerary or expensive experiences to have a meaningful summer.”
choose simple activities or meals
• Movie nights: blankets, snacks, and a cosy cinema feel at home
Children don’t need a packed itinerary or expensive experiences to have a meaningful summer. Often, it’s the simplest moments that stay with them: insect hunting in the garden, a spontaneous picnic, or just uninterrupted time together. One of my boys’ favourite summers was our self-declared “summer of fun”—a mix of low-cost days out, time with friends and grandparents, and simple activities woven around the working week.
If you’re looking for low-pressure ways to keep children engaged, consider:
• Micro-adventures: local walks, nature trails, or exploring somewhere new nearby
• Creative afternoons: painting, baking, or den building
• “Yes” days (within reason): letting them
• Involving them in your world: small “tasks” if you’re working from home
It’s also okay for children to be bored. In fact, boredom often sparks creativity and independence—something we don’t always allow space for in structured lives. My boys regularly declare boredom, only to invent the most imaginative games moments later.
And for us parents? Be kind to yourself. You are balancing a lot. Summer doesn’t have to look like anyone else’s version of perfect. It can be slower, simpler, and still completely meaningful.
Because what children remember most isn’t the scale of what you did—it’s how it felt. And a calm, present parent is far more valuable than a pressured, exhausted one trying to do it all.

Laura Taylor an award-winning LinkedIn strategist and founder of Social Flow Collective, and a former EA, discusses why LinkedIn can for many EAs and PAs feel like something that belongs to other people… “
LinkedIn is often associated with senior leaders, recruiters, or loud selfpromotion, none of which naturally align with a role built on discretion, competence and getting things done behind the scenes. If managing LinkedIn has never been part of your job description, it’s easy to assume it’s not relevant to you.
But LinkedIn isn’t just about selfpromotion or updating your profile when you’re looking for your next role. Used well, it’s a professional record, a visibility tool, and a way of making your expertise legible beyond the organisation you currently work for.
Visibility without self-promotion Reinvention doesn’t always mean changing careers. Sometimes it means being seen more clearly for the work you already do.
PAs and EAs manage complexity every day. You operate at pace, handle sensitive information, solve problems quietly, and often act as a bridge between leadership and the wider organisation. The challenge is that much of this expertise remains invisible outside your immediate environment.
LinkedIn gives you a place to
document that experience in your own words, rather than being defined solely by the executive you support.
Think of your LinkedIn profile as a working document, not a static CV.”
4. Build visibility before creating content
A practical blueprint to get started
1. Decide what you want to be known for
Before changing anything on LinkedIn, step back. What are the skills people consistently rely on you for? Is it operational leadership, stakeholder management, project delivery, crisis handling, or something else? Reinvention starts with clarity.
2. Let your profile do the heavy lifting
Think of your LinkedIn profile as a working document, not a static CV. Your headline and summary should explain how you add value, not just list your job title. Focus on outcomes, not tasks. Add some personality to stand out.
3. Write in your own voice
You don’t need corporate language to sound credible. Writing in the first person allows your profile to feel human, grounded and confident. It is your digital reputation, so make it sound like you.
You don’t need to post regularly to benefit from LinkedIn. Commenting thoughtfully, engaging with your peers and colleagues by adding to conversations all build presence without pressure.
5. Think beyond your current role
Your job today is not your entire career. LinkedIn allows you to build a professional identity that moves with you, regardless of changes in organisation, leadership or direction.
You don’t need permission to invest in your own professional visibility. You don’t need to be loud, performative, or constantly online.
But staying invisible has a cost. LinkedIn, used intentionally, can support reinvention on your terms. Quietly. Strategically. And in a way that still feels like you. You can connect with Laura here linkedin. com/in/laura-taylorsocialflow

Senior assistants don’t just manage tasks; they sit in the middle of tensions. As an Executive Assistant Coach, Anu Timmerbacka helps professionals to manage any situation with clearer and more confident communication that results in far reaching benefits for all parties…
As an EA you need to make decisions in situations that are often tense and demand immediate attention, weighing you options can include:
• speed vs. reflection
• access vs. protection
• inclusion vs. decisiveness
These are not problems to “fix”, but polarities to manage. Favour speed too much, and people feel steamrolled. Favour inclusion too much, and decisions stall.
A strategic EA acts as an organisational thermometer, sensing when a helpful behaviour is tipping into overuse. But sensing is not enough. At some point, someone has to say it out loud – to “voice the elephant in the room” without shaming anyone. That is conscious communication in practice.
From hero mode to conscious partner
Many EAs know the pattern of responsibility without permission. You see a risk, feel the misalignment and anticipate the conflict, but hesitate:
“Do I really have the right to say this?”
When that happens, the nervous system does what it is designed to do: protect. You stay polite, you fix what you can in the background, and hope that your value will somehow be “noticed”.
Conscious communication o ers
another path. Instead of rescuing silently, you:
• notice your own reaction
• clarify your intention (“I want us to succeed, not to criticise”)
• choose language that is both honest and kind
For example: “I’m noticing the team is hesitating on this decision. Would it help if I mapped the risks and options so we can move forward with more confidence?”
Here you are not attacking, nor hiding. You are naming a pattern and o ering help.
The micro-skills of upward leadership
Leading upward is less about big speeches and more about repeatable micro-skills, such as:
• Framing your intention
“I’m raising this because I want to protect your time / our reputation / the team’s energy.”
• Asking for a clear mandate
“When I see these kinds of issues, would you like me to flag them early and suggest next steps?”
• Turning feelings into information “There seems to be a lot of unspoken resistance around this change. Would it be useful if I gathered some anonymous feedback?”
“Here you are not attacking, nor hiding”
These are all examples of conscious, upward communication: you stay grounded, you keep the relationship safe, and you still bring reality into the room.
Skills, not personality
The most important insight for many assistants is this:
• These are not “magic traits” some people are born with.
• They are skills that can be mapped, practised and strengthened. With the right tools – including structured assessments of communication patterns – EAs can see their natural strengths (for example, calm under pressure, pattern-spotting, or relational diplomacy) and the blind spots that make certain conversations feel harder than they need to.
From there, upward leadership stops being a vague expectation and becomes a concrete practice: one conscious conversation at a time.

We speak to Steve Riley, Clarity’s Chief Operating O cer, about the importance of good customer service, how TMCs are there to support the PA community and help make bookings seamless…
Alongside award-winning booking technology, Clarity is powered by experienced people who are driven by innovation, service and a shared passion for doing things right, first time.
What is good service?
Service is tangible. You’ve got your SLAs and things like that, but it should be more than just operational metrics. We take service one step further. Service standards are about understanding that our people know you as an account and that they know what your goals are and to make sure you are directed where you need to be.
What service should EAs and PAs expect from a TMC?
Service should be holistic: what does the organisation want to achieve. A TMC needs to deliver that for you. For example, at Clarity we review sentiment analysis alongside our customers’ short, medium and long-term goals so we can see what we can advise them on. TMCs should be asking questions about green strategy, preferred supplier strategy, and
if they have a cost reduction strategy –and then provide a service that addresses this.
Don’t be bamboozled by TMCs who only talk about their awards. Instead, look for a TMC that has independent accreditations, like the Institute of Customer Service, then look at its NPS, CSAT and sentiment analysis ratings. That’s assurance for being in good hands.
How can your service help EAs and PAs? It’s important that PAs have access to tools that simplify their roles and create e ciencies. This is why it’s also worth considering the technology a TMC can o er. At Clarity we o er ClarityGo and MeetingPro - an innovative tech suite that enables PAs to organise a meeting using live availability and instant book functionality so there is no waiting around. Alternatively, it can also tell them where their people are, and their travel patterns. Clarity’s tech stack allows PAs to do all of that, be it for small meetings, group accommodation, or individual travel requirements – backed-up, of
course, by a full customer service team.
How can PAs provide duty of care for their people during travel disruption? Companies sometimes fail to understand that we can really support with their duty of care, through travel alerts, access to experts 24/7 and call out programmes during times of extreme crisis. Our team will proactively start to call out all those people in the a ected area to establish contact and ensure they’ve got clear instructions.
Our tech allows users to self-serve, helps them locate their people, and allows travellers to check-in to say they’re safe.
The combination of our tech and people makes the speed of our response stand out. Unlike other TMCs, Clarity’s travel alerts team work handin-hand with our out of hours team who are continuously monitoring so we have real time notifications of any crisis and can act as soon as we have the information.

This year Adam Fidler Academy celebrates its ten-year anniversary. Founded by Adam Fidler, the Academy has trained and educated thousands of EAs and PAs since its launch back in the summer of 2016…
Adam is well-known in the industry –he was the trainer who introduced the competence of EAs being strategic back in 2016 – long before any other PA/EA ‘trainer’ talked about the concept – and was featured on the cover of PA Life magazine, with an interview where he set out a future vision for the EA role. He also wrote the ‘EA Manifesto: What I am’ which has amassed millions of views worldwide.
“People still wonder what we teach our students at my Academy,” laughs Adam, “some still have visions of a secretarial school, with classrooms of computer desks and students learning Word and Excel. But, that’s not what we do here. Our students gather around a boardroom table where they learn how to be dynamic business managers, whose role goes far beyond looking after their leader’s diary.”
EAs and PAs travel from all over the country for face-to-face learning and a bespoke experience at the Academy. “Our curriculum focuses on leadership skills, administrative management and business studies - which are the key competencies of a modern EA,” adds Adam.
“Our EA students become adept in project management, emotional intelligence, commercial awareness and financial acumen.
We reinforce business support as a professional function – and the EA as an integral part of the management team.”
With course titles including The Strategic Executive Assistant™ and Get Ahead as an Executive PA™, as well as formal qualifications equivalent to a HNC or degree, the Academy ensures that EAs learn the higher-level skills, such as conceptual thinking, problem-solving and critical analysis, along with an appreciation of the more traditional skills they need to look after a busy CEO.
“ We don’t train PAs, we educate Executive Assistants, and there is a big di erence in that!”

Looking ahead for the next 10 years: What does the future of the profession look like?
There is only a handful of private colleges in the world that operate in this very niche market. “There are plenty of PA and EA networking organisations around,” says Adam, “but for the careersavvy EA, high-quality learning, mapping
“I have made no secret of the fact that I firmly believe that the PA role will wither on the vine. Firms increasingly employ general administrators, and highlyskilled Executive Assistants,” he says. The majority of the Academy’s students graduate, formally, with a qualification at Level 4 and above.

“EAs are the ones who will support the executive function with achieving strategic goals. That’s where we help today’s EAs to become business managers who support the operational running of their team, as well as managing their executive’s workflow, and wellbeing.”
“Quite simply,” states Adam, “we don’t train PAs, we educate Executive Assistants, and there is a big di erence in that!”

PA Life talks to Claudine Martin, a driven professional who’s spent close to 17 years in the British Army, majority of this time as a soldier – she was even deployed in Iraq for 6 months –before requesting to work as a PA at the MoD…
Since her army days, she has carved herself a great role as a Senior EA within financial services, still finding time to support fellow assistants as a mentor. Her role as one of the PA Life Club mentors is much appreciated and praised, and won her the Mentor Star Award in the PA Life Star Awards 2025.
Congratulations for winning the Mentor Star 2025 award. What does a professional recognition such as this mean to you?
I’m truly honoured to receive this award and thankful to PA Life for acknowledging my contributions. It means a great deal to me to be able to support others as they explore their career journeys.
What makes you a great mentor, and would you encourage others to join the PA Life Mentoring Programme?
I am dedicated to mentoring and committed to supporting my mentee. I strongly recommend the PA Life Mentoring Programme, as it o ers mutual rewards and chances for growth and learning.
You had a long career in the army. What skills you bring from your experience as a soldier to your current role? Military service gave me adaptability, resilience, problemsolving abilities, leadership, and strong communication skills I now apply in my current role.
What do you enjoy most in in a Senior EA role? And how big is the jump from an entry level EA to a Senior EA position?
What I enjoy most about being a Senior EA is the variety and complexity of the work. Every day brings new challenges and opportunities to make a meaningful impact, whether it’s managing high-level projects, coordinating with senior stakeholders, or supporting my team.
There’s a real sense of responsibility and trust that comes with the role, and I find it rewarding to use my experience to help drive success for the organisation.
The jump from an entry-level EA to a Senior EA is significant. It’s not just about having more tasks or responsibilities; it’s about developing a strategic mindset, building strong relationships, and demonstrating leadership. You need to be proactive, adaptable, and able to manage competing priorities with confidence. The transition requires ongoing learning and a commitment to personal and professional growth, but it’s incredibly rewarding to see how far you can progress and the di erence you can make within the business.
And what are the most challenging parts of being an EA?
As EAs we faced di erent challenges, however, EAs often face isolation and perception challenges, positioned between regular sta and executives – close to leadership but not part of either group
What three qualities make you an outstanding EA?
Content switching – as an EA it is important that you are prepared for the vibe of the meeting and not just the content. Discretion – providing total peace of mind when the pressure gets high.
ì
Proactivity – being able to anticipate the ‘why’ and the ‘what’.
What advice would you give to aspiring assistants aiming to climb the career ladder?
To move from junior to senior EA, adopt a strategic partner mindset instead of just a service role. Build your network, as strong relationships with other assistants are key to your influence.
Are you concerned about any aspects of AI in your role and in business in general?
AI drives future technology; as EAs, we should embrace it and learn as much as possible to make a di erence in the business.
Which tools, or tech do you rely on most in your role, and how do they help you stay e cient and organised?
I often use Copilot to optimise tasks and e ciently manage my responsibilities.
How would your ideal day at work look like?
My ideal day at work would start with a clear plan and priorities set, enabling me to approach each task with focus and e ciency. I would begin by reviewing my calendar and emails, making use of tools like Copilot to optimise my workflow and ensure nothing slips through the cracks. Throughout the day, I’d enjoy collaborating with colleagues, solving problems, and supporting my team. I like to dedicate time to professional development – whether it’s learning something new about

technology or sharing knowledge with fellow assistants. Ideally, the day would include a few opportunities to make a positive di erence, whether by streamlining a process or helping someone overcome a challenge. Finishing the day with a sense of accomplishment, knowing I’ve contributed meaningfully and stayed organised, would be the perfect end to my working day.
Which restaurants and hotels do you favour for your execs and clients, in London or anywhere else?
Hawksmoor is one of my favourites, as well The Ned.
If you weren’t an EA today, what would you be?
News reporter or TV presenter.
What are the positives of being a PA Life Club member for you?
Career development and mentoring, curated updates on industry news and peer connection.
How important is networking for you? Any tips?
Networking can lead to valuable opportunities and relationships. Stay open-minded and always be authentic.
What’s the best advice you’ve been given?
My grandmother frequently shared the saying, “If you can’t hear, you will feel,” during my childhood. As an adult, I have come to appreciate and understand the significance of her words.
What do you enjoy doing outside of work?
I like travelling, going to the gym, and participating in parkruns on Saturdays.
What’s next for you?
Pursue ongoing professional and personal growth and widen my network.

Westminster Security remains a trusted choice in highest quality security services
Headquartered in the heart of central London, Westminster Security takes its name from its prestigious Westminster base and its long-standing association with discretion, excellence, and trust.

establishment of the Security Industry Authority (SIA) have transformed the industry, raising professionalism across the board.

reliability, discretion, and absolute peace of mind. The PA Shows serve as the flagship gathering for executive support professionals. As the headline sponsor for The PA Show Summit in October, SWR Business Direct is ideally positioned to engage directly with its core audience of PAs, EAs, VAs and O ce Managers…
This sponsorship isn’t just about brand visibility; it’s a strategic move to show the people who actually book the travel how much easier their lives can be. For these professionals, the show is the primary hub for networking, professionals and personal development, making it the perfect environment for SWR Business Direct to demonstrate how they can streamline corporate travel management.
Train travel improves employee productivity and wellbeing
Choosing train travel over driving isn’t just a logistical preference; it’s a major win for business productivity and employee wellbeing. Travelling by rail e ectively becomes an extension of the o ce. Onboard features like free Wi-Fi, dedicated quiet zones, and comfortable seating with tables allow employees to clear their inboxes or prepare for meetings while on the move. This eliminates the “dead time” spent behind a wheel in tra c, which often
leads to stress and fatigue. By the time employees arrive, they are refreshed and ready to work.
Sustainability scores high
Sustainability is another critical driver. As businesses face increasing pressure to meet environmental goals, switching from road to rail is one of the most e ective ways to lower a company’s carbon footprint. SWR Business Direct simplifies this transition by o ering built-in carbon footprint reporting, which helps organisations track and compare the impact of their journeys across di erent transport modes to support compliance reporting.
Smarter and cost-saving bookings For assistants, the administrative savings are just as significant as the environmental ones. SWR Business Direct is a completely free-to-use platform that consolidates all UK train bookings into one central hub—not just
those on the SWR network. This means no more chasing physical receipts or manually processing individual expense claims, as everything can be managed through a single account with flexible payment options like invoicing. The platform also includes a lowest fare finder to ensure the best possible price is always secured, and it removes the burden of booking fees entirely.
The tool further empowers support professionals by allowing them to set clear travel policies, such as restricting first-class travel to specific journey lengths or setting spending limits for di erent team members.
With features like e-ticketing and 24/7 account access, SWR Business Direct removes the friction from the booking process, giving VAs and PAs more time to focus on high-level tasks while ensuring their executives travel e ciently and sustainably.

Travel and meetings management is changing: What this means for PAs
Clarity unlocks time and control for PAs by combining cutting-edge technology and experienced people.
Does AI really belong in a world of complex itineraries, shifting priorities and executive expectations?
The most e ective change isn’t happening where technology replaces human judgement. It’s happening where intelligent technology removes the admin that gets in the way of it. The searching. The cross referencing. The chasing. The spreadsheets.
Nowhere is this more powerful than where travel and meetings overlap. Too often, they’re managed in isolation – separate tools, separate workflows, separate organisations. But real-world trips don’t work like that.
They’re connected by nature: flights, venues,

and performance, so travellers arrive in the right frame of mind for the work ahead.
This comes to life through the redesigned website and app all o ering a more streamlined, user-friendly experience from search and booking to post-trip
feedback. For travellers, it reinforces Blacklane’s promise of thoughtful, detaildriven service across airport transfers, city-to-city journeys, and hourly bookings.
Together, these changes strengthen Blacklane’s position as the trusted

AI-enabled platforms bring these elements together, creating joined-up itineraries, streamlining approvals and surfacing the best options instantly.
When technology does the heavy lifting, PAs stay firmly in control, supported by the human experts of their TMC
– using insight, judgement and relationships to ensure nothing falls through the gaps - especially when plans change.
This combination of AI-powered technology and human service defines great travel and meetings management.

In this column we share real life stories sent to us by executive support professionals. We hope you will find these relevant to your role, and genuinely insightful. Please email our editorial desk if you’d like to share experiences from your assistant career...
The email arrived just before 7:00 am with a subject “Board pack updated. Please circulate immediately.”It was budget season, and the atmosphere across the finance floor had shifted.
If you have ever worked alongside a CFO during this period, you will recognise the feeling. Conversations become quieter. Email tra c doubles. Figures are checked, challenged and tested again, because every number tells part of the story of the business.
That morning the CFO’s diary looked like a game of financial Tetris. Calls with banks, meetings with auditors, discussions with consultants and internal briefings were stacked back-to-back across multiple time zones.
My role as EA to the CFO, while also supporting the wider finance function as Finance Team O ce Manager and providing cover for the CEO’s EA, sat right in the middle of it all.
The spreadsheets themselves were only one part of the picture. Behind every number sat an operational reality. Capital expenditure, operating costs and recruitment planning were all under discussion. Forecasts from di erent departments were being reviewed.
Working alongside the CFO becomes an unexpected education.
You begin to see how financial
decisions shape every part of an organisation. Developing professionally alongside the role was important to me. Completing PRINCE2 strengthened my ability to coordinate complex projects across teams, and the CIPD Level 5 qualification deepened my understanding of how organisational decisions a ect people, culture and leadership.
At moments like this, the Executive Assistant becomes something of a quiet conductor

While the leadership team focuses on interpreting the numbers and shaping strategy, someone needs to keep the entire structure moving smoothly. Calls begin on time. Information reaches the right people quickly. And when pressure builds, the calmest voice in the room may not belong to the person presenting the results.
Behind that calm sits a network. EAs rely heavily on collaboration with one another across the organisation. A quick conversation with another EA can unlock access to the right stakeholder, align
diaries across departments or prevent a clash that might derail an important discussion.
To build this trusted network contacts and knowledge happens slowly and often quietly. They are also built through kindness.
The lesson I learned that morning was simple
When organisations face pressure, decisions move quickly and the margin for error becomes smaller. In those moments, the EA is often the person holding the structure together behind the scenes. Not steering the ship, but making sure it keeps moving forward.
