PROPERTY ASSESSMENT When the property is vacant, PPG will inspect the property for any maintenance issues that may be needed in preparation for a new tenant. PPG will also take listing photos of the interior and exterior of the home. We will then send you the comparable rental amounts for your property and agree on a list price.
If there is a tenant in place, we will discuss rental adjustments.

Setting up your Owner Portal
You will receive a notification email that an item is ready to view in your portal. If you have not yet activated your portal, either of these emails will prompt you to create a password and activate your portal. Activate your Owner Portal, Create a Password, and Set Up Two-Factor Authentication
1. Click the link or button in the email from your property management company to land on the Owner Portal login page. 2. On the Owner Portal sign up page, the email your property manager has on file will be automatically filled in. Create a strong password, then click Create an Account. 3. You will then be prompted to Setup Two-Factor Authentication.

SETTING UP TWO-FACTOR VERIFICATION To keep your personal and financial information secure, your Owner Portal has an additional layer of security with two-factor authentication. This means signing into your portal will periodically require both a password and as well as a security code that will be sent via your preferred method.
1. When setting up two-factor authentication for the first time, you will be presented with the following screen when you login.
2. Enter your phone number and click Send Verification Code. You can also opt to receive the code via phone call, if you are unable to receive SMS messages. Once the code is entered you will be logged in.
FORGOT YOUR OWNER PORTAL URL? 1. For help retrieving your Owner Portal URL, open the internet browser on your computer or mobile device and type login.appfolio.com into the web address bar. 2. Click Owners. Use the recommendations on the following page to retrieve
the URL for your unique Owner Portal.
NAVIGATING YOUR OWNER PORTAL The home page of the portal is your Statements section. On the upper left side, you will see the other tabs for Transactions and Documents
On the very top right-hand side, you will see your log in with a drop-down box. Here is where you will find your settings to change any personal information as well as your password. Below that will be your log out tab.
Statements Tab: View or download published statements and reports. Packets are ordered by date with the most recent at the top and will be grouped under the owner of record. Click Download Packet to download the packet to your computer or mobile device.
Transactions Tab: Make secure monetary contributions via credit/debit card or eCheck (ACH) to the property of your choice. You will be able to see all of your transaction history
Documents Tab: Any files your property manager has shared will be stored here. Click the name of the file to view it online, or click Download to save it to your computer.
OWNER STATEMENTS BREAKDOWN Statement Header: The top portion of your owner statement is where you will see PPG, owner and property information as shown in the example below.

Transactions: The middle section is where you will see all Transactions for your your specific property. We Statements will always include Date, Payee/Payer, Payment type, Reference #, Description of the transaction, your cash in/cash out and a total balance.

BILLS DUE: Ending your statement breakdown, the last part of your statement will show “Bills Due”. In this section is where you will see bills that have been paid (i.e HOA statements, maintenance charges etc.) that will be withheld from your future disbursement.

APPLICANT SCREENING Here at PPG, we are very thorough when it comes to screening applicants to ensure they meet our standards. Below is our list of qualifications for an applicant to be considered for approval. Credit over 600 No prior evictions or judgements Clean background check Must have an Income equal to or exceeds 3x the monthly rent Must provide at least 3 months of paystubs and/or Bank statements We ask for 2 or more references Steady/long term job history
If the applicant meets these requirements, we will then contact you to discuss the information listed above and confirm how you would like to proceed.
MOVE IN PROCESS Once the applicant is approved, we notify them and walk them through the process of moving forward. 1. Half of security deposit must be paid to take the property off the market. 2. Tenant signs the lease 3. Tenant pays the remaining amount of the security deposit the day of or prior to move in date. 4. A PPG field agent will meet the tenant at the property to deliver the keys, a new tenant packet that includes a move in sheet as well as answer any questions they may have
MOVE OUT When a tenant submits their 30-day notice to vacate, a member of our staff schedules a move out inspection with the tenant. During this time, our field agent will collect all keys (gate keys, fobs, garage door remotes etc.). A thorough walk through of the property is conducted to check for any excessive damage outside of normal wear and tear including but not limited to paint, drywall, carpet, landscaping etc. Photos will also be taken at the time of move out for our records. The agent who completed the inspection will them reach out to you via email with a detailed list of any damages outside of tenant liability. We will ask for approval to assign our vendor(s) to complete any repairs needed to make the property rent ready.
RENEWAL/INSPECTIONS *Routine Inspections are conducted every 6 months*
Prior to your tenants’ lease end date, you will receive an email from PPG containing the current comparable rates for your property, and one of the following recommendations for your tenant Renewal with no increase - rental is at market value, we would like to offer a renewal to your tenant Renewal with increase – rental is below market value, and we suggest a rental increase with a lease renewal to your tenant Non-renewal – we recommend not renewing to the current tenant Once we receive confirmation on how you would like to proceed as far as a renewal, an offer letter is sent to the tenant. If the tenant would like to renew, we schedule a renewal inspection that MUST be completed before we send them a renewal lease. If they tenant decides to vacate, they must submit a 30-day notice in writing. (Move out procedure will not differ from the description on page 11)
For a non-renewal, a 30-day notice to vacate will be sent via certified mail to any and all occupant of the property. (Move out procedure will not differ from the description on page 11)
MAINTENANCE When it comes to maintenance, each property has a maintenance limit of your choosing. You can also opt out of automatic approval, and we will contact you before any maintenance repairs regardless of the cost. You will always receive an email any time a maintenance request is submitted for your property as well as updated throughout the process.
Maintenance Limit- An email will be sent to notify you that a work order has been placed for your property. It will state that if the cost is under your approved maintenance limit, we will tell the vendor to proceed without seeking further approval. You will then be contacted with a follow up email letting you know the total cost as well as an update upon completion.
No Maintenance limit- An email will be sent to you informing you of the maintenance request. We will seek approval to send our vendor as well as approval to proceed with any estimated repairs.
Home Warranty Coverage-If your property is covered by a home warranty, you will be notified that a work order is being placed with your warranty company. Like any other maintenance issue, we will keep you updated throughout the process.
