01. Company equipment. The company provides business laptops, phones (where required), and other technological devices. These are to be used for work-related purposes only and are intended to support your professional duties and ensure maximum efficiency in your role. All work equipment will be activated after you complete the mandatory training provided when you join the company. It is important to use this equipment responsibly and in line with company policy, avoiding personal or unauthorised use that could compromise information security or operational efficiency. Please contact the IT department immediately if you experience any technical issues or require assistance.
A. ZUCCHETTI HR MANAGEMENT SYSTEM
Zucchetti software is the HR management system that allows you to manage your employment details (attendance record, payslip receipt, LUL, CU). The software is available in “Elica Bookmarks” under the “Italian Payroll” section, or it can be configured through the “ZConnect” app. To access the app, please contact the Payroll team for support.

02. Badge & monthly attendance management. On joining the company, you will be given a badge which is essential for accessing company buildings and for using the services offered such as the canteen and attendance tracking. Any time an employee leaves the company premises, they must record it using the badge system. If an employee needs to travel between locations (Castelfidardo and Mergo) they must also register their presence at the other branches. Report any lost or malfunctioning badge to the Payroll team immediately for assistance. Please note that proper badge use is essential for ensuring safe and secure conditions within the company.

A. WORKING HOURS The standard work schedule is Monday to Friday, 8 hours per day, 40 hours per week. At Elica, we offer a flexible schedule (for roles where flexible working is possible), allowing employees to start between 7:30 and 9:30 am, Monday to Friday. You can take a 1-hour lunch break at any time between 12:00 and 2:00 pm. You can extend your lunch break to up to 1.5 hours if you leave the company premises. In this case, you must make up the additional half hour at the end of the day or log it in the Zucchetti management system. Attendance is tracked using a personal ID badge, which you will receive when you are hired. At the end of each month, you are responsible for reviewing your absences and submitting the supporting documents to the Zucchetti management system. Please contact your HR Manager for more details.

B. SURPLUS HOURS To promote flexibility, Elica launched a project called Surplus Orario (Surplus Hours). This is essentially a time bank that allows employees to bank up to 8 extra hours worked beyond their regular schedule each month into a personal account called “Surplus Orario maturato Mese” (Surplus Hours Accrued for the Month) in the Zucchetti management system. Surplus hours start accruing from the first extra hour worked in a day, and then in 15-minute increments. The standard workday is 8 hours, plus a lunch break (1 hour for those who remain on company premises without clocking out). Any absences that prevent you from completing the full workday must always be justified in the Zucchetti management system.

You can check your accrued Surplus Hours in the Zucchetti system; these hours are automatically reset to zero at the end of each month. Surplus Hours only accrue if the time you clock in to the company is within the flexible morning hours (between 7:30 and 9:30 am). You cannot use both holiday leave and banked Surplus Hours on the same day (e.g. 4 hours of holiday leave and 4 hours of banked Surplus Hours) without being present at the company and clocking in during the flexible morning hours (7:30 to 9:30 am). Please note that Surplus Hours may not be accrued on days when working under smart working arrangements.

If you are unwell, you must promptly notify your direct line manager and submit a medical certificate/protocol to the Payroll team.
To arrange a business trip, you must first obtain approval from your line manager, who will assess the need for the trip and approve it in line with company policy.
Sick leave will be handled according to the procedures/ regulations outlined in the applicable National Collective Labour Agreement (CCNL). Please contact the Payroll team for more information.
E. COMPANY AND CAR PARK OPENING/CLOSING HOURS The main entrance to the company, located at Reception, is open: ʆ Monday to Thursday: from 7:30 am to 7:00 pm ʆ Friday: from 7:30 am to 6:00 pm Outside of these hours, you will need to use your badge to access the premises. Expenses incurred during the trip will be reimbursed in accordance with current company policy, which clearly outlines the criteria for eligible reimbursements. To request and manage business travel, you must use the ZTravel management system available in Elica Bookmarks. The company canteen is open Monday to Friday, from 12:00 pm to 2:00 pm, offering employees the opportunity to have lunch at the company.
Refreshment areas are located throughout the company, where you can enjoy a coffee or snack break.
You must show your badge to enter the canteen and collect your meal, as this is essential for recording attendance and managing meals safely and efficiently. The meal service at the canteen requires an employee contribution of €1.70 per meal. This will be deducted directly from your pay. Please contact your HR Manager for more details and to fully understand the current procedures and regulations.
C. COMPANY CARS If you need to request a company car for a business trip, please book it through Reception. We recommend that you send your request well in advance to ensure that we can organise everything properly and meet your needs.
The vending machines in the refreshment areas operate using a handy electronic key, which you can obtain at Reception. You must pay a €5 deposit for the key, which will be fully refunded upon its return. This key can be used at all snack and coffee stations within the company, and can be topped up directly at each machine, making it a quick and convenient solution for your breaks. Our Reception staff is happy to assist you if you need help or further information on how the key works.

D. SMART WORKING Employees performing their duties at Elica S.p.A.’s Italian offices may be eligible for a remote working arrangement, provided that their roles are compatible with remote execution.
Performing work outside company premises does not entail any change in the assigned work location and does not give rise to any entitlement to travel or related allowances.
Remote working may be carried out at locations other than Elica S.p.A.’s offices and facilities, such as the employee’s own residence or another private residence, in compliance with applicable workplace health and safety and cybersecurity requirements.
Employees may work remotely for up to four (4) noncumulative full working days per month, taking into account employee needs and subject to the Company’s technical and organizational requirements.
The selected location must be suitable for the proper performance of work activities and equipped with a secure internet connection via VPN; connections from public venues are strictly prohibited. Locations that may compromise work performance, employee health and safety, or the integrity of company assets must be avoided.
Access to remote working is conditional upon completion of mandatory training and execution of the relevant remote working documentation provided during onboarding. Further information is available in the dedicated policy published on the Company Intranet.

The company offers a car wash service, also available for private vehicles. This service allows you to drop off your car keys at Reception and return later to a freshly cleaned car.
Amazon Point is an ideal solution for those who spend a lot of time at the office, allowing them to optimise their time by combining the convenience of online shopping with the practicality of workplace delivery. You’ll receive an email when your package arrives, so you can then collect it at your convenience without disrupting your workday. Each year, all employees agree on performance and behavioural goals with their manager. 05. Payroll & labour. This section provides all the information you need to effectively manage your employment contract, including practical details on post-employment benefits (TFR), pension funds, and other payroll-related aspects. A. POST-EMPLOYMENT BENEFITS (TFR) The Trattamento di Fine Rapporto (TFR), also known as PostEmployment Benefits, represents the portion of deferred remuneration that employees receive upon termination of their employment. Current legislation allows employees to allocate their TFR to supplementary pension schemes (closed or open pension funds). Each employee is therefore required to decide, within 60 days of being hired, how to allocate their TFR. If the employee fails to communicate their decision within the above deadline, the TFR will be automatically allocated to the supplementary pension scheme specified in the applicable collective bargaining agreement, in accordance with current legislation. During onboarding, a training session with the Payroll team will be provided to explain all the details and offer the support needed to make an informed decision.

B. METASALUTE Metasalute is our supplementary healthcare program, providing a range of benefits to help cover eligible medical expenses. Enrollment in the program is mandatory, as required by the applicable National Collective Bargaining Agreement (CCNL). The company contributes to the basic plan by paying a monthly fee of €13 for each employee. To access the available services, employees must register independently through the Metasalute online portal. More information about the coverage, as well as instructions on how to request reimbursements or access healthcare services, is available on the Metasalute website: www.metasalute.com.
C. SECTOR-SPECIFIC PENSION FUND The company adheres to the Cometa Fund, as set out in the CCNL. The Cometa Fund is a supplementary pension fund for workers in the metalworking sector (including gold and silver) and related industries in Italy. It was established through an agreement between trade unions and employer associations in these sectors with the aim of providing workers with a supplementary pension, in addition to the state pension. To join the Cometa Fund, employees, with assistance from the Payroll Team, must complete the application form available at the HR office. 07. Glossary. PAR
Permessi Annui Retribuiti, or Paid Annual Leave (PAR) is a guaranteed number of hours of paid time off that employees can use throughout the year for personal needs. PAR is granted in addition to holiday leave and is regulated by the National Collective Labour Agreement (CCNL) or company agreements. The way you can use paid time off and the amount you are entitled to vary depending on the sector you work in and the type of contract you have.
HOLIDAY LEAVE
A guaranteed period of paid time off for rest from work. Every worker, whether in the public or private sector, is entitled to a minimum period of paid annual leave, which is typically four weeks, as established by European and Italian regulations. Workers continue to receive full pay when on holiday leave.
LUL
Acronym for Libro Unico del Lavoro, i.e. the employment register. This document is mandatory for all Italian companies with employees and is regulated by labour laws. It contains detailed information about a company’s employees, including personal details, contract data, wages, withholding tax and social security contributions, working hours, holiday leave, paid time off, and other relevant information. The LUL provides a transparent and traceable system for the management of employment information, enabling authorities to verify compliance with regulations on labour laws, wages and social security contributions.
CU
Certificazione Unica i.e. Certification of Income. The CU is a mandatory tax document issued annually by employers to certify the income earned in the previous year by employees, contractors, and pensioners.
TFR
Trattamento di Fine Rapporto, or Post-Employment Benefits, is a form of severance pay that Italian employees are entitled to upon termination of employment. It is designed to provide financial support to employees when they leave their job, whether due to resignation, dismissal, retirement, or other reasons for the termination of the contract.
PROCEDURA
