Notes from the Editor

Tad, Briony myself and our Production Designer Michael Vermaak met with our brilliant event teams in Malta and it’s all coming together!

Our primary venue the Hilton Malta are really looking forward to welcoming us back and for those of you who don’t know this is the first time ever that we are hosted by a venue we have used before. Back in 2016 we held the conference in the Hilton Malta and they are really looking forward to hosting us again ten years on. The event is sold out and all delegates should have received the login details for the Conference App. We ask that you check the App when being asked for a meeting. We have a zero tolerance policy for unregistered people to be in any conference areas. It’s not fair on the 800 delegates who have paid not just in money but in time and effort to attend to have people making meetings for free.

We have also been working with our partners in the Coalition for Associations in Global Mobility (CAGM) on developing conduct codes for all of our events. These are to ensure that everyone has a great time in a safe and inclusive environment. If something happens to you during the event that makes you in anyway uncomfortable, please come and tell us. Find myself, Tad, Briony or Kirsty or any of our board or volunteers. We all want to ensure that any behaviour or circumstances that make you feel uncomfortable are dealt with and it could be something as simple as wanting to get home from the gala dinner early and finding out how to get a taxi! For our

newcomers, the event can be both exciting and intimidating, after all there are 800 people attending. We have run a Briefing online to go over the why ’s and wherefores of the event, but when you’re in Malta please come and find any of us on the team if you need advice or support. The App contains loads of information including maps of the venue which is large. There are plenty of spaces to network and many bars and restaurants within a five minute walk, so get out, get some air, stretch your legs, make time for yourself. Constant networking can be exhausting, so try and make sure to think about your well being and take time to explore some of the island. Our LinkedIn pages have plenty of suggestions of great things to do across the island and a summary is at the end of this edition, so take some time to enjoy being in Malta.

Join us in the early morning for a walk around the bay by the sea and at the same time help to raise money for our fantastic charity The Malta Foundation.

It’s nearly conference time again and together with the Executive Group, team, moderators and speakers we’ve been putting the final touches to the programme for Malta.

Conference Update

Our theme “Driving Growth; Diversification, Partnerships & Collaboration” is one which in these turbulent geo-political times a topic governments across the globe could learn from.

We are focussing on how partnerships and collaboration can help us all. Rather then seeing our fellow mobility colleagues as purely competitors we aim to look at how forming partnerships benefits us all.

One of the sessions will be a further update on AI and how it’s helping, impacting or changing our industry.

At a recent team day, we discovered the power of ChatGPT in a new and slightly frivolous way. We

fed a team pic into the AI and asked it to dress us in business formal clothes. Then we asked it to picture us on the slopes of the winter olympics. The results are here for all to see! Despite having a good laugh it was sobering to realise the sheer power the large learning models have in terms of how news and social media can be manipulated, with total ease, by anyone, in seconds. Dom spent many years learning photoshop as part of our publishing programmes but that’s an expensive skill that no longer needs to exist. He has also since the pandemic spent many hours learning to use Final Cut Pro to edit our briefings, training and conference films. Another skill that may become, more or less redundant.

There are skilled roles that will no longer exist and apart from the financial ramifications to us as workers, the psychological impact on our sense of self as the skills we are proud of are no longer skills at all will, have an impact. Jon Harman who is moderating our session on AI will be looking at this wider impact and not just on the tools themselves and what they can do.

Were we by the sea in Black Tie?

We just held a Malta Briefing on the event which can watch on our YouTube channel. Thanks to Dana Pick, Carlos Salgado and Ken Krogtoft for taking part as new and seasoned delegates, giving their advice on how to make the most of the event. I’d like to add on behalf of my team and the brilliant speakers and moderators that you don’t miss out on the education and peer sharing that the conference offers. There are some great sessions, from AI to State of the Industry, workshops focussing on immigration, corporate housing and diversification. We also have our two legal clinics. We will run MIM training sessions for which pre-registration is necessary Martina Scharwey and our EGQS Mentors and Lead Auditor will be on hand to answer any questions and Martina will be leading drop in sessions so join in and get your questions answered. Giles Orr and Nic Rattle our education consultants will be with us to guide you through anything you need to know about our MIM programme and our newly launched Peer to Peer mentoring sessions. More details will be announced at the opening session. We also of course have our ever popular Ignite session.

The Gala Dinner is in a terrific venue and as a result we have decided to go Black Tie. This means formal but it doesn’t mean having to wear black, be as colourful as you like! If the weather is kind to us the cocktail reception at the dinner will be outdoors so dress accordingly. That part of the venue is decked so be stilettos or kitten heals may be a challenge.

Executive Group News

We just held our first Executive Group (EG) meeting of the year in a secret location which will be a future conference destination. The agendas for these meetings form a review of the work of EuRA since the last meeting and planning of future work based on a 3,6,12 and 24 month plan. Included in every meeting is a financial review and we have been working over the last 7 years to create a contingency fund to ensure

continuity of EuRA. We live in uncertain times and we always have. The pandemic taught us all that financial planning is critical for us all and over the years we have used the profits that EuRA has made from the conference to both advance essential projects and create a financial buffer. Currently we are working on new training initiatives with Giles and Nic to plan for the next 10 years of our education programmes. A new initiate which we will be launching in June is to increase the visibility of EuRA and its members through a PR and Communications programme. We reached out to several people in our industry, experts in the field and we will working with Fiona Klomp as our new PR and Comms Strategic Consultant. Fiona has great expertise in the field having run both her own PR Consultancy and heading up ABRA another of our great local mobility associations. You can meet with her in Malta.

At this meeting we also took a long look at our membership demographics over the past ten years and the data led to some very interesting discussions. Since 2015 we have lost 8% of our DSP members. Looking into why (and Maree always asks each member who does not renew their membership) 99% were attributed to mergers and acquisitions and business closures. As we all know we have seen a lot of consolidation over the last decade but what these figures show us is how loyal our core membership is. The largest turnover in members comes from our Supplier Member sector and this is something we have known for decades. Back in the day when we used to pick up the phone and make a call, we would have at least three or four calls a week to the office from companies asking about membership. Of these the vast majority came from businesses who would be joining EuRA as Supplier Members, that is companies whose primary focus is NOT DSP, but one of the many sectors supplying vital services to the relocation industry such as immigration companies and corporate housing suppliers. The team member who answered that call would always be very honest about the fact

that membership of EuRA may or may not be a successful way to add to their business. We always encourage supplier members to carefully monitor their ROI on membership. It is very unlikely for example, that a serviced apartment building in Singapore will find direct business leads on the back of attending a EuRA Conference. The cost of membership plus the event and associated travel is expensive. Supplier Members pay the highest rate that DSP’s pay for membership and of course if they’re not members, the conference cost is double. Consequently we monitor the turnover of Supplier Members carefully. We have a large core of long standing members mainly in the immigration and corporate housing sectors and their financial contribution to the association helps us to expand our core programmes.

In the last meeting we had a long discussion about whether Supplier Members would be represented on the EuRA Executive Group and the EG decided that yes we should from 2027.

We recently put out our call for a new EG member to take the place of Irina Yakimenko who completes her term as and EG member in June. Irina has contributed hugely to the EG during her term bringing her acumen, financial savvy and intellect to some very difficult discussions and we all thank her for her dedication to EuRA.

For the first time in over 20 years we didn’t receive a single Nomination Form. The invitation to stand was sent out three times to all eligible members but for reasons we do not know, this time no one stood. What this means for the coming year is we will have 6 EG members and not 7 and next February there will be an election to fill two places as our current President Simon Robins will serve a further year after completing his Presidency in June this year. So if you have ever thought about standing for the EG, make sure to look out for those notices via your email and on our social media channels next February. Serving on the EG does involve a level of commitment and I wonder if this year, when trading conditions are difficult, it was just too much of a commitment for people to make. To serve on the EG you commit to three in person meetings a year somewhere in Europe plus a monthly online EG Huddle in any month where we don’t have a face to face meeting. There is also a commitment to participate in Working Groups to steer any new or

potential new projects in between meetings and Huddles as well as the work that each EG Member must commit to for the conference. Each EG member will take responsibility for at least one conference session or workshop and it is their job to ensure the panel stick to the original brief that was agreed at the conference planning meeting which takes place in November.

On the topic of meetings I try my very best to keep the costs down by either meeting somewhere easy to get to and great value (airport hotels are an excellent option) or a future conference location where we have received a response to our (lengthy!) RFP which is within our budgets. If the location is successful in being awarded the contract for the conference we ask for a discount for the board meeting that will precede it. Interestingly as we are going down the route of contracting for 2029 and 2030 and discussing the event and pricing with potential venues, we are seeing more hesitancy than previously in getting fixed prices so far in advance. Trading conditions for the MICE industry are tough. One venue in a warm place told us they can’t fix a room rate as variables such as the cost of air conditioning are changing daily.

I have spoken with many of our members in the middle east who are being severely impacted by the war in Iran. There is great uncertainty among members about how long this will go on and what the impact is likely to be on mobility patterns in the region. I want our members impacted to know we will do what we can to support them, so please let me know what we can do.

As we lead up to the final weeks to the Malta event, we are still fully booked however as in previous years the situation can be quite fluid in the final lead up so if you did not get a place please don’t lose hope! Contact Kirsty to be added to the Waitlist and she will do her very best to accommodate you. At this stage we have managed to accommodate everyone who was waitlisted mainly thanks to the flexibility of the Malta Hilton!

As we approach the EuRA International Relocation Congress in Malta this April, we are once again reminded of the strength, energy, and collaborative spirit that define the EuRA community. Each year, the congress brings together relocation and global mobility professionals from across the world, creating a unique space to connect, exchange ideas, and explore how our industry can continue to grow and evolve together.

This year’s theme, “Driving Growth: Diversification, Partnerships and Collaboration,” could not be more relevant. The global mobility landscape is constantly changing, and our industry continues to demonstrate an impressive ability to adapt, innovate, and find new opportunities within that change.

Across different regions, our members are navigating complex environments, from geopolitical developments to evolving immigration policies and economic uncertainty. While these realities create challenges, they also highlight the essential role relocation professionals play in enabling organisations to attract, support and retain international talent.

In many ways, these developments are pushing our industry to become even stronger. We are seeing new partnerships emerge, services diversify, and

collaboration deepen across the global mobility ecosystem. By working together and sharing expertise, our members are finding new ways to deliver value to clients and support international talent moving across borders.

This is exactly why the EuRA Congress remains such an important gathering. In Malta, we will come together to explore new ideas, strengthen partnerships, and discuss how we can continue to drive growth for our organisations and for the industry as a whole.

Above all, the congress reminds us that EuRA is more than an association - it is a community built on trust, collaboration and shared expertise. It is through this spirit of partnership that we continue to raise standards, support one another and move our industry forward.

The future of global mobility is full of opportunity. Through diversification, collaboration and strong partnerships, we are well positioned to shape the next chapter of our profession.

2026 EGQS & Malta

The annual EuRA Conference gives us an unrivalled opportunity to help members with any questions or queries they have about the EGQS and gaining their certification and Premium Member status.

In Malta come and meet the team. Our project lead Martina Scharwey will be at a desk by the check in area of the Hilton Malta Conference Centre along with our lead auditor Jochen Muskala. Between them they can help with any questions you may have about the EGQS Standard and the audit process itself. Those of you who have been audited know how helpful Martina and Jochen are in the lead up to becoming certified. We also have three mentors. As part of my role as COO, I am taking on a larger role within the EGQS Project as the Quality Standard Mentor. I have worked on this project since the very start in 2008 and have been part of every annual update to the Quality Standard, the document that forms the backbone of the certification.

When approached for the first time, the Quality Standard can seem daunting. It is a 37 page document laying out all off the requirements you need to fulfil to build your Quality Manual. The Quality Manual is the document you will use to prove to the auditor that you have reached all of the requirements that are set out in the Quality Standard. On the next couple of pages you will see all of the help that is available to you while going through this process for the first time. But our assistance doesn’t end there! When we update the Quality Standard each year in November, we design a whole range of training and Briefings to help already certified members to update their Quality Manual in line with any new requirements.

If you are starting out to build your Quality Manual before your first audit and you hit a part of it you don’t understand, reach out to me and I will do my very best to help you to fit that requirement to your company ’s processes.

2026 Change Summary

As part of the Information and Cyber Security requirement we have added compliance with the EU Artificial Intelligence Act where applicable. This means members must analyse the risks of the use of internal and external AI tools, ensure clients are aware when they are interacting with an AI tool, define and implement AI principles and guidelines and train employees on this and create risk awareness. The company shall identify, analyse and evaluate opportunities that can enhance its ability to continuously improve services and increase client

A good example would be a query I dealt with recently. The EuRA Member was in the middle of their audit and the auditor wasn’t sure about how they were proving the KPI on meeting the response times to enquiries for clients. This KPI is based on a return email or phone call. This EuRA Member has an extensive Client Management System that tracks many parts of its operations, but it doesn’t track email replies. The auditor and the member were not sure how to prove they had met this KPI and I was able to reassure them both that a random sample from the Outlook mail client of a team member was enough to get the information that an email enquiry was replied to within the time frame set out in that KPI. It ’s very often the simple things that can become complex like with anything in life!

We also have two brilliant EGQS Timeframe to Audit mentors who are there to help you to hit the deadlines you decide upon when going through the process of initial certification or re-certification. Åse and Michéle are there to set three meetings with you so they can help you to stay on track as you build your Quality Manual. The process is simple.

We have added minimum requirements to the section on strategy in terms of detailing a corporate strategy to include a clearly defined vision for the future and the core purpose of the organisation based on alignment with core values, and based on comprehensive environmental analysis. A definition of strategic objectives is now required in line with realistic and achievable planned resources available.

Free to all members and fully updated for 2026. This module of five components covers everything you need to know about setting up a process management system. You’ll learn how to build your Quality Manual and how to implement all the required policies to ensure you’re completely compliant for the future. Following these three (free to EuRA Members) modules will simplify the process, led by a true expert in quality management.

When we asked members earlier this year, 65% said they wanted to undertake the process but 70% said the main barrier to undergoing certification was lack of internal resources and time. We have just implemented a Mentoring programme to help members get started and stay on track.

In the coming months and in Malta we will be delivering live clinics with certified members and our SC Martina Scharwey as well as peer to peer help on LinkedIn. Programme B was free until January and now the next in the series will be free until June 1st There are three components in Programme C which is ,one of four parts of the course, A,B,C & D all of which are available in the EuRA Academy.

The idea is that over 8, 2 hour sessions spread across a year, professionally moderated by our new education consultants Nic Rattle and Giles Orr, the cohort of leaders will work towards applying knowledge of the bigger issues highlighted by each participant, developing a close group of confidants. We would ensure that when members sign up, we never have more than one person from a country or market to ensure no conflicts of interest or market sensitivity.

Coming Soon New Intercultural Training

Recently we ran a survey about EuRA members' training activities and requirements, which highlighted (amongst other things) a significant interest in seeking guidance and support from industry peers. Senior leadership is often isolating - projecting an outward show of confidence for staff and customers whilst wrestling with difficult and complex issues internally. Dealing with these 'wicked problems' alone can be tough and confidential external perspectives can be a great help - both professionally and personally.

EuRA will, as part of its refresh of training and support for the industry, has been piloting a new Peer 2 Peer Network to help leaders. We envisage

Sabine Baerlocher is developing a new MIM+ Module “Cultural Theory and Cognition” taking an in depth look at the research and its application to our industry.

Both modules will launch in May and June and will be free to all members for the first six weeks.

Our Primary Trainer Susan Ginsberg will be updating the module “Collaboration in the New Normal” following the Malta conference where Collaboration is one of the meta themes. This updated module will be free to all members for the first three months after launch.

“All Things Legal… March 2026”

Working with suppliers in “corrupt” locations

In this edition, I highlight several legal topics which affect the relocation industry:

reasonable steps to ensure that their foreign suppliers are not paying

network of approved suppliers, you can face prosecution if any of these suppliers engages in corrupt practices when acting on your behalf. Legislation such as the UK’s Bribery Act – and its equivalents in many countries - requires businesses to take

officers etc.

One of these “reasonable steps” is to consider the current corruption risks in different countries, as assessed in the annual corruption index, compiled by Transparency International (https://

www.transparency.org/ en/cpi/2025). The recently published 2025 index contains few surprises:

• Denmark continues to be the “least corrupt country in the world”, followed by Finland, Singapore and New Zealand. In these countries – and generally across western Europe –monitoring of suppliers can be relatively light touch

• At the other end of the spectrum, according to the index, corruption levels remain high in Sub-Saharan Africa and in Eastern Europe and Central Asia

If you are appointing a supplier in a “high

corruption” country, your due diligence on the supplier should reflect the higher potential risk to your business. You should also ensure that your contracts with all suppliers make it absolutely clear that illegal payments will not be tolerated.

Can we record our meetings with clients?

With client meetings

GDPR and, specifically, you need:

1. A lawful basis for recording – this will normally be “consent” or “performance of a contract”

commonly taking place by phone or video, it can sometimes be very useful to record these and to hold an accurate record of what was said. This raises the question of what legal restrictions apply to these recordings.

As with everything involving personal data, our starting point is the

2. Transparency about what you’re doing –your Privacy Notice should refer explicitly to recording meetings and calls and recording should never be done covertly

3. Adequate data security measures in place – to mitigate the risk of unauthorised access, loss or cyberattack, there must be secure storage, restricted access and clear retention periods

So, the short answer is that, provided you have

robust GDPR compliance measures in place, it ’s perfectly acceptable to record your meetings with clients. This can improve accuracy and support high service standards.

However, you must ensure that recording is not done covertly and I recommend that you advise each client that:

• the meeting or call is being recorded

• they have the right to object and to ask for the recording to be stopped

• their refusal to consent will not affect the service they receive

Ultimately, the key point I would highlight to all relocation businesses is that transparency is absolutely essential for GDPR compliance.

Protecting

your business when a key employee leaves

The departure of a key employee can be very damaging to your business. For this reason, it is common to insert restrictions in the employment contracts of

senior employees. The most common restrictions are:

• Non-compete clauses - which seek to prevent an employee from directly competing with your business

• Non-dealing clauseswhich seek to prevent an employee dealing with your customers

• Non-poaching clauses - which prevent an employee poaching other staff members; and

• Confidentiality clauses - which prevent an employee from using confidential information relating to your business

Restrictions such as these should be timelimited and applied to relevant geographical areas. A confidentiality clause can apply for so long as the information concerned remains confidential.

However, a restriction in an employee’s contract will not always be enforced by a court of law. In some countries (for example, India and Russia) these restrictions are void as a matter of public policy. By contrast, in Europe, such restrictions will generally be enforceable provided that the employer can demonstrate that the restriction is protecting a legitimate business interest and goes no further than is reasonably necessary to do so (e.g. in terms of the duration of the restriction).

Acceptable restraint periods vary from country to country across Europe, from one year to as high as three to five years. For this reason, it ’s important to know which country ’s employment law will apply to a particular employment contract and to draft termination restrictions accordingly.

Getting paid for your services

At the 2024 EuRA conference, in Vilamoura, a topic of real concern to many relocation businesses was the impact of the recent bankruptcy of Paragon Relocation. This sparked important discussions on how a business should protect itself against the danger of a client going bust.

At this year’s conference in Malta, we will be returning to this topic and also considering the wider issue of how best to deal with a client who is consistently late in paying bills. This is a timely discussion, with both the EU and the UK planning to introduce changes to the law on late payments.

The EU is proposing a new Regulation, directly applicable across all EU member states, to replace the current late payment Directive with the aim of addressing persistent issues such as inconsistent rules across member states, weak enforcement, lack of awareness and ineffective penalties.

Specific changes proposed include:

1. Maximum payment terms for business-to-business and government-to-business transactions reduced from 60 to 30 days

2. Interest and compensation fees for late payments to be automatic and compulsory

3. Member states to establish authorities to monitor compliance, investigate complaints, and issue sanctions

4. Companies to disclose their payment practices (as already required in France and Germany)

UK law is moving in a similar direction, with proposed legislation including:

1. Prohibition of payment periods of more than 60 days (reducing to 45 days over 5 years)

2. A mandatory interest rate on late payments of base + 8%

3. Fines to be imposed on large businesses with poor payment records

While there are no implementation dates yet for these new laws, it ’s clear that larger businesses, which try to ease their cashflow position by making smaller suppliers wait, will soon have to mend their ways. I think this will be good news for the relocation industry.

Coalition for Greener Mobility enters its next phase as the Coalition of Associations in Global Mobility

Six leading industry associations — CERC, CHPA, EuRA, FIDI Global Alliance, IAM and WERC — today announced the next stage in the evolution of the Coalition for Greener Mobility, now operating as the Coalition of Associations in Global Mobility The change marks an important new phase in collaboration across the global mobility sector.

Founded in 2022, the Coalition for Greener Mobility came together to address the shared challenge of corporate sustainability in global mobility. Since then, close cooperation has demonstrated the wider value of working collectively across the industry, leading to a decision to broaden the Coalition’s scope and formalise its structure. “The formation of the new Coalition is a logical consequence of the Coalition for Greener Mobility we already had,” said Jesse van Sas of FIDI Global Alliance. “We recognised the need to go beyond sustainability and address wider challenges facing global mobility.”

The Coalition is now established as a UK registered not for profit entity, providing a clear governance framework that supports long term collaboration, enables the inclusion of new members, and facilitates joint initiatives and funding. Blanket distribution Drive:

Delhi’s bitter cold can be unbearable for the homeless. In partnership with IGF, IKAN staff distributed 10,000 blankets in January of 2025, spreading warmth when it was most needed.

· Yamuna Flood Relief Camp:

During August–September 2025, the Yamuna River rose above danger levels, flooding low-lying areas of Delhi and displacing thousands of families into temporary relief camps. IKAN, in collaboration with Impact Guru Foundation (IGF), facilitated immediate on-site support for affected families through this emergency relief initiative by ensuring an adequate supply of essential medicines and the presence of doctors across multiple hotspot locations to address displaced communities.

NYC Navigator Celebrates 20 Years in Business

In December, Brenda Levis and NYC Navigator proudly celebrated its 20th anniversary, marking two decades of providing outstanding settling-in and destination services to the global mobility community.

What began as a vision to provide thoughtful, hands-on support to relocating employees and their families, has grown into an award-winning, womanowned destination services company known for its personalized approach and deep local expertise. For two decades, NYC Navigator has guided executives and their families through the many details of relocating to the New York City area and throughout the northeastern United States, helping them settle not just efficiently, but with confidence and ease.

The anniversary celebration was as much about people as it was about business.

Corporate clients, relocation partners, and friends of the company gathered to reflect on the relationships that have defined NYC Navigator’s journey. The room also included colleagues from Brenda Levis’s earlier career at Goldman Sachs and Lehman Brothers, as well as GS10KSB CEOs, family members, and longtime friends.

In recent years, I have had the opportunity to participate in numerous networking events, including chambers of commerce and international corporate gatherings. EuRA Malta 2026 FAQ’s

• The Malta Hilton

There are two spaces in the Hilton for sessions. The Hilton Malta Conference Centre (HMCC) and the Business Centre. The HMCC is located directly off the lobby just follow the pathway to the left of the hotel reception. The Business Centre is downstairs in the hotel on Hotel Floor 3. On the App Agenda you will see a location marker with the room the session is taking place in. Click on this and it will take you to the appropriate map. There are plenty of spaces to network in both the meeting areas and in the lobby bar and terrace. There is also a huge pool terrace. There are also many cafes and restaurants within a short walk and you’ll find a list on the app under Resources.

• Airport Transfers

Malta airport is a 20 minute taxi to the Hilton depending on traffic. You can also use Bolt and Uber. There is a taxi booth in the Arrivals Hall where you can purchase a pre-paid ticket. After paying, hand the ticket to the driver. The fare is set for the destination you choose. To get to the Hilton in St Julians will cost around €20. There is a bus Airport Direct 1A that drops off in St Julians about a ten minute walk from the hotel. It takes 30 minutes and costs €5.

• Workshop Wednesday

There is no need to pre-book any of our workshops on Wednesday, just join in. The Intuitive Leadership session is pre-booked only.

• The Gala Dinner & Party Night

Buses will leave from the Hilton to take guests to the Gala Dinner from 18:30 on Wednesday. The Party Night is pre-booked only and is fully booked.
