CONFERENCE NOTES SUMMARIES

Why is this so important?

CN summaries should give the most accurate snapshot of how the student is doing and their progress and needs. These are specific to the scholar and provide valuable insight. These summaries are viewable by Admin, Advisors, scholars and parents. That’s everybody!

Advisors cannot edit these summaries once submitted. Summaries are a reflection of our efficacy as advisors. Program staff may review seeking context and info when: trying to assist with scholars completing requirements selecting scholars for special opportunities evaluating Executive Director’s Award (EDA) eligibility reviewing Pathway changes

reviewing and assessing what support scholars need reviewing OSS reports answering parent questions via phone calls or emails determining scholars post-secondary plans ....and more!

Sample CN2: HERE’S WHAT’S

HELPFUL:

“Henry is in good shape! Even though he plays baseball, he has done all JR year Crosby requirements. He will take a FTCC course this summer and plan to do volunteer work (possibly in line with his intended major). He also will consider registering for the June ACT as a strong test score will amplify his application. He needs to continue his college search and visit more schools before solidifying his college list. He hopes to visit ECU, UGA and Kennesaw State this summer. No concerns and distributed his Class of 2026 tshirt.”

Crosby staff is able to glean information to help: confirm Junior requirements are complete! (even for a Spring athlete) assist student or advisor with nudges to complete College Fair /Visit form by listing specific schools inform our team at some out-of-state schools where our scholars are showing interest mention details about both testing plan and dual enrollment confirm that tshirt was distributed

WHAT’S NOT HELPFUL:

Sample CN2:

“Michael and I reviewed his top college choices and also went over a plan for when he was to visit college campuses, what to ask, what to look for, and what to expect.”

Crosby staff is not able to determine: which schools he is applying to (or planning to visit) what steps he will take to complete upcoming requirements for Crosby what additional support this student needs even though this summary is seemingly positive, it does not offer specific insight this example also listed that the student would apply to UNC-CH and Appalachian State using Early Decision (which is not an option! ) what are Michael’s plans for this summer? does Michael have a balanced list?

Sample CN4: HERE’S WHAT’S

HELPFUL:

“Jane has applied to 4 schools - Wake, UNCC, BYU, and UT (Tennessee). She plans to also apply to UNCG, Mississippi State, Texas A&M, and UNC CH (RD). She met with Ashly and has now submitted the FAFSA and plans to apply for scholarships. The Crosby Scholars scholarships she plans to apply for are the Mommie J and Joyce K scholarships.”

Crosby staff is able to glean information to help: confirm Senior Academy (She met with Ashly...) assist student or advisor with nudges to complete College Fair /Visit form by listing specific schools assist with nudges to complete Community Service (both of these scholarships have community service components so we can deduce the student has completed service hours) evaluate this student has a balanced list and is making good progress through application season

WHAT’S NOT HELPFUL:

Sample CN4:

“Bing is working on his applications and completed two. He is working on 2 or 3 more. He has a good idea of what he needs to do next. He has not submitted Crosby requirements yet but he should.”

Crosby staff is not able to determine: which schools he is applying to (or planning to visit) what steps he will take to complete upcoming requirements for Crosby what additional support this student needs are there specific needs here such as financial aid support? essay support? other issues? ways we can use details to nudge completion does Bing have a balanced list?

Sample CN6: HERE’S WHAT’S

HELPFUL:

“Isabelle was admitted and will enroll at her top choice college - Elon University! She will major in Communication Design and be in the Communications Fellows. She has applied for a few external scholarships and is waiting to hear. She plans to apply for LDG to see if she qualifies. She also already notified her other 3 schools of her admission plans. She will RSVP to attend the SHC. Isabelle is excited about her plans!”

Crosby staff is able to glean information to help: clarifies scholar’s college enrollment decision clarifies that she will apply for a LDG clarifies that student is aware of financial resources and is seeking more funding indicates the scholar plans to attend SHC shares that the scholar feels good about final decision... time to celebrate!

WHAT’S NOT HELPFUL:

Sample CN6:

“We discussed Last Dollar Grant and where she is going to college. She has already paid her enrollment and met her roommates.”

“Henry has decided to take a gap year and then go to college, I advised him to stay on top of deadlines.”

Crosby staff is not able to determine: where is student going to college? will she attend SHC? if not, does she understand where to retrieve her honor cord? what steps he will take to cover costs? especially for students not going straight to college, we need to confirm we have accurate contact info is student deferring a college acceptance? are his plans final or is he still deciding? did he submit a Show Your Love form?
