COVID – 19 RESPONSE Cinelease has held safety as a center of our core values for over 40 years, as we care deeply about the security and health of our team members, our customers, and all of our families. We have always made it a priority to provide a safe, clean, and efficient working environment for everyone working within each of our operating locations. This is especially important during these extraordinary times of COVID-19. Cinelease Management, from the guidance our parent Herc Rentals, the Centers for Disease Control (CDC), health agencies and state/ local government, have established the Cinelease Operating Protocols (COP), to reduce the risk of exposure and lowering the impact of this virus in our workplace, with the main goal to keep our team members and customers safe while conducting business at all Cinelease Branch and Studio facilities. All Cinelease Branch and Studio locations will follow these general protocols, and in addition, will formulate protocols specific to their operating environments, based on facility size, employee workforce, operating practices, and conditions unique to each location. We will continue to review our protocols and will revise or adjust these protocols upon any updated guidance from the CDC, and we will closely monitor and follow updated orders coming from health agencies and the state/local governments in which we operate.

TERMS TO KNOW CENTERS FOR DISEASE CONTROL AND PREVENTION (CDC) Is a United States federal agency, under the Department of Health and Human Services. Its main goal is to protect public health and safety through the control and prevention of disease, injury, and disability in the US and internationally. CLEANING VS. SANITIZING Cleaning removes a soil from a surface such as a countertop or piece of equipment. Sanitizing is the application of a sanitizing agent that reduces the number of pathogens on that clean surface. EPA REGISTERED DISINFECTANTS A disinfectant solution approved for sanitizing surfaces, tools and equipment. Examples include: ALCOHOL A colorless, flammable, water-soluble liquid, C3H8O, produced from propylene by the action of sulfuric acid and hydrolysis: used chiefly in the manufacture of antifreeze and rubbing alcohol and as a solvent. BARBICIDE Active ingredient is Alkyl dimethyl benzyl ammonium chloride (5.12% by volume) sodium nitrite and blue dye are also present. DISINFECTING WIPES Wipe that has active ingredients for disinfecting surfaces. The ingredients will vary manufacture to manufacture. FACE COVERING A face covering is a cloth material that covers the nose and mouth. A face covering can be secured to the head with ties or straps or simply wrapped around the lower face. It can be made of a variety of materials, such as cotton, silk, or linen. N95 or medical use masks are NOT recommended.

HAND SANITIZER Hand sanitizer is a liquid gel agent applied to the hands for the purpose of removing common pathogens (disease-causing organisms). Recommened hand sanitizier must contain at least 60% alcohol. PERSONAL PROTECTIVE EQUIPMENT (PPE) Is protective clothing, face shields, goggles, or other garments or equipment designed to protect the wearer’s body from injury or infection. PHYSICAL DISTANCING Per the CDC, means keeping at least 6 feet between yourself and other people. CLEAR PLASTIC BARRIER/PARTITIONS Strategies designed to protect workers from hazardous conditions by placing a barrier between the worker and the hazard. Engineering controls involve a physical change to the workplace itself, rather than relying on workers’ behavior or requiring workers to wear protective clothing. QUARANTINE PERIOD A period of time that must elapse before the equipment or gear potentially exposed to a contagious disease can be considered as incapable transmitting the disease. UV-C LED LIGHTING Germicidal UV or UV-C is part of the ultraviolet spectrum best known for its ability to inactivate pathogens like bacteria and viruses. It utilizes specific wavelengths of the ultraviolet spectrum, typically between 200 to 280 nanometers. Germicidal UV is typically used to disinfect rooms and surfaces.

GENERAL AREAS OF FOCUS - CDC We all have a responsibility to follow these guidelines to best fight this virus. The following are general activities which we will be focusing on: •

Reduce transmission among employees

•

Maintain a healthy business operation

•

Maintain a healthy work environment

REDUCE TRANSMISSION AMONG EMPLOYEES If you feel sick, please stay home. •

•

Employees who have symptoms (i.e. fever, cough, or shortness of breath) must: •

Notify their supervisor and stay home

•

Upon arrival at work or who become sick during the day will immediately be separated from other employees, customers, and visitors, and will be sent home.

Employees who are well but who have a sick family member at home with COVID-19 must notify their supervisor and follow CDC recommended precautions.

MAINTAIN HEALTHY BUSINESS OPERATION Policies to follow and practice: •

Routinely clean and disinfect all frequently touched surfaces in the workplace, such as workstations, keyboards, telephone, handrails, and doorknobs.

•

It is highly recommended to not use other workers’ phones, pens, desks, offices, or other work tools and equipment, when possible. Clean and disinfect before each use.

•

Use disposable wipes on commonly used surfaces (e.g. doorknobs, keyboards, remote controls, desks, other work tools and equipment) which can be wiped down by the employees before each use.

GENERAL AREAS OF FOCUS - CDC

RESPIRATORY ETIQUETTE AND HAND HYGIENE Policies to follow and practice: •

Hand sanitizers will be available in multiple locations to encourage hand hygiene.

•

Refrain from handshaking and use other non-contact methods of greeting.

•

Avoid touching your eyes, nose, and mouth with unwashed hands.

•

Cover your cough or sneeze into a tissue, or the inside of your elbow. If a tissue is used, throw it in the trash.

•

Clean and disinfect frequently touched objects and surfaces using a EPA-registered disinfectant spray or wipe.

•

Wash your hands often with soap and water for at least 20 seconds, especially after going to the restroom, before eating, and after blowing your nose, coughing, or sneezing. If soap and water are not available, use an alcohol-based hand sanitizer. Cover all surfaces of your hands and rub them together until they feel dry.

•

Follow Company policy relating to face coverings while at work.

•

Avoid close contact with people who are sick.

POLICIES AND PRACTICES FOR PHYSICAL DISTANCING Policies to follow and practice: •

Implementing flexible worksite (Telework).

•

Implementing flexible work hours (Staggered shifts).

•

Increasing physical space between employees at worksite.

•

Increasing physical space between employees and customers.

•

Implementing flexible meeting and travel options.

•

Utilize video conferencing or teleconferencing when possible for work-related meetings and gatherings. When not possible, hold meeting in large well-ventilated areas.

•

Minimize non-essential travel and use CDC guidelines regarding isolation following travel.

GENERAL AREAS OF FOCUS - CDC

MAINTAIN A HEALTHY WORK ENVIRONMENT Improve the engineering control using the building ventilation system: •

Increase the percentage of outdoor air that circulates into the system and throughout the building.

•

Increase our routine environmental cleaning, which includes cleaning and disinfecting frequently touched surfaces in the workplace and commonly used areas in the facility.

•

Disposable wipes and hand sanitizer stations will be provided.

•

PPE will be provided to employees with proper training, as needed.

•

Common areas and breakrooms will be retooled to protect and reduce exposure risk.

FACE COVERING GUIDANCE As recommened by the current CDC guidelines, all Cinelease employees, vendors and customers will be required to wear face coverings.

PLEASE MAINTAIN 6-FEET OF PHYSICAL DISTANCE AS MUCH AS POSSIBLE While Cinelease is working to source and provide face coverings, team members may wear their own face covering utilizing the following CDC guidelines:

HOW TO WEAR A FACE COVERING Face coverings should— •

Fit snugly but comfortably against the side of the face

•

Be secured with ties or ear loops

•

Include multiple layers of fabric

•

Allow for breathing without restriction

•

Be able to be laundered and machine dried without damage or change to shape

Q: Should cloth face coverings be washed or otherwise cleaned regularly?

How regularly? A: Yes. They should be routinely washed depending on the frequency of use.

Q: How does one safely sterilize/clean a cloth face covering? A: A washing machine should suffice in properly washing a face covering. Q: How does one safely remove a used cloth face covering? A: Individuals should be careful not to touch their eyes, nose, and mouth when removing their face covering and wash hands immediately after removing. CINELEASE COVID-19 PROTOCOL

BACK TO WORK PLAN Given the renewed focus on health and public safety of the Entertainment Industry, the following Back-toWork Plan checklist must be used to reduce the risk of exposure and lowering the impact of this virus in our workplace, and provide everyone a comfort level of working in a safe operating environment. This plan incorporates best practices recommended by the CDC, health agencies and state and local governments. In this tumultuous time, it is important we all follow these best practices for the health of all of our employees and customers. These guidelines will be applied to all of our Cinelease Operating Branches and Managed Studio Facilities.

DISINFECTION REMINDERS •

Disinfectants must be EPA-registered and labeled as bactericidal, virucidal and fungicidal.

•

Disinfection only works on a clean surface, so cleaning before disinfecting is always the first step. Methods to clean include soap/water, chemical cleaners, and wipes.

•

Contact time listed on the label must be observed for disinfectants to work. The contact time refers to how long the surface must stay visibly wet with the disinfectant to inactivate or destroy all the pathogens on the surface.

CUSTOMER SERVICE AREA Wipe down all soft surfaces (couches, chairs) with EPA registered disinfectants and a clean towel Clean and disinfect all hard, non-porous surfaces such as counter, computer keyboard, phones, door handles and light switches Schedule appointments in order to minimize the number of customers at counter or at reception Wipe down counter and disinfect after each customer Place signage at entry point to notify customers of your diligence in practicing proper infection control Place barriers/partitions around customer/employee contact areas Disinfectant wipes or hand sanitizers to be visible in this area

BACK TO WORK PLAN

EMPLOYEE TRAINING An effective Back to Work plan includes educating and training all employees of the COVID-19 prevention guidance that is provided by the CDC, other health agencies and state and local governmental bodies. The training topics and protocols should include but are not limited to: •

Educating employees about the signs and symptoms of COVID-19 and all known risk factors

•

Hand washing, including proper techniques

•

Proper cleaning and disinfection techniques

•

The proper use of PPE, with focus on safe donning and doffing

•

Company’s new COVID-19 working policies and procedures for the office, warehouse, and work from home environments

•

Training principles should be reinforced by posting signage around office and warehouse areas

•

Description of training and attendance should be documented

•

The best practice training format is for on-line or teleconferencing training sessions

•

Any classroom based training should adhere to the Company guidelines for physical distancing, scheduled in small groups and employees should wear the appropriate PPE for each training session

•

Training material should be easy to understand and in the employee’s native language

These are some of the steps that Cinelease will be taking in order to ensure the health and safety of our employees and customers. 1.

Routine cleaning and disinfecting for proper infection control will become integrated into daily opertaions. Standard operating procudures are being reevaluated to optomize for proper disinfection of every non-porus surface and equipment, prior to use. Cinelease will also be asking staff to take initiative to regularly sanitize and disinfect commonly utilized personal surfaces such as work stations, desks, keyboards, computers, phones, and writing utensils.

2. Remember contact time. The most important step of the disinfection process is to allow the chemical time to work! Read all disinfectant labels to know the correct time frame. For some concentrate and disinfectants, that contact time is 10 minutes. 3. Hand hygiene. Wash hands with soap and water for 20 seconds before and after every customer interaction, especially after handling equipment.

EQUIPMENT DISINFECTING PROCEDURES Each Branch will set up these specific protocols to ensure that all equipment received from outside sources go through a complete and thorough disinfecting and cleaning process. This will reduce the risk of spreading the virus that causes COVID-19, as the CDC indicates that the virus may be viable up to days on various surfaces made from a variety of materials, and thus can be transmitted from these surfaces to one’s mouth, eyes or nose.

SANITIZING AREAS •

Partitioned and segregated sanitizing area will be created, preferably outdoors, to process equipment through the disinfecting and cleaning procedures.

•

Additional segregated areas should be created, either outside or inside the warehouse to quarantine equipment, which is another method of disinfecting equipment by isolation. This process does not require using chemical disinfectants.

•

Creating segregated areas will control the mix of sanitized and non-sanitized equipment at the facility to reduce the risk of cross contamination from incoming equipment and outgoing sanitized equipment.

DISINFECTING PROTOCOLS •

Employees should wear the appropriate PPE while cleaning and disinfecting equipment.

•

The Manufacturers recommendations will be followed to sanitize each type of equipment.

•

Various approved EPA Registered Disinfectants, which are safe for electronics, should be used to wipe down or spray the equipment as needed. Paper towel, shop towels, and sprayers should be utilized in this process.

•

Contact times of each disinfectant varies, so equipment should not be wiped down until the contact time has been met.

•

Certain types of products are better served to be sanitized by a quarantine period, due to the type of surface, such as (i.e. textile products, flags and overheads).

RETURN TO INVENTORY •

Once equipment has been sanitized through the disinfecting process, it should be placed back on the shelf. Any equipment place back on the shelf is considered sanitized and ready for the next rental.

•

Employees should remove any disposable gloves and place them in the appropriate waste container and should wash their hands using appropriate hand washing protocols.

VEHICLE CLEANING PROCEDURES

PRODUCTION AND DELIVERY VEHICLES Production and Delivery trucks, trailers, Cinemini vans and alternate vehicles will be continued to be sanitized, maintained and washed according to normal Cinelease standards. Additional sanitizing methods and precautions have been implemented as recommended by Herc Rentals Company Safety advisors and CDC guidelines. It is the corresponding responsibility of the production personnel, vehicle drivers, and the production crews handling the equipment and other transported materials to follow all adopted safety procedures. •

Delivery vehicles will be assigned to a specific driver during each workday

•

Incorporate the availability of sanitizing supplies in all company vehicles, specifically production and delivery trucks

•

Sanitize high-touch areas including but not limited to: •

Cab interior: focusing on high touch areas

•

Door handles (interior and exteriors)

Lift-Gate controls and handles

INCOMING EQUIPMENT FROM THE CUSTOMER

EMPLOYEES RECEIVING INCOMING EQUIPMENT MUST WEAR THE PROPER PPE AT ALL TIMES.

Cinelease will use COVID-19 operating practices for receiving and outgoing of equipment at its branch facilities. Branch facility layouts will dictate the processing flow of incoming and outgoing staging areas for receiving, disinfecting and sending out equipment to customers. As CDC guidelines change, measures and procedures will be revised and implemented nationwide.

RECEIVING EQUIPMENT FROM CUSTOMERS OR VENDORS There will be a designated area at the front gate to guide the customer into the facility. •

The customer will be directed to a staging area and then to a controlled drop off area, at which time equipment will be off loaded into the disinfecting zone.

•

If non-employees must enter the drop off zone to review order, proper PPE must be worn and physical distancing must be practiced. A strict no-contact rule must be followed. If crew employees do not have the proper PPE, Cinelease will provide the appropriate PPE to them.

•

Crew must only work in their designated drop off zone and are not allowed to wander around the rental facility.

•

Complete incoming paperwork and if customer is present inform customer of any damage or missing items. If customer is not present, complete paperwork and forward to Rental Department for further processing.

•

All return paperwork must be digitized to eliminate additional touch points both with paper and writing utensils.

•

Equipment will go through a thorough sanitizing process.

EQUIPMENT RETURNS BACK INTO FACILITY WAREHOUSE Once the equipment has been properly sanitized, the team leader and associates will return the equipment into the proper areas within the warehouse, by the direction of the Shop Foreman.

OUTGOING EQUIPMENT EMPLOYEES RECEIVING OUTGOING EQUIPMENT MUST WEAR THE PROPER PPE AT ALL TIMES.

OUTGOING EQUIPMENT TO THE CUSTOMERS OR VENDORS Warehouse team leaders will follow instructions from the shop supervisor for all deliveries to production and load outs occurring within the warehouse facility. Shop supervisors and warehouse team leaders will be charged with the responsibility of communicating logistics and implementing physical distancing and PPE.

DELIVERIES TO PRODUCTION CUSTOMERS OR SUB RENTAL VENDORS •

Hand sanitizing to occur before and after processing incoming and outgoing equipment.

•

Limit warehouse teams to 2 members or less while processing rental orders.

•

Disinfecting equipment protocols will be followed. Once sanitization has been complete, shrink wrap and sanitized sticker should be included on equipment order.

•

Using appropriate tracking measures equipment will be transferred to the assigned delivery or production vehicle.

LOAD OUTS WITHIN FACILITY WAREHOUSE •

When crew members are present during the load out process within the facility, physical distancing and PPE protocols will be communicated and monitored by the Shop Foreman.

•

The Shop Foreman will communicate when the production crew can safely test and load equipment.

•

Outgoing paperwork should be signed and processed electronically with proper sanitation techniques.

STUDIO OPERATIONS Cinelease COVID-19 Reopening Rules, Policies, Procedures, and Guidelines As production resumes, Cinelease Studios is fully committed to creating the safest work environment for our clients and studio staff. We look to incorporate safe practices while at the same time making sure that the needs of your production are met. This will truly be a team effort between Cinelease team members and our valued clients. Cinelease Studios requests that each production forwards their cleaning plan to studio management for review. To that end, we have put together this document to help steer us through the days ahead.

PROTOCOL DEFINITIONS The CDC have published the following guidelines: WASH YOUR HANDS OFTEN •

Wash your hands often with soap and water for at least 20 seconds especially after you have been in a public place, or after blowing your nose, coughing, or sneezing.

•

If soap and water are not readily availabe, use hand sanitizer. Cover all surfaces of your hands and rub them together until they feel dry.

•

Avoid touching your eyes, nose, and mouth with unwashed hands.

AVOID CLOSE CONTACT •

Avoid close contact with people who are sick, even inside your home. If possible, maintain 6 feet between the person who is sick and other household members.

•

Put distance between yourself and other people outside of your home. •

Remember that some people without symptoms may be able to spread the virus.

•

Stay at least 6 feet from other people.

•

Do not gather in groups.

•

Stay out of crowded places and avoid mass gatherings.

•

Keeping distance from others is especially important for people who are at higher risk of getting very sick.

COVER YOUR MOUTH AND NOSE WITH A FACE COVERING WHEN AROUND OTHERS •

You could spread COVID-19 to others even if you do not feel sick.

•

As recommened by the current CDC guidelines, all Cinelease employees, vendors and customers will be required to wear face coverings.

•

Face coverings must not be placed on young children under age 2, anyone who has trouble breathing, or is unconscious, incapacitated or otherwise unable to remove the mask without assistance.

•

The face covering is meant to protect other people in case you are infected.

•

Continue to keep 6 feet between yourself and others. The face covering is not a substitute for physical distancing.

STUDIO OPERATIONS COVER COUGHS AND SNEEZES •

If you are in a private setting and do not have on your cloth face covering, remember to always cover your mouth and nose with a tissue when you cough or sneeze or use the inside of your elbow.

•

Throw used tissues in the trash.

•

Immediately wash your hands with soap and water for at least 20 seconds. If soap and water are not readily available, clean your hands with a hand sanitizer.

CLEAN AND DISINFECT •

Clean and disinfect frequently touched surfaces daily. This includes tables, doorknobs, light switches, countertops, handles, desks, phones, keyboards, toilets, faucets, and sinks.

•

If surfaces are dirty, clean them. Use detergent, soap or EPA registered disinfectants while cleaning and disinfecting.

ENTRY PROTOCOLS Access to the Studio lot will be controlled by Cinelease and/or Studio Partners. Access to filming areas, base camp areas, and offices related to production will be controlled by the production itself. Cinelease asks that those procedures related to production access be forwarded to studio management for review. Cinelease recognizes that all parties will want to limit access to only essential personnel. •

Upon entry, all studio and production personnel will drive through the entry gates (no stopping) and head immediately to designated parking. •

Productions with office space in the main building will follow the above guidelines or will need to be moved to another area of the campus.

•

Productions with stage and office space on other areas of the campus will be directed from the parking lot to the mobile office trailer to have the production specific wellness screenings performed. (Directed by the production’s staff)

•

All vendor delivery schedules must be communicated to Studio management prior to their arrival. When applicable, Cinelease Studios recommends that the delivery driver not exit the vehicle.

•

Cinelease Studios strongly recommends that any vendor appointments be conducted via telephone, email, or video conferencing. This will assist everyone in reducing the number of people on the studio lot at any time.

•

Hand sanitizer stations will be set up periodically throughout the campus. Cover all surfaces of your hands and rub them together until they feel dry.

•

PPE for Cinelease Studios and/or Studio Partners will be provided internally.

STUDIO OPERATIONS

PERSONAL PROTECTION EQUIPMENT (PPE) •

Face coverings are required while inside a stage that is Cinelease managed.

•

6 feet physical distancing will be required wherever possible.

•

Anyone working within 6 feet of another person will be required to wear a face covering.

•

Gloves should be used when there is a possibility of cross contamination.

•

Cinelease will make disposable PPE available to all visitors and staff upon request.

•

Hand sanitizer will be available.

•

It is strongly recommended that all studio and production employees wash their hands and face as well before starting work.

•

Any vendor wishing to be granted access to the studio must be wearing approved PPE.

•

Productions are required to submit their company PPE and crew requirements for approval.

LOCATION SPECIFIC GUIDELINES STAGES •

All pertinent regulations must be followed while on stage. These regulations include the ones from CDC, OSHA, State, local, and the IATSE. Please submit your written plans for review prior to occupying any stage.

OFFICES •

Any and all surfaces must be wiped down with CDC-approved disposable disinfectant wipes before work starts, on regular intervals, and after breaks and lunches.

•

Increase circulation of outdoor air as much as possible. For example, windows, doors, fans and other methods for ventialation.

•

Maintain physical distancing if there is more than one person occupying an office area.

COMMON AREAS •

Outdoor common areas: Physical distancing to be adhered to in common areas, even outside.

•

Onsite facilities (gym, conference room, etc. if applicable) will be closed until further notice.

•

Take care to limit any time spent in a common area where there would be the possibility of large groups gathering. Should you need to be in such a scenario then make sure that you maintain physical distancing and wear your PPE.

RESTROOMS •

Schedule restrooms to be disinfected numerous times daily and documented. Also, place trash receptacles near exits.
