House Policies

Every other month, our The Buzz newsletter highlights club happenings, member spotlights, and stories that showcase the life at Charlotte City Club.

The Board has charged the Club team with the enforcement of club policies and as such, members are asked to comply when approached by team members. Non-compliance or disrespect of the Club team members will be brought forth to the House Committee and Board of Governors subject to further discipline, up to and including suspension or expulsion.

These updates ensure you never miss an opportunity to connect, celebrate, or explore all that the Club has to offer. Be sure to check your inbox and stay in the know!

CLUB LIFE 101 Reservations Dining reservations are highly encouraged, especially for new members, and can be made through the Member App. By making a reservation, you are helping the Club team become more familiar with you and your preferences. Bar seating is available on a first-come, first-served basis. While you may note a preference for bar seating when making a reservation, it cannot be guaranteed.Review and share the Know Before You Go document within the Member App with your guests.

Parking The 121 W. Trade garage is managed by Preferred Parking on behalf of the building ownership. We have four floors of marked, reserved spots for Members and their guests. If all of the City Club spots are taken, you may park in any non-marked spot. Do not park in ‘reserved’ spots, as those are reserved 24/7. Bring your ticket to the host stand for validation. Should you require assistance at the entrance or exit gate, contact Preferred Parking by calling the assistance number on the ticket machine. Their customer service team will take note of your barcode number & open the gate for exiting.

Guest Policy Any Member may introduce a guest or up to six guests to the Club for a single day or event. If requested, the Member must register the guest by name at the front desk and the guest must be accompanied by a member of the Club. If you will have a party larger than six to dine please call ahead so we may make arrangements for you.

Special Food Requests & Allergies If you have a special dining request, or would prefer a different entrée for a Club event, please let the Club know at least 48 hours in advance. If you, your spouse/significant other or any dependents on your Member account have any food allergies, please notify the Club when you make your reservation.


Member Account Charging

Dress Code

Members sign for their charges at the conclusion of service. Please verify your name and member number, and confirm all charges before signing. For parties with guests, all charges will be applied to the hosting member’s account. Separate checks are not available. We appreciate your understanding and encourage members to communicate this policy to their guests in advance.

The Club’s dress code is reflective of a private club and as such should be taken into consideration prior to arrival. Dress for both men and women should be smart business casual. Jackets and ties are not required for men and collared shirts are preferred. Dress denim that is not frayed or torn is permitted. Hats must be removed upon entry to the Club. Women’s dress hats are acceptable. Sports team attire is permitted if visiting the club before or after attending a game. At no time are t-shirts, athleisure, shorts, or flip flops permitted in the Club except as denoted for a themed Club event or seasonal change as approved by the House Committee and Board of Governors.

Service Charge The Charlotte City Club is a cashless club. Members will notice a 20% service charge and local taxes broken out on your statement. Events will be denoted with “++” this means service charge and local taxes are not included in promoted price.

Electronics Policy be placed on silent mode. Verbal communication is only permitted within Club designated phone booths, the business center, private rooms when not in use, and the Upper and Lower Club elevator lobbies. Electronic devices to include cell phones, laptops, tablets, and watches may be used for texts, emails, reading, and viewing in non-audible mode only within the spaces of the Club including the Cigar Lounge and Patio.

Social Media The Club understands that Members may participate in, or contribute to, personal blogs, message boards, conversation pages and other forms of social media and may periodically post information about their Club activities on these outlets. When doing so, Members must safeguard the privacy that other Members expect and deserve related to their activities at the Club. Members should not post photos of other Club Members or narratives describing the activities of other Members without their prior consent. In addition, Members should not post any item that suggests or implies that they are communicating in any official capacity on behalf of the Club.

Club Event Cancellations Holiday and Club event reservations canceled within 72 hours may be billed to the member at 50%. Holiday and Club event reservations canceled within the same day or if a member no call, no-shows will be billed to the member at 100%. Outside ticketed events (golf tournaments, theater, opera, sporting, etc.): Since the tickets/entry to such events is nonrefundable, the Member incurs full financial responsibility, unless the ticket is able to be used by someone from the waitlist.


MEMBERSHIP HAS ITS BENEFITS Visiting Reciprocal Clubs As a Member, you enjoy a relaxed environment featuring gracious service and delicious food; you may also enjoy these privileges at over 250 reciprocal clubs worldwide. If you’d like to visit a reciprocal club, please call the front desk or email frontdesk@charlottecityclub.com to request a letter of introduction from the Member Relations team Monday – Friday from 9 a.m. – 5 p.m., at least 48 hours before your visit. Unfortunately, we are unable to accommodate day-of requests. Reciprocal clubs do not bill back to your Member account at the Charlotte City Club and as such you must pay with a credit card prior to departure. Members are subject to all house rules including dress code, electronic device, pace of play, dining policies, etc. of the club they are visiting. Should a member violate the policies of another club, the member is subject to further disciplinary action as outlined by Charlotte City Club house policies. We continually expand the reciprocal club roster to meet your business and social needs. If you have a Club you’d like to see on our reciprocal list, let us know!

Tee Times Tee time requests must be made in writing within 48 hours of the requested time of play. Tee times are never guaranteed and can not be held as tentative. At the time of booking the member must confirm number of players and will be responsible for payment of guest and any cart fees on time of arrival to club. Requests may be made by calling or emailing the front desk. At the time of writing the following must be provided; preferred club/course*, number of players in group, earliest and latest available play time. If cancellation needs to occur, the member is required to call the reciprocal club first. All penalties associated with canceling are the members’ responsibility. If frequent cancellations occur and/or a member no calls, no shows for their tee time, the privilege of requesting tee times will be revoked. WE’RE THE LIFE OF YOUR PARTY Charlotte City Club, located at the top of the 121 W. Trade Street building, offers expansive and panoramic views of the city and the surrounding Piedmont landscape, making it the highest event venue in Charlotte. Whether you’re hosting a personal celebration or a professional event, the Club provides an elegant and seamless experience tailored to your needs.


Types of Events The Club is available for all of your private, special event needs. We encourage you to host your business meetings, professional organizations, civic events, charity fundraisers, retirement parties, weddings, and rehearsal dinners.

Who Can Book an Event You may contact the Events Department directly to make arrangements for your next special event. Your executive or personal assistant is welcome to contact the Club on your behalf. If you would like to extend the private, special event benefit to a colleague, friend or local civic organization, you need to contact the Events Department and indicate you wish to sponsor their event. A signed contract and signed event order are required to book any private room. The contract for your event will include our special event policies and deliverables for menu and final headcount. The event order will include all of the details as it relates to your event. The final invoice for your event will be billed to your Member account unless specified.

GET INVOLVED – Join an Affinity Club BookClub FIRST THURSDAY A monthly meeting of members to discuss books based on a topic or an agreed-upon reading list.

Global Thinkers FRIDAYS, TWICE A MONTH The Global Thinkers Roundtable is a virtual gathering of Members and guests designed for globally oriented discussions, tending towards history, culture, economics, politics and policy. They meet on Zoom.

Barley & Hops* SECOND WEDNESDAY Explore beers from around the world. This group, led by the Brewmaster, is a way to connect with those who love all things barley, hops, yeast, and water! The coveted Brewmaster title is battled for annually at the last affinity club meeting in November.

Whiskey & Humidor Society* THIRD WEDNESDAY Enjoy limited-production cigars along with single malt and blended whiskys in one of the only indoor smoking rooms in Charlotte. Chief of the Celtic Clan title is battled for annually at the last affinity club meeting in November.

Wine Cru* FOURTH WEDNESDAY Broaden your knowledge and appreciation of wines from around the world. This group of novices and enophiles is a social group that loves to connect and learn about all things white, rosè, red, still, sparkling, and fortified.

BILLING & STATEMENTS Your statement will be emailed to you on the first of each month. You can also view your current statement and house charges in the Member App or our website portal. Payments are due by the 5th. Late fees will apply to your account if not paid in full by the due date. The Board has approved a late fee of $25 or 10%, whichever is greater. For your convenience, we offer online payments via the Member App and website, ACH bank draft, or credit/debit card auto draft. Payments made via credit/debit cards will be charged a 3% surcharge, which will be added to cover processing costs. Due to PCI compliance restrictions, we cannot take phone payments or credit card information. Should you like to pay by check, please note that the Club is not responsible for delays due to USPS. The automatic draft may be set up by contacting the accounting team at accounting@charlottecityclub.com. The automatic draft occurs on the 5th of each month, except when the 5th falls on a weekend or holiday. In these cases, the draft will appear on your account the next business day following the 5th.
