EVENT BROCHURE

Nestled in the heart of uptown, Charlotte City Club is the ideal backdrop for any occasion. From grand weddings to intimate corporate gatherings, our commitment to exclusivity and personalized service ensures that every event is not only memorable but also distinctly tailored to the needs of our members and their guests.

Types of Events

Events held at our club that benefit our members, their colleagues, family, or friends are recognized as either member or member-sponsored events.

MEMBER EVENTS

Member events are organized by members primarily for their personal use, with all costs covered by the member. The member hosting the event is responsible for ensuring that all guests, vendors, and entertainers adhere to club rules and policies. The costs associated with these events are charged directly to the member’s account and appear on their club statement.

MEMBER-SPONSORED EVENTS

Member-sponsored events are reserved by a member for the benefit of a guest, or when a member receives reimbursement from a guest or a business for the event. The member who sponsors the event assumes responsibility for the behavior and compliance of all guests, vendors, and entertainers with the club’s rules and policies. All expenses related to the event are billed to the sponsoring member’s account and will be reflected on their club statement.

BOOKING INFORMATION

• Date Reservation: We can reserve up to two dates for your event.

• Wedding Bookings: Dates for weddings can be reserved only following an official engagement.

• Holding Period: Dates can be held for up to 10 days without a signed contract. If another inquiry is made during this period, you will have 72 hours to confirm your booking.

FOR MEMBERS:

• An event is confirmed upon signing a contract FOR MEMBER-SPONSORED EVENTS:

• An event is confirmed upon signing a contract and receiving a deposit.

PAYMENT TERMS FOR EVENTS

MEMBER-SPONSORED EVENTS:

• A deposit equivalent to the room rental or club service fee must be paid within 7 days of signing the contract.

• The balance is due within 10 days after the event’s completion.

ALL EVENTS:

• Charges associated with both member-hosted and member-sponsored events will be reflected on the member’s most current club statement.

PAYMENT METHODS:

• Auto-Draft: Direct payment through automatic draft from the member’s account.

• Credit Card: Accepted with a 3% service charge on all transactions.

• Check: Personal or business checks are welcome.

• ACH/Auto-Draft/Online Bill Pay: Payments can also be made via ACH, automatic drafts, or online bill payment systems.

CLUB SERVICE FEE AND ROOM RENTAL

Room rental fees are charged to cover the expected setup and service costs for events. To secure a room for an event, members and guests must sign and return the event agreement.

FEE STRUCTURE:

• Member Events: The room rental fee is waived for events directly hosted by our members.

• Sponsored and Reciprocal Events: A room rental fee will be applied, which varies depending on the room(s) utilized.

This policy ensures all parties are aware of the terms regarding room usage for events at the club.

The boardroom fee includes a half-day or full-day rental of the room. This fee includes the use of the conference table, audio-visual capabilities, a whiteboard or flip chart with markers, and a refreshment station equipped with water, coffee and tea.

SERVICES FEE INCLUDES:

• Parking (for member events only)

• Room setup, housekeeping, and use of house equipment

• Meeting amenities such as linen, tables, chairs, china, glassware, flatware, and house centerpieces

EVENT RENTAL:

Events are based on 4-hour rental periods. Additional hours may incur extra fees.

LARGE EVENTS:

For events with or without amplified sound, renting the entire Lower Club may be required at the discretion of Club management.

OPERATING HOURS:

• The Club operates from 9:00 AM to 11:00 PM.

• Events starting before 9:00 AM or ending after 11:00 PM will incur a $500 per hour fee.

• Extensions past 11:00 PM must be pre-approved.

NON-OPERATING HOURS FEE:

Events during non-operating hours are subject to a room rental fee, a $3,500 opening fee, and must meet a minimum food & beverage purchase. These hours include:

• Before 5:00 PM on Saturdays

• After 2:00 PM on Sundays

• Anytime on Mondays

• After 2:00 PM on Tuesdays

WEEKDAY/WEEKNIGHT DEFINITIONS:

• Weekdays:

» Until 5:00 PM, Wednesday to Friday

» Until 2:00 PM on Tuesdays

• Weeknights:

FOOD & BEVERAGE MINIMUMS

Your event planner will determine the food and beverage minimums based on the selected time of day, anticipated guest count, and preferred room settings.

FOOD & BEVERAGE PRICING:

• All quoted food and beverage prices will include a 25% service charge and any applicable sales tax, as mandated by state laws. Note that sales tax is also applied to the service charge.

• Please be aware that we cannot guarantee fixed menu pricing more than 30 days prior to your event, due to fluctuations in the market environment. Prices are subject to change accordingly.

MENU PLANNING:

• Please submit final menu selections, dietary restrictions, event timeline, and other relevant details at least 10 business days prior to your event. A final headcount is required 10 business days before the event.

• You may offer up to three entrée choices or one duet entree choice, charged at the price of the most expensive selection. All guests must receive the same starter and dessert.

• Buffets are available for groups of 15 or more, buffet service is limited to 90 minutes. Chef-attended stations are available for an additional fee.

FOOD AND BEVERAGE POLICIES:

• Taking leftover food or beverages off the premises is not allowed.

• No outside food or drinks are allowed, with the exception of wedding and specialty cakes that must be pre-approved by your event planner. Outside alcohol is prohibited except for wine, which requires Board approval.

• Alcohol will be served only to guests 21 or older. Identification may be required for those who appear under 21. Intoxicated guests will not be served alcohol and may be asked to leave. For events primarily involving underage guests, specific guidelines will be enforced.

• Cash bars are not permitted at any event.

EVENT PLANNING PROCEDURE

To guarantee a seamless execution of your private event, we require an Event Details Meeting to be scheduled at least three weeks before your event date. This essential meeting allows us to gather all necessary information to ensure your event runs smoothly. It provides an opportunity to finalize details, establish timelines, and discuss any special requests you may have.

FINAL GUEST COUNT

Your final guest count, along with food and beverage selections and any dietary restrictions, must be submitted 10 business days prior to your event date. If additional guests are added after this deadline, a late addition fee of $20 per person will be applied. Please note that if the number of guests decreases after the final count is submitted, charges will still be based on the originally provided count.

WEDDING CEREMONIES

If you are planning your wedding ceremony at the club, a day-of coordinator is mandatory. We strive to accommodate your ceremony rehearsal on the day before your wedding, but availability depends on both existing and prospective events.

The Club reserves the right to reschedule your ceremony rehearsal based on business demands, with potential changes possible up to three months before your wedding date.

To secure rehearsal space more than three months in advance of your wedding, a usage fee for the required space is applicable. Additionally, all weddings, whether they include a ceremony and/ or reception, must engage a licensed and insured outside wedding planner. Proof of insurance from all vendors must be submitted at least two weeks prior to the wedding date.

WEDDING MENU TASTINGS

Menu tastings are available only for weddings with a plated meal and are limited to a maximum of six guests, excluding club staff. Tastings should occur between four weeks and three months before the event, with recommended days being Thursdays and Fridays from 11:00 a.m. to 2:00 p.m. Any additional guests beyond six will incur extra charges on the final event bill. The tasting includes:

• (5) hors d’oeuvres

• (2) starters

• (3) entrées.

We also offer tastings for banquet wines, beers, and specialty cocktails. Wines will be charged by the bottle, while other beverages will be charged per person, with all related costs added to the final event bill.

If we do not have the audio/visual equipment in-house that you desire, the club will rent the equipment needed and add to your final bill. Please book your audio/visual needs in advance.

THIRD PARTY VENDORS

The Club welcomes outside vendors and can provide you with our preferred vendor list. All vendors must adhere to our loading dock policies and are required to provide a copy of their certificate of insurance, each calendar year, prior to arrival on property. Charlotte City Club must be listed as an additionally insured party on the certificate of insurance. Additionally, all vendors are required to adhere to our dress code at all times, including during setup and breakdown. Breakdown for all vendors should be immediately following your event unless otherwise noted by your event planner. If breakdown occurs beyond midnight, an after-hours fee may be incurred.

RENTAL ITEMS

Any rented table linens, china, glassware and/ or flatware must arrive at the club at least 48 hours in advance of your event. Delivery/pick up of rented items such as tables, chairs, bars, and additional décor items must be scheduled with your event planner. The club reserves the right to change delivery and/or pick-up dates based on club availability with no liability or costs incurred to the club. Your event planner would be happy to coordinate vendor rentals for you.

Charlotte City Club is not responsible for the storage, safekeeping, damage or loss of décor or equipment supplied by you or your hired vendors. All decorations must be confined to your specific event space(s) and must be approved in advance by your event planner. The club prohibits the use of confetti, glitter, smoke, dry ice, cold sparklers, open flame, and rose petals. All items used during the event must be picked up within 5 days or it will become property of the Club. We strongly recommend that you appoint someone to retrieve all items the evening of the event.
