Thank you for choosing to be a part of SEU Chapelhill. Through this journey, we aim to provide you with an education and spiritual confidence that will empower you throughout your life. Our goal is for you to deepen your sense of calling and be equipped with the skills and knowledge to fulfill your God-given purpose.

This handbook outlines the policies and procedures all students are expected to follow. Its purpose is to serve as a clear guide to support you in managing your responsibilities and participating fully in campus life. By providing consistent guidelines, this handbook helps ensure fairness and uniformity in the administration of campus activities.

More than just rules and regulations, this handbook is designed to foster mutual understanding and cooperation between students and SEU Staff, helping everyone uphold their responsibilities to one another and to SEU Chapelhill.

While changes and updates may be made with the approval of the SEU Staff, all students are expected to adhere to the policies contained here. If you have any questions or need clarification on any policy, please don’t hesitate to reach out.

OVERVIEW

WHAT IS SEU CHAPELHILL?

SEU Chapelhill is a regional campus of Southeastern University (SEU) designed to disciple students to become all that God has called them to be. This unique program allows students to earn an accredited college degree at approximately half the typical cost while simultaneously gaining handson ministry experience through practical internships. By pairing flexible online coursework with blended, face-to-face instruction, SEU Chapelhill fosters spiritual maturity, deepens faith, and equips students with transferable leadership skills and life tools valuable for any future career path—whether in pastoral ministry, business, counseling, or another field.

ENROLLMENT TRACKS

Choose the pathway that best fits your current season and goals:

1. LEADERSHIP TRACK A mixture of face-to-face and online classes paired with weekly oncampus chapels, discipleship groups, practicum studies, and a formal internship.

2. TRADITIONAL SEU TRACK A mixture of face-to-face and online classes paired with weekly on-campus practicum studies and a formal internship.

3. ONLINE TRACK A flexible learning method featuring online and/or face-to-face classes alongside alternative practicum and internship options.

Note: All formal internships and practicums are completed through Chapelhill Church or another approved organization.

QUALIFICATIONS FOR ADMISSION

To be considered for the SEU Chapelhill program, applicants must meet the following baseline criteria:

• Hold a High School diploma or GED equivalent.

• The ability to pay tuition and remain self-supportive throughout the school year.

Through our partnership with Southeastern University (Lakeland, FL), SEU Chapelhill serves as an instructional site, offering students access to accredited, Christ-centered higher education at an affordable cost. Southeastern University is regionally accredited and committed to helping students discover their divine design.

SCHEDULE STRUCTURE

Many of our degree programs follow a hybrid format, combining in-person and online coursework. The academic year is divided into two semesters (Fall and Spring), with each semester split into two 8-week sessions: Session A and Session B.

Students typically enroll in 12–15 credit hours per semester but focus on just 2–3 classes at a time during each session. All face-to-face classes are held in person on Thursdays.

GRADING SYSTEM

Education is a top priority at SEU Chapelhill, and it is the student’s responsibility to stay current with assignments and grades. We view this season as essential preparation for ministry and personal development.

If a student’s GPA falls below 2.5, they may be placed on probation from public ministry and other extracurricular activities unless improvement is demonstrated. A minimum cumulative GPA of 2.0 is required to maintain eligibility for financial aid.

STUDY HALL

Study Hall is a designated time for focused academic work during the week. It takes place on Tuesdays from 2:30–4:00pm and on Thursdays from 9:00am–4:00pm, during any time a student is not in a face-to-face class. Students are encouraged to study wherever they are most productive during these hours. It is expected that this time be used intentionally to stay on top of readings, classwork, papers, and projects.

If a student has a grade of a D or F in any class at any point, they have one week to raise it. If the grade does not improve to a C or higher within that time, the student will be required to attend supervised Study Hall at Chapelhill Douglasville. Additionally, they may be removed from ministry service and/or be ineligible to attend SEU-related events such as Camp, Fall Retreat, SEU Conference, Fine Arts, and others.

PRACTICUM

ACADEMIC REQUIREMENTS & SCHOLARSHIP

The SEU Chapelhill Practicum is not merely a volunteer position; it is a credit-bearing academic course integrated into your degree pathway. Because students receive a scholarship from SEU that grants them 3 credit hours per semester for free, this course carries the same weight, accountability, and grading rigor as any classroom setting.

REAL DELIVERABLES To pass and maintain your scholarship, you must submit all official SEU course assignments on time. This includes your Ministry Contract, Mid-Semester Report, assigned projects, and Final Supervisor Evaluation.

WEEKLY HOURS You are required to complete and log between 8 to 15 hours of practical learning every week.

FULFILLING YOUR PRACTICUM HOURS

Students fulfill their weekly hour requirements through two primary components:

LEADERSHIP LABS Attendance and participation in these reverse-classroom sessions, which are designed to strengthen your listening, critical thinking, collaboration, problem-solving, and public speaking skills.

INTERNSHIPS Direct hands-on ministry hours completed under your assigned supervisor. Time spent serving during church services, events, meetings, and standard ministry activities all count toward your weekly total.

OUTSIDE ORGANIZATION APPROVALS

Students choosing a track that permits completing hours outside of Chapelhill Church must adhere to the following:

PRIOR APPROVAL You may not begin earning hours at an outside church or organization without official, written approval from SEU Chapelhill before the semester begins.

SITE CRITERIA The outside organization must provide a designated supervisor who agrees to mentor you, oversee your hours, and submit your formal SEU evaluations.

APPROVED MINISTRY SITES

While most students complete their hours at a Chapelhill Church campus, completing your practicum at an outside organization is an option for certain tracks.

SUPERVISOR RAPPORT You must maintain a respectful, teachable, and professional relationship with your site supervisor. This includes proactive, prompt communication and submission to organizational authority.

ATTENDANCE & CALL TIMES Treat your scheduled practicum hours like a professional career. Handbook expectations apply to unexcused absences, late arrivals, or early departures.

PROACTIVE ENGAGEMENT If your supervisor has not assigned you a specific task during a shift, it is your responsibility to be proactive and ask how you can best support the organization.

CONFLICT RESOLUTION If an issue or misunderstanding arises with your supervisor, do not attempt to settle organizational disputes independently. Follow the Matthew 18 principle and contact SEU Leadership immediately.

*Most students will qualify for financial aid (via FAFSA) to subsidize their costs for both Undergraduate and Graduate Degrees.

Any out-of-pocket balances not covered by financial aid must either be paid in full OR a payment plan must be established before the end of Add/Drop Week.

Failure to settle any outstanding balances will result in the student being dropped from his/her classes and unable to start until the following session of classes.

FINANCIAL AID

BECOME “FIRE READY”

“Fire Ready” is a term SEU uses to describe the financial clearance process for all new and returning students. Being “Fire Ready” means a student is fully prepared to begin the Fall or Spring semester with minimal issues related to finances or academics.

“FIRE READY” STEPS

1. Complete FAFSA by logging onto www.fafsa.ed.gov. Southeastern University’s code: 001521.

2. Wait for Acceptance / Receive your Awards Letter from SEU, at which time you will be emailed your Awards Letter and a list of financial aid documents needed to complete your financial aid.

3. Complete the Pre-Registration Form that is found within your Student Account (via JICS) under Forms.

4. Complete requested documents by logging into your SFS “Check Your Status” portal.

• Master Promissory Note (MPN) - First-time borrowers

5. Complete a Payment Plan if there are any additional out of pocket expenses after coverage of financial aid.

COMMUNICATION

EMAIL

Email is the official form of communication for both Southeastern University and SEU Chapelhill. Students are expected to check their SEU email daily to stay informed and avoid missing important updates.

SEU email accounts operate through Gmail and can easily be added to a mobile device.

All communication with SEU Chapelhill and SEU’s main campus must be conducted through the student’s SEU email address. When sending emails, students should include their full name, student ID, and campus in the body or email signature for clarity and proper identification.

TEXT MESSAGES

Text messages are only for quick communication and confirmation. For any classroom questions, students will need to email their professor(s). Any verbal agreements or understandings made between a SEU staff member or practicum supervisor should always have a follow up submission from the student in the form of an email.

BAND APP

All announcements, event updates, and important details will be communicated by SEU Chapelhill staff through the Band app. Students are expected to join and regularly check the app to stay informed.

OFFICE HOURS

SEU Chapelhill’s office hours are from 8:30am – 4:30pm, Monday through Thursday. The office holds an open-door policy, but meetings are highly encouraged to be requested and scheduled in advance. Please use wisdom for all calls and texts after office hours. The preferred contact method after 5pm is email.

TIME OFF

OUTSIDE EMPLOYMENT

Students should carefully consider how outside employment may affect their SEU Chapelhill schedule. All students are held to the same performance standards and scheduling expectations, regardless of outside work commitments. If outside employment begins to interfere with academic or ministry responsibilities, students will be encouraged to reassess their work schedule to maintain success at SEU Chapelhill.

DAYS OFF

Personal leave must be requested and approved at least one week in advance using the SEU Chapelhill Time-Off Request form, available virtually on the Band app under the hashtag #TimeOffRequest.

Students are encouraged to schedule personal appointments on their days off rather than during school hours. If an appointment must occur during school hours, a Time-Off Request form must be completed, approved in writing by both the practicum supervisor and the SEU Director, and submitted at least one week prior.

Each student is allowed up to 4 personal days off per semester, including 1 Sunday

SICK DAYS

Sick days are reserved strictly for illness, injury, recovery, or emergencies to protect both the student and the student body. They should not be used as personal time off. Each student is allowed up to 3 sick days per semester

Examples of reasons that do NOT qualify as sick days:

• Staying up late the night before

• Waking up late

• Feeling groggy in the morning

• Additional work shifts or opportunities

• Any reason other an genuine illness or emergency

PROCEDURE FOR

REQUESTING A SICK DAY

If a student is ill and unable to attend school, they must submit a Sick Day Form and notify the Campus Director via text. Failure to do so will result in an additional day being deducted from their overall time off, in addition to the sick day itself. For prolonged illnesses, students are responsible for maintaining daily communication.

Pre-planned appointments do not qualify as sick days and must be requested through the TimeOff Request Form at least one week in advance.

If sick on a designated ministry day, students must notify both their practicum supervisor and the Campus Director via text.

STUDENT CONDUCT

ATTENDANCE & PUNCTUALITY

To maintain a productive work environment, SEU Chapelhill expects students to be reliable and punctual in reporting for scheduled classes and other required activities. Being tardy and/ or having an unexcused absence places a burden on students, staff, and different ministries. In the rare instance when a student cannot avoid being late or is unable to attend as scheduled, he or she should communicate and notify SEU Chapelhill as soon as possible in advance of the anticipated tardiness or absence.

Practicum is an integral part of your SEU experience. Attendance expectations apply equally to both classroom learning and ministry placement. Tardies and unexcused absences will be reflected in your semester grade for practicum.

TYPES OF ABSENCES

• Unexcused Absence

Missing a scheduled class or practicum without approval or proper notice.

• Excused Absence

An absence approved by SEU staff or practicum leadership (such as illness, emergency, or approved commitments). Always notify us as soon as possible. Approved time-off requests may qualifiy as excused absences.

• Tardiness

Arriving late, leaving early, or returning late from breaks. Three tardies = one absence for attendance tracking.

ATTENDANCE VIOLATIONS & DISCIPLINARY PROCESS

STEP 1 — ATTENDANCE WARNING (EARLY SUPPORT)

THIS HAPPENS IF:

• 1 unexcused absence or

• 3 tardies

WHAT HAPPENS:

• A check-in conversation with SEU Leadership

• You are informed of the concern and expectations moving forward via email

STEP 2 — FORMAL WARNING & SUPPORT PLAN

THIS HAPPENS IF:

• 2 unexcused absences

• 3 additional tardies

WHAT HAPPENS:

• A formal meeting with SEU Leadership

• A written warning is placed in your record

• You will create an Attendance Accountability Plan, which may include:

− Scheduling or transportation adjustments

− Regular check-ins with staff

− Mentorship or additional support

STEP 3 — DISCIPLINARY ACTION

THIS HAPPENS IF:

• 3 or more unexcused absences

• 3 additional tardies

WHAT HAPPENS:

• Removal or restriction from practicum/ministry assignments

• Attendance probation or disciplinary status

• Meeting with Site Director and/or Academic Dean

• Possible suspension or dismissal review

PERSONAL APPEARANCE

DRESS CODE

As a Christian institution dedicated to preparing students for Spirit-empowered ministry and leadership in both church and marketplace settings, we have the privilege and responsibility to set an example in leadership—this includes our appearance. SEU Chapelhill asks students to respect and comply with community standards regarding dress. Whether on or off campus, students represent SEU Chapelhill, Chapelhill Church, and their calling as ambassadors for Christ. Our goal is to glorify Christ and point others to Him. These guidelines help minimize distractions that draw undue attention to physical appearance, allowing our character and witness to shine.

Our dress code follows a smart casual standard—polished and professional yet comfortable—appropriate for ministry, social events, and casual business environments.

GENERAL EXPECTATIONS

• Always be well-groomed, clean, and neat.

• Clothing should be wrinkle-free and appropriate for a professional setting.

• Attire should honor the principle of modesty and reflect a positive image of both Chapelhill and the Lord.

MEN

• Collared shirts, sweaters, quality crewnecks, or quarter-zip tops are preferred.

• Facial hair (beards, mustaches) must be neatly trimmed and well-groomed.

• Clothing should be clean, wrinkle-free, and in good condition.

WOMEN

• Hairstyles should be professional and neat.

• Clothing should be modest, clean, and wrinkle-free.

• Attire should avoid revealing or tight-fitting styles, respecting modesty as a guiding principle.

UNACCEPTABLE ATTIRE

• Flip-flops or barefoot

• Excessively worn, faded, or torn jeans or pants (no holes above the knee)

• Athletic or casual sweatshirts and sweat suits

• Spaghetti strap tank tops, low necklines, short skirts, or dresses

• Clothing with secular or inappropriate messages or slogans

• Tight or revealing clothing, crop tops

• Spandex or leggings without a top that reaches mid-thigh

• Shorts

Students may be asked to go home and change if the item(s) they are wearing are not up to dress code standards. Students who have questions about dress code policies should feel free to consult the SEU Chapelhill staff

CONFIDENTIALITY

A foundational principle of our ministry is maintaining the confidentiality of relationships between SEU Chapelhill, Chapelhill leaders, and individuals. All students—regardless of their role—are expected to respect the privacy of others. Any conversations, counseling sessions, correspondence, file materials, or internal matters related to SEU Chapelhill or Chapelhill Church must not be discussed with other students or made public in any way. Information learned through practicum must be treated with the utmost discretion. Please note that SEU Staff are mandated by law to report any Title IX violations—such as gender discrimination, sexual harassment or violence, retaliation, or the creation of a hostile environment—to SEU’s main campus.

MISUNDERSTANDINGS & GRIEVANCES

It is our desire and goal to maintain positive conditions and harmonious team relationships with all students. Whenever a student needs to resolve a personal difference with leadership or another student, he or she should follow the Matthew 18:15 principle.

Whenever a relationship conflict occurs, the affected persons should attempt to resolve any misunderstanding and if necessary, they should seek counsel from the pastoral team. It is hoped that the affected persons will allow the Holy Spirit to guide and direct their dialogue according to God’s will, and that they will walk in the Spirit throughout the process (Galatians 5:22, 23).

In a Christian organization, students should refrain from gossip or talking negatively about other students, staff, or ministries. When necessary, students should vent to their leaders, not peers.

PERSONAL CONDUCT ON CAMPUS

It is the policy of Chapelhill Church and SEU Chapelhill that students in every category are deemed integral parts of the ministry. Each student is expected to conduct themselves on the job and privately in their personal lives, on-site and elsewhere, in such a way as to complement the image and mission of the church and SEU Chapelhill. There is no tolerance for behavior that is viewed as immoral such as: illegal drugs or alcohol, vulgar and profane conversation or promotion of foreign doctrines or religious practices, homosexual lifestyles or associations, sexual promiscuity, or marital misconduct. This list is not all-inclusive. Other types of injurious conduct also are prohibited.

Students are expected to maintain and honor the Chapelhill Church campus and to keep their personal belongings neatly organized in designated areas.

During school hours, students are expected to use the scheduled time slots for their assigned activities or assignments. Students are welcome to meet and/or complete work in the SEU Suite during office hours. After-hour activities on campus must be pre-approved by the SEU Chapelhill staff. As a standard, the SEU Suite and Chapelhill Church office area will be unavailable after 4:30pm.

CONDUCT EXPECTATIONS

Each guideline and boundary that is set in place is for the protection of the student, Chapelhill Church, and especially for Christ’s namesake. Failure to comply with any of the guidelines of SEU Chapelhill may result in disciplinary action.

EXPECTATIONS

1. Any action, activity, or attitude that is detrimental to the mission and vision of SEU Chapelhill and Chapelhill Church is prohibited.

2. Students may not be involved in a romantic relationship with a youth student from any youth ministry.

3. SEU students are advised to avoid romantic relationships with Chapelhill staff. If a relationship occurs between a student and staff member in different locations or departments, both must disclose it to their supervisors and HR, and sign a formal agreement. Romantic relationships are strictly prohibited if the student and staff member work in the same location or department.

4. Weekly church attendance is expected.

5. A cultivation of personal quiet time with the Lord (prayer, Bible reading, discipleship) is expected daily.

6. Tithing is an important spiritual discipline and is expected of every student.

7. Students should not use foul or inappropriate language.

8. Drinking alcohol, smoking, tobacco, and drug use is not permitted.

9. Students are expected to treat the leaders of Chapelhill, SEU Chapelhill and their fellow students with the highest level of respect and love.

10. Walk with humility.

DISCIPLINARY PROCESSES

LEVEL ONE Depending on the level of discipline required, Level One may be skipped. At the discretion of SEU Leadership, an accountability conversation between the student and the Campus Director will take place to address any recurring issues. A written warning will be issued, and the student will be responsible for creating and following an accountability plan to prevent further conduct problems. This plan will be documented as part of the written warning.

LEVEL TWO If the accountability plan between the student and Campus Director is not successfully completed, or if additional conduct incidents occur, the student will receive a written disciplinary action. The student may also be removed from their ministry assignment and/or any SEU-related activities for a specified period, as determined by SEU Leadership.

LEVEL THREE If conduct issues continue after Level Two, the student will meet with the Campus Director and Academic Dean to discuss next steps, which may include suspension, dismissal, or reevaluation of the student’s status.

CAUSES FOR IMMEDIATE DISMISSAL

The following behaviors may result in immediate dismissal upon a single occurrence, at the discretion of administration. This list is not exhaustive:

• Use or consumption of drugs and alcohol

• Any form of tobacco use

• Refusal to submit to authority

• Disharmony with, or disloyalty to, directors, staff, or fellow students

• Falsification of church information, records, or documents

• Moral misconduct

• Theft

FREQUENTLY ASKED QUESTIONS

Q: IS SEU CHAPELHILL ACCREDITED?

A: SEU Chapelhill is an instructional site of Southeastern University (SEU). SEU offers degree programs to students at our site. SEU is accredited by the Southern Association of Colleges and Schools Commission on Colleges to award associate, baccalaureate, masters, and doctorate degrees. Q: IS SEU CHAPELHILL ONLY FOR THOSE DESIRING FULL-TIME MINISTRY?

A: No. SEU Chapelhill is for anyone with a sincere desire to pursue the Lord wholeheartedly and gain leadership skills. As disciples of Christ, we believe that regardless of your career—whether in secular or church settings—you should ask, “How can I further the Kingdom of God through this field?”

Q: ARE STUDENTS ALLOWED TO DATE WHILE ATTENDING SEU CHAPELHILL?

A: SEU Chapelhill defines dating as two persons of the opposite sex having a social engagement by themselves. Dating is permitted, but strong accountability is encouraged while attending SEU Chapelhill.

Q: ARE STUDENTS ALLOWED IN THE OFFICES?

A: Office hours are Monday–Thursday, 8:30am to 4:30pm. Students must wear their SEU lanyards and ID visibly at all times. Students are welcome in the SEU Suite or offices when using the space or attending scheduled meetings with staff. Use of kitchen areas is prohibited without prior permission.

Q: AM I REQUIRED TO BE ON CAMPUS IF I DO NOT HAVE ANY FACE-TO-FACE CLASSES ON THURSDAYS?

A: Homeroom attendance is mandatory; however, if a student does not have any face to face classes, they are considered to be in Study Hall. The purpose of Study Hall is to help one facilitate good time management in which he or she can intentionally work on his or her schoolwork.

Q: IT FEELS LIKE I DON’T HAVE A BREAK WITH MINISTRY, SCHOOL, WORK, & PERSONAL PRIORITIES. HOW DO I CREATE A SABBATH FOR MYSELF WITH SUCH A BUSY SCHEDULE?

A: The word “sabbath” derives from the Hebrew word: Shabbot, which means to stop, cease, or rest from labor. Honoring the Sabbath is important and vital to one’s growth spiritually, mentally, physically, and emotionally; therefore, one’s Sabbath ought to be scheduled out and prioritized, just like any other important responsibility (work or school). Prioritization goes hand-in-hand with time management and takes intentionality and practice.

The college years are the perfect time to learn, fail and learn some more on how to properly develop good time management skills. Everyone has their own preference, but we personally recommend using a planner and/or some kind of calendar to help you log and manage your time. Feel free to connect with a SEU Staff member to help you formulate a healthy schedule.

Q: WHAT IS THE CALL TIME FOR CHAPELHILL INTERNS SUNDAYS & WEDNESDAYS?

A: The exact call time on Sundays and/or Wednesdays varies, based on the ministry of your choosing, the location in which you’re assigned to serve at and the preference of your supervisor; therefore, the call time is to be determined and discussed between you and your practicum supervisor. If no call time is firmly established, all SEU Chapelhill students choosing to intern at Chapelhill must be on campus and available to serve one hour before the first service begins.

Q: WHAT ARE THE SERVING EXPECTATIONS/PARAMETERS ON THE WEEKENDS?

A: Serving expectations vary based on your chosen ministry, assigned location, and your supervisor’s preferences. You and your practicum supervisor will discuss specific expectations during your first meeting in Week 2.

Students should be proactive in asking how they can assist if no assignments are given.

If you are unable to attend a service due to serving responsibilities, you must watch the service online to receive the message. Additionally, communicate with your supervisor to maintain a balanced schedule of serving and attending service—especially if your campus has only one service.
