Tracey Evans - Chief People Officer Our staff are our most important asset at Berkhamsted; investing in their professional development with their wellbeing a key priority. History of Berkhamsted Schools Group Berkhamsted School is situated in the historic Hertfordshire town of Berkhamsted, a prosperous community surrounded by Chiltern countryside and within easy reach of London. Berkhamsted is a leading Independent School for pupils aged 3 to 18 years, the foundation of which dates back to 1541 (when John Incent, the Dean of St Paul’s Cathedral, successfully applied to King Henry the VIII for a license to purchase a piece of land for a ‘freescole’). In 1888 a Girls School was founded in Berkhamsted under the same governing body, and the Boys’ and Girls’ Schools merged to form a diamond school in 1997. The Prep School was also integrated at this stage, and the School became Berkhamsted Collegiate School. In 2011 the School merged with Heatherton House, a small independent day School for girls in Chesham Bois, and became the Berkhamsted Schools Group. Operating as a satellite Prep School, Heatherton provides a feed of Girls to the Berkhamsted Girls School every year. In 2012 Berkhamsted Schools Group acquired Haresfoot, a small proprietary prep school in Berkhamsted. This site now houses the Berkhamsted Pre-Prep and Berkhamsted Day Nursery Limited, and Berkhamsted Prep takes children from age 7-11. Berkhamsted is the only School in the Herts, Beds and Bucks region, and one of only a small number of Schools in the country, to offer a ‘diamond’ structure that combines the best of both single-sex and co-educational teaching. Boys and Girls are taught together until the age of 11 (Berkhamsted Pre-Prep and Prep), separately from the age of 11-16 (Berkhamsted Boys and Berkhamsted Girls), before coming back together again in a joint sixth form (Berkhamsted Sixth).
Job Description Reporting to: Director of Admissions & Marketing with dotted line to Director of International Admissions
Hours of Work: Part-time, 32 hours per week across 5 days (8:30am - 12:30pm Tuesday and Thursday; 8:30am - 5:00pm with half an hour unpaid break Monday, Wednesday and Friday). Term-time plus 4 weeks (to include 1 week at the beginning of the summer break, 1 week at the end of the summer break, 1 week during October half-term, 1 week during Easter break)
Purpose: Manage and administer the customer journey process for International Admissions from lead enquiry to offer and acceptance, developing relationships with agents as part of this journey. Oversee the Marketing requirements for International recruitment. Support the Director of International Admissions in maximising the overseas boarding revenue. Main Responsibilities include: Strategy Contribute to the International Strategy for example identify target markets, target year groups, agency commission review and other considerations. Sales and Marketing Arrange and host visits (extended tour/lunch) for Agents, including meetings with the Head’s of school’s and Director of International Recruitment. Arrange and host visits for prospective students/families, including arranging meetings with the Head of relevant School’s and Director of International Admissions. Involve PA to Head of School’s (predominately Sixth) for exam invigilation where relevant.
Job Description Work with the Marketing Team and manage agent newsletters and market/agent specific communications. Also contribute to Boarding prospectus, website, socials and event materials. Manage the BBSN Portal – respond to member agent messages and liaise with the Marketing Team to ensure our school profile, facts and figures, news, events etc are up to date. Regularly review the competitive marketing place and provide insights and strategies to help Berkhamsted stand out in a crowded market Work with the marketing team to: - Update website boarding pages with latest information including new Agency pages - Update prospectuses and other printed materials for the boarding market in conjunction with the Director of International Admissions/Boarding - Work on a process for sharing the social media posts across platforms/channels - Ensure that photography and videography requirements are up to date and addressing the key needs of the International/Boarding teams - Brief the Social Media Officer on timings of events so they can create digital campaigns to support
Agency and Event Management Provide a quick response to emails regarding prospective applicants and additional queries from the oversees agents. Prepare for, attend and manage follow-up for Agent events (sometimes at the weekend) alongside Director of International Recruitment when appropriate. Summarise and share market intel/competitor news with key stakeholders.
Job Description Work with the International team to help support a tiered category of agents Work with the Director of A&M to develop an annual plan for the Agents categories - Develop e-mail marketing campaigns for Agents with updates and information - Keep top tier up to date with information on places available - Help provide information to the Marketing team for International Newsletter updates to agents at the end of each term Administer new and renewal of agent agreements and obtain references. Liaise with Finance Team regarding commission invoices and other accounts queries. Complete annual agency performance review and propose changes for forthcoming year alongside the Director of International Admissions
Manage the International Admissions Process Manage the administration of International Admissions ensuring that all aspects of registration are completed, and candidate’s details are entered accurately into the relevant database – Hubspot and ISAMS Daily monitoring of International Admissions paperwork, keeping all relevant parties abreast of all progress. Ensure all initial enquiries are recorded and ensure any follow up (receipt of school reports/qualifications) is requested and accurately recorded against the applicant’s record. Co-ordinate the entry assessments which includes verifying the venue, administrating the tests; and ensuring a smooth and efficient process at all stages.
Job Description Set up entry tests, issue entrance assessments and collate completed assessments. Arrange interviews. Manage visa applications and work with appointed agency (Newland Chase) to arrange visa sponsorship for overseas boarders each academic year. Work with Newland Chase to remain up-to-date and compliant with all UKVI regulations Liaising with the Director of International Admissions and relevant Heads regarding applicant interviews, offers and all relevant follow up communication.
Reporting and Internal Stakeholder Management Manage and record boarding house availability vs capacity across all year groups reporting to stakeholders as required. Liaise with the Headteachers and Heads of Boarding on status and future pipeline Ensure statistics/data is readily available to the Head of Boarding in order so they can ensure School Leadership up-to-date
Other Act as a focal point to support colleagues with other tasks and projects related to International Admissions including the Headteachers and their PA’s, Heads of Department, Heads of Boarding and Heads of House, EAL Co-ordinator, School Timetabler and Finance
Job Description Undertake any other delegated tasks and projects to support the overall smooth running of International Admissions within the school Support General Admissions at ad-hoc events such as Open Days, Sixth Form Assessment Day and Preview Evening.
Person specification: Excellent interpersonal skills and the ability to communicate confidently at all levels Excellent IT skills including experience of working with databases. Team player, with a desire to produce work to a high standard. Flexible and pro-active approach. Friendly and efficient telephone manner. Strong attention to detail. Excellent time management and an ability to work under pressure and to deadline. Experience of working with International markets would be advantageous.
