History of Berkhamsted Schools Group
Berkhamsted School is situated in the historic Hertfordshire town of Berkhamsted, a prosperous community surrounded by Chiltern countryside and within easy reach of London Berkhamsted is a leading Independent School for pupils aged 3 to 18 years, the foundation of which dates back to 1541 (when John Incent, the Dean of St Paul’s Cathedral, successfully applied to King Henry the VIII for a license to purchase a piece of land for a ‘freescole’)
In 1888 a Girls School was founded in Berkhamsted under the same governing body, and the Boys’ and Girls’ Schools merged to form a diamond school in 1997 The Prep School was also integrated at this stage, and the School became Berkhamsted Collegiate School.
In 2011 the School merged with Heatherton House, a small independent day School for girls in Chesham Bois, and became the Berkhamsted Schools Group. Operating as a satellite Prep School, Heatherton provides a feed of Girls to the Berkhamsted Girls School every year In 2012 Berkhamsted Schools Group acquired Haresfoot, a small proprietary prep school in Berkhamsted This site now houses the Berkhamsted Pre-Prep and Berkhamsted Day Nursery Limited, and Berkhamsted Prep takes children from age 7-11.
Berkhamsted is the only School in the Herts, Beds and Bucks region, and one of only a small number of Schools in the country, to offer a ‘diamond’ structure that combines the best of both single-sex and co-educational teaching Boys and Girls are taught together until the age of 11 (Berkhamsted Pre-Prep and Prep), separately from the age of 11-16 (Berkhamsted Boys and Berkhamsted Girls), before coming back together again in a joint sixth form (Berkhamsted Sixth)
Job Description
Reporting to: Commercial Operations Manager
Hours of Work:
22.5 hours per week, all year round. The working pattern will include some evenings and weekends
This will be a 6 month fixed-term appointment.
Purpose of the role:
To support the Commercial Operations Manager and wider Commercial team in maximising profitable (non-tuition fee) revenues through the delivery of the schools Commercial Strategy
The key objective needs to be achieved within the constraints of ensuring the needs of the School’s facilities and core operations are met. Educating the pupils must always take priority in the event of conflict.
Key Responsibilities: Events Support
Provide operational and administrative support for internal and external events managed by the Commercial team.
Assist with the setup, delivery, and breakdown of events, including room layouts, equipment, signage, and guest coordination.
Support on-the-day event delivery, acting as a visible and helpful point of contact for clients, visitors, and suppliers
Assist with troubleshooting issues during events and escalating as appropriate.
Ensure events are delivered in line with agreed health and safety and School procedures

Hires and Lets
Support the administration and coordination of external hires and lets of School facilities.
Respond to enquiries in a timely and professional manner, providing accurate information to prospective hirers
Assist with booking documentation, event sheets, schedules, and invoicing processes.
Liaise with catering, estates, cleaning, and site teams to ensure facilities are prepared and reinstated as required
Maintain accurate records of bookings, changes, and communications.
Tours and Visitor Experience
Conduct tours of the School and its facilities for prospective hirers, partners and other visitors.
Act as an ambassador for the School, providing a welcoming, professional, and knowledgeable visitor experience.
Ensure public-facing spaces are presented to a high standard ahead of tours and events
Administration
Maintain booking systems, databases, and records relating to events, tours, and lettings
Support the preparation and distribution of event schedules and internal communications.
Assist with collating feedback and post-event information where required.
Provide general administrative support to the Commercial Operations team
Support the operation of the Commercial social media accounts and marketing activities
Compliance
Support compliance with School policies, particularly safeguarding, health and safety, and site access procedures
Ensure visitors, contractors, and hirers are aware of and adhere to School requirements while on site.
Maintain confidentiality of School, staff, and commercial information at all times

School Holiday Periods
The majority of significant commercial lettings take place during school holidays, when the post-holder’s presence is generally required. No more than two weeks’ annual leave should be taken during the school summer holiday, and other annual leave during the year should be planned with the wider team to ensure out of term events run smoothly.

Qualifications and Experience
Experience of working in the education sector would be desirable
Experience with any of the following would be beneficial: Events, Hospitality, Leisure industry, Theatre industry, Social media marketing, CRM systems
Knowledge/Skills
Competent IT user – Microsoft Office
Strong organisational and administrative skills with high attention to detail and the ability to meet targets and deadlines
Excellent verbal and written communication skills
Personal Attributes
Friendly and energetic
Professional approach, coupled with strong interpersonal skills and enthusiasm to get the job done
Ability to work both independently and collaboratively as part of a team
Ability to balance working on multiple workstreams simultaneously
Calm and adaptable under pressure
Ability to work under pressure where own role priorities may conflict with others (remembering needs of the School’s core operations will always come first)
Willingness to work flexible hours, including evenings and weekends
