LETTER FROM THE INTERIM HEAD OF SCHOOL Greetings to the Brookwood Community, As promised, we have created a manual which will help the community answer questions and it will serve as a document outlining the protocols we have in place to keep our community safe. Our Reopening Plan prioritizes the health and safety of our entire community. As I have said, both the physical and the emotional health of our full community is a priority and serves as a guideline for the reopening plans. Based on the information available today and knowing we may have to alter our plan as changing conditions dictate, our goal is to open school in September with all of our students, faculty, and staff on campus. No opening plan can eliminate all COVID-19 risk, particularly while we await a vaccine. Our plan strives to mitigate and manage risk, while still providing a valuable learning experience that is deep and broad for all our students regardless of necessary adjustments made in response to the spread of COVID-19. Our current situation requires planning and preparation that is broad in its scope, specific in its applications, and flexible in its deployment. I appreciate all who have reached out with support, questions and ideas. Our trusting partnership will help us as we move forward.

COMMUNITY EXPECTATIONS The successful reopening of school in-person and on-campus is contingent on community commitment and vigilance. The entire community—every student, faculty/staff member, parent/guardian, and any possible visitors—must adhere to the health and safety protocols that have been established—all of the time, not just some of the time. In order to reopen school successfully, the community must stay alert to changing conditions and resultant protocol modifications. Those that do not adhere to the health and safety protocols will be asked to remain at home. Reentry during this first semester will be different than any other. Our students, faculty and staff have shown us over the past several months their ability to adapt, often in creative ways, and we are leaning into this. The opening of school, in this new way, is an opportunity to demonstrate our commitment to community with care for one another through practices and protocols which keep us all safe.

To the extent that there are inconsistencies, community members should adhere to this Reopening Plan throughout the duration of the pandemic. The COVID-19 pandemic is an evolving situation, and Brookwood will continue to assess its policies in light of new information and evolving practices. Brookwood will communicate any changes to the Reopening Plan policies. It is important for community members to appreciate that there are no strategies that can eliminate transmission risk entirely. These policies are designed to help keep risk of transmission as low as possible among our community, while keeping students as engaged in the learning process as possible.

HEALTH & SAFETY MEASURES Below you'll find a list of the protocols we have put in place in order to mitigate the risk of spread within our community. TESTING PRIOR TO RETURN TO CAMPUS: Information on testing is rapidly changing. The CDC and the American Association of Pediatrics have recently posted new guidance on diagnostic testing. At this time, it is not recommended that schools require entry testing prior to the start of the school year. Brookwood does not intend to require entry testing prior to the start of school. However, if this guidance changes dramatically over the next few weeks, Brookwood reserves the right to require entry testing. Furthermore, Brookwood reserves the right to request testing from any individual Brookwood has reason to suspect may have contracted COVID-19 at any point during the school year, and may request testing from any and all individuals before returning from scheduled breaks during the school year. If Brookwood exercises its options relating to testing prior to a return to campus, the School will notify affected individuals as soon as practicable.
DAILY HEALTH SCREENING: Prior to leaving for school EACH morning, every student, faculty, and staff member will be required to perform and submit a daily health assessment to the MyMedBot app. Please see the Health Screening and Quarantine Scenarios for more information about these policies

PHYSICAL DISTANCING: At all times, throughout the school day, we expect community members on campus to keep six feet apart. Every classroom has been measured and desks have been placed in a way that achieves this end for the intended class sizes. Outdoor classrooms, travel in the hallways, and physical education will all work to maintain this basic rule of distance.

FOOD SERVICES: Our food service team will continue to provide high quality healthy food options to students upon return to school. To ensure physical distancing protocols and safety measures, we will begin with food services delivered to the classrooms for all students. Snack and lunch service will take place in the classroom setting. Everyone must bring a nut-free snack each day and a personal reusable water bottle.

VISITORS: Due to the amount of students, faculty and staff on campus each day, only essential visitors will be allowed on campus during the school day. Parents/Guardians will not be allowed inside the school building at any time during the school day, including drop off and pick up. New policies and procedures have been created for dropping off student belongings during the school day and early dismissal.
FACEMASKS: Everyone on campus—faculty, staff, and students—will be expected to bring and wear a face covering or mask that effectively covers the nose and mouth, with the exception of Early childhood, and K students. EC and K students will be required to wear a face covering during time with specialty teachers and are strongly encouraged to wear masks during the school day. Masks have been shown to be a deterrent to slow the spread of the Virus. Masks can be removed when outside and/or physically distanced, at the direction of the teacher, and when eating lunch or snack. Bandanas and neck gators cannot be used as a substitute for a mask. We encourage you to send two extra masks with your child each day and to label all masks with your child’s name.

PERSONAL HEALTH and HYGIENE: Every member of the Brookwood community is asked to vigilantly monitor personal health and hygiene in order to maintain the health and safety of the entire community, including: - Stay home if you or a family member are ill, particularly if you have a fever and/or other COVID-19 related symptoms - Wash hands frequently and vigorously with soap for 20 seconds and/or use hand-sanitizer available throughout the school - Avoid touching your face - Clean/disinfect areas you frequently use (e.g.: desks and chairs); sanitizing spray will be provided by the school.
SOCIAL-EMOTIONAL WELL BEING/SUPPORTS: As part of our foundational programming, Brookwood provides mental health, social-emotional and advisory programs as well as access to counselors, advisors, and administrators for individual support. In addition, we will continue to provide parent forums, resources, and faculty and staff training for social-emotional support.
ENHANCED CLEANING & DISINFECTING: Increased cleaning and disinfecting (both in frequency and intensity) will be conducted by our facilities department. In compliance with guidelines from the CDC, the school has been and will continue to implement enhanced cleaning, sanitizing, and air quality protocols across campus. Classrooms, offices, restrooms, and common areas will be cleaned and disinfected daily using the Sanitizing Sprayer System. High-touch surfaces such as door handles, elevator buttons, railings, and public bathroom fixtures will be cleaned frequently throughout the day. Hand sanitizing and handwashing stations have been purchased and are being installed in public areas around campus to increase access and opportunity for hand cleaning. Water fountains will be turned off for drinking, only the water filling stations will be operable.

AIR QUALITY: All classroom ventilation systems will be active throughout the day. Windows will be open as often as temperature and weather permits.
OUTDOORS AND COMMON AREAS FOR INSTRUCTION: Whenever feasible and weather permitting, teachers will hold classes in designated outdoor classrooms and other outdoor spaces on campus. In addition, we will adapt non-classroom spaces throughout the campus to maximize instructional options.
LARGE SCHOOL GATHERINGS: In accordance with state guidelines, no large school gatherings will be held on campus at this time. We will continue to reimagine our traditions for the safety of our community.
EARLY DISMISSAL: For any student that will be dismissed early, new protocols are in place due to our Visitors Policy. Please email Frontdesk@brookwood.edu with the students name, date and time of dismissal and name of the individual that will be picking the student up if it is not the Parents/Guardians. We will notify the student to come to the front of the school for pick up and will bring the sign out sheet to the car for the dismissal signature.

TRAVEL: School-Sponsored: ALL field trips, and day and overnight trips are cancelled for the fall. Personal: Anyone traveling will be required to follow quarantine protocols as outlined by the state of Massachusetts and CDC. Please consider the timing of your August travel plans—Any staff members or families returning from any states other than those deemed “lower risk,” must get a COVID-19 test or quarantine for 14 days before returning to Brookwood. Any families traveling from Hawaii cannot layover in a higher-risk state and return to Brookwood. Please note, this also applies to everyone in the household, not only for enrolled students, even if they have not traveled themselves, but have been exposed to a traveler coming from a quarantine-required location.
CONFIRMED CASE OF COVID-19: Under the guidance of the school nurse—if there is a suspected case of COVID-19, the student(s) will be isolated awaiting pick up (within one hour of the parent being notified). The student —and any siblings enrolled at Brookwood— will all be sent home and asked to immediately contact your health care provider for testing. While waiting for testing results, the student and any siblings will be required to remain home until test results are received and communicated with Brookwood. If the COVID-19 test results are positive, the Manchester DPH will be contacted immediately for assistance in contact tracing. The ENTIRE cohort of the student, teacher included, is required to quarantine for 14 days. Testing is recommended for those individuals who have been exposed to COVID-19 but not required. Despite a negative test, a 14-day quarantine is still required.
WHEN CAN YOU RETURN BACK TO SCHOOL AFTER A CONFIRMED CASE OF COVID-19: A student recovering from COVID-19 can return to school after 14 days AND fever free for 3 days (without the use of fever reducing medications) and have significant improvement of symptoms.

CONTACT TRACING: Once a confirmed case of COVID-19 has been identified within our community, we will immediately begin contact tracing with assistance from the Department of Public Health and notify others who may have been in close proximity to a confirmed case. Those who have been in close proximity and have a possibility of exposure to COVID-19 are called a contact. Close contacts will be required to quarantine for 14 days from the date of exposure without developing symptoms prior to returning on-campus instruction. Students who feel well during this period of quarantine may access distance learning opportunities.
HEALTH SCREENING Parents/guardians are responsible for screening students, and employees are responsible for screening themselves, for symptoms of COVID-19 on a daily basis using the MyMedBot App. This screening must be done prior to boarding a school bus or otherwise arriving to campus. The symptoms to be reported on and tracked currently include:

CREATING YOUR MYMEDBOT ACCOUNT SET-UP You will receive a registration email from Brookwood, which includes an invitation code and links to the Apple App Store and Google Play Store. Click on the link that works with your phone to download the app for free.
GETTING REGISTERED Open MyMedBot app on your phone Select Enter an invitation code from the home page Enter your invitation code Enter the email address you received the code with Enter your full name and press Next.
CREATING YOUR PASSWORD Type in the password that you want to use. It must be at least 8 characters long. Confirm the password and press Next. Accept the MyMedBot Terms of Service. You can now log into the MyMedBot app and report for your child.

CREATING YOUR MYMEDBOT ACCOUNT (CONT.) ANSWERING FORMS Once you have downloaded the app and completed your registration, you will be able to answer the forms sent out by your school's health team. Make sure that Push Notifications are on in order to receive new forms from your school. This can be done by going to your phone’s settings, selecting Notifications and allowing push notifications for MyMedBot. Please watch the video to the right to learn more about how you can answer forms from within the MyMedBot app.
CHANGING YOUR PASSWORD In order to change your password, press on the “Change Password” button in the “Account” page. Set your new password. You can now log in using this password.
CHANGING YOUR NAME You can easily change your name by tapping on your name on the “Account” page. To change your email address, you will have to contact your school.
LOGGING OUT In order to log out, press the Logout button in the Account tab. This will take you back to the login screen, where you will be prompted to enter your email and password.

Isolating small groups of students and faculty into a cohort limits the interaction of individuals, which can minimize the spread of COVID-19. We are space wealthy at Brookwood which allows us to utilize different spaces in order to keep students in smaller groups with less interaction.

PHYSICAL DISTANCING
All desks and/or tables will be placed 6 feet apart in classrooms. The largest cohorts will be assigned the largest classrooms.
COHORT DURATION
Students will stay with the same faculty member/s for 14-day cycles. Cohorts will start on Mondays and be two weeks long. In grades Kindergarten through 5th, specialist teachers will join a cohort of students and homeroom teachers for a two-week cycle and only stay with that cohort in order to mitigate transmission. In grades 6 - 8, students will engage in a “deep dive” with one Upper School faculty member in a specific content area in order to mitigate transmission. With the safety lens, this cohort length allows for streamlined contact tracing if there is an exposure to COVID-19 in our community. With a teaching and learning lens, this is an ideal amount of time for students to engage in a “deep dive” of a particular content area or special.
EQUIPMENT
Equipment can live in the domain of a pod and be assigned to students as “theirs” for the 2-week period.
TIME OUTDOORS
We have a beautiful campus to take advantage of increasing learning outdoors. Based on health guidelines, physical distancing outdoors provides for lower rates of COVID-19 transmission.

We developed three distinct phases (Red, Yellow, and Green), while building the on-campus and distance learning plans for fall. You'll find the phase details over the next few pages and how they impact all grade levels.

DEEP DIVE Specialist teachers are teamed with a cohort for two weeks to offer an immersive experience. Specialist teachers will meet with each pod for a 75-minute class each afternoon. Specialists will also be available in the morning to help with PE and lunch.

RECESS Students will stay in their pods during recess and will be assigned different outdoor spaces on a rotational basis.
PHYSICAL EDUCATION It is a priority for students to be engaging in physical activity throughout the day and on a frequent basis. As a result, physical education is not part of the Deep Dive rotation so that students can enjoy several classes each week. All PE classes will be held outside with a PE teacher.
EARLY CHILDHOOD The Early Childhood Program will have a unique schedule to best meet the developmental needs of 3 and 4 year old students.

DEEP DIVE Students are engaged in a deep dive in a certain discipline for two weeks with the same teacher with times during the school day for advisory, PE, lunch, recess, synchronous classes in other subjects, and study hall for asynchronous work in other courses.

ADJACENT LEARNING Students in grades 6 - 8 will have synchronous zoom classes and advisory during the school day with certain subjects.
ASYNCHRONOUS SCHOOL WORK Subjects that are not in a deep dive or adjacent learning will have an assigned day to work on those subjects via Google Classroom.

We will outline how the school will pivot from in-person learning to distance learning for the following scenarios: Individual is home (short term closure) Cohort is home (short term closure) School is closed (short term closure) Government closes school (long term closure) These plans are viewed as extensions of the plans that are being developed for the launch of in-person school for if (when) we move to distance learning. With our distance learning plan, we are committed to: Promote clear, consistent predictable communication path from teachers to families Clear curricular goals each week with corresponding lessons Consistent schedule with clear, simple connections (Zoom) that do not vary within a day Webinars for parents before any distance learning begins

STUDENT EXPECTATIONS WITH DISTANCE LEARNING All students are expected to participate in distance learning. If you are unable to, please have your parent/caregiver contact your homeroom teacher/advisor by email. We understand there will be times when this is challenging and we will be flexible. Brookwood’s Mission in Practice and Acceptable Use Policy will guide online behavior during distance learning. Find a comfortable, distraction-free, appropriate area to work; remove distractions (phones, pets, other technology besides your computer, etc.) Take care of needs (bathroom, snacks) before/after a synchronous class. For Zoom Sessions: Dress appropriately (dress code is not required, but appropriate dress is). Be aware of other people’s surroundings that may be visible in the Zoom sessions. They may be different from your own. Practice compassion and don’t make comments. Do not post pictures or recordings of Brookwood’s remote learning classes to social media or anywhere else on the Internet. Teachers may record a class session for posting to Google Classroom for students who could not be present or for students that want to review what a teacher said. Teachers' Zoom PMI numbers are only to be shared within the Brookwood community. Maintain the same identity and background throughout the Zoom call. Upper School Students: Check email and Google Classroom multiple times each day except between 4:00 PM and 8:00 AM Attend to the daily schedule, including when to unplug Put forth your best effort, trying to work within timelines and meet due dates; continue to ask for help or clarification as needed Students can contact the Brookwood Tech Team at Brookwood-techsupport@brookwood.edu for assistance with some technical issues Be patient with your teachers and with each other. There will be mistakes! The technology may not work exactly as expected! Give each other the grace to allow excellent teaching and learning to emerge over time.

PARENT / CAREGIVER SUPPORT WITH DISTANCE LEARNING We understand that the situation and circumstances will vary for each family, so we encourage and trust each family to choose how best to engage in our Distance Learning Plan. Learning experiences are intentionally designed to promote student independence, though we know that our young students will require support with connecting to learning platforms and following a schedule. We would also like to ask the following of parents and caregivers to help facilitate distance learning: Identify a space in your home for your child to concentrate without distraction on their assigned work. Provide a device (laptop, iPad) at times for your child to connect with the distant learning plan. Continue to reinforce rules and expectations that you already have in place with regard to technology. Monitor communications from your child’s teachers and encourage good digital citizenship practices from your child. Understand that there will be times throughout the day where we are asking your child to unplug and take a break from distance learning. We have asked them to check in regarding chores they can help with. Details on our fall plan for Distance Learning will be shared at the parent webinar on August 20 at 7:00 p.m. Check your email for more information and the link to join.

DROP-OFF AND PICK-UP The school day will run from 8:30 a.m. to 3:00 p.m. every day. Due to the cancellation of interscholastic sports for our US, we will have a 3:00 p.m. dismissal for all students.

To limit co-mingling, students will be dropped off each day at the preassigned entrances listed below. If you have a student in both Lower School and Upper School, please use Dan Wise Way to drop off your Lower School student(s) first, then continue on to drop off at Upper School. If you arrive late, please use the main entrance doors to sign in.  Students will be dropped off at doors with the closest access to their classrooms: Early Childhood and Kindergarten children will enter through the outside doors directly to their classroom. Grades 1 - 3 will enter their class through their outdoor classroom. Grade 4 will enter through the main entrance. Grade 5 will enter through the Dodge Writing Center entrance. Grades 6 - 8 will enter through the courtyard doors and go directly to their cohort classroom. 6th grade will enter using the doors closest to the main lobby, 7th grade enter using the middle doors and 8th grade will enter using doors at the end of the courtyard.

DRESS CODE AND SNACK SNACK Parents should provide peanut/nut-free snacks and a reusable water bottles each day for their children each day (please label all belongings). LOWER SCHOOL DRESS CODE It is particularly important this year to ensure that your child is dressed appropriately for the weather since we will be spending additional academic and play time outside. Clothing should be neat, clean, in good repair and conducive to busy days of working and playing. Sneakers are required for PE and recess. Please be sure to label clothing such as sweatshirts, sweaters, jackets , hats and gloves, with your child’s name! UPPER SCHOOL DRESS CODE Since Upper School students will frequently be outside, and to reduce the need for students to change in the locker rooms before PE, the Upper School Dress Code is a combination of our typical dress with an option for athletic dress. Students should dress appropriately for the weather in clothing that is neat, clean, and in good repair: Opaque shirts with or without sleeves (collars are optional) Solid color or patterned (no words or graphics/images; small brand-identifying pocket logo is acceptable) Shirts and pants/shorts/skirt line must meet (no bare midriffs) No tank tops, spaghetti straps or strapless tops Pants (no jeans or pajama pants) Skirts and shorts (at least fingertip length; shorts with at least 5� inseam) Dresses (at least fingertip length) No spaghetti strap or strapless dresses Leggings (worn under dresses, skirts or tunic-length shirts) Sweaters and fleece jackets/pullovers (no words or graphics/images) Closed-toe shoes OR ATHLETIC DRESS appropriate T-shirt (no tank tops), Athletic shorts athletic socks, and footwear. sweatpants, opaque leggings, and sweatshirt permitted for the cooler weather

EXTRACURRICULAR PROGRAMS As we’ve been closely monitoring the Department of Elementary and Secondary School and CDC guidelines, regulatory organizations seem to agree that schools who reopen mitigate risk by spacing out students or even assigning them to “bubbles” where they only interact with a small number of others. Armed with this information, we had to make difficult decisions around our school day schedule.
In order to create safer situations and less chance for COVID transfer, we are not able to host Early Birds, REACH, and fall interscholastic athletics. Further, Skills and individual music lessons will be conducted remotely. SCHOOL-WIDE EVENTS/ACTIVITIES Our schoolwide, divisional and Parent Association events and activities are valued components of a Brookwood educational experience. We will make every effort to maintain as many events/activities as possible, modified to conform to our health and safety measures. In some cases, events/activities may have to be cancelled or rescheduled. Rest assured, we will continue to reimagine our beloved traditions as best we can for the safety of the community. Weekly School Meetings will very likely be broadcast into classrooms from the School Meeting House.

TUITION Brookwood enrollment contracts provide for the possibility that all or a portion of the program may need to be delivered remotely. Since most school costs are related to personnel and maintenance of our facilities, a shift to remote instruction does not relieve the school of significant expenses. Where some savings are realized in a remote learning environment, resources are shifted to cover enhanced cleaning and compliance requirements. We are confident that, if forced to close, our remote learning program will serve the educational needs of our students better than any alternative. The Technology Team, Division Heads, faculty and staff are prepared to provide a distance learning program that provides consistency, engagement, and support for students of all grade levels.

SCHOOL-WIDE EMAILS Mass email communication will be used to provide you with information regarding the Brookwood Reopening Plan 2020 and COVID-19 related updates—sent to both parent/guardian email addresses on file.
WEBSITE The COVID-19 Updates page on the Brookwood website curates Head of School Updates on virus-related information and the Reopening Plan, as well as links to Resources. Please monitor regularly.
TOWN HALL AND PARENT WEBINARS (VIA ZOOM)Â In most cases, we will use Zoom Meetings or Webinars for large gatherings and to provide updates and opportunities to address your questions. Divisional Division Heads will continue to provide details via eBlasts with regard to Division-specific programs, events, activities, practices, etc.
TEXT ALERTS This system is used for emergencies and will send you an announcement via eBlast, Phone, and Text.
